direct line reporting relationship to the SU´s Manager of Programming

7 B3 l$ H% [- I- J/ `The duties of the Operations Manager - SU Venues are diverse and  
3 D0 f% e* @# Rextensive, and are targeted at the all round smooth operation and  
/ P% Q5 D1 D8 z& K" f& X0 s. y' Cfinancial and operational success of the Horowitz Theatre as well as  # @& b: }. g3 l
the logistical organization and smooth rental of the additional  5 {+ w" a" z) {5 ~% I7 m
venues within the realm of the Students´ Union.  In the light of that  ' J2 g; z4 Q4 C: P2 P3 W
breadth and complexity, it is not possible to fully define or  : V: n# i: ~0 T7 F/ [
describe all roles and responsibilities in a document of this kind.   1 f+ N- g& I: H- W4 Z; P+ k2 Z( Y3 f
However, the main roles and responsibilities of the Operations  6 G4 _, R3 y( E8 z7 a/ A; R. J
Manager are as follows:

1.        Space Roles and Responsibilities$ t& M" O4 u# O3 w

5 N; @& P% G* o7 c) R. G5 ca.   To ensure, at all times, that the venues listed below meet the  ' ^; p- m) u, d! N/ q
appropriate standards, requirements and needs, and contributes in a  
$ v0 X; p3 d7 z) r+ }positive way to the smooth operation and success of the individual  6 l- ]. C  F( T* L. s  v  q

·     Myer Horowitz Theatre
9 j7 E+ h$ \, Y# a' @( R·     Dinwoodie Lounge

2 X4 c- h/ d: w* t" @b.   This includes, but is not limited to, the following:
" N! {3 N6 b9 v7 U0 k+ A+ W) C·     To plan the capital and supply expenditures to meet the

·     To ensure the day-to-day compliance of the venues with existing  2 |; Y7 L+ q+ }, q. U0 V
safety regulations and building policies.

2.        Marketing and Promotion
) F6 V! i/ ~7 h$ H3 l  A$ [
- Q- O" k( M7 a3 w, N( R! u4 Ia.   To develop and implement a marketing plan for the venues that  
  r! \6 O* c8 w0 E( N' }focuses upon advertising and promoting the venue to faculty,  " k' r8 @3 }2 v$ u
students, and internal and external clients on an on-going basis.  
$ j0 d9 z) K# T- Z" P& W% o# |; JThis strategy will include implementing and/or delegating the following:; g; X0 y# j* O0 C6 p) ]
·     To develop and maintain promotional materials, the Horowitz  : O- p( f( K& Q* Z  V, n. x8 e: {5 u
Theatre and SU Venues home page, newspaper and other advertising; to  
5 ~  b" f! Q1 v. Htake advantage of other internal and external advertising  6 [5 V( m  r( y* I0 A
opportunities; and to develop press releases and other promotional  9 ]4 R! Z& ^6 Z1 L1 Z
literature on an ongoing basis.
# [, ~# e* K& C0 j# I$ c·     To coordinate tours of the venues for potential renters.
! \( ^- C- D, A5 s' x) B·     To promote upcoming events in the Horowitz Theatre through the  1 [2 \' s  t2 x5 X/ Z9 l
use of the Horowitz Theatre Home Page and the SU Events Calendar.
6 g. L* m- |* z/ [' A/ j7 h·     To develop new external clients for the venues.2 B. k5 T0 x  ]6 j8 c% \. b3 l

3.        Staff and Supervisory Roles and Responsibilities3 {! w/ J  w- p8 }- x$ l

# F; k0 w" Q9 E# X3 P& D! ?5 W8 k, aa.   To ensure, at all times, that the venues are adequately and cost- ) p- f# |& b0 H7 x+ q. E! X
effectively staffed, and that the staff utilized by or within the  ' ^* I5 O$ j: }2 M2 a
venues meet the appropriate standards, requirements and needs, and  $ m7 J8 n& P9 G1 B  d% v$ g
contribute in a positive way to the smooth operation and success of  
. }; C$ I5 U  N) g9 }3 B* Dthe renter´s events. This includes, but is not necessarily limited  % j& Y9 t8 a8 R6 D# Y* J
to, the following:
% @- G. p: F- m/ q( V( f9 U" C. ~·     To be responsible, under the direction of the Manager of Venues  9 d4 U. f7 K: v6 w
and Programming, for all staff issues including hiring, disciplining,  ( F) O3 ]' F* e: ^% e/ _" F3 w$ n* A
evaluating and terminating, as necessary.
8 ~$ [8 p% m. b To ensure that the Horowitz Theatre is adequately supervised at  ) y, d4 l$ @7 Q: ~/ d1 ?" L
all times, this includes the development and implementation of such  
! D4 a4 {7 D! f1 J4 P7 Dschedules and rosters as may be necessary to ensure the effective and  % e/ h- A! e, ^$ S
cost-effective supervision of the venues at all times during which it  2 `+ H+ H  u% i- U: M
is in operation or needs to be in operation.
; l0 l* Z( k% ?" A·     To work with the Technical Director, when necessary, to ensure    [6 u8 }+ X; Z& i, ]
that an adequate and appropriate level of part-time staff exists to  
4 ?6 D" o/ Z/ Q4 r+ Q+ pfacilitate the smooth operation of the venues and to ensure all  4 T, ]# n- b: u% B8 Z
renters needs are met.$ h$ P' e- r8 `/ M0 d" K" f
·     To work with the Technical Director to ensure that the skills  0 Q9 w) {$ B9 Y9 f5 b
and attitudes of all subordinate staff are appropriate in light of  - ^1 m$ [( h9 t1 B; W
the roles they must perform. This includes providing adequate and  # _+ r, k$ k+ _$ m8 F
effective training (and re-training) in all applicable and  
  ^/ h, L" d5 ~7 Eappropriate areas, and ensuring that the Policy and Procedures manual  $ s3 J# B6 N1 F: N: J( |
is kep up-to-date at all times.
2 P% F6 M/ ^$ ?6 j" V4 w·     To ensure all staff are trained in and committed to providing  ) ^! E1 x6 b: s6 \
excellent customer service to all renters.) J& y. m7 F4 C! B
·     To work with the Technical Director to arrange staff  ; C) M* m* y: ]
scheduling.  To handle payroll related matters, under the guidance  + l, F+ p* a2 P3 x; l+ Q* l2 G
and direction of the Manager of Venues and Programming, concerning  
9 _4 Z6 J+ n0 W3 Lthe staff of the venues.
. N. f" _* y0 t  a2 O·     Working with the Manager of Facilities and Operations to ensure  / f* M; [% r  S% `% o
the appropriate setup/tear down of each venue.
* a5 X4 F# e, I·     Working with the Manager of Programming and Venues to ensure  8 ^" I& x# }0 u  e3 j$ T
that additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance
, x4 O7 O! N& P. ^4 J
5 Y1 k6 P8 w7 _9 o" ba. To ensure, at all times, that the Financial and Administrative  + M* q8 X3 b" E( n
systems and processes utilized by or within the venues meet the  % }% A+ z0 o; d
appropriate standards, requirements and needs, and contribute in a  & `2 S7 U( a" g0 a* T
positive way to the smooth operation and success of the venues. This  8 B& K( O+ f2 s
includes, but is not necessarily limited to, the following:* d  `9 I. ?- b: k6 [6 D
To provide input and expertise in the formulation of appropriate  
( z- F6 y- v* ~/ ?9 poperating budgets covering the venues to the SU´s Manager of  
$ }0 Y) p* f9 l% \5 |+ N% Q+ B' pProgramming and Venues and to discuss and refine those budgets  
! c: F' m$ Q3 }; t% |Manager of Programming and Venues, and Manager of Finance &  
( G9 m/ ^9 y5 T$ C$ ^Administration prior to their submission for final approval.
- {( W* z# {# f% A* @! p·  To manage the venues in a manner which adequately and effectively  
) B. [: u* f, I$ [  ~reflects the budgets approved for the venues and/or which reflects  
7 A) o# O9 v! l( s* _the best interests of the venues and the Students´ Union.$ Q, Q; J  K6 Q# o. d+ F8 H0 z* B, o
·  To function as the key player in the submission of financial and  
- |' a- g/ _. Z( n6 eadministrative documentation covering the venues to be used in the  
' j  R5 ^4 S9 Fcompilation of monthly and annual financial statements, and such  
0 o  c2 D3 ^" t- T+ mother reports as may be necessary.
) B& H  |* e9 P: a·  To discuss those financial statements and other reports, together  
, I2 o+ a' u. n# x$ ?with all financial and administrative procedures, with the SU´s  
# Y* }: ]# j  b0 U& u! \- ~Manager of Programming and Venues and Manager of Finance &  
* l  W4 n4 H) b( K1 p. AAdministration with a view to determining and implementing action  
' y. g+ G9 ^$ @5 naimed at improving the financial and/or functional effectiveness of  
/ w6 e6 u! T5 [; lthe Horowitz Theatre.3 n5 Z3 x' H5 Z- g+ V; C9 o, o6 H
·  To ensure the existence of adequate, effective and accurate job  
+ n: e4 L& N7 ~  ucosting systems to be used in connection with the determination and  $ W5 v4 R/ W4 C) [3 Y7 k  {
setting of appropriate prices for rental and staffing rates for  
6 b3 i& Q4 v5 y/ x6 _events held in the Horowitz Theatre.
1 B: ?, S# }( B* f5 f- |+ P; S·  To develop accurate documentation to be used in connection with  
8 P3 j/ _7 R0 }& I( w" q+ ~5 T( `the billing clients, and to forward such documentation in a timely  
" P" I% I+ n6 ^& C  Y  xmanner to the Accounting Department./ z* Y7 J& p& Q
·  To recognize, address and handle all matters relating to financial  & L2 a' b2 {. G7 A) z, ^$ `* V
and administrative procedures and systems in a manner which reflects  . J' O( X( v/ L  N% k( q: L
the requirements of the SU´s Manager of Programming and Venues and  7 I9 [, y2 b7 D3 ]
Manager of Finance and Administration, and in a manner which  
5 a. ?" F8 |' ]1 Z0 Wcontributes positively to the smooth operation and success of the  * c# V' Z/ ~6 m3 h4 k4 Y0 W, w
venues.. A7 q7 {4 @; X8 N# S# m/ N& C

5.          Overall Roles and Responsibilities
# \4 h8 ]7 L% va.   To ensure, at all times, that the systems and processes used in  - N6 }/ W& K4 |/ ?9 a. v7 K
renting the venues meet the appropriate standards, requirements and  
1 m0 I6 j5 N* C; I) k, r$ tneeds, and contribute to the smooth operation and success of the  
/ Y8 j& D) p$ y8 g) svenues. This includes, but is not limited to, the following:9 j$ B' m3 x' x) a/ ~# N( V, |8 `

5 a. K9 D4 c1 o5 d7 P6 A# Q·  To recognize, develop and set in place such rental procedures as  
$ S, n6 @. e# O) g5 Fmay be necessary to ensure the smooth operation of the venues, this  % H  l, |& t7 v0 L5 w4 q
is to include but not necessarily be limited to systems and processes  % k; _. b8 i6 g  X9 G
in the areas of contracts, inventory management, contract evaluation,  
* }, Z/ B' F5 Qpricing, costing, equipment usage, rental/contract invoicing,  ( Q% t8 Y% C+ F5 V8 I
together with such other systems and procedures as may be necessary  
, p6 J; k8 u3 X: U6 u3 f: jto ensure the smooth, secure, efficient, cost-effective and  3 y3 L! }" T% O9 _8 L( @2 l/ m" h
functionally-effective operation of the Horowitz Theatre.
' U! B6 M: ^2 K) E1 u! i) v+ Z·  To recognize, develop and set in place such operational procedures  + I4 `" K, ?& G5 b$ c9 w( y
as may be necessary to ensure the smooth, efficient and cost-
9 C1 p1 M+ @+ C* a% ^. H8 W: s: Ieffective operation of the venues.
8 z+ J5 L* P" i. v! E2 |·  To negotiate rental lease agreements (contracts) relating to  
1 N6 p9 u7 M& a" x/ K1 C# t1 }dates, rates, staff and miscellaneous charges.7 s* i. h# y" O; ~. i
·  To ensure that adequate inventory is available at all times and  * x6 {- B+ I  W- ?9 ?- P5 h: `
that such inventory is stored and issued in effective and secure ways.5 a/ s( c/ a/ R) @
·  To consult with renters as to facility issues in producing their  
! c0 B9 q5 ^# @% ?4 cparticular event in the venues.1 ?" k* @! M) n
·  To provide the venues on-site staff with such documentation and  
9 c5 B) D# h5 o6 ]0 A) k9 @supporting information as it may need to effectively fulfill the  
6 e9 x4 T7 s7 G9 Q, z. Xroles they are to perform to ensure the success of the renter´s event.; e2 A; R. a) K% p
·  To produce quotes in respect to staffing costs for a particular  " m4 S# H; e( ~5 D
rental with consultation with the Technical Director.
9 S* x6 B6 U6 q·  To ensure that all queries raised with the venues whether from the  
2 z! c* i3 x$ X& P  Z3 k8 n( oSU or renters, are promptly and effectively handled and adequately  
4 G& i0 r5 s" g$ W7 U" ?6 b# n2 |answered, and to ensure that such action as may be necessary in  
! H1 n8 c2 F4 Xfollow-up to such queries is taken in a timely manner.
+ X4 T4 N2 c& R" R$ @) { To ensure that the venues and its capabilities are adequately,  
% B" m0 \! k0 ^7 |( Q8 \8 Y0 Geffectively and cost-effectively advertised and promoted, and that  
/ n7 x, o# O% n$ L' }  Tthe cost of such endeavors does not exceed the budgetary provision  
& v* d' x% k0 U$ i( y' umade for them unless prior approval is given by the Manager of  5 Z7 ]8 {+ w5 h6 g6 B
Programming and Venues.
8 o. S8 ~6 \# c·  To act as an informed and knowledgeable resource in the case of  
& Q; k: ~: j$ {/ j% `: H& `9 D; esignificant challenges and/or problems surrounding the tasks of  
. Z0 ?; {3 l2 O3 W) Xmarketing, administration, operations, and any such other matters as  - A/ M( J' R) P# [# I
may provide such challenges and/or problems.
+ s) z  q$ X3 T5 |·  To attend such meetings as may be required to support the smooth    W$ ^; k8 }& U3 B
operation of the venues or the Students´ Union as a whole.
& T" @$ E/ S- G7 t·  To perform other job-related duties as may be required by the  
. g6 S5 S  b$ X( B, yManager of Programming and Venues in order to ensure the smooth and  / O$ y; N9 W4 y& d4 K
secure operation of the venues.2 @# o  w3 y8 I/ w" M4 G' q  L
·  To recognize, address and handle all matters relating to overall  % G3 ~) p0 w% _
operations in a manner which reflects the requirements of the SU´s  ! _. `1 F4 E1 Z/ w5 h' S$ i+ j" q
Manager of Programming and Venues, and Manager of Finance and  / m% R: w! L3 h. C. r! X/ C. H
Administration, and in a manner which contributes positively to the

QUALIFICATIONS:

an acceptable combination of education and experience.

3)             Ability to create new initiatives with little or no
