The Operations Manager - Venues and Programming will operate with a

ROLES AND RESPONSIBILITIES
; F6 g: G; N& ]; c) t. c; ?The duties of the Operations Manager - SU Venues are diverse and  
, _- X* c- p  H; T% ^extensive, and are targeted at the all round smooth operation and  ) a! T% l3 x( z! ]2 I% K9 M
financial and operational success of the Horowitz Theatre as well as  / ]" v. p7 C% @- j5 I# g% ~
the logistical organization and smooth rental of the additional  
' E; t: P& i* H5 V9 O" dvenues within the realm of the Students´ Union.  In the light of that  / ~" j( y6 a  b% ^+ F4 z1 x1 C
breadth and complexity, it is not possible to fully define or  8 N* |. k% r5 k. ^+ `
describe all roles and responsibilities in a document of this kind.     w/ W" P6 x6 B6 L6 u
However, the main roles and responsibilities of the Operations

1.        Space Roles and Responsibilities
* @0 l1 V# q5 E- @% h6 x+ q5 `3 T$ F4 o( d
a.   To ensure, at all times, that the venues listed below meet the  
9 h9 q( E! j6 a/ h3 V5 pappropriate standards, requirements and needs, and contributes in a  , t2 T' s6 S" a3 ?% u) ~* f8 F
positive way to the smooth operation and success of the individual  % i' L9 N, g6 {  s- z9 [& T$ |
renter.
6 a2 [% c4 p" |1 ]5 `) C2 D·     Myer Horowitz Theatre

·     SUB Stage

b.   This includes, but is not limited to, the following:
- d# O, b* V6 L/ ?·     To plan the capital and supply expenditures to meet the  
8 ~/ V6 o$ e# lproduction and facility requirements.
& t% k! q% O5 T; W# j% W·     To ensure the day-to-day compliance of the venues with existing  & A: d! ]; W1 G! w) q
safety regulations and building policies.

3 a  B  e0 r& P1 J2.        Marketing and Promotion
, }# J2 [) J; H% U$ }" w, A  f
a.   To develop and implement a marketing plan for the venues that  3 [$ u, ?- P# f" w
focuses upon advertising and promoting the venue to faculty,  3 K0 G* v3 Z2 B( K* [
students, and internal and external clients on an on-going basis.  
, \. \3 d5 ^- K6 ~) fThis strategy will include implementing and/or delegating the following:
( \9 U6 q2 z/ v8 R/ W3 J7 Q·     To develop and maintain promotional materials, the Horowitz  
; L) c' O' V0 P6 JTheatre and SU Venues home page, newspaper and other advertising; to  
) ]" ]; [5 B4 o  t) o4 ?take advantage of other internal and external advertising  * r. |" q. a- _% {
opportunities; and to develop press releases and other promotional  " [( M; ^: m" v0 F3 V
literature on an ongoing basis./ B; I+ K2 [3 L& M8 A
·     To coordinate tours of the venues for potential renters.
& i( d$ r1 r' y& _* Y- g/ ^9 `( @·     To promote upcoming events in the Horowitz Theatre through the  $ d! f$ x% L$ T. H+ n
use of the Horowitz Theatre Home Page and the SU Events Calendar.5 T0 s; O$ K9 m, n% m( a
·     To develop new external clients for the venues." y+ m& z4 S. |' i& H* z

3.        Staff and Supervisory Roles and Responsibilities
+ p( S* Y2 R3 O7 `* \0 h/ V& ^8 U& E: c$ W
a.   To ensure, at all times, that the venues are adequately and cost- 7 A- c! A  E0 [. g6 K$ z
effectively staffed, and that the staff utilized by or within the  5 }, D1 L. Q  f+ A/ j
venues meet the appropriate standards, requirements and needs, and  
$ ^. D: R( {, H* p0 ucontribute in a positive way to the smooth operation and success of  
2 r3 S  y+ e, h1 jthe renter´s events. This includes, but is not necessarily limited  
2 G5 w5 e  p5 Dto, the following:1 O- j* C& ]9 u/ i7 j0 M; S2 C
·     To be responsible, under the direction of the Manager of Venues  
6 O1 t" F2 V! Y9 \. X5 |and Programming, for all staff issues including hiring, disciplining,  ! n6 b& h3 ~; Z6 p! G# M: J
evaluating and terminating, as necessary.! u* H& Q# ^; j) ~6 Y. t
To ensure that the Horowitz Theatre is adequately supervised at  
& @- E- ?5 L' Y/ Jall times, this includes the development and implementation of such  
, T, ?. T+ Z: Q; ~8 @0 @* I& tschedules and rosters as may be necessary to ensure the effective and  
: \3 V4 u% P7 t$ m# ccost-effective supervision of the venues at all times during which it  
+ B+ g; G; |1 j* \% w$ a2 j( T+ Tis in operation or needs to be in operation.2 Z/ A4 E1 Y% S$ o3 ?# o; v- u! C9 l
·     To work with the Technical Director, when necessary, to ensure  ; ]' B: a' @& a, v
that an adequate and appropriate level of part-time staff exists to  , `5 ]  Y8 V9 y
facilitate the smooth operation of the venues and to ensure all  
# O6 J: g' L7 Mrenters needs are met.( F: G- Q1 n$ x
·     To work with the Technical Director to ensure that the skills  
& o7 {6 \* F3 z5 t, N) j* B" Tand attitudes of all subordinate staff are appropriate in light of  + @' k% c0 W3 J: `
the roles they must perform. This includes providing adequate and  
% W9 M5 A0 G7 f' P6 N: |7 u/ teffective training (and re-training) in all applicable and  
3 m5 C$ p) n7 Q' x$ n& D' y! mappropriate areas, and ensuring that the Policy and Procedures manual  
! a3 `! ^  n1 }  y( H, ~) }is kep up-to-date at all times.
* |& |1 H" H! Y6 a% Z·     To ensure all staff are trained in and committed to providing  5 t+ m; V. x, g# X  i7 \% S. a
excellent customer service to all renters.
" E/ _: ?! o. ~9 x7 ]) j·     To work with the Technical Director to arrange staff  
$ C' f- e2 M* y7 n+ x) fscheduling.  To handle payroll related matters, under the guidance  
: v! `- J. ]% \) W2 ?% E$ D7 Band direction of the Manager of Venues and Programming, concerning  
8 c2 a1 f4 l' F" x* B! A. Uthe staff of the venues.0 [- z: [* [6 m
·     Working with the Manager of Facilities and Operations to ensure  # Q7 u/ C: h& ]5 z: O
the appropriate setup/tear down of each venue.
# V% r1 e' j; O6 J$ M4 S+ N& Y·     Working with the Manager of Programming and Venues to ensure  " H- f+ `" i" @
that additional requests such as licensed receptions are arranged.- u% o8 W4 E, B. _) z. K2 J

a. To ensure, at all times, that the Financial and Administrative    }! ]$ r6 t8 T! p4 C
systems and processes utilized by or within the venues meet the  
7 S/ l  f3 J: J) m' o- K' Wappropriate standards, requirements and needs, and contribute in a  - M: G5 n: _0 U- R3 k* p
positive way to the smooth operation and success of the venues. This  5 f  b' {6 A7 B# {# c1 x& n
includes, but is not necessarily limited to, the following:. Q8 H# ~( |! o
To provide input and expertise in the formulation of appropriate  . Z! a$ G! S3 p; B  O! l5 u
operating budgets covering the venues to the SU´s Manager of  . j& s# J  I8 c" G: ^
Programming and Venues and to discuss and refine those budgets  
" B4 f# C' O' Y1 K/ K. x! tManager of Programming and Venues, and Manager of Finance &  
7 @- u' E" m- i2 Z: Q& OAdministration prior to their submission for final approval.4 l# f0 G& z  Z
·  To manage the venues in a manner which adequately and effectively  . k. X6 }. y7 G( d
reflects the budgets approved for the venues and/or which reflects  
' U, g6 u% l- Q7 R7 Mthe best interests of the venues and the Students´ Union.
* U% e+ g8 P7 ^5 H·  To function as the key player in the submission of financial and  
* H7 t: `& g8 R# m* S3 O& Iadministrative documentation covering the venues to be used in the  
9 U4 k( ^) q: T6 Wcompilation of monthly and annual financial statements, and such  
% D; W1 E5 M, \! Xother reports as may be necessary.
* W' L. s: j! {3 @# f- d1 f# ^$ l·  To discuss those financial statements and other reports, together  
+ p5 h' K2 k" {0 H/ j( Vwith all financial and administrative procedures, with the SU´s  
* L' i0 h1 S. x" gManager of Programming and Venues and Manager of Finance &  $ o- ]! C1 h6 l
Administration with a view to determining and implementing action  # ?" H# i6 n  v1 [, W# q* Q
aimed at improving the financial and/or functional effectiveness of  
- i& `% |0 R2 b% w/ ~the Horowitz Theatre.
5 b, D4 o: X( X·  To ensure the existence of adequate, effective and accurate job  
/ |2 T4 _) b. N2 T- \! z# e( G9 C& xcosting systems to be used in connection with the determination and  7 L+ P1 u& D! D7 U# C$ d* x
setting of appropriate prices for rental and staffing rates for  
3 [1 f% Q6 n; s4 tevents held in the Horowitz Theatre.
0 Y4 H. g9 I7 ], c( v·  To develop accurate documentation to be used in connection with  
6 ?8 a# u3 k$ F4 Y) C' O3 Lthe billing clients, and to forward such documentation in a timely  0 J% ^, x+ f# }; {: D, }
manner to the Accounting Department.# S8 [$ {4 M' G- b8 K
·  To recognize, address and handle all matters relating to financial  
# J2 u' R; m" {) B& G# tand administrative procedures and systems in a manner which reflects  ( y( S) D9 [# r) ~! \! o, z
the requirements of the SU´s Manager of Programming and Venues and  
8 R" b) [0 ~; h8 {, j* T3 h# ~9 ?. QManager of Finance and Administration, and in a manner which  
8 h5 R7 }0 R" |' S4 [# J  |# N# Hcontributes positively to the smooth operation and success of the  
! F- I$ }. ], {" Y+ Tvenues.

  x( w: I2 b: L8 a- r* s5.          Overall Roles and Responsibilities6 g+ Z4 ]6 K# }$ ]& i% F
a.   To ensure, at all times, that the systems and processes used in  
) ?7 Q2 w- g" k6 M3 c# lrenting the venues meet the appropriate standards, requirements and  ; ?; C1 Q- |5 O8 |
needs, and contribute to the smooth operation and success of the  ! O0 U, X/ `( [6 k3 r# }
venues. This includes, but is not limited to, the following:) O" z; {  ~8 L6 Z9 L# X

, x3 r: c& |" h3 t$ f& e·  To recognize, develop and set in place such rental procedures as  
- \! D- z! c* xmay be necessary to ensure the smooth operation of the venues, this  ( z9 i3 ]$ A8 ^6 V" h
is to include but not necessarily be limited to systems and processes  
# B$ `  }3 [0 ^8 i- `4 i# Xin the areas of contracts, inventory management, contract evaluation,  
! C$ b, k& B; ]# ?pricing, costing, equipment usage, rental/contract invoicing,  
( ]$ s0 i& R+ ~& V! @- Btogether with such other systems and procedures as may be necessary  
+ a2 X3 [2 I% F9 P% c' z$ z) e" o& mto ensure the smooth, secure, efficient, cost-effective and  3 v( l! t6 I: q" k3 G
functionally-effective operation of the Horowitz Theatre.
+ S  d' Y8 h# {% b·  To recognize, develop and set in place such operational procedures  4 _' X/ ^& C- [
as may be necessary to ensure the smooth, efficient and cost-
- ~* Y0 O% F! n( xeffective operation of the venues.
. _, E+ l; e) }6 Y; L9 N·  To negotiate rental lease agreements (contracts) relating to  & M6 L8 s3 [1 D9 q: p* `! O
dates, rates, staff and miscellaneous charges.
8 g+ u, u. c: g3 M( \8 F·  To ensure that adequate inventory is available at all times and  
; G9 ^) X  T% y' r$ ?, C8 cthat such inventory is stored and issued in effective and secure ways.
: F/ j8 u! |3 s# g% f! F/ u/ @' @·  To consult with renters as to facility issues in producing their    Q' e9 W$ w/ j3 O4 y" ?
particular event in the venues.4 D8 H2 t5 O! P! l
·  To provide the venues on-site staff with such documentation and  
" R! V! T0 c( ]% u) V4 Psupporting information as it may need to effectively fulfill the  " i' \3 T4 T" c/ Y
roles they are to perform to ensure the success of the renter´s event.
$ F/ F$ D$ L) u9 K4 J* \+ W2 m·  To produce quotes in respect to staffing costs for a particular  
$ x' j6 T4 `  d- Q- f$ Z8 N8 wrental with consultation with the Technical Director.
$ o7 j; P, S0 W2 Y; w) k4 k4 u·  To ensure that all queries raised with the venues whether from the  
5 E' i1 e, ?1 o9 @# s7 K. JSU or renters, are promptly and effectively handled and adequately  5 B1 T, |+ I3 K# R
answered, and to ensure that such action as may be necessary in  % |; b+ _$ m2 j! {
follow-up to such queries is taken in a timely manner.# A0 L: `* c  o4 I
To ensure that the venues and its capabilities are adequately,  . j7 d( D  b: k" c
effectively and cost-effectively advertised and promoted, and that  
" ~7 e: q6 W1 Q! k1 ~/ Dthe cost of such endeavors does not exceed the budgetary provision  9 K3 d, Q+ A* {5 L
made for them unless prior approval is given by the Manager of  0 y* u/ V- F7 M. y
Programming and Venues.% z2 w8 z( r/ C3 b$ y4 k
·  To act as an informed and knowledgeable resource in the case of  / W( q" L* C' n8 f8 F
significant challenges and/or problems surrounding the tasks of  
$ ^2 ^" U$ z+ Dmarketing, administration, operations, and any such other matters as  8 F2 u- m; j$ R! X& @
may provide such challenges and/or problems.
# {6 S  @; a" A) J" Z& j: @·  To attend such meetings as may be required to support the smooth  
1 e: ~  ]' o8 b3 a& roperation of the venues or the Students´ Union as a whole.
# O! z9 ~& `& v- Y, O1 Q·  To perform other job-related duties as may be required by the  ' e. M; Y5 n3 d6 V' p$ Q
Manager of Programming and Venues in order to ensure the smooth and  % _* z. z( v8 h' G8 G2 c+ t, ~
secure operation of the venues.

operations in a manner which reflects the requirements of the SU´s  , }* A6 p  c$ |  s
Manager of Programming and Venues, and Manager of Finance and  
8 h4 u: _% d- t0 Z. T0 @, DAdministration, and in a manner which contributes positively to the  ( Z! }' u5 D+ e7 [+ F
smooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:& J) c1 }# C7 b( H5 N3 g6 Y* K
1)             Minimum two years related post secondary education, or  
. F5 a7 J- _, I" |" nan acceptable combination of education and experience.- t4 e) B! ?! `9 p
2)             Supervisory experience.' h$ m* y2 Q; C& s  a6 g
3)             Ability to create new initiatives with little or no  # ?2 e0 ~( L) G. Y
supervision.7 t/ T' @! G# @1 q& T: c' G
4)             High level of creativity+ l9 E- m$ E  s. s9 ~# o/ A
5)             Knowledge of budgeting and staffing procedures.
