extensive, and are targeted at the all round smooth operation and

the logistical organization and smooth rental of the additional

describe all roles and responsibilities in a document of this kind.

a. To ensure, at all times, that the venues listed below meet the

renter.

This strategy will include implementing and/or delegating the following:2 |% h ~8 `% A' \3 N7 w
· To develop and maintain promotional materials, the Horowitz
3 c5 j7 ]+ ~; E; ~* U' @Theatre and SU Venues home page, newspaper and other advertising; to

$ W2 j( ^# t7 P5 ?opportunities; and to develop press releases and other promotional

· To coordinate tours of the venues for potential renters.
+ A1 b. e0 V" Z0 f& @, v· To promote upcoming events in the Horowitz Theatre through the
, F, U; T e4 }use of the Horowitz Theatre Home Page and the SU Events Calendar./ d/ q$ b% G+ A& {4 m( l
· To develop new external clients for the venues.( |9 F! A( e; t

7 W5 L- D- n, j& u; P3 ]- y3. Staff and Supervisory Roles and Responsibilities; s5 N( ~9 j! y: S5 U# M* d1 {

a. To ensure, at all times, that the venues are adequately and cost-
! Y/ {4 k; _5 O$ Q1 X0 seffectively staffed, and that the staff utilized by or within the
z3 e' Q5 x8 @1 t' Fvenues meet the appropriate standards, requirements and needs, and 7 P- M; {& H* f U
contribute in a positive way to the smooth operation and success of
, ^! E* K3 x) f1 ithe renter´s events. This includes, but is not necessarily limited
; Z0 b, s7 X0 x1 i& jto, the following:
; Q6 H4 n1 O# W' V· To be responsible, under the direction of the Manager of Venues
8 k& }2 S( u3 k4 F, T7 P* {( D3 kand Programming, for all staff issues including hiring, disciplining,
4 P" U, l4 G2 b t' Cevaluating and terminating, as necessary.
f/ N( W& }$ l2 k To ensure that the Horowitz Theatre is adequately supervised at
$ l. Z4 D+ l1 i. |- L5 B" xall times, this includes the development and implementation of such
* n. q9 R0 Y) T$ b) D8 }( ]schedules and rosters as may be necessary to ensure the effective and ' N8 ~5 R" v H' G% [ u
cost-effective supervision of the venues at all times during which it
8 w# E; e: Q& vis in operation or needs to be in operation.
' V! L7 N8 A# Y, [4 g/ @· To work with the Technical Director, when necessary, to ensure ! D2 J2 W* d% R( N& H
that an adequate and appropriate level of part-time staff exists to
# Z' P# ^$ W( T) |2 q' V% j5 Ufacilitate the smooth operation of the venues and to ensure all ( V k3 W1 b5 c; F' ~7 ]+ v
renters needs are met.
- g: A' w! c+ Y8 T· To work with the Technical Director to ensure that the skills 6 l6 y1 ^+ T% b( P0 {
and attitudes of all subordinate staff are appropriate in light of
& N' [) E% G: k O3 G7 H( w6 Q6 qthe roles they must perform. This includes providing adequate and
: U& ^* O- C9 t \' M0 ceffective training (and re-training) in all applicable and 8 t0 n3 g8 `+ [* a& s4 h
appropriate areas, and ensuring that the Policy and Procedures manual
! o/ |/ M8 M" [2 Lis kep up-to-date at all times.5 T6 Y( n+ N. n) t" c8 T
· To ensure all staff are trained in and committed to providing : R, F2 ?) y+ a6 G* N2 z
excellent customer service to all renters.
# e! O( x3 {5 J; t$ R6 @) g! `; H2 D6 O· To work with the Technical Director to arrange staff - \2 I- K3 }" q" q. l% g- w$ E
scheduling. To handle payroll related matters, under the guidance # o. {: L& w- w+ C/ X
and direction of the Manager of Venues and Programming, concerning
; x/ g1 r# Q$ L& F+ ~! Lthe staff of the venues.
% M" Q- O! C6 T* s: B, u· Working with the Manager of Facilities and Operations to ensure & u, E8 b0 |9 e
the appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.

) U T* c5 X1 t, Na. To ensure, at all times, that the Financial and Administrative % @- C( E6 B& R! g7 b# g i; b/ d4 ^
systems and processes utilized by or within the venues meet the . U K+ v3 U* n. g# {% W: G0 |' k
appropriate standards, requirements and needs, and contribute in a 9 }5 _5 `% v. L
positive way to the smooth operation and success of the venues. This 3 d0 @# Y6 [1 N, {' o$ j
includes, but is not necessarily limited to, the following:
0 \+ e% |+ d. B To provide input and expertise in the formulation of appropriate
$ @% D6 I6 h5 K4 @operating budgets covering the venues to the SU´s Manager of
. O5 M {8 ]9 CProgramming and Venues and to discuss and refine those budgets . U/ J7 i8 Y6 U/ B
Manager of Programming and Venues, and Manager of Finance & 2 b8 |7 |' A/ i4 S* B0 w' t
Administration prior to their submission for final approval.
+ u! J0 }" G3 x3 C- i L· To manage the venues in a manner which adequately and effectively
& B, o1 {- k: ^. e7 ureflects the budgets approved for the venues and/or which reflects / j2 y3 ~9 T) b1 Q2 `& W5 b
the best interests of the venues and the Students´ Union.
' A# k1 Y, c6 O) y( ?& a· To function as the key player in the submission of financial and 3 M, ]2 l3 G$ }5 `4 s# D
administrative documentation covering the venues to be used in the
% f2 s+ T/ G+ r! q2 h6 icompilation of monthly and annual financial statements, and such 4 q' B3 \2 \' }! |; q
other reports as may be necessary.- | f4 D" ?) A- n, E/ E# Z# e
· To discuss those financial statements and other reports, together
' C, w% a" R" awith all financial and administrative procedures, with the SU´s $ Y, j" t7 z; D( O

Administration with a view to determining and implementing action

setting of appropriate prices for rental and staffing rates for 9 T3 M/ q0 ^3 x) A
events held in the Horowitz Theatre.8 [0 ^7 {! t+ Y' t9 T+ B" V
· To develop accurate documentation to be used in connection with 2 a2 K1 M+ s3 B
the billing clients, and to forward such documentation in a timely . @/ N p! c! { Y) f9 S/ ?2 h& Q
manner to the Accounting Department.

a. To ensure, at all times, that the systems and processes used in " K# c; [$ ^; h: F, L L
renting the venues meet the appropriate standards, requirements and 5 h, }! |' s. f* g; n. P4 J
needs, and contribute to the smooth operation and success of the
& D2 Z# T! E+ A0 _/ ?( Uvenues. This includes, but is not limited to, the following:4 Q L/ |9 _) x
) C. T! ^3 m# D. ?! k· To recognize, develop and set in place such rental procedures as
5 @2 D& p" B! _" `7 m& X$ q! p0 G/ Ymay be necessary to ensure the smooth operation of the venues, this
: v8 T7 w4 X! o% y+ P' Xis to include but not necessarily be limited to systems and processes / C( i4 D" F1 Z8 K1 m1 D g. z( g
in the areas of contracts, inventory management, contract evaluation, 1 S: e0 L; U" _! L Z* [+ D
pricing, costing, equipment usage, rental/contract invoicing,
/ f0 _2 x7 O/ Z! ttogether with such other systems and procedures as may be necessary ) ]8 O" t% E+ }" P/ y
to ensure the smooth, secure, efficient, cost-effective and 1 x3 s5 Y- q4 n, G& R/ {. i2 O8 @
functionally-effective operation of the Horowitz Theatre.9 S5 p$ x2 O7 U7 w& C0 F' ?5 r; p
· To recognize, develop and set in place such operational procedures
, {! z0 d; f5 h+ F8 @( [4 Das may be necessary to ensure the smooth, efficient and cost- ) y+ n5 ~8 |' n4 n' }8 T

· To negotiate rental lease agreements (contracts) relating to 8 @0 G* W7 J! k3 b" D# a
dates, rates, staff and miscellaneous charges.3 k# O% b5 J3 y) j
· To ensure that adequate inventory is available at all times and : B0 M' j/ } K+ n& @6 {- h Y
that such inventory is stored and issued in effective and secure ways.' L8 L# U# K" i8 t2 r8 V
· To consult with renters as to facility issues in producing their
5 d4 n' z8 e/ fparticular event in the venues.
6 `1 v4 T. J7 z* e2 j· To provide the venues on-site staff with such documentation and ; A8 `, C( q& ^$ d
supporting information as it may need to effectively fulfill the
4 v3 ? o: \* c( Y! A1 ]" qroles they are to perform to ensure the success of the renter´s event.
* X6 c' ]+ ?* U· To produce quotes in respect to staffing costs for a particular $ V# M3 b2 t) I8 ^, a
rental with consultation with the Technical Director.
6 P( F8 t W2 p, b- e· To ensure that all queries raised with the venues whether from the
( C) _+ H! w: D6 m1 {0 h$ N, g$ d7 j/ ISU or renters, are promptly and effectively handled and adequately
. Q9 W; r) p3 K7 d* ranswered, and to ensure that such action as may be necessary in
6 h1 H6 ^8 \' Lfollow-up to such queries is taken in a timely manner.# e# h/ t0 o j
To ensure that the venues and its capabilities are adequately,
% S% N" R0 \6 H Yeffectively and cost-effectively advertised and promoted, and that
' J+ x+ j9 `' H- `. [the cost of such endeavors does not exceed the budgetary provision
" R' F, Y/ ?2 f6 [, s8 fmade for them unless prior approval is given by the Manager of - a! z2 O& G/ r) s4 S5 W
Programming and Venues.) R# }3 A; ^, ~+ [
· To act as an informed and knowledgeable resource in the case of
: W" H- I4 a- L( w3 s+ ~significant challenges and/or problems surrounding the tasks of " i$ H- V; \/ A d2 a# P+ g. l8 T
marketing, administration, operations, and any such other matters as
8 C3 d) O1 A/ t* xmay provide such challenges and/or problems.

secure operation of the venues.
