financial and operational success of the Horowitz Theatre as well as 2 F' H" v+ j1 x% P
the logistical organization and smooth rental of the additional
p+ V3 w. H+ L9 |- ]% c$ S* kvenues within the realm of the Students´ Union. In the light of that

describe all roles and responsibilities in a document of this kind.

a. To ensure, at all times, that the venues listed below meet the

safety regulations and building policies.

2. Marketing and Promotion7 @3 ~5 l7 F) u' ]% w

a. To develop and implement a marketing plan for the venues that 8 \( c$ A9 z* L8 \( O" @ n% a; ]3 M% e
focuses upon advertising and promoting the venue to faculty,
3 q3 ?# D* q* ~5 O0 x: j4 Zstudents, and internal and external clients on an on-going basis. " J3 O. B! m5 f4 i0 i# G+ Y/ u4 L
This strategy will include implementing and/or delegating the following:0 P5 @+ R( [+ o' b8 h) t* d
· To develop and maintain promotional materials, the Horowitz # W$ k* j. u5 f1 b( a% ?; V& K
Theatre and SU Venues home page, newspaper and other advertising; to 8 f/ \) e! C4 t' G& `" x
take advantage of other internal and external advertising ( e* t3 O. q! X( D) \
opportunities; and to develop press releases and other promotional
; C) @1 q/ Y# M( D0 }6 cliterature on an ongoing basis.

) S: c% \5 m! u5 M' d( Y) t% R3. Staff and Supervisory Roles and Responsibilities

M% L' }) F% [& F( Ka. To ensure, at all times, that the venues are adequately and cost-
$ }0 i6 u0 X6 t! B' Leffectively staffed, and that the staff utilized by or within the 4 n7 u4 [3 Z' u9 B; ~, Y9 G
venues meet the appropriate standards, requirements and needs, and
2 b: Y1 `6 P, q: w) K" g/ ^! gcontribute in a positive way to the smooth operation and success of
1 P; ]7 H* i5 b) M' athe renter´s events. This includes, but is not necessarily limited ) \8 @9 b' s$ t2 o" }$ d
to, the following:0 d! W( `% Y7 z9 e; H$ A
· To be responsible, under the direction of the Manager of Venues & e! l. x% ]. d+ |7 i1 b$ z
and Programming, for all staff issues including hiring, disciplining,
2 T) x8 J( ~% {8 M+ }5 y2 A# mevaluating and terminating, as necessary.
# G4 Y0 [) q, Y0 R2 J+ ~ To ensure that the Horowitz Theatre is adequately supervised at & l. a% r6 H6 ?) }
all times, this includes the development and implementation of such 7 V* w+ q, a$ n$ h, L. S
schedules and rosters as may be necessary to ensure the effective and & f/ [- q1 N; _/ R" ^% w4 U
cost-effective supervision of the venues at all times during which it ) n4 ?8 M1 E% e7 P2 x
is in operation or needs to be in operation.$ [7 U Y. |- [5 ^- ]4 l
· To work with the Technical Director, when necessary, to ensure
) l |9 a* ]# v) _" B- y7 t- ithat an adequate and appropriate level of part-time staff exists to - `7 L! l0 ~0 C, ]% E) \
facilitate the smooth operation of the venues and to ensure all ( m ^$ h/ B2 Z. f' R
renters needs are met.
) j- i% V4 v% O L. S! L" G· To work with the Technical Director to ensure that the skills
/ ?5 Y, Y* F4 ~% V7 |, F$ x, Rand attitudes of all subordinate staff are appropriate in light of ' E$ q2 @' M3 h* G6 t4 U$ m2 I
the roles they must perform. This includes providing adequate and
1 [& N3 O/ B$ k1 j4 u- Meffective training (and re-training) in all applicable and
% V% _1 a. u! \appropriate areas, and ensuring that the Policy and Procedures manual
$ Y0 ?+ V% w7 i( vis kep up-to-date at all times.
5 g# |! K) `% ?; c+ \9 q0 c· To ensure all staff are trained in and committed to providing ) y- _" Y' z, _& A5 D' a' K4 M
excellent customer service to all renters.
" D- l$ ^& \2 E' ?' q6 ?# f+ T· To work with the Technical Director to arrange staff
; U" T8 S5 f* ^scheduling. To handle payroll related matters, under the guidance J* x, o$ C% f4 G" w/ T& [" x- H
and direction of the Manager of Venues and Programming, concerning $ q% Q) i, X* G7 d4 O5 P
the staff of the venues.
# a- A2 o+ J7 I· Working with the Manager of Facilities and Operations to ensure ( `& C9 B+ x0 `7 x2 D
the appropriate setup/tear down of each venue.1 q+ Q) r( D& Z& a. c
· Working with the Manager of Programming and Venues to ensure 9 `- d5 U/ q6 V- H- `
that additional requests such as licensed receptions are arranged.

systems and processes utilized by or within the venues meet the
) F' l- _8 J' ?, iappropriate standards, requirements and needs, and contribute in a
4 Q9 ]: F v U6 C! \ G8 Dpositive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate
. l5 z! @# X/ T2 I5 V% g- [2 E; B% zoperating budgets covering the venues to the SU´s Manager of
* R7 |# U' `# L% v: ~- L$ pProgramming and Venues and to discuss and refine those budgets " E7 z+ d5 c9 P( R2 ^$ N
Manager of Programming and Venues, and Manager of Finance &
( Z# H U/ z1 r) O& n5 N9 s/ S) W" dAdministration prior to their submission for final approval.* G: O! {, F4 W( M( k9 R, T
· To manage the venues in a manner which adequately and effectively 7 }6 |7 E( b, }/ }: g* H
reflects the budgets approved for the venues and/or which reflects ! Z- H! G) Z2 p- P% b1 i7 e- Y
the best interests of the venues and the Students´ Union.+ Q5 @/ h8 k# Q! x, z# r4 o9 H
· To function as the key player in the submission of financial and
F- G3 Z& r' w+ x- zadministrative documentation covering the venues to be used in the
/ y7 M S- R5 H! L" F7 wcompilation of monthly and annual financial statements, and such

( I- w3 ?% i- Q6 `; H6 `with all financial and administrative procedures, with the SU´s

' h& Q5 I5 s6 H4 @/ SAdministration with a view to determining and implementing action ; m5 G4 b: P m+ R
aimed at improving the financial and/or functional effectiveness of 1 q; @2 L) k T; @! C( @
the Horowitz Theatre.+ J) n; f9 m% v5 g& b2 s- u
· To ensure the existence of adequate, effective and accurate job : l& Z: U: n2 Y) U* R9 _7 L
costing systems to be used in connection with the determination and
, A' m# c. ^5 |3 Q2 ksetting of appropriate prices for rental and staffing rates for
" a3 x! _1 q M0 P2 Levents held in the Horowitz Theatre.$ d$ o9 c7 M5 Y. \; b+ q3 j( @
· To develop accurate documentation to be used in connection with 8 M- B+ b0 c6 S+ j1 \/ C
the billing clients, and to forward such documentation in a timely

: `4 E, H* o) }· To recognize, address and handle all matters relating to financial ; h6 K. Y) B+ G; B' [' `
and administrative procedures and systems in a manner which reflects ! C, _) E# b) o
the requirements of the SU´s Manager of Programming and Venues and

a. To ensure, at all times, that the systems and processes used in
0 M1 I) d! w# K3 `renting the venues meet the appropriate standards, requirements and 6 @( Z( [3 H2 D( t5 k- b
needs, and contribute to the smooth operation and success of the ' ?" ]8 p2 s- D2 O+ h, {6 n3 U
venues. This includes, but is not limited to, the following:9 o4 N; A3 c9 m9 m
5 \! y. A! P; ^2 v" f& A& u( J
· To recognize, develop and set in place such rental procedures as - ~+ W: w9 E$ {9 j( _5 {0 z$ v
may be necessary to ensure the smooth operation of the venues, this
! L; i; k8 d1 xis to include but not necessarily be limited to systems and processes : ?( P3 w8 y# `0 i% U2 _: [5 E
in the areas of contracts, inventory management, contract evaluation, 9 m8 }& g+ x d6 U
pricing, costing, equipment usage, rental/contract invoicing, x5 x4 _# _# m2 z
together with such other systems and procedures as may be necessary
. s* I' F. d- }- @3 i- e7 yto ensure the smooth, secure, efficient, cost-effective and
7 k. E: N9 {7 H! S6 ?) hfunctionally-effective operation of the Horowitz Theatre.
* S8 R6 x) p/ P4 L k- i· To recognize, develop and set in place such operational procedures ! R* l* ^; h. n+ I0 y8 ~
as may be necessary to ensure the smooth, efficient and cost-
, o; X# e# ^8 H, R2 Teffective operation of the venues.& C0 K m$ V( {0 y
· To negotiate rental lease agreements (contracts) relating to , Y# ^4 u3 k* r: ^( p
dates, rates, staff and miscellaneous charges., R3 k7 q9 K5 J2 ?7 C# r
· To ensure that adequate inventory is available at all times and : X4 `5 G8 X8 n& N, o! f/ @* m
that such inventory is stored and issued in effective and secure ways.
+ d; T, j8 S. _- F8 @/ u' @· To consult with renters as to facility issues in producing their
, G! U( i, u0 Wparticular event in the venues.& o; {: A+ F3 h
· To provide the venues on-site staff with such documentation and 4 N5 k. i' i$ ?' I& }
supporting information as it may need to effectively fulfill the
" K" Y2 P9 _8 K9 f. xroles they are to perform to ensure the success of the renter´s event.2 z. B8 J, q& M# o- D8 n1 s
· To produce quotes in respect to staffing costs for a particular
6 Y5 D8 K& i5 Q; v* nrental with consultation with the Technical Director.1 g9 i T9 O( ]$ B: ^. l( f5 [6 ~
· To ensure that all queries raised with the venues whether from the
8 r7 p! G* E7 }- b- YSU or renters, are promptly and effectively handled and adequately 9 R# ?2 p7 [/ U8 {% j2 a- w* g4 m9 U: V
answered, and to ensure that such action as may be necessary in 5 Q" d: C0 m) _5 Y8 R
follow-up to such queries is taken in a timely manner.' S0 C! A9 z9 g' R& z
To ensure that the venues and its capabilities are adequately,
3 _$ d. r( j4 N+ ~0 F) teffectively and cost-effectively advertised and promoted, and that ( E; a8 S$ H* L. o
the cost of such endeavors does not exceed the budgetary provision - _5 e5 m* j+ E/ F0 z" z: M; d5 F
made for them unless prior approval is given by the Manager of 9 H* F, |% U) I- ?# ?; ~

· To act as an informed and knowledgeable resource in the case of
) z; d% Q/ L7 u& E$ m' c2 l' W1 ?significant challenges and/or problems surrounding the tasks of
7 R. h, q0 d, @5 A& R. m- Q$ m' _; qmarketing, administration, operations, and any such other matters as 9 |7 L# j' ^/ D/ i& g: u
may provide such challenges and/or problems.! Z5 m) u6 J# _1 x" s2 G
· To attend such meetings as may be required to support the smooth

· To perform other job-related duties as may be required by the

QUALIFICATIONS:
