Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.  X( {3 E2 i) i; h

Key administrative duties:

% E4 A6 H7 q2 ~' ^• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.' r! l, l" I; P4 I$ _2 U0 V; F

• Complete data entry in various programs.

$ J; N  C* ~% T& B* T0 X' n• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

6 b! ^# u, t  a5 ]' b8 @; M• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

% C, U. v" P) U' T9 H- ^• Manage office technology software licensing and hardware maintenance.6 D8 b# N! M0 P/ `8 f$ }

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.) S/ D. m! ?' _' ~  D# b& n. U. T0 y

• Support effective internal communication by recording and distributing all meeting minutes.; t' [* d) |' X5 O( |1 z. `+ ~

• Meet weekly with Program Managers to define priorities.  ]% k7 r! W6 n' [

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook., b" c8 w+ C$ m$ q  a

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:" f! q0 |* B/ B

• Maintain inventory of communication materials.! M" @3 N7 d3 j2 p$ n) s, \9 q* @

6 B  u/ Z6 v9 }) ?  Z) l/ ~• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.5 f$ ?, n3 K! ], n% @

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.1 ^+ u+ [( W4 s5 M" _

• Support the management of requests for CFCA information and resources at public events.

• Provide administrative support for public engagement events and mail outs.

# c2 {7 }0 ~) d. M& e& ~• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.* t4 F$ i+ u, m

Fund Development

: h& D5 C: ~  s. x4 ]• Provide logistical support for key fundraising events such as silent auctions& D& v  V! q  _' N/ K

; T" G0 W# _5 e7 I( M• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.' A* N( C* W7 D' \

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.
* K1 g$ m/ y/ a! U1 X7 @  V" j
) ]! F$ U0 g: OSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.  m/ `% c" ^& U3 C6 D

This position is Permanent part time (20 hours per week during regular office hours).
