The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.2 z& y7 l  I2 s3 Y3 z

OPERATIONS/ A" v3 C2 C0 w/ H, F6 |
•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events., R* c. f3 `* j7 s$ L
•        Assist in development and implementation of policies and procedures for volunteer services.
6 A0 R: j9 q4 V•        Maintain the volunteer files and update the database using Raisers Edge
2 T4 k1 y9 @" H& ]4 G4 c( p! R•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.$ V+ H) S' s6 n" F
•        Develop and implement a comprehensive volunteer recognition program.
- J$ P1 d2 v6 f4 a: |•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.' i0 d' W( {3 @8 n
•        Identify and implement best practices in regards to volunteer development.
- e; B1 z8 n, p* B" I' Z( n% P7 P/ Y•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities- e5 T4 u. s+ d3 Z" T
•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

SPECIAL EVENT PLANNING 7 O( S3 _( Q# y$ ]+ G
•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
8 l8 N9 j9 c( f6 F* V. o•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up& x$ k6 i  `2 b2 y7 f

+ i  F6 y! k7 F( Z: ~" PADMINISTRATION
- V$ R/ {2 R$ O•        Develop and maintain job descriptions for each volunteer position* P5 C$ o, G! \7 c( Q9 v
•        Maintain secure volunteers files in accordance with privacy legislation
! `4 ^9 N4 G) h- K; ]•        Provide feedback on volunteers’ performance, as appropriate. M. l+ j5 ^$ D0 H) `) `! |7 ?
•        Ensure Human Resource policies and procedures are adhered to within the department" [# W( Y' ]. J& Z7 Q
•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required 4 z2 A. Y5 I2 I# w- B9 R' Y
•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
0 ~% F7 W) [2 V+ \! x•        Develop resource and orientation materials for Volunteer Services
, F- a1 d& h* D6 l# E•        Maintain monthly and yearly volunteer statistics for reporting purposes( \9 L7 y& D- b& ]
•        Prepare a regular monthly program report
+ t& E' }' j$ i: N4 ]6 G0 c+ e4 d+ Q! U- E

FINANCE
3 m- G8 c$ E4 F- \1 i9 F- \7 e•        Ensure the program operates within approved budget and be familiar with potential variances/ s4 z" M9 |6 o  U3 P
•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required' O* T6 [1 k( }9 `3 S& @1 p+ \( a- a( l
- x- E/ }- Z  G6 X
INTERNAL/EXTERNAL RELATIONS
7 e) U- t# t) U1 D6 ~- w•        Act as liaison to the Y-Knit group of volunteers
0 q8 p6 e6 `) U2 ~  L4 B+ E/ R# j6 E•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)5 f+ x- ], ^1 H3 y8 h
•        Follow up with correspondence to outside agency volunteers as appropriate 4 {3 F' U9 |( t0 t8 ~/ A+ z
•        Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:1 A- a2 f. t3 n. O
. L; S1 I4 o$ V
•        Minimum 2 years experience in Volunteer Coordination
6 ~# L+ Q3 n) i% R0 H3 y# {•        Excellent organizational skills and multi-tasking ability! w% p& a1 h  a( N2 Q2 [+ u: _
•        Demonstrated superior volunteer supervision skills4 r- r5 V2 M* E: A0 [( r0 A
•        Collaborative working style and excellent interpersonal skills
  q: S: M) U/ p; D* q. V•        Ability to work to meet deadlines and to work under pressure  ?6 T" m/ r6 I; j. A8 e* F1 ^
•        Ability to work in a team-based environment, with cross-functional work teams on projects
2 Z3 S3 w* F) W- D•        Sound judgment and ability to maintain confidentiality2 d  Q4 ~+ X: |& x3 b5 I' u
•        Knowledge of Raisers Edge software would be beneficial
