The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:

• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.- @# K4 u' b0 ? G
• Assist in development and implementation of policies and procedures for volunteer services.
+ g# m# O; {4 D, B% ~# p4 a' h• Maintain the volunteer files and update the database using Raisers Edge
, X: x. X* m* L; C8 Q& W• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.- a2 L( q& D' K7 N, e3 H3 d9 ^
• Develop and implement a comprehensive volunteer recognition program.
# n- c0 f$ M& u u+ y' T• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
: k4 M# E9 ]* h5 X; D2 J• Identify and implement best practices in regards to volunteer development.
8 N4 o* {. H2 [9 d. n% Z• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities6 j; q0 }! u1 Q/ R7 f; `
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

* [# n9 u6 L4 c• Develop and maintain job descriptions for each volunteer position0 N$ a4 [# n9 l+ N( _* L
• Maintain secure volunteers files in accordance with privacy legislation
9 E2 a, J, m' @1 E6 R) I% h8 \% u• Provide feedback on volunteers’ performance, as appropriate2 P4 ?3 Y3 @7 G5 O
• Ensure Human Resource policies and procedures are adhered to within the department
9 e6 Y$ s1 k3 U6 O1 K( P; j, e• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
5 n* ^4 u0 y+ k& J8 ~: L: P- M• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency1 `4 D. V6 b/ m! `" O
• Develop resource and orientation materials for Volunteer Services* r; S p. Q4 @. j9 H" `+ l
• Maintain monthly and yearly volunteer statistics for reporting purposes6 \3 [9 k, m' w; k7 G) i: ^6 _
• Prepare a regular monthly program report0 H( l& s' y' e9 ] q7 _' Z0 j

• Ensure the program operates within approved budget and be familiar with potential variances
2 J6 H- F" j0 v% T5 u( ]% s• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required5 o7 ?5 Y) {6 I4 n" V- \

INTERNAL/EXTERNAL RELATIONS/ ~& x6 B2 ~+ h3 r5 N1 A
• Act as liaison to the Y-Knit group of volunteers2 d' R' ~" v$ u3 v9 A; f# e5 Z
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
& P, |$ M9 I* e: S2 A• Follow up with correspondence to outside agency volunteers as appropriate
4 p" }- e, W& o" e+ n6 C/ x• Attend external functions such as volunteer fairs, trade shows, and special events as required* t8 _/ X7 q! Z- A5 Q' q

5 ? Z y3 }) g• Minimum 2 years experience in Volunteer Coordination, s" N- l9 X3 A7 P; G. V4 g& Z
• Excellent organizational skills and multi-tasking ability" A9 ^8 t* x2 i3 i( |
• Demonstrated superior volunteer supervision skills; `+ \: T1 H5 j) S3 s! F9 y- h' |& [
• Collaborative working style and excellent interpersonal skills

• Ability to work in a team-based environment, with cross-functional work teams on projects 3 _, o0 M; j* @$ o: H f2 h
• Sound judgment and ability to maintain confidentiality
