The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.1 t) S% h! e; Q8 N, H

1 R6 Y# @- _1 UThis is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.; n$ Y, k# S5 h' G& m

/ P6 T3 g( C! `( _Job Responsibilities:

8 I3 @9 D  `  A1 U6 IOPERATIONS
- O8 U. A% @, A& ?" Y& a6 G# t; u•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.& [! X( |, i# N2 `( L% L
•        Assist in development and implementation of policies and procedures for volunteer services.
) A" r: F6 j% S3 Q0 X•        Maintain the volunteer files and update the database using Raisers Edge
7 W6 B0 @  h3 R0 m" C1 U•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills., {3 H/ A. C& p" z/ T8 x& C. y
•        Develop and implement a comprehensive volunteer recognition program.
  ~: r! q7 j1 v; q•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.5 ?% U* V( a) a3 O1 L# N
•        Identify and implement best practices in regards to volunteer development.) S" X: F& ~/ s3 g, n# b
•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
% r+ t' I0 g. }$ ^" Z4 Z) z•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

SPECIAL EVENT PLANNING
# F1 S7 l- W7 v7 c; u8 s# e•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO3 a3 C, K/ \: y, S: @
•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up0 S; j. o- F* x# f3 b7 G' t

ADMINISTRATION+ T# C; y7 ~7 y- n
•        Develop and maintain job descriptions for each volunteer position* t% b% z% \/ t2 q
•        Maintain secure volunteers files in accordance with privacy legislation! m/ B/ M' @: }# `, Y( E6 D% v
•        Provide feedback on volunteers’ performance, as appropriate' ?5 J; h7 u, O* `: p9 L
•        Ensure Human Resource policies and procedures are adhered to within the department8 ]7 [" Q6 I- p/ R! ]8 g
•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
; p% b$ H9 J& I) Q3 N+ b. T•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
+ ]5 P) d' L+ K( ~2 ~2 P* j* h; e•        Develop resource and orientation materials for Volunteer Services
3 d$ ~' ?6 Y0 r. Y1 f+ f" m- ]' j•        Maintain monthly and yearly volunteer statistics for reporting purposes
( m5 m8 D, c, g5 R3 v9 ?•        Prepare a regular monthly program report  c! f# L$ v3 x$ r- q! ?; {- B% b  T

: X, W1 a, F; ^' B! \7 B0 F•        Ensure the program operates within approved budget and be familiar with potential variances
9 ^3 t1 q6 T6 `* b2 y9 |0 U/ [* U  Q•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required
( q% N1 Y, ~9 P* l4 n2 ?0 ~& S4 r6 g& a) Y/ P" ?. P. v
INTERNAL/EXTERNAL RELATIONS5 g8 j- @, s0 _" e* `/ {: j& C: N
•        Act as liaison to the Y-Knit group of volunteers: V+ I( Z0 A6 R$ u, s, T% C
•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
; C$ }# T: F: Z" l•        Follow up with correspondence to outside agency volunteers as appropriate $ |- z) q/ z: |& @: b6 k
•        Attend external functions such as volunteer fairs, trade shows, and special events as required; g' N% Q1 _' J( [. u

) l  a6 L6 W$ ~% T7 |; |Qualifications:- L. K" K% U/ i5 W, D7 f- t

  z! L+ P" s- `7 T% K8 |•        Minimum 2 years experience in Volunteer Coordination
* K8 R, X9 _* d•        Excellent organizational skills and multi-tasking ability$ I  u" W$ _" W, T; B. e' {
•        Demonstrated superior volunteer supervision skills* M; E; Q  D* F
•        Collaborative working style and excellent interpersonal skills
( \" `3 `  `) `* n; t& V, Y•        Ability to work to meet deadlines and to work under pressure
4 v( h, P+ g  V$ Z5 {•        Ability to work in a team-based environment, with cross-functional work teams on projects
' ~+ q, j, o  Q& h  j•        Sound judgment and ability to maintain confidentiality
( m6 u% b. v1 s, _. c•        Knowledge of Raisers Edge software would be beneficial
