Position Title: Receptionist/Immigrant Services Worker

7 F9 F8 u7 G! b/ T! w3 F3 T/ ZPosition Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker.

• Answer incoming calls and route calls to appropriate person2 C$ j! ]6 _2 f `. d
• Take and deliver messages to the staff of ASSIST
8 J3 p' j. c$ k( f& X; ]( Q, H• Welcome clients and direct them appropriately
) d8 o; p Z" g) U6 v! E( J8 Q* g• Order and maintain office supplies for the front counter
; w# f' m" ^1 {$ P; n2 o2 m• Perform general clerical functions such as photocopying and faxing documents2 O+ {8 b- q2 A' e- M
• Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker0 Q% V( C& g+ ^. l5 s8 F9 w
• Maintain and update the information boards with upcoming events D4 h. }1 j) o! Q; G) t
• Assist the ISP team in reminding clients to appointments of workshops or other events8 ^( r8 W1 z0 ], m. F
• Keep the reception area tidy and clean
e8 T" h9 z& V9 c8 z: \. ^• Attend meeting and training to stay current on immigrant settlement matters$ Z5 P$ I% s6 T1 g( Q+ ?7 j
• Maintain front counter service files, |6 X& O8 j$ `& a7 o( S/ [& B% t8 I$ J- Q
• Perform general office duties as assigned7 W6 v; D+ ^. Y' l- x+ _
• Report to ISP Program Manager

Knowledge, Skills and Abilities Required:# E# @( U: }& A) d8 l
• Excellent communication (verbal and listening) on phone and in person! O$ L; Z$ W3 Y3 U1 y0 Y0 Z0 y
• Fluent in Mandarin and Cantonese as an asset7 V' _3 w, m+ U" w
• Good English writing and oral communication skills
7 b# {" N6 V* p% T• Ability to work with newcomers and general clients
0 h* Q y3 D* s• Microsoft Office operation skills- Excel, Word, Outlook
7 d" l( C6 s& a. t• Ability to address multi-task and set priority appropriately ) ~3 a/ \+ R2 t' S
• Sensitive to the needs of immigrants with multicultural backgrounds

Qualifications:
6 F. k- }( y; l" J9 H• 2-4 years of office and clerical experience
! g+ j5 a% Q/ y2 D& i• Receptionist or customer service experience in a fast paced environment
" a1 N9 l- z( y! m, e• Demonstrate workplace maturity and professionalism6 ^0 ]5 ~, p3 w* l- o* f, v
• Ability to work well under minimal supervision3 H" L' _2 I8 x9 X" n( e# R1 A7 L
