and Venues.

ROLES AND RESPONSIBILITIES& i0 J( e2 v+ @" d
The duties of the Operations Manager - SU Venues are diverse and  
* C4 b% A" X6 Q' Q. f- K( Wextensive, and are targeted at the all round smooth operation and  
3 w/ ?" }' I. m4 Y2 T& d: f; w5 Jfinancial and operational success of the Horowitz Theatre as well as  
7 L- m3 V5 p% r/ [: n/ s# othe logistical organization and smooth rental of the additional  " e3 I1 Y: f; P/ x  i) s4 t0 G0 y
venues within the realm of the Students´ Union.  In the light of that  1 _. x. ~( m$ p3 b' {" \( p! J+ D
breadth and complexity, it is not possible to fully define or  2 r# x' e$ k0 ~5 y) h, f. |  L: P
describe all roles and responsibilities in a document of this kind.   % Z. C# L3 N: ]( d0 \
However, the main roles and responsibilities of the Operations  
% Q. G" A! X' o6 y' ~4 ]  `& Q! ^Manager are as follows:

1.        Space Roles and Responsibilities

appropriate standards, requirements and needs, and contributes in a  
8 ^; x/ a; z- M0 @7 ypositive way to the smooth operation and success of the individual

  ?* {8 [" b* f/ Ob.   This includes, but is not limited to, the following:
3 E+ j3 x1 b- P7 U( Z$ c0 h·     To plan the capital and supply expenditures to meet the  
9 P4 w4 F) [+ O- Cproduction and facility requirements.
/ R+ m& D% W+ U- m- {·     To ensure the day-to-day compliance of the venues with existing  
) W# F' u7 n3 n0 r7 dsafety regulations and building policies.. g5 E. v* R+ j$ H( r
To ensure that the maximum potential of renters is met.

2 U- t: R2 `; t" c  `a.   To develop and implement a marketing plan for the venues that  
' ?* Y/ l+ o/ N% `& G+ Ifocuses upon advertising and promoting the venue to faculty,  
0 m9 Z8 P( @5 q  {students, and internal and external clients on an on-going basis.  . Z% N' z& ~+ v5 b
This strategy will include implementing and/or delegating the following:
- Y5 \6 @/ C" F* j3 D4 p& ~·     To develop and maintain promotional materials, the Horowitz  
8 [9 |3 b( T8 t/ R& t( S! OTheatre and SU Venues home page, newspaper and other advertising; to  
! n2 l, o/ N5 J1 J0 `* J7 Ftake advantage of other internal and external advertising  8 p6 J; ^! s6 M: [$ b
opportunities; and to develop press releases and other promotional  
, H9 R* f* s5 y* Tliterature on an ongoing basis.7 p( T$ Z0 m0 F! }; w
·     To coordinate tours of the venues for potential renters.
. T8 f  ^8 K: [! ^·     To promote upcoming events in the Horowitz Theatre through the  
  e% I; O6 N: o) u' {( Ause of the Horowitz Theatre Home Page and the SU Events Calendar.
: o, {# K9 j0 a9 f$ |3 M·     To develop new external clients for the venues.

$ O3 ]- E& W* b5 L5 E+ j3.        Staff and Supervisory Roles and Responsibilities
0 q6 ?# I4 i0 J, z5 A: b/ g* w1 i" l8 T- X
a.   To ensure, at all times, that the venues are adequately and cost- % q" ?) f; S+ W( _# g. x: p
effectively staffed, and that the staff utilized by or within the  3 D# o% l2 _2 ?) H
venues meet the appropriate standards, requirements and needs, and  . M# p( [+ W3 E# ?
contribute in a positive way to the smooth operation and success of  + \6 J! n* R) ?% e8 q9 g
the renter´s events. This includes, but is not necessarily limited  
- o: U9 i8 w' O0 }1 cto, the following:5 \$ u2 i+ r8 B' {" [7 r2 y
·     To be responsible, under the direction of the Manager of Venues  
) {3 Q0 y% y4 {  o3 N- iand Programming, for all staff issues including hiring, disciplining,  
" y7 ~: g6 `/ Z/ }1 Sevaluating and terminating, as necessary.& Z0 l% S. L. a0 F# I  D; |
To ensure that the Horowitz Theatre is adequately supervised at  4 f- b2 c, g6 G% y, N
all times, this includes the development and implementation of such  
) S  v5 c' b% T: Ischedules and rosters as may be necessary to ensure the effective and  7 H# n- c! T! o: }0 @& Q# U
cost-effective supervision of the venues at all times during which it  
' a" {+ {/ D7 H- j8 E7 t. ?& uis in operation or needs to be in operation.
# e% O7 `0 u4 u5 |) M" H·     To work with the Technical Director, when necessary, to ensure  
  K$ |, i( Q+ H9 vthat an adequate and appropriate level of part-time staff exists to  7 ^9 @; W( N4 F+ l; X% _& \
facilitate the smooth operation of the venues and to ensure all  ! s9 v! @9 F; H
renters needs are met.' l& W& R) y. _, J" z
·     To work with the Technical Director to ensure that the skills  
% r" g4 z  Z) g& r0 ~3 e& m7 b$ ~# Land attitudes of all subordinate staff are appropriate in light of  & E* Q. G: z4 b
the roles they must perform. This includes providing adequate and  0 i& h, k2 q) @2 f% Z
effective training (and re-training) in all applicable and  
: G1 o: ~& b9 s9 Uappropriate areas, and ensuring that the Policy and Procedures manual  & H9 \& m, c$ @
is kep up-to-date at all times.
% d# e. E4 |" |2 E) f·     To ensure all staff are trained in and committed to providing  
9 r  c6 j0 s+ N. s7 `4 aexcellent customer service to all renters.
! x9 p8 c1 x+ Z2 p7 j·     To work with the Technical Director to arrange staff  
6 s  `1 `+ L: v2 H6 U2 Z' Oscheduling.  To handle payroll related matters, under the guidance  
. G) L: I9 q5 y- {" Q1 O+ xand direction of the Manager of Venues and Programming, concerning  ' z: k& Z$ O; u
the staff of the venues.
2 N; v+ q) _* |; W. p+ l·     Working with the Manager of Facilities and Operations to ensure  
# _. A$ z7 u1 a  w  E' sthe appropriate setup/tear down of each venue.' j! |# h" X0 S9 ^
·     Working with the Manager of Programming and Venues to ensure  
" i/ F  J$ h; I7 d' c- i% j* Pthat additional requests such as licensed receptions are arranged.

  n: `9 W  ~. B8 `5 \+ Ra. To ensure, at all times, that the Financial and Administrative  
6 U/ B3 I& C; s& N4 Xsystems and processes utilized by or within the venues meet the  0 o) U- y4 k1 @9 N6 k
appropriate standards, requirements and needs, and contribute in a  
5 ~8 A# _1 Y+ G( m5 F' Wpositive way to the smooth operation and success of the venues. This  ) L8 Y' i& N7 @" W# H5 A1 l+ D
includes, but is not necessarily limited to, the following:
7 v' z4 E) k  H To provide input and expertise in the formulation of appropriate  ' ]+ ]( |/ d$ n7 o7 Q
operating budgets covering the venues to the SU´s Manager of  
2 l$ D) {% `4 G0 e: R! `Programming and Venues and to discuss and refine those budgets  
5 L' x' ~7 [. j- a9 ^' g! s/ D" lManager of Programming and Venues, and Manager of Finance &  
' U5 @+ |+ E7 `/ fAdministration prior to their submission for final approval.9 Q) G& h- W: r
·  To manage the venues in a manner which adequately and effectively  ' l7 H; T. e9 ^( U
reflects the budgets approved for the venues and/or which reflects  
% y8 b1 ~$ ]2 ithe best interests of the venues and the Students´ Union.+ M' R9 ]8 x. n) F
·  To function as the key player in the submission of financial and  : @6 D- ~- R  M% h1 ?8 B$ Q& L
administrative documentation covering the venues to be used in the  
4 _: N$ f% g% c- q# l$ I5 Q3 G! V* xcompilation of monthly and annual financial statements, and such  
- d& c$ [! n! {8 M: wother reports as may be necessary.
& ~% W. g% r: R" v·  To discuss those financial statements and other reports, together  
, ~" _7 I- @1 \3 g2 k2 bwith all financial and administrative procedures, with the SU´s  
: q) ?! S! R4 x4 T  rManager of Programming and Venues and Manager of Finance &  7 c7 f+ d6 `- ]+ J' ?# v$ m0 z% F) S
Administration with a view to determining and implementing action  
2 ]# c  e* Q. K" u' Taimed at improving the financial and/or functional effectiveness of  
" @6 u* F- }/ P5 }the Horowitz Theatre.
& k% a* Z+ G! \) |/ P/ ~·  To ensure the existence of adequate, effective and accurate job  ! i. B7 \" M  A$ C) J
costing systems to be used in connection with the determination and  
3 L1 B# T2 k- I9 X- x2 J4 hsetting of appropriate prices for rental and staffing rates for  % s4 B2 ]# ]/ Y0 Q2 _5 k  U' W
events held in the Horowitz Theatre.
5 V6 u$ `/ R) B9 J·  To develop accurate documentation to be used in connection with  
; r% x) Z: D& b4 g# dthe billing clients, and to forward such documentation in a timely  
+ E3 `& g2 S" \( s$ G+ Tmanner to the Accounting Department.7 ]- k) W; S/ Q& Z
·  To recognize, address and handle all matters relating to financial  
8 h! p+ b: \' ~' ?and administrative procedures and systems in a manner which reflects  
( c4 ~' y! H# h# ^3 `7 |the requirements of the SU´s Manager of Programming and Venues and  ( t. V& R" n9 Z/ `: t
Manager of Finance and Administration, and in a manner which  % E* x. j7 ^4 F
contributes positively to the smooth operation and success of the  
/ u( z) ?2 {5 N. h  X: Xvenues.
3 U( ^% t0 @  Q6 M4 K$ y! Q
* x4 [; c+ g" h* k5.          Overall Roles and Responsibilities
0 {) b- q$ z( l0 S, t" D# ma.   To ensure, at all times, that the systems and processes used in  " ?9 ~2 Z8 d9 Z% g
renting the venues meet the appropriate standards, requirements and  
' i* }6 }4 S$ D: r0 y8 o, y" d/ xneeds, and contribute to the smooth operation and success of the  
6 i0 z% I0 s, fvenues. This includes, but is not limited to, the following:4 J# g) T+ b; X2 \+ `

7 B$ s7 u0 i  H# }+ K, r* y·  To recognize, develop and set in place such rental procedures as  , W/ ~, P# b& `
may be necessary to ensure the smooth operation of the venues, this  - p) O# G7 P# \: ~* P
is to include but not necessarily be limited to systems and processes  
& f! R4 V1 V4 K" pin the areas of contracts, inventory management, contract evaluation,  
1 b$ a2 w' y2 f4 {: ^" `, Epricing, costing, equipment usage, rental/contract invoicing,  
4 k+ p8 F* N: _3 d$ [together with such other systems and procedures as may be necessary  " ^( ~8 E- x! E+ B. ^3 W  ^
to ensure the smooth, secure, efficient, cost-effective and  ' s1 e0 X5 k1 v' R# ?
functionally-effective operation of the Horowitz Theatre.
; N' b8 Z& I% z% s. O·  To recognize, develop and set in place such operational procedures  
# n# ]3 y) G' ]; B; h  T8 y5 bas may be necessary to ensure the smooth, efficient and cost- , t: _+ Z2 l& S1 L. `+ m
effective operation of the venues.- J8 J7 N: F# I# s' L
·  To negotiate rental lease agreements (contracts) relating to  * x, y! D0 r& Q7 S
dates, rates, staff and miscellaneous charges.) e9 \9 A# b9 Q  O$ b2 ^
·  To ensure that adequate inventory is available at all times and  
& K5 ?* t! Y2 ]+ D7 V& D, _/ t7 ethat such inventory is stored and issued in effective and secure ways.7 h8 y9 R6 ~+ J5 f; @! ?
·  To consult with renters as to facility issues in producing their  # R6 R( N& p) U1 S5 G- M
particular event in the venues.
6 T- d% _. Z2 A" t0 o+ y. f·  To provide the venues on-site staff with such documentation and  
& ?2 I( `" ?; Xsupporting information as it may need to effectively fulfill the  
' ~- o  _# E; x0 x- c! a" Y6 u8 Vroles they are to perform to ensure the success of the renter´s event.
  |' Y/ G7 \  C' D6 Z·  To produce quotes in respect to staffing costs for a particular  
  C8 `/ s0 f; ^rental with consultation with the Technical Director.7 Z1 q% N  f1 H' r3 L9 B4 _
·  To ensure that all queries raised with the venues whether from the  
1 Q( _/ B& g9 GSU or renters, are promptly and effectively handled and adequately  
  `! b0 K3 N( w# ^" y- Q1 h; {answered, and to ensure that such action as may be necessary in  ( O! }2 C1 i9 T" S, X4 A0 O# Z
follow-up to such queries is taken in a timely manner.
8 B. d( J7 l' g" \% O' T To ensure that the venues and its capabilities are adequately,  
+ _* ], @8 Z  Q' j& s3 b$ _2 _2 aeffectively and cost-effectively advertised and promoted, and that  * x) s. m2 V- Q& W
the cost of such endeavors does not exceed the budgetary provision  0 h: E1 E- `) u( D( j- K1 P
made for them unless prior approval is given by the Manager of  
- l7 `2 C$ o9 d0 j( L( q* y3 t$ {Programming and Venues.
' G- j+ L* E6 `& `- i·  To act as an informed and knowledgeable resource in the case of  
  M9 I. }1 x; U: @- Csignificant challenges and/or problems surrounding the tasks of  % \7 u, b# S6 W# G- }
marketing, administration, operations, and any such other matters as  
1 m: g1 t9 V3 Smay provide such challenges and/or problems.
7 Q  r% T. _# d% X# c8 F" Q8 b·  To attend such meetings as may be required to support the smooth  ) ]( I5 S) e8 E2 `/ c2 D5 U( d, H2 {: L
operation of the venues or the Students´ Union as a whole., e+ a0 s' K) ]9 s
·  To perform other job-related duties as may be required by the  5 ~& O# v/ Z$ n, X
Manager of Programming and Venues in order to ensure the smooth and

6 q% o9 q6 D, ]% e/ b- N, ?% K2 |6 doperations in a manner which reflects the requirements of the SU´s  7 l& O3 ^$ W: O" z+ ]

Administration, and in a manner which contributes positively to the

1)             Minimum two years related post secondary education, or  4 v7 d, N9 P' Q) U  W
an acceptable combination of education and experience.

1 m2 l/ `, w5 ?& p3)             Ability to create new initiatives with little or no
