extensive, and are targeted at the all round smooth operation and
8 w* Z; g% b& V6 R2 l& T+ j9 Rfinancial and operational success of the Horowitz Theatre as well as
/ `( f! y$ K4 J* S r* cthe logistical organization and smooth rental of the additional
3 g2 K1 t) s/ e! yvenues within the realm of the Students´ Union. In the light of that ) A: |9 |8 l% ]8 a
breadth and complexity, it is not possible to fully define or

appropriate standards, requirements and needs, and contributes in a

2. Marketing and Promotion

. V& Q$ u' D4 r8 q2 Wa. To develop and implement a marketing plan for the venues that 0 l3 n1 h( p9 s" [/ ?) {+ d+ S$ M
focuses upon advertising and promoting the venue to faculty,
, b& w! d; W5 g) g+ T; Xstudents, and internal and external clients on an on-going basis. ' C5 p' l) F- j) A/ u
This strategy will include implementing and/or delegating the following:9 z, e$ }& N0 d1 f7 f
· To develop and maintain promotional materials, the Horowitz : |3 b" T) D3 E, E8 l
Theatre and SU Venues home page, newspaper and other advertising; to
% t; n3 d% f. G2 H+ ztake advantage of other internal and external advertising
; k: R* ^' [6 z, C+ Vopportunities; and to develop press releases and other promotional 9 k6 N6 `2 k8 h w& @+ e8 a O
literature on an ongoing basis.; Q8 i+ y( y: _+ h8 w' d
· To coordinate tours of the venues for potential renters.& Z. O7 [) e" F; ^/ q- d i: ~. ?
· To promote upcoming events in the Horowitz Theatre through the

3. Staff and Supervisory Roles and Responsibilities/ Y7 ]$ L+ g) ?
' o; M" U' c; e& y9 o
a. To ensure, at all times, that the venues are adequately and cost-
. @( T2 A" L$ d1 Ceffectively staffed, and that the staff utilized by or within the
/ e6 P* R5 P4 Fvenues meet the appropriate standards, requirements and needs, and
- V; c2 s( r/ m+ P5 p2 Scontribute in a positive way to the smooth operation and success of
# L- A/ G8 Y- I/ i& A$ Cthe renter´s events. This includes, but is not necessarily limited
4 W3 J! @$ W+ Bto, the following:
% T; Y# z% r3 _' k6 Q/ G· To be responsible, under the direction of the Manager of Venues # l; Y( n3 q9 o$ w. ?/ v
and Programming, for all staff issues including hiring, disciplining,
! G6 N# K: A- z, K( c# Sevaluating and terminating, as necessary.6 A% E1 m9 h. t$ [
To ensure that the Horowitz Theatre is adequately supervised at
) N5 Z: U5 d7 oall times, this includes the development and implementation of such / L" \6 r& y- A- `& ?
schedules and rosters as may be necessary to ensure the effective and 3 d9 W8 B) E* L; d
cost-effective supervision of the venues at all times during which it
3 I* [7 H) S1 s" J) [, }is in operation or needs to be in operation.& B2 x7 a6 p, y- t7 ] [# B$ i. D
· To work with the Technical Director, when necessary, to ensure 7 s$ |8 w% V: D1 L2 f" g7 N$ i4 M
that an adequate and appropriate level of part-time staff exists to / c$ F% K3 {+ ]) x
facilitate the smooth operation of the venues and to ensure all

) I$ m- n5 n+ z8 h. N: C# T5 A; T· To work with the Technical Director to ensure that the skills
" S' e% _; m( w) y2 N8 [# qand attitudes of all subordinate staff are appropriate in light of - o9 T+ g9 w0 d3 _* [+ `
the roles they must perform. This includes providing adequate and
7 j1 G2 w! R: z z" Zeffective training (and re-training) in all applicable and
3 o! }) B/ z" N) F" Aappropriate areas, and ensuring that the Policy and Procedures manual
9 w8 ^ O( n: tis kep up-to-date at all times.

excellent customer service to all renters.
( J3 M! J8 {7 N· To work with the Technical Director to arrange staff
* F1 S- t3 ?$ p b J* [scheduling. To handle payroll related matters, under the guidance
m0 q1 H6 }' g3 s; gand direction of the Manager of Venues and Programming, concerning

7 b! }+ Q s2 V% d· Working with the Manager of Facilities and Operations to ensure
3 w2 B5 z! H0 [ g6 N4 F/ Ethe appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.; O8 u" y8 d }2 u( Y* _3 x

4. Overall Financial Performance0 V, B& \6 z2 I

appropriate standards, requirements and needs, and contribute in a
% _8 z& a* Z* F. O0 h9 Upositive way to the smooth operation and success of the venues. This
' |0 a6 L7 V) ]* Zincludes, but is not necessarily limited to, the following:( X6 O7 p+ p0 L8 G' B! M
To provide input and expertise in the formulation of appropriate 2 C3 c& R! E$ [% t4 Y2 S. t; K
operating budgets covering the venues to the SU´s Manager of
+ a; v0 Q& h9 G& ~" K8 [6 uProgramming and Venues and to discuss and refine those budgets
! B* @5 Q( ^7 O6 jManager of Programming and Venues, and Manager of Finance & c% H7 l$ D% u* A' N0 b" I" Y$ c
Administration prior to their submission for final approval.7 _4 b2 \! @- }2 i$ m8 d
· To manage the venues in a manner which adequately and effectively 9 S: U. }( D3 ~8 K
reflects the budgets approved for the venues and/or which reflects " J v c# e! }1 O' T. o
the best interests of the venues and the Students´ Union.

administrative documentation covering the venues to be used in the
) N8 o- k) W. d% K8 Pcompilation of monthly and annual financial statements, and such

· To discuss those financial statements and other reports, together

Administration with a view to determining and implementing action 2 j! s' E+ J, t% b; M- b) n
aimed at improving the financial and/or functional effectiveness of / [' W" Y8 o8 T* a
the Horowitz Theatre.
* W% t* V. y0 G& y8 f7 s· To ensure the existence of adequate, effective and accurate job
' r6 }2 N# W* V, `$ Ccosting systems to be used in connection with the determination and
& V8 G& p6 Q/ E" {* h8 jsetting of appropriate prices for rental and staffing rates for # P2 U0 M/ i$ H8 s$ ]8 {
events held in the Horowitz Theatre.8 S( P3 n# Z4 p, ?, i
· To develop accurate documentation to be used in connection with # K1 D# f, L+ N' ?# @) l( t# T
the billing clients, and to forward such documentation in a timely ) K* Q( a0 F& H* ]
manner to the Accounting Department.$ |8 u; D3 H* j7 C0 _
· To recognize, address and handle all matters relating to financial
) _. R: x6 s% Y3 j' {& D; Aand administrative procedures and systems in a manner which reflects }. G- G7 c( B7 \
the requirements of the SU´s Manager of Programming and Venues and 1 M: B* N+ ^- {4 T; }
Manager of Finance and Administration, and in a manner which , R% R; v2 b" F. q! \$ w4 h8 b. T
contributes positively to the smooth operation and success of the ( K) }6 o& e, E: J: ]& X& l

a. To ensure, at all times, that the systems and processes used in + o1 Q$ R4 d: C! d
renting the venues meet the appropriate standards, requirements and ' [8 A: u: u+ [3 A, t. @
needs, and contribute to the smooth operation and success of the
+ f6 L7 W. j b* \; r5 R+ w/ j( qvenues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as
5 U* G. Z/ Q1 j0 l6 K0 f( `7 ]may be necessary to ensure the smooth operation of the venues, this
+ \8 {0 [& t7 X5 v: `7 p7 a' J7 Vis to include but not necessarily be limited to systems and processes
, [4 f/ X5 Y8 n( ^in the areas of contracts, inventory management, contract evaluation, G# C/ |! z B) p2 H2 t3 g; I
pricing, costing, equipment usage, rental/contract invoicing, 9 K* s0 a, j Y
together with such other systems and procedures as may be necessary 6 C8 _' p) p7 Z3 L
to ensure the smooth, secure, efficient, cost-effective and
8 i) @' X& H0 h9 h- Pfunctionally-effective operation of the Horowitz Theatre.
& x) G9 ^& i3 f· To recognize, develop and set in place such operational procedures ( i; M# K, p1 f2 w
as may be necessary to ensure the smooth, efficient and cost-
; A0 z6 R& a9 Zeffective operation of the venues.
% U; u3 d4 I0 v, a2 L5 I( {· To negotiate rental lease agreements (contracts) relating to
* C5 R9 f8 D. hdates, rates, staff and miscellaneous charges.0 g/ |9 s- |, O" { r$ c
· To ensure that adequate inventory is available at all times and
6 J1 G5 d- e8 i% R( R) i: |! X8 H: Dthat such inventory is stored and issued in effective and secure ways.
& e" a3 E4 {/ W$ c% f· To consult with renters as to facility issues in producing their
" J) t8 L' r% N/ [7 V/ \particular event in the venues.; o. s: d& d: c& ]" G; {& V9 C
· To provide the venues on-site staff with such documentation and
9 L/ E7 ]" b# R$ v* m% osupporting information as it may need to effectively fulfill the . T" a( s1 l0 z* Q9 K8 ?, H0 ^) s
roles they are to perform to ensure the success of the renter´s event.2 i4 X# c& e3 C
· To produce quotes in respect to staffing costs for a particular 8 Y1 `1 `1 | C& m3 y
rental with consultation with the Technical Director., ?, B. _+ j* o+ V9 @) f
· To ensure that all queries raised with the venues whether from the 3 Z' Y% N3 Q- D; ]
SU or renters, are promptly and effectively handled and adequately % W/ O, w* p7 M3 F+ q
answered, and to ensure that such action as may be necessary in
: o- _% [( d2 F. Rfollow-up to such queries is taken in a timely manner.
& O, x6 n9 P2 _3 `+ l To ensure that the venues and its capabilities are adequately,
% t/ M$ _/ ~; i ?2 N1 |- ^. ceffectively and cost-effectively advertised and promoted, and that
: x3 h! @- U% kthe cost of such endeavors does not exceed the budgetary provision
+ `. R$ h' W4 I7 qmade for them unless prior approval is given by the Manager of 7 `9 h3 c1 ]" A4 ~7 B
Programming and Venues.
5 F% A- E9 J( ~, p· To act as an informed and knowledgeable resource in the case of

marketing, administration, operations, and any such other matters as \; X4 ]+ T$ g' L) b, [' y0 q
may provide such challenges and/or problems.

operation of the venues or the Students´ Union as a whole.% @+ ? J7 J, v7 T

secure operation of the venues.
