financial and operational success of the Horowitz Theatre as well as : r0 f! L2 k5 Z" M
the logistical organization and smooth rental of the additional

· To plan the capital and supply expenditures to meet the

· To ensure the day-to-day compliance of the venues with existing

2. Marketing and Promotion

0 S) a: d) ]: \, a4 z* Ta. To develop and implement a marketing plan for the venues that
/ o7 @3 i2 w$ `8 T6 Q" M' R& K' [focuses upon advertising and promoting the venue to faculty,
/ ?& X- h& i6 @ l8 N1 @students, and internal and external clients on an on-going basis. ; R* w; H t/ {' f) |
This strategy will include implementing and/or delegating the following:
1 @" Y* d( N2 K# C# ~· To develop and maintain promotional materials, the Horowitz
% |5 N7 l) q" I% R1 {Theatre and SU Venues home page, newspaper and other advertising; to $ a2 B) d! R9 c
take advantage of other internal and external advertising 5 Z* @- r6 ~4 o
opportunities; and to develop press releases and other promotional
0 f: K& R1 O4 U% U: P5 gliterature on an ongoing basis. Y. @! \" `4 |( Z Y4 O
· To coordinate tours of the venues for potential renters.3 D2 g* ?# m. x3 q( u: g
· To promote upcoming events in the Horowitz Theatre through the 7 m4 s' t; [) C4 d
use of the Horowitz Theatre Home Page and the SU Events Calendar.

7 g( `" ~( U6 @3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost-
8 S, t0 i) ~$ ~/ [- i- D% teffectively staffed, and that the staff utilized by or within the - n( M9 ]" r' r/ C5 H( ^# }" L
venues meet the appropriate standards, requirements and needs, and % [+ R2 A4 C4 u4 k- z- ?6 n6 Q2 R
contribute in a positive way to the smooth operation and success of
0 [* G6 M+ ^) q5 \the renter´s events. This includes, but is not necessarily limited
7 X) k c T2 W; |8 kto, the following:
9 q. M# @* z% ~, f! d4 c· To be responsible, under the direction of the Manager of Venues 5 ~6 e3 F1 v5 ^8 z
and Programming, for all staff issues including hiring, disciplining, ; E, a7 S, i' N: z8 K' S
evaluating and terminating, as necessary.
3 m6 K& g0 M5 j9 [4 y To ensure that the Horowitz Theatre is adequately supervised at
7 S }: T3 [/ d! m0 Y- v2 `all times, this includes the development and implementation of such
% S5 P6 a7 i- j5 w6 O, R* H9 pschedules and rosters as may be necessary to ensure the effective and * Q. _$ I2 g0 a8 z+ ~! ~9 l
cost-effective supervision of the venues at all times during which it
+ I9 \/ N: Q. `5 O% Bis in operation or needs to be in operation.
% m: i& M. Q- b# I· To work with the Technical Director, when necessary, to ensure
) @( w+ m n' N+ r* D7 Ythat an adequate and appropriate level of part-time staff exists to
- z1 @0 p' ~% Nfacilitate the smooth operation of the venues and to ensure all $ ]$ E1 e" v) \4 `- |: p
renters needs are met.* `1 w6 w2 G8 M
· To work with the Technical Director to ensure that the skills
% C& L X) x+ hand attitudes of all subordinate staff are appropriate in light of
" N+ J( `* S+ j$ f0 W$ j! [- r0 }the roles they must perform. This includes providing adequate and . q$ N! G; W* U/ `0 t* m+ e9 H" v
effective training (and re-training) in all applicable and 2 w2 ?& D, N8 g2 [) O
appropriate areas, and ensuring that the Policy and Procedures manual ; n3 O7 k1 K! [! p4 r ?) `
is kep up-to-date at all times.

· To work with the Technical Director to arrange staff ' R" W% ]) A R g
scheduling. To handle payroll related matters, under the guidance
/ @* E1 a5 }4 Z4 g/ [and direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Facilities and Operations to ensure

that additional requests such as licensed receptions are arranged.

appropriate standards, requirements and needs, and contribute in a
- l' N, D- ]' ?' e6 H; Q3 @positive way to the smooth operation and success of the venues. This ) i0 @; a1 I& p6 a/ R

To provide input and expertise in the formulation of appropriate
& m( ?9 y' Q7 U: G" U' zoperating budgets covering the venues to the SU´s Manager of
- ~0 b5 U% F: {2 `. c; \+ a/ Q' \$ LProgramming and Venues and to discuss and refine those budgets 8 e8 s1 g4 }2 ^$ {8 `* j$ A$ L
Manager of Programming and Venues, and Manager of Finance &
5 g- M6 T8 S+ }5 A$ \( Y" IAdministration prior to their submission for final approval.
$ I; c0 l: o3 b· To manage the venues in a manner which adequately and effectively 4 x' x9 w; V% P
reflects the budgets approved for the venues and/or which reflects 3 w' d# A1 k$ x( j2 ]& f
the best interests of the venues and the Students´ Union.- |$ ]) C) H8 I: S t
· To function as the key player in the submission of financial and / V' ^( X* n) K9 |: [
administrative documentation covering the venues to be used in the * p+ B9 h+ P& u! k5 m3 W
compilation of monthly and annual financial statements, and such . R# a; o5 n8 [9 a5 L9 A3 {
other reports as may be necessary.

aimed at improving the financial and/or functional effectiveness of

setting of appropriate prices for rental and staffing rates for

and administrative procedures and systems in a manner which reflects / o4 M! k0 s5 ~/ ^+ ~! @! G
the requirements of the SU´s Manager of Programming and Venues and

a. To ensure, at all times, that the systems and processes used in % a, F3 t/ Z: N
renting the venues meet the appropriate standards, requirements and % w8 i5 u( l. h& T: P& O
needs, and contribute to the smooth operation and success of the 4 _9 V- W. Y8 g9 F
venues. This includes, but is not limited to, the following:9 l3 ~+ a' Y- m7 ~1 V
( F! R o) W; o$ ^
· To recognize, develop and set in place such rental procedures as
5 l! b6 d3 w: g1 Vmay be necessary to ensure the smooth operation of the venues, this + x: F" d8 v n m2 m7 z! M
is to include but not necessarily be limited to systems and processes
+ ^% d$ I- Z% L$ r( E# b$ Ein the areas of contracts, inventory management, contract evaluation,
) o0 m+ u0 ^* ~6 L) r+ y+ W$ qpricing, costing, equipment usage, rental/contract invoicing, 7 l, M5 o" g+ S/ D0 ~' k
together with such other systems and procedures as may be necessary
) l* B2 M- T* z) N# M) Qto ensure the smooth, secure, efficient, cost-effective and , x8 D4 J$ p9 W n$ z$ {
functionally-effective operation of the Horowitz Theatre.
, p. j/ H2 C3 c& ~) t- @5 c· To recognize, develop and set in place such operational procedures
3 f h# h* l& s( P( d( u: P: t; u F! eas may be necessary to ensure the smooth, efficient and cost- 1 O7 R- ~- g5 |2 ~
effective operation of the venues.
- S4 V& j$ V8 S2 ?/ B, n· To negotiate rental lease agreements (contracts) relating to 4 ]) ~& C5 Z7 \0 a9 l
dates, rates, staff and miscellaneous charges.
$ a5 a8 F7 n. @( k$ I, v· To ensure that adequate inventory is available at all times and 4 U5 {) R6 h5 }1 T1 F6 r! n
that such inventory is stored and issued in effective and secure ways. V Y: M) t3 t: H O
· To consult with renters as to facility issues in producing their # T- M/ n- w8 m$ f6 w
particular event in the venues.
% @6 R- X. A0 f" [· To provide the venues on-site staff with such documentation and + K# |( l' s$ Y. |, Q
supporting information as it may need to effectively fulfill the ' g, b, A. `2 r5 H9 L6 ~
roles they are to perform to ensure the success of the renter´s event.
0 A& m1 }# o3 ~$ s# Q5 |9 l' B* f- N· To produce quotes in respect to staffing costs for a particular : O7 ~2 `- A8 s# x1 g
rental with consultation with the Technical Director.
0 \' G3 z' H4 q) r· To ensure that all queries raised with the venues whether from the 8 \5 X6 u% R0 O$ n% X$ G7 y
SU or renters, are promptly and effectively handled and adequately
) e" X" \; Q1 Y* W$ b9 Danswered, and to ensure that such action as may be necessary in
; Z9 @& [* x% k K3 r2 Ofollow-up to such queries is taken in a timely manner.9 p8 c; \7 ~' e; l. n# x4 V
To ensure that the venues and its capabilities are adequately, ( \- f2 y1 }$ \1 `9 V& D
effectively and cost-effectively advertised and promoted, and that
- f8 F& O$ [, U+ Z+ a1 p3 R0 p+ Hthe cost of such endeavors does not exceed the budgetary provision + K! }' O- _. o+ q1 Z/ j
made for them unless prior approval is given by the Manager of
% n, `, [% \4 t+ `" S. \" P5 p9 aProgramming and Venues.
' h! B p H+ S, g" |· To act as an informed and knowledgeable resource in the case of 4 m0 ` G$ e% p. l! B7 c0 X
significant challenges and/or problems surrounding the tasks of 9 t& I8 {1 G2 K+ }
marketing, administration, operations, and any such other matters as
% K# T! ^3 c" B8 i- ~( K+ h/ T. `7 H9 pmay provide such challenges and/or problems.
