ROLES AND RESPONSIBILITIES
+ a; `% w6 [& |# @The duties of the Operations Manager - SU Venues are diverse and  
, P. V. o& b6 s* T7 Uextensive, and are targeted at the all round smooth operation and  
! J. C5 g* x) i$ X9 C" Q; }$ P* `financial and operational success of the Horowitz Theatre as well as  
& t" [: j0 \+ e4 I- K' n+ bthe logistical organization and smooth rental of the additional  ' E  A# X1 g& b, h/ O4 d
venues within the realm of the Students´ Union.  In the light of that  $ U: `1 j$ G, H* l
breadth and complexity, it is not possible to fully define or  
$ w4 Z; I( L+ ~1 L; A* A' qdescribe all roles and responsibilities in a document of this kind.

a.   To ensure, at all times, that the venues listed below meet the  
; ?) K! b) K/ z% oappropriate standards, requirements and needs, and contributes in a  5 B; w, _' Q3 o7 o2 s9 @. x
positive way to the smooth operation and success of the individual  7 r; U. _) O9 B  e; Q- |
renter.- r9 N5 r# l" Y+ s4 N3 D5 o. c0 W
·     Myer Horowitz Theatre. A* w  {# j$ X; w+ K
·     Dinwoodie Lounge

·     To plan the capital and supply expenditures to meet the  
/ V9 h3 v. c3 iproduction and facility requirements./ ?& [; S1 e" q) E; T
·     To ensure the day-to-day compliance of the venues with existing  
- P: w1 q$ p) A4 g5 Dsafety regulations and building policies.! r3 `- T8 X- ^3 G. h
To ensure that the maximum potential of renters is met.

6 p4 S4 O, c  l! d  F5 f5 G7 v) x; La.   To develop and implement a marketing plan for the venues that  - I; ^4 ]1 m7 F3 P1 W
focuses upon advertising and promoting the venue to faculty,  1 ~0 o5 c$ A+ N+ i
students, and internal and external clients on an on-going basis.  
1 I( R: p8 Y2 W  _- b6 lThis strategy will include implementing and/or delegating the following:' L# u8 A' t( {' M: V4 m
·     To develop and maintain promotional materials, the Horowitz  
$ G$ ~' r/ [5 `$ L( DTheatre and SU Venues home page, newspaper and other advertising; to  . {9 B6 e* b8 W+ A; f" X9 ~
take advantage of other internal and external advertising  
( N, r8 \0 J: d" wopportunities; and to develop press releases and other promotional  ' e+ u7 d, J9 q9 m4 \4 k* D
literature on an ongoing basis.' m2 z) G: _# l+ _
·     To coordinate tours of the venues for potential renters.' J5 ^# T8 q3 f: |
·     To promote upcoming events in the Horowitz Theatre through the  6 c/ C( L0 l3 z+ R" I
use of the Horowitz Theatre Home Page and the SU Events Calendar./ e( u% B" a8 _2 I% N! K6 n
·     To develop new external clients for the venues.0 E% g$ R2 r( n& {: Y6 g
. [" C& {% n* m( Y9 Q

2 s  ]  ~, ?! \* i% k  x3.        Staff and Supervisory Roles and Responsibilities
/ F9 v$ _9 B$ }( t8 {1 C5 H3 s! O, M3 o7 \+ [6 c7 [# L5 T2 M! U
a.   To ensure, at all times, that the venues are adequately and cost-
% y$ ?* C7 h* q/ C. o  H2 {9 e. heffectively staffed, and that the staff utilized by or within the  
% L# d& _* ~( F' _' L# F! Y  c2 [: ivenues meet the appropriate standards, requirements and needs, and  
. L9 t% _0 i  G4 j  |# Kcontribute in a positive way to the smooth operation and success of  6 \! c! k. i2 D0 `+ }) b
the renter´s events. This includes, but is not necessarily limited  
1 H+ K; m2 i" Bto, the following:6 @, ~4 |$ r: {) u# f( T8 [0 t- e. F
·     To be responsible, under the direction of the Manager of Venues  0 ~: C  V' d. ?9 x, w
and Programming, for all staff issues including hiring, disciplining,  
' O! J4 Z, [/ ?" O& ^+ q" tevaluating and terminating, as necessary.
' c2 d$ }6 G) v To ensure that the Horowitz Theatre is adequately supervised at  ! N9 u8 K9 N" n9 s5 L; U) B/ a+ p
all times, this includes the development and implementation of such  1 V6 ?9 j. F" ?3 i+ K+ r0 a( I
schedules and rosters as may be necessary to ensure the effective and  % k  v: X- c# y* l6 W; K1 [! L
cost-effective supervision of the venues at all times during which it  
7 c" `, c/ i& q; fis in operation or needs to be in operation.& _$ C7 V: O' C, D- L* j. X
·     To work with the Technical Director, when necessary, to ensure  $ k4 i4 M& U  C
that an adequate and appropriate level of part-time staff exists to  
  m: W2 s3 {- vfacilitate the smooth operation of the venues and to ensure all    @( l1 R7 s+ ]2 x+ K
renters needs are met.
- _2 K& n8 l8 K! k1 `+ N·     To work with the Technical Director to ensure that the skills  
/ f. d) E1 s6 `- O; U* Hand attitudes of all subordinate staff are appropriate in light of  ( `2 F# |4 Q' v' S! H. }3 z
the roles they must perform. This includes providing adequate and  ( l# D3 h1 g: m* [
effective training (and re-training) in all applicable and  ! a5 u# ]% X% ]( x
appropriate areas, and ensuring that the Policy and Procedures manual  
4 n6 @2 e$ X6 \5 Lis kep up-to-date at all times.
% B3 {& L* m2 e' n) n9 C5 n; I·     To ensure all staff are trained in and committed to providing  - D2 H# Q4 D$ s3 j7 e
excellent customer service to all renters.
5 ~7 w/ q2 W. h+ n/ R3 A4 J8 k. N·     To work with the Technical Director to arrange staff  
) P! H% j- `' i$ S! P% ^scheduling.  To handle payroll related matters, under the guidance  5 }( d9 ]  l( z4 {, J
and direction of the Manager of Venues and Programming, concerning  - x- L+ c  H9 F" {% `
the staff of the venues.4 J% F$ M- l: c! q5 W
·     Working with the Manager of Facilities and Operations to ensure  4 \: J* Q6 i2 T2 N
the appropriate setup/tear down of each venue.
) J- V2 m1 ?3 _% c5 ]. D) A' d·     Working with the Manager of Programming and Venues to ensure  7 s* {# k" b. w9 o8 G% L
that additional requests such as licensed receptions are arranged.: T# {6 Q1 l0 K" o

a. To ensure, at all times, that the Financial and Administrative  
1 n0 c4 c  Q' v6 ]systems and processes utilized by or within the venues meet the  2 d, ]$ `7 p7 F, A2 _
appropriate standards, requirements and needs, and contribute in a  
( O/ |, T) I. O, Cpositive way to the smooth operation and success of the venues. This  . c3 M/ a: P7 Z+ U* X1 c. ~$ P
includes, but is not necessarily limited to, the following:; E* X3 `2 P( `. _% d6 p9 J
To provide input and expertise in the formulation of appropriate  
, j9 c* _0 u: t1 O, ]' x, \operating budgets covering the venues to the SU´s Manager of  8 P& V7 ]* l- G4 q
Programming and Venues and to discuss and refine those budgets  
" b" S$ l, i5 z; w" ^Manager of Programming and Venues, and Manager of Finance &  
! t% d, I6 C3 I0 Z; {, U& Y- }6 p5 O- {Administration prior to their submission for final approval.
2 k9 O; o/ n' f0 }- }( l·  To manage the venues in a manner which adequately and effectively  
6 |6 e: `) _; N8 b5 l4 Z" J" G3 Wreflects the budgets approved for the venues and/or which reflects  
' z& R1 q. A, [: R$ n4 ]( r$ {the best interests of the venues and the Students´ Union.' e! h1 w9 T" w$ b: T3 ?" _. K
·  To function as the key player in the submission of financial and  
6 y7 U* j& g1 y. J4 [administrative documentation covering the venues to be used in the  " _$ C; t/ y2 U  C5 @' f
compilation of monthly and annual financial statements, and such  ) Q+ J$ H" q& p/ s3 F8 r
other reports as may be necessary.
* A- \6 W2 N* S6 I4 c: p·  To discuss those financial statements and other reports, together  # b/ R. p' @0 X
with all financial and administrative procedures, with the SU´s  $ i+ f# P7 g: q: B# B# {  c; c
Manager of Programming and Venues and Manager of Finance &  " L2 I6 B5 h) p) a6 a; U
Administration with a view to determining and implementing action  
) J2 J3 M+ |3 y- @, f3 Saimed at improving the financial and/or functional effectiveness of  . P, o, j! k) U4 R. ^2 ]$ N) p
the Horowitz Theatre.
0 W9 P; e) t" W$ i3 ?·  To ensure the existence of adequate, effective and accurate job  + o' R! [9 _2 u
costing systems to be used in connection with the determination and  
# a, v2 [; z& Z" n, V" Wsetting of appropriate prices for rental and staffing rates for  6 p$ r# ^, G4 [" o
events held in the Horowitz Theatre.
+ L% e1 c" T% q; @5 m·  To develop accurate documentation to be used in connection with  : v  E& L+ K) l+ t2 ~$ h! t
the billing clients, and to forward such documentation in a timely  
3 ^0 o$ `1 W  \+ \8 b, Hmanner to the Accounting Department.% ~" S0 Q. b# H  ?( Z; [6 o  g
·  To recognize, address and handle all matters relating to financial  0 [$ _8 d# x/ p4 k
and administrative procedures and systems in a manner which reflects  $ C! L$ i2 S; F0 T& F
the requirements of the SU´s Manager of Programming and Venues and  
( ^. Y! C  s# A+ s+ i$ }0 B4 pManager of Finance and Administration, and in a manner which  
  \9 ~4 }4 l; [9 O, m6 @' Z4 h& Ccontributes positively to the smooth operation and success of the  ! A( J) H$ |3 Z' k. w2 d/ s& ^
venues.' Q& m6 B! u+ p9 T5 f& r* ?

, m5 t; `5 n- `; B5.          Overall Roles and Responsibilities
, f' V9 D0 M* L$ r: Da.   To ensure, at all times, that the systems and processes used in  
! a& i9 v" n8 K; Wrenting the venues meet the appropriate standards, requirements and  
2 q2 d0 N* l* J7 j2 f/ B2 oneeds, and contribute to the smooth operation and success of the  
4 L9 D6 d6 _$ u9 h2 K( d& [$ Ivenues. This includes, but is not limited to, the following:
$ Z# C- E3 W7 r5 K9 Z& D2 s3 o2 X( h$ M2 |* P
·  To recognize, develop and set in place such rental procedures as  
% z; D# V8 P& ^: l1 emay be necessary to ensure the smooth operation of the venues, this  
; E% I, f2 m5 O- p1 f8 A+ s0 D5 x: lis to include but not necessarily be limited to systems and processes  8 j# \, H$ K- ]  V3 N& s$ u
in the areas of contracts, inventory management, contract evaluation,  - A1 R% {4 y9 s7 ]/ M
pricing, costing, equipment usage, rental/contract invoicing,  6 \) P" _/ k2 n$ o7 \+ [  S- f
together with such other systems and procedures as may be necessary  7 n6 Z$ u: q+ D- P# y5 D
to ensure the smooth, secure, efficient, cost-effective and  
0 N1 _9 @! P) U) P% ]) c& a2 M- Jfunctionally-effective operation of the Horowitz Theatre.' L0 P9 |" q0 z
·  To recognize, develop and set in place such operational procedures  1 e. U. K8 z, G) }1 N
as may be necessary to ensure the smooth, efficient and cost- ! G# y. u% Y. J3 `5 G0 m
effective operation of the venues.; G* ]1 O* M1 M
·  To negotiate rental lease agreements (contracts) relating to  8 w8 d& _7 U- q4 z8 ]8 ?
dates, rates, staff and miscellaneous charges.  {( h* `( P7 C! W
·  To ensure that adequate inventory is available at all times and  & k. a$ a, L% z+ N9 }
that such inventory is stored and issued in effective and secure ways.
! X: v3 P& a. G$ j  {$ X/ p9 n·  To consult with renters as to facility issues in producing their  
, u" z. V& C2 eparticular event in the venues./ P3 U( p# i. s* C4 N
·  To provide the venues on-site staff with such documentation and  8 G5 e9 e7 [! y" l, O0 J, U
supporting information as it may need to effectively fulfill the  
* E$ X' a4 g& y! t( f1 ^- proles they are to perform to ensure the success of the renter´s event./ s8 u  L: M) y+ L
·  To produce quotes in respect to staffing costs for a particular  ( x1 [  L* g' {' Z
rental with consultation with the Technical Director.
" j8 N+ I8 a0 h3 h" B% j·  To ensure that all queries raised with the venues whether from the  ) f4 R/ C8 W  ?* `4 r. A
SU or renters, are promptly and effectively handled and adequately  / `9 o2 V: V5 ~; C/ P" A& O
answered, and to ensure that such action as may be necessary in  / Q6 `0 W9 c3 m. B7 u; g& e
follow-up to such queries is taken in a timely manner.% K, E8 ?2 P7 Q; g8 A5 Z
To ensure that the venues and its capabilities are adequately,  
4 S5 _4 g7 o! \5 v! Ueffectively and cost-effectively advertised and promoted, and that  1 }9 M+ c& H% L! L! L
the cost of such endeavors does not exceed the budgetary provision  
; w9 |& r1 e% o8 }' W5 f& @made for them unless prior approval is given by the Manager of  
8 n; c! A% b9 x( JProgramming and Venues.
, Y" o# O# _' Z8 H·  To act as an informed and knowledgeable resource in the case of  ( X6 j; N2 W) Z" P. k# N0 y- v' ^
significant challenges and/or problems surrounding the tasks of  2 V* V9 w* ^. }7 F& _
marketing, administration, operations, and any such other matters as  % x0 g/ N  j% `
may provide such challenges and/or problems.
% Z5 R2 ^3 k7 f9 |3 G·  To attend such meetings as may be required to support the smooth  
# j" V; Q8 d* n' @( l: N5 Y* T& [operation of the venues or the Students´ Union as a whole.
: x" E7 N" P! h9 h- q; D8 }. @' }; e·  To perform other job-related duties as may be required by the  
' O  ^: k, s- eManager of Programming and Venues in order to ensure the smooth and  0 i5 E+ \  q) P; H( a

·  To recognize, address and handle all matters relating to overall  
* q# E* q& |6 Coperations in a manner which reflects the requirements of the SU´s  8 w, |* I. u( J% D
Manager of Programming and Venues, and Manager of Finance and  
) o: d8 I9 h4 D' @: ], D' y- L& u! VAdministration, and in a manner which contributes positively to the  # v! Z. ?$ Y$ H- F6 }3 Z1 r
smooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:

an acceptable combination of education and experience.* a& w; ?9 E4 y! I
2)             Supervisory experience.
