focuses upon advertising and promoting the venue to faculty,

This strategy will include implementing and/or delegating the following:

opportunities; and to develop press releases and other promotional ) w, i2 P6 Q( e# s1 ^

· To coordinate tours of the venues for potential renters.

3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost- 5 F' Y/ v, y" X4 @3 y
effectively staffed, and that the staff utilized by or within the
6 ?. a* l) E$ J3 k! S2 I2 M/ [- p xvenues meet the appropriate standards, requirements and needs, and
' l4 L; L2 o* J8 q( Ncontribute in a positive way to the smooth operation and success of * t6 o: s) A" [" m
the renter´s events. This includes, but is not necessarily limited

5 }7 [% a, |3 q# b; t· To be responsible, under the direction of the Manager of Venues 1 ]1 Q- f/ c% ]% z0 e7 M& [
and Programming, for all staff issues including hiring, disciplining,
% X& X, \) w! |) f; t1 q- p1 a& t, g7 Ievaluating and terminating, as necessary.

schedules and rosters as may be necessary to ensure the effective and
' ]" ]" m1 g& T5 ~ S I5 o/ Dcost-effective supervision of the venues at all times during which it ; r- M- Y' r: }# q8 e

· To work with the Technical Director, when necessary, to ensure
9 z: K& S& v% r, D2 v. Ithat an adequate and appropriate level of part-time staff exists to
; L$ e; X& M- q [, }& {, x' b: }facilitate the smooth operation of the venues and to ensure all

appropriate areas, and ensuring that the Policy and Procedures manual }! s, V' k) M! X6 X

· To ensure all staff are trained in and committed to providing

· Working with the Manager of Facilities and Operations to ensure

that additional requests such as licensed receptions are arranged.

# h" c) H; Z W4 kpositive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate ' I, ], i6 B" q9 M% B9 n" H
operating budgets covering the venues to the SU´s Manager of

Manager of Programming and Venues, and Manager of Finance &
5 \* Q ~/ y' ^) h- QAdministration prior to their submission for final approval.
" _' {% t$ w4 }· To manage the venues in a manner which adequately and effectively
8 k2 \; J* p5 r. mreflects the budgets approved for the venues and/or which reflects + M/ X, t5 B! i$ ^
the best interests of the venues and the Students´ Union.
0 p: A) y# A' I1 i· To function as the key player in the submission of financial and
1 \2 K \8 ^6 e, a1 U: z Nadministrative documentation covering the venues to be used in the

with all financial and administrative procedures, with the SU´s & {! B# T r. S9 T/ W

costing systems to be used in connection with the determination and

events held in the Horowitz Theatre.

· To recognize, address and handle all matters relating to financial 5 e$ i |; S* Q: Z# q: X4 U- A
and administrative procedures and systems in a manner which reflects

needs, and contribute to the smooth operation and success of the

· To recognize, develop and set in place such rental procedures as

in the areas of contracts, inventory management, contract evaluation, * d" R. T5 D& F1 g* _5 e1 z* l
pricing, costing, equipment usage, rental/contract invoicing, " s/ v M9 |- j$ Y
together with such other systems and procedures as may be necessary
- Q' n! `* w2 n( gto ensure the smooth, secure, efficient, cost-effective and
& b3 V6 [! A" T- \. Z) Y7 jfunctionally-effective operation of the Horowitz Theatre.

- R6 m4 O# F' ~3 Nas may be necessary to ensure the smooth, efficient and cost-

1 X7 m0 T+ F( e1 q· To negotiate rental lease agreements (contracts) relating to # n: n' S' y# ~. n5 @ t: p; s; D
dates, rates, staff and miscellaneous charges., T, x1 K" `+ j0 x, {) J& }
· To ensure that adequate inventory is available at all times and
% F8 W% A# O8 X Hthat such inventory is stored and issued in effective and secure ways.# d3 @- W& r) F+ L3 L& J
· To consult with renters as to facility issues in producing their
% p1 N3 o3 e' {$ _( rparticular event in the venues.& |1 c1 s, h7 S
· To provide the venues on-site staff with such documentation and
* B5 [& B8 ~# d( x% l9 bsupporting information as it may need to effectively fulfill the ! S3 ]* m' c# M/ f5 f. l0 y
roles they are to perform to ensure the success of the renter´s event.( ?. D+ Y ]: E0 |3 P9 X; b7 k
· To produce quotes in respect to staffing costs for a particular
- @; k$ K6 i+ [. h7 c8 `rental with consultation with the Technical Director.( o6 e8 T6 A: S: C' Y* V, Q8 ^' H. {
· To ensure that all queries raised with the venues whether from the $ R' v4 V2 G0 ^& R3 p! o
SU or renters, are promptly and effectively handled and adequately + Q+ Q5 {- B& R7 r% e9 q
answered, and to ensure that such action as may be necessary in
" o2 ^4 U) Z8 nfollow-up to such queries is taken in a timely manner.( C7 {2 W, q4 S' e
To ensure that the venues and its capabilities are adequately,
3 M* F& I* `/ f) j" O& Beffectively and cost-effectively advertised and promoted, and that
" u3 Z! W2 O1 a( f+ cthe cost of such endeavors does not exceed the budgetary provision " D9 j9 P6 u" d$ `7 [; I+ y
made for them unless prior approval is given by the Manager of
+ V4 q; ?* E2 q) v; n; gProgramming and Venues.

significant challenges and/or problems surrounding the tasks of 2 W$ l7 M, T& l3 A2 }6 e
marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth
