The duties of the Operations Manager - SU Venues are diverse and / Z7 m' r8 s6 H/ P0 H' J. N/ P
extensive, and are targeted at the all round smooth operation and
' p, M, ]6 l: C0 ~3 Bfinancial and operational success of the Horowitz Theatre as well as e/ ^6 y6 P! v8 E; r/ R8 ?6 D
the logistical organization and smooth rental of the additional
0 F( p, L) N8 E* \: g3 avenues within the realm of the Students´ Union. In the light of that

appropriate standards, requirements and needs, and contributes in a

To ensure that the maximum potential of renters is met.

a. To develop and implement a marketing plan for the venues that
$ v! p; v% b( F- m: }) Vfocuses upon advertising and promoting the venue to faculty,
% A4 V7 Z2 d9 O+ T( m6 P$ R5 Q6 jstudents, and internal and external clients on an on-going basis.
( B4 G6 @) o/ {This strategy will include implementing and/or delegating the following:
- l- b3 n& P, h, A1 h( n· To develop and maintain promotional materials, the Horowitz ! V+ ^% @) {1 q
Theatre and SU Venues home page, newspaper and other advertising; to * ]3 s0 c/ y. E% u- d, i3 q
take advantage of other internal and external advertising
- h7 E# n% I7 Q8 c1 b* T& bopportunities; and to develop press releases and other promotional , i& G; G3 F/ t" l" l
literature on an ongoing basis.
; ^* W8 J2 a3 ~- ^ q6 [· To coordinate tours of the venues for potential renters.

· To develop new external clients for the venues.

3. Staff and Supervisory Roles and Responsibilities7 @0 S$ b& Z9 [. f6 U% q# m

a. To ensure, at all times, that the venues are adequately and cost-
$ ^0 X# B5 H3 Peffectively staffed, and that the staff utilized by or within the
8 ]$ G0 Z" Q3 e! G. ovenues meet the appropriate standards, requirements and needs, and ) Q. R0 \- m, D+ D& V# x
contribute in a positive way to the smooth operation and success of & m! y2 m( M' T' e, u8 `4 T" Z
the renter´s events. This includes, but is not necessarily limited
; z% n9 B r6 I* V: j- Xto, the following:
% d/ n( T( c( O; d( _- j1 r/ b· To be responsible, under the direction of the Manager of Venues
4 k6 {3 `6 }; Rand Programming, for all staff issues including hiring, disciplining, / y k( n; w+ G
evaluating and terminating, as necessary.
8 b9 X7 P/ k: U& g% b' h5 ~' k# u. ? To ensure that the Horowitz Theatre is adequately supervised at . b1 Q! \/ l; w2 [* r$ h# Z4 [
all times, this includes the development and implementation of such 2 L3 {% v1 |) j7 N* r0 a. ~" q
schedules and rosters as may be necessary to ensure the effective and * o* J Q. x2 I, q5 z1 a
cost-effective supervision of the venues at all times during which it
$ Z- @3 o+ g3 i! p7 Cis in operation or needs to be in operation.1 n# }! \" m0 O" a! Z
· To work with the Technical Director, when necessary, to ensure # s5 S; d% U. k; L& q4 c' N' z
that an adequate and appropriate level of part-time staff exists to
4 o9 {& V$ y' d- e5 z1 Ifacilitate the smooth operation of the venues and to ensure all
# }. s; d) x* v& S1 {+ Grenters needs are met.
& P0 y3 s8 U, R; T: }0 _5 R· To work with the Technical Director to ensure that the skills
& Z: L% Z, }' }and attitudes of all subordinate staff are appropriate in light of ' i! A7 \' ^" V' h
the roles they must perform. This includes providing adequate and / Z/ K r/ [( a1 f
effective training (and re-training) in all applicable and $ J, W4 H j+ b+ {% M
appropriate areas, and ensuring that the Policy and Procedures manual
/ f6 l, \5 l3 n# ois kep up-to-date at all times.
; P% _7 U7 K, L" y" Q/ p+ t: \· To ensure all staff are trained in and committed to providing
. b6 }/ g$ A' zexcellent customer service to all renters.
4 V# N+ ^( R: M0 H; u· To work with the Technical Director to arrange staff
y( m1 x: t% Z ]% t4 m5 Yscheduling. To handle payroll related matters, under the guidance ) ~3 N3 a& S+ Q3 _ f* @, ^
and direction of the Manager of Venues and Programming, concerning - n6 U# j& C: d( f5 k
the staff of the venues.
( o! F# x+ @9 _· Working with the Manager of Facilities and Operations to ensure

· Working with the Manager of Programming and Venues to ensure ; D; h) K A. D) f2 h

positive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate / M. d |: i6 e3 p$ U
operating budgets covering the venues to the SU´s Manager of : j, r4 }. B4 _' L
Programming and Venues and to discuss and refine those budgets

Administration prior to their submission for final approval.2 h2 G9 _$ S% A1 S
· To manage the venues in a manner which adequately and effectively ' w8 b, b$ L5 M7 P
reflects the budgets approved for the venues and/or which reflects

administrative documentation covering the venues to be used in the

· To discuss those financial statements and other reports, together

· To ensure the existence of adequate, effective and accurate job 3 h: ?9 [9 G* l7 {: N1 n' ~, O
costing systems to be used in connection with the determination and
0 v% ^3 U( p3 ysetting of appropriate prices for rental and staffing rates for 1 |! \8 e* y; S1 {
events held in the Horowitz Theatre.9 M {( Y7 B& l3 v p
· To develop accurate documentation to be used in connection with
/ N: b5 x. Q9 A; Sthe billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial 3 A. i/ F% j1 t! f" {/ m
and administrative procedures and systems in a manner which reflects

Manager of Finance and Administration, and in a manner which

5. Overall Roles and Responsibilities
M* y9 `$ M5 r b9 C& `* M! Ia. To ensure, at all times, that the systems and processes used in
) K1 U* Y6 O- d+ I; Y1 R* \renting the venues meet the appropriate standards, requirements and
3 M" ?, {$ r! E" r# s8 R2 q6 ~8 Nneeds, and contribute to the smooth operation and success of the
$ J, y+ I, q- x1 _; s; M4 _4 ^: v# r4 [venues. This includes, but is not limited to, the following:

) {8 W; L8 e+ |4 e5 S9 V* e+ j3 k· To recognize, develop and set in place such rental procedures as 9 B$ p& t1 u7 j! K) T3 Z
may be necessary to ensure the smooth operation of the venues, this
/ `/ B6 y" d3 R# @is to include but not necessarily be limited to systems and processes 6 `8 }0 }5 f% \' m. g
in the areas of contracts, inventory management, contract evaluation,
& k) Y% X! S3 `' ^! ~0 p8 epricing, costing, equipment usage, rental/contract invoicing, ( C5 Q3 t8 d* ?
together with such other systems and procedures as may be necessary 8 Z, r& n1 ~; L5 s8 b- q
to ensure the smooth, secure, efficient, cost-effective and ' B$ J) o: d8 k2 w7 }7 @9 ^
functionally-effective operation of the Horowitz Theatre.
: M) I! S: q* Z2 ^2 }* d* m· To recognize, develop and set in place such operational procedures
- L, b1 }; q8 E% f1 B& nas may be necessary to ensure the smooth, efficient and cost- , z& W- D/ Y3 x
effective operation of the venues.
& O7 H* ^2 N# X: ~* d1 s( A! M( Z· To negotiate rental lease agreements (contracts) relating to
5 Q& k( Y7 n; w! G2 v0 f' Ddates, rates, staff and miscellaneous charges.
% X9 W! ?1 H1 g) p; m· To ensure that adequate inventory is available at all times and
4 g) \8 V# A n; F( @' Y6 Wthat such inventory is stored and issued in effective and secure ways.
4 u& j4 z9 S, L D. v" z( ?· To consult with renters as to facility issues in producing their 1 R% K- ^+ ~* M2 H2 M5 |
particular event in the venues.
- A" D9 p# K( K- k5 \# w· To provide the venues on-site staff with such documentation and $ W& a- W0 l9 C1 h& G8 i* f
supporting information as it may need to effectively fulfill the ( F9 U B9 J% w* Y: v
roles they are to perform to ensure the success of the renter´s event.
' x) G! i( e. |) d9 |, E· To produce quotes in respect to staffing costs for a particular ( g4 m! O# J2 K3 c
rental with consultation with the Technical Director.# P8 @/ |; n6 X2 |
· To ensure that all queries raised with the venues whether from the
7 z% X- @4 [7 W- [* |5 JSU or renters, are promptly and effectively handled and adequately : g, u" `, {! ]- U7 F0 j2 B) [2 L$ N( h. ^
answered, and to ensure that such action as may be necessary in
' i. {* w6 b* ffollow-up to such queries is taken in a timely manner.- p/ _ Z2 }8 ?7 _3 t
To ensure that the venues and its capabilities are adequately,
4 ] N5 U& W# C2 Yeffectively and cost-effectively advertised and promoted, and that
7 X" S u0 O3 K/ Sthe cost of such endeavors does not exceed the budgetary provision 5 N$ l5 [+ a* \
made for them unless prior approval is given by the Manager of & h5 Z3 I4 M% y2 G% Q1 h4 e
Programming and Venues.9 I3 Y9 |& Q) M) m" H
· To act as an informed and knowledgeable resource in the case of
6 T) Z5 O# k! y8 j. z% U: y, Dsignificant challenges and/or problems surrounding the tasks of
( b1 y W) l6 y4 `) `marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth

QUALIFICATIONS:
