The Operations Manager - Venues and Programming will operate with a

and Venues.

The duties of the Operations Manager - SU Venues are diverse and  : J: j. h% ]  w, U2 S
extensive, and are targeted at the all round smooth operation and  
1 W% K, Z6 R; K3 ^financial and operational success of the Horowitz Theatre as well as  , V7 D* b) X( D2 ?0 Y$ n
the logistical organization and smooth rental of the additional  ; S9 k! D& _( h5 W
venues within the realm of the Students´ Union.  In the light of that  4 h0 k/ }0 o+ f) G, z( C4 ?9 v
breadth and complexity, it is not possible to fully define or  
  k. c# u( m. O' |- l! w! Edescribe all roles and responsibilities in a document of this kind.   
4 _# C3 d# X+ d; X& c1 qHowever, the main roles and responsibilities of the Operations  
& d1 F+ Z$ j; V7 j6 `( j& PManager are as follows:1 J! J" T3 x  Q! F( v# Z

1.        Space Roles and Responsibilities
% F8 H/ e7 Y9 Q; x% R  b$ ]  L( o! }1 _# g1 Y
a.   To ensure, at all times, that the venues listed below meet the  . j& S0 }; U. \; I% Z# c% n! m
appropriate standards, requirements and needs, and contributes in a  * W% l: f! @$ {/ v1 D
positive way to the smooth operation and success of the individual  
+ X7 z7 I0 x: Hrenter.; E, ~! C9 {5 f! b4 {9 \/ h3 [
·     Myer Horowitz Theatre: D4 l9 q% x" X2 O. V; r. \
·     Dinwoodie Lounge
; Z: A/ t* c  y" N0 ~* l4 n, I·     SUB Stage

7 H0 @7 M/ j, Y8 |- a. h% o2 rb.   This includes, but is not limited to, the following:
; n; e& j# u$ H* i2 K·     To plan the capital and supply expenditures to meet the  
! }/ k7 j& s2 Uproduction and facility requirements.3 ~/ S0 [$ B( ?" l, Y
·     To ensure the day-to-day compliance of the venues with existing  2 J: k+ m0 k5 Y" B* q& ]+ H
safety regulations and building policies.

0 B( [, V4 P" ~/ d' e2.        Marketing and Promotion. j, v1 I1 Q, Q
) }* ~4 Z3 h/ e4 }( q5 p0 z
a.   To develop and implement a marketing plan for the venues that  3 K/ Y8 Z& K8 l( u2 T2 c: p3 [& o3 x
focuses upon advertising and promoting the venue to faculty,  
! @$ f$ N; Q- }, {5 K) \/ O5 zstudents, and internal and external clients on an on-going basis.  - D% K% Z$ s$ _4 G$ U( X0 I
This strategy will include implementing and/or delegating the following:
; S+ ]. A. |5 H& I( ?9 s- f·     To develop and maintain promotional materials, the Horowitz  4 }* }  ?- t/ ?6 a: ?; X
Theatre and SU Venues home page, newspaper and other advertising; to  : I; @& V$ Y$ K7 q2 ]4 A
take advantage of other internal and external advertising  . ?; ?5 h5 p- F
opportunities; and to develop press releases and other promotional  ) w, i2 P6 Q( e# s1 ^
literature on an ongoing basis.6 F. j3 [; l& @
·     To coordinate tours of the venues for potential renters.
& F! f, ~8 g. f2 r5 ^·     To promote upcoming events in the Horowitz Theatre through the  
- A2 s1 h( h" j- vuse of the Horowitz Theatre Home Page and the SU Events Calendar.' G& Z. Z& c7 i. ^* [, z
·     To develop new external clients for the venues.4 _" Q) {) f4 A0 m- f: `& M- Q

3.        Staff and Supervisory Roles and Responsibilities
4 e  S& |, B. Y) B; O) y1 ]+ a- i( {, K$ f0 u  c9 h, k# Y
a.   To ensure, at all times, that the venues are adequately and cost- 5 F' Y/ v, y" X4 @3 y
effectively staffed, and that the staff utilized by or within the  
6 ?. a* l) E$ J3 k! S2 I2 M/ [- p  xvenues meet the appropriate standards, requirements and needs, and  
' l4 L; L2 o* J8 q( Ncontribute in a positive way to the smooth operation and success of  * t6 o: s) A" [" m
the renter´s events. This includes, but is not necessarily limited  
& u% |  h( j; Nto, the following:
5 }7 [% a, |3 q# b; t·     To be responsible, under the direction of the Manager of Venues  1 ]1 Q- f/ c% ]% z0 e7 M& [
and Programming, for all staff issues including hiring, disciplining,  
% X& X, \) w! |) f; t1 q- p1 a& t, g7 Ievaluating and terminating, as necessary.
8 f5 t5 C4 |- Q" m: C+ a$ A! L2 Z To ensure that the Horowitz Theatre is adequately supervised at  
; h# t0 s0 K" E: Mall times, this includes the development and implementation of such  7 x) Y) Q5 t6 S2 \1 b
schedules and rosters as may be necessary to ensure the effective and  
' ]" ]" m1 g& T5 ~  S  I5 o/ Dcost-effective supervision of the venues at all times during which it  ; r- M- Y' r: }# q8 e
is in operation or needs to be in operation.* L8 @3 a' r, ~+ E6 L. L+ Z8 h; {
·     To work with the Technical Director, when necessary, to ensure  
9 z: K& S& v% r, D2 v. Ithat an adequate and appropriate level of part-time staff exists to  
; L$ e; X& M- q  [, }& {, x' b: }facilitate the smooth operation of the venues and to ensure all  
  g: u4 D4 f4 y# @. J) Urenters needs are met.
/ a. g" a4 S: R9 Z: O·     To work with the Technical Director to ensure that the skills  
0 b8 a; I; c0 r' l4 q: [; y! a# uand attitudes of all subordinate staff are appropriate in light of  
9 C2 C; s5 b$ A+ xthe roles they must perform. This includes providing adequate and  8 Y. V3 t* b0 T) h: U" v5 c) U
effective training (and re-training) in all applicable and  7 k! z+ w. T: u' r/ k4 Z
appropriate areas, and ensuring that the Policy and Procedures manual    }! s, V' k) M! X6 X
is kep up-to-date at all times.- M/ M# g8 B$ }2 i
·     To ensure all staff are trained in and committed to providing  
/ k' e6 ^- C; m0 G* ], Vexcellent customer service to all renters.2 t4 r7 ?' _: D" E7 U, x: \
·     To work with the Technical Director to arrange staff  
$ B/ B) H) {3 |' f& V7 oscheduling.  To handle payroll related matters, under the guidance  
! O" n/ t0 K/ Y  W% c4 t' rand direction of the Manager of Venues and Programming, concerning  
! G. J3 P) C. W, w, p3 S8 X5 \the staff of the venues.: d  F" s! A9 C: E7 g8 R% j% f
·     Working with the Manager of Facilities and Operations to ensure  
3 S7 b# h& ~/ ~the appropriate setup/tear down of each venue.
# ^6 v& P3 [5 T2 c8 Z: P·     Working with the Manager of Programming and Venues to ensure  + z3 {9 X3 {  s+ h5 |6 q
that additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance3 f) a/ t, i, m7 }) ^! p

" w4 o, u" d$ H7 d1 p' ?a. To ensure, at all times, that the Financial and Administrative  
5 c- U4 ~) L5 vsystems and processes utilized by or within the venues meet the  
3 i* e, q- l7 v5 F/ q/ K4 U* xappropriate standards, requirements and needs, and contribute in a  
# h" c) H; Z  W4 kpositive way to the smooth operation and success of the venues. This  
" R$ b' _: B0 [  U+ C2 h* }' a, J; vincludes, but is not necessarily limited to, the following:8 ~& E* K5 J: _8 @" n% b8 o) M: q
To provide input and expertise in the formulation of appropriate  ' I, ], i6 B" q9 M% B9 n" H
operating budgets covering the venues to the SU´s Manager of  
* f( q3 y# K7 @4 ~* eProgramming and Venues and to discuss and refine those budgets  6 q- `8 b: l6 H* E! [
Manager of Programming and Venues, and Manager of Finance &  
5 \* Q  ~/ y' ^) h- QAdministration prior to their submission for final approval.
" _' {% t$ w4 }·  To manage the venues in a manner which adequately and effectively  
8 k2 \; J* p5 r. mreflects the budgets approved for the venues and/or which reflects  + M/ X, t5 B! i$ ^
the best interests of the venues and the Students´ Union.
0 p: A) y# A' I1 i·  To function as the key player in the submission of financial and  
1 \2 K  \8 ^6 e, a1 U: z  Nadministrative documentation covering the venues to be used in the  
( ^) e/ Y+ w5 J+ T, @5 Y7 Rcompilation of monthly and annual financial statements, and such  7 M* y  n# R  g
other reports as may be necessary.7 N* A  ~8 A% s% U( w
·  To discuss those financial statements and other reports, together  & V$ A! m/ K9 W- e! E% y; k8 d
with all financial and administrative procedures, with the SU´s  & {! B# T  r. S9 T/ W
Manager of Programming and Venues and Manager of Finance &  ) A1 N. U: f5 A( z
Administration with a view to determining and implementing action  : [8 [2 |' R% F- P0 |
aimed at improving the financial and/or functional effectiveness of  ' U& f! C0 C& n1 r* N6 V
the Horowitz Theatre.
4 u  r. x3 X! L' m1 `·  To ensure the existence of adequate, effective and accurate job  9 L$ J- a3 t3 c7 O9 ]7 e  a$ B. u
costing systems to be used in connection with the determination and  
4 m" p. t: j! {+ T' I: g% vsetting of appropriate prices for rental and staffing rates for  - x; |- o- d, F0 {3 {" _( f+ _
events held in the Horowitz Theatre.
9 a# Z! ^! X3 D# F4 ?+ Z2 A·  To develop accurate documentation to be used in connection with  
6 Z3 r" k/ Q" R8 cthe billing clients, and to forward such documentation in a timely  
7 \+ H0 Z( O* ]manner to the Accounting Department.$ ~! U1 |" ?" y5 C( a9 {' X
·  To recognize, address and handle all matters relating to financial  5 e$ i  |; S* Q: Z# q: X4 U- A
and administrative procedures and systems in a manner which reflects  
5 ^5 Z  H, ^7 U3 }the requirements of the SU´s Manager of Programming and Venues and  
$ ?  T; H; h% u* K8 nManager of Finance and Administration, and in a manner which  
! s- I: I. U. V, ocontributes positively to the smooth operation and success of the  
. ~8 o+ v# N' xvenues.
. S6 [. O0 V' u( x% }6 c& y8 a4 h( |$ s4 t; k& {5 h
5.          Overall Roles and Responsibilities- j7 D9 Y, ^9 n& Q. O- x4 ^. H7 R
a.   To ensure, at all times, that the systems and processes used in  
! {. J$ t5 v/ a2 Q7 ]4 ^# Y% V( H" f0 nrenting the venues meet the appropriate standards, requirements and  ! w3 \& f: T( i/ ~
needs, and contribute to the smooth operation and success of the  
+ ]' e; m  i! S% z3 |9 Tvenues. This includes, but is not limited to, the following:" t8 g2 S  n/ q6 C) }4 K: @2 n
, z, Z8 V- [: M+ L' ]3 [9 G. e
·  To recognize, develop and set in place such rental procedures as  
5 o/ N' c$ F# e# t; y2 Jmay be necessary to ensure the smooth operation of the venues, this  
; s. ]8 C" ?4 K$ K% @0 E( Ais to include but not necessarily be limited to systems and processes  6 X, y) `6 v: w
in the areas of contracts, inventory management, contract evaluation,  * d" R. T5 D& F1 g* _5 e1 z* l
pricing, costing, equipment usage, rental/contract invoicing,  " s/ v  M9 |- j$ Y
together with such other systems and procedures as may be necessary  
- Q' n! `* w2 n( gto ensure the smooth, secure, efficient, cost-effective and  
& b3 V6 [! A" T- \. Z) Y7 jfunctionally-effective operation of the Horowitz Theatre.
0 }# M0 \4 |2 R1 p/ n·  To recognize, develop and set in place such operational procedures  
- R6 m4 O# F' ~3 Nas may be necessary to ensure the smooth, efficient and cost-
  o7 {" H) o4 v9 S$ v9 i% ]0 D/ n: feffective operation of the venues.
1 X7 m0 T+ F( e1 q·  To negotiate rental lease agreements (contracts) relating to  # n: n' S' y# ~. n5 @  t: p; s; D
dates, rates, staff and miscellaneous charges., T, x1 K" `+ j0 x, {) J& }
·  To ensure that adequate inventory is available at all times and  
% F8 W% A# O8 X  Hthat such inventory is stored and issued in effective and secure ways.# d3 @- W& r) F+ L3 L& J
·  To consult with renters as to facility issues in producing their  
% p1 N3 o3 e' {$ _( rparticular event in the venues.& |1 c1 s, h7 S
·  To provide the venues on-site staff with such documentation and  
* B5 [& B8 ~# d( x% l9 bsupporting information as it may need to effectively fulfill the  ! S3 ]* m' c# M/ f5 f. l0 y
roles they are to perform to ensure the success of the renter´s event.( ?. D+ Y  ]: E0 |3 P9 X; b7 k
·  To produce quotes in respect to staffing costs for a particular  
- @; k$ K6 i+ [. h7 c8 `rental with consultation with the Technical Director.( o6 e8 T6 A: S: C' Y* V, Q8 ^' H. {
·  To ensure that all queries raised with the venues whether from the  $ R' v4 V2 G0 ^& R3 p! o
SU or renters, are promptly and effectively handled and adequately  + Q+ Q5 {- B& R7 r% e9 q
answered, and to ensure that such action as may be necessary in  
" o2 ^4 U) Z8 nfollow-up to such queries is taken in a timely manner.( C7 {2 W, q4 S' e
To ensure that the venues and its capabilities are adequately,  
3 M* F& I* `/ f) j" O& Beffectively and cost-effectively advertised and promoted, and that  
" u3 Z! W2 O1 a( f+ cthe cost of such endeavors does not exceed the budgetary provision  " D9 j9 P6 u" d$ `7 [; I+ y
made for them unless prior approval is given by the Manager of  
+ V4 q; ?* E2 q) v; n; gProgramming and Venues.
8 j4 ]6 z" q3 D! }4 E( p·  To act as an informed and knowledgeable resource in the case of  6 w( }& X2 W" K2 D, _6 ]9 a
significant challenges and/or problems surrounding the tasks of  2 W$ l7 M, T& l3 A2 }6 e
marketing, administration, operations, and any such other matters as  
; @, @( t# c+ L; u* J, v+ zmay provide such challenges and/or problems.& E3 H( b$ T9 R) o# O& [
·  To attend such meetings as may be required to support the smooth  
  l% g9 D: Z/ X. v3 ^1 foperation of the venues or the Students´ Union as a whole.# t5 r# M# n9 N/ c) v
·  To perform other job-related duties as may be required by the  
- o  l, ~- c# A$ r1 m5 T- F: M4 JManager of Programming and Venues in order to ensure the smooth and  
  A' W# E) @  ?3 i" @secure operation of the venues.

operations in a manner which reflects the requirements of the SU´s  : q* t% z4 p2 a$ x

Administration, and in a manner which contributes positively to the

1)             Minimum two years related post secondary education, or  - E7 D" G) x$ x& a' Z! ^$ \
an acceptable combination of education and experience.

3)             Ability to create new initiatives with little or no  9 }7 _  ^& a) l* l. E6 {0 A, `

5)             Knowledge of budgeting and staffing procedures.
