The Operations Manager - Venues and Programming will operate with a  # Z! P/ N6 z1 t9 ^
direct line reporting relationship to the SU´s Manager of Programming

4 L3 E6 D* V. G( ]$ M4 nROLES AND RESPONSIBILITIES
! t% H: F( M4 E* MThe duties of the Operations Manager - SU Venues are diverse and  % k  X+ j5 J) O  C6 p
extensive, and are targeted at the all round smooth operation and  
% |4 f! ]1 {' B5 N' i8 cfinancial and operational success of the Horowitz Theatre as well as  : [, z5 l; H/ H% a( _. r" K
the logistical organization and smooth rental of the additional  
3 L* l7 K1 V$ r1 J* ^. |venues within the realm of the Students´ Union.  In the light of that  5 u; q. h# P1 o7 T6 u! p2 u% W1 Z% r
breadth and complexity, it is not possible to fully define or  
: b; {1 a0 x% u3 }describe all roles and responsibilities in a document of this kind.   9 }3 F- j1 ]* t' p5 X3 N' Q
However, the main roles and responsibilities of the Operations  
) U) S0 _7 i) WManager are as follows:

3 J; D" k/ D, m( \4 j& aa.   To ensure, at all times, that the venues listed below meet the  
5 L  n, ^7 p1 M+ T# d7 P2 e; k: p3 h' |appropriate standards, requirements and needs, and contributes in a  8 n& @1 B) D3 Z2 G' P
positive way to the smooth operation and success of the individual  
+ D4 m7 o, p" P  rrenter.+ U! }) B. I8 ~$ [  Z- n
·     Myer Horowitz Theatre
4 {, r& G5 P) i5 O3 q' L7 H! F·     Dinwoodie Lounge: Z% X5 J9 f& b7 V. L
·     SUB Stage

& J, v4 w8 g5 Y& ~" `& vb.   This includes, but is not limited to, the following:
  R; P  ?3 Y( V. ?·     To plan the capital and supply expenditures to meet the

·     To ensure the day-to-day compliance of the venues with existing

To ensure that the maximum potential of renters is met.8 ]* `4 |" L. x8 @" S( m

0 y4 i" n/ h1 e" e: U# C2.        Marketing and Promotion
0 y' K/ F! G4 U; y; y8 X- N8 x' b! l" x. u
a.   To develop and implement a marketing plan for the venues that  $ r1 c+ ^7 v' `+ a; g6 u* r
focuses upon advertising and promoting the venue to faculty,  
6 L. `  g* Y; M0 v1 o# L9 estudents, and internal and external clients on an on-going basis.  ! ~% I( O8 g/ V' V; k" O9 I0 e8 H5 h
This strategy will include implementing and/or delegating the following:
! c1 ^+ Z1 @* ^, @% B  ?! p6 `·     To develop and maintain promotional materials, the Horowitz  5 j6 ^  ?0 K+ g7 \1 ~. H9 m3 s
Theatre and SU Venues home page, newspaper and other advertising; to  
0 }5 s  T$ c& F' atake advantage of other internal and external advertising  # g- K1 [; k1 `: ^- {
opportunities; and to develop press releases and other promotional  
6 W# i. g4 N" oliterature on an ongoing basis.. y1 O+ h0 M1 V' z( U4 A0 g' R
·     To coordinate tours of the venues for potential renters.
  t7 X9 i, W; i" f·     To promote upcoming events in the Horowitz Theatre through the  
3 H' _% j! b  T6 K) e/ Ause of the Horowitz Theatre Home Page and the SU Events Calendar., x. y( q0 y: s% W
·     To develop new external clients for the venues.' D: d4 Z! R* z* E1 Q
* W$ e9 M# g$ v/ s. T

( c3 W: }& y# n7 k. J! Y/ |3.        Staff and Supervisory Roles and Responsibilities! j1 R7 [8 p" M2 O8 @

8 p9 a' y; R, W# K+ Z) }  [- Na.   To ensure, at all times, that the venues are adequately and cost-
+ O: U& [) T. K5 L/ V  geffectively staffed, and that the staff utilized by or within the  
, k! X# ^# ?  W: f5 A, lvenues meet the appropriate standards, requirements and needs, and    i- F* S; ^6 r) X
contribute in a positive way to the smooth operation and success of  
& n4 F* p! P) y, t7 Othe renter´s events. This includes, but is not necessarily limited  # U) C9 p$ {  A! s# Y
to, the following:6 S' \% Z! O- s' {9 `9 V
·     To be responsible, under the direction of the Manager of Venues  
  H+ K; J+ L0 D/ a1 u% n* A2 X7 uand Programming, for all staff issues including hiring, disciplining,  
. d. \. v; x( {7 X$ Cevaluating and terminating, as necessary.1 b! s/ H" m5 M. h3 P
To ensure that the Horowitz Theatre is adequately supervised at  . y7 V" h" c' T% K( Y
all times, this includes the development and implementation of such  
! [% {* }9 [3 Uschedules and rosters as may be necessary to ensure the effective and  
, }2 Q( p! `# g% j. C  _cost-effective supervision of the venues at all times during which it  
, ^$ o2 K; z1 d* J& ]0 Dis in operation or needs to be in operation.
2 L$ @/ J" `" ]·     To work with the Technical Director, when necessary, to ensure  7 ^- q2 t8 V5 ?( \
that an adequate and appropriate level of part-time staff exists to  
2 i- Z( d, Y! J& g0 _facilitate the smooth operation of the venues and to ensure all  
5 f' Q5 {7 G6 ]+ Z) ~) jrenters needs are met.8 {( l  s( W, s, F& O1 B2 C7 l
·     To work with the Technical Director to ensure that the skills  
7 S" T% A; y) f' rand attitudes of all subordinate staff are appropriate in light of  
. o8 U- l) W; @6 lthe roles they must perform. This includes providing adequate and  
7 ^" @; i+ \+ y  t9 H1 A7 [; Feffective training (and re-training) in all applicable and  
3 t1 m9 D9 L, V/ p6 J3 C( `appropriate areas, and ensuring that the Policy and Procedures manual  
5 o8 T  D* t5 Q% @# L3 W& ~is kep up-to-date at all times.% M0 W! y  ]8 d  M% ^4 y* `4 F
·     To ensure all staff are trained in and committed to providing  % b1 F  f) X9 H/ J! I
excellent customer service to all renters.
% W5 G; d0 ^3 I' d' I1 a/ `5 U  t·     To work with the Technical Director to arrange staff  5 i; P4 e4 m4 Z: \6 m
scheduling.  To handle payroll related matters, under the guidance  ( \" k: V- W$ G' \
and direction of the Manager of Venues and Programming, concerning  
/ c: ^! O5 ^  q* u# [9 Bthe staff of the venues.# K9 f' P7 h$ ?9 W# }) q6 M  ^
·     Working with the Manager of Facilities and Operations to ensure  4 V7 G4 p9 }' e/ b5 d1 e
the appropriate setup/tear down of each venue.
3 Q, T. G, z; _  i" T4 M·     Working with the Manager of Programming and Venues to ensure  9 L& v& D* Z+ v3 W& v2 k
that additional requests such as licensed receptions are arranged.( r5 E! Q; l1 I8 H

4.          Overall Financial Performance; u' A* K, e1 f$ \/ m

a. To ensure, at all times, that the Financial and Administrative  
8 K7 p% @( N2 T  ?) ?5 W* f. q! R4 [, nsystems and processes utilized by or within the venues meet the  & L# t0 ~: |! X! u& t
appropriate standards, requirements and needs, and contribute in a  7 ?0 b7 G6 N; {2 N4 i8 p* U4 v( ~) l: `4 v
positive way to the smooth operation and success of the venues. This    p( ]9 o+ c- T
includes, but is not necessarily limited to, the following:3 c& d6 r% K. }& K/ F
To provide input and expertise in the formulation of appropriate  . k3 s/ G- |& _: P7 {. b4 \9 F' k1 ]% H0 ^
operating budgets covering the venues to the SU´s Manager of  5 [1 B! [& d6 i  k6 @
Programming and Venues and to discuss and refine those budgets  
& s9 D# j, W; X2 z: u& hManager of Programming and Venues, and Manager of Finance &  * I) ~2 e0 F; D. }$ @* O& G6 r- d
Administration prior to their submission for final approval./ N/ K6 J1 Y3 M; ^& R' p
·  To manage the venues in a manner which adequately and effectively  1 m1 W: S* j% x) S, m0 ]9 s
reflects the budgets approved for the venues and/or which reflects  * k) [# Y6 a3 Q
the best interests of the venues and the Students´ Union.
1 q6 e2 K* g0 `0 |% Q' `·  To function as the key player in the submission of financial and  
8 t4 T# d) \7 I1 nadministrative documentation covering the venues to be used in the  
$ N1 M3 h. \2 @6 Z* a& Bcompilation of monthly and annual financial statements, and such  
6 E3 L' V) Z+ T  L& j6 Vother reports as may be necessary.
% ]/ O5 B" g: Q! B% c·  To discuss those financial statements and other reports, together  
2 p. ~! O' @% G+ {1 ]" Awith all financial and administrative procedures, with the SU´s  6 q" }+ l$ |2 w: S0 A3 t
Manager of Programming and Venues and Manager of Finance &  % B  v5 }# Z' A; _
Administration with a view to determining and implementing action  
$ e( S  p! q+ x1 p! v! w7 |+ Naimed at improving the financial and/or functional effectiveness of  
" V+ Q. ~; m1 {+ N; |the Horowitz Theatre.
5 x  f" ~) v: c# u& }8 J/ w·  To ensure the existence of adequate, effective and accurate job  8 S2 n% M5 ^5 G$ `
costing systems to be used in connection with the determination and  
0 c- x! f9 O! o& h5 G; ]. s; L( [) [setting of appropriate prices for rental and staffing rates for  
) {# d& J/ F  u2 B" [events held in the Horowitz Theatre.2 M# R, r9 x1 ^0 L) n
·  To develop accurate documentation to be used in connection with  % U$ z) H9 P6 z2 m3 B
the billing clients, and to forward such documentation in a timely  $ `4 @8 L+ V# J5 z4 B2 w7 P9 ]
manner to the Accounting Department.
4 |5 `* M5 Y+ @% P( n6 H4 l% \. Y·  To recognize, address and handle all matters relating to financial  4 d6 |5 a6 W6 l' _% K; i
and administrative procedures and systems in a manner which reflects  , H6 u& _5 [+ D7 J& r% ]0 l
the requirements of the SU´s Manager of Programming and Venues and  1 v' P& e' C# m/ F
Manager of Finance and Administration, and in a manner which  " U# T& g! }% _7 `3 U' a* L
contributes positively to the smooth operation and success of the  
- }+ \  K- V0 _venues.; X; a, \! ~2 `& r3 [

0 Q0 R. M5 G) H: ?% `5.          Overall Roles and Responsibilities
9 v/ `$ ^! {2 t, h1 W; r( a/ ~a.   To ensure, at all times, that the systems and processes used in  4 F4 L$ [. c- V( I* l
renting the venues meet the appropriate standards, requirements and  + Y- v# T. Y% t/ O( }! U
needs, and contribute to the smooth operation and success of the  $ ]) T5 F2 m$ \4 Q3 h
venues. This includes, but is not limited to, the following:3 P7 Z. \+ e% T8 H

0 B+ Q& p+ s8 G( Y) s" e5 V·  To recognize, develop and set in place such rental procedures as  
: I' ?1 g% \6 b# `! U! ymay be necessary to ensure the smooth operation of the venues, this  
  V* \" x/ T; w5 N/ s- |. ^is to include but not necessarily be limited to systems and processes  
! D, L4 B: z% f* m1 D% K9 \3 Pin the areas of contracts, inventory management, contract evaluation,  ! g) b! L; J6 s- n
pricing, costing, equipment usage, rental/contract invoicing,  8 d4 u9 l& x+ ?8 ~9 V
together with such other systems and procedures as may be necessary  
, s  R  F  ~$ Q* I: \: Hto ensure the smooth, secure, efficient, cost-effective and  
$ K- W5 H0 y' `' gfunctionally-effective operation of the Horowitz Theatre.
" Z3 Y$ D# n2 c& J; ~0 h: q·  To recognize, develop and set in place such operational procedures  
- e( [, R/ W: H3 {" j+ Cas may be necessary to ensure the smooth, efficient and cost- " E3 O9 f9 z/ j: m
effective operation of the venues.( i. b5 o  ~% ?+ A+ {4 d8 b
·  To negotiate rental lease agreements (contracts) relating to  
, Z) i$ }, `, I7 o3 x( q  _7 ldates, rates, staff and miscellaneous charges.
  Z- j/ u) w+ a# v1 _+ m·  To ensure that adequate inventory is available at all times and  
9 p. l( ?; B9 ^# g9 gthat such inventory is stored and issued in effective and secure ways.
) i$ j! d% `2 b* z·  To consult with renters as to facility issues in producing their  
8 `' q: L) X6 [# Iparticular event in the venues.! I/ M, o/ [$ a/ W* E
·  To provide the venues on-site staff with such documentation and  
& E- _: W, ~+ K9 zsupporting information as it may need to effectively fulfill the  
' ^6 U9 ?0 c/ j  u3 r# B$ qroles they are to perform to ensure the success of the renter´s event.; z' t* R2 n2 i2 x& T$ P. X- t
·  To produce quotes in respect to staffing costs for a particular  ; W  B) u5 @" \" T  |+ a" P
rental with consultation with the Technical Director.
; s5 K, k) J, R- }7 A& T' ]·  To ensure that all queries raised with the venues whether from the  / j" |0 O) x$ B( ]' p7 Y, Y+ @% w
SU or renters, are promptly and effectively handled and adequately  
/ w4 v/ Q5 z/ l1 M9 }answered, and to ensure that such action as may be necessary in  
0 h. O% }1 i! Wfollow-up to such queries is taken in a timely manner.: T6 E. V7 ]1 S
To ensure that the venues and its capabilities are adequately,  2 m" C- ^  K$ _' N5 }5 N9 U2 N
effectively and cost-effectively advertised and promoted, and that  
& \4 `# I3 I( X/ R) i% \the cost of such endeavors does not exceed the budgetary provision  
+ c, r$ ~* j. L: m) @* tmade for them unless prior approval is given by the Manager of  $ Y4 I  x0 `8 w! h) X
Programming and Venues.
" p4 x$ F. f7 F$ }·  To act as an informed and knowledgeable resource in the case of  
' o4 g4 r- t! U: k/ ssignificant challenges and/or problems surrounding the tasks of  $ n1 @  ]# Q9 h& ^
marketing, administration, operations, and any such other matters as  
% _/ n+ q) H' A% Lmay provide such challenges and/or problems.
% S4 M/ R# ~* }·  To attend such meetings as may be required to support the smooth  
  k) s: F: W% A4 Coperation of the venues or the Students´ Union as a whole.
, N& ^. u1 x- Y·  To perform other job-related duties as may be required by the  ! b/ _' a- d# Z4 L
Manager of Programming and Venues in order to ensure the smooth and  4 l$ G  F9 w2 T$ A% s
secure operation of the venues.+ {: }/ J: f# N2 K2 i
·  To recognize, address and handle all matters relating to overall  + g+ P' u  b& r' N$ ~6 C
operations in a manner which reflects the requirements of the SU´s  : g$ |( T: |# a% j: s
Manager of Programming and Venues, and Manager of Finance and  # ?  a2 k6 R- @) I
Administration, and in a manner which contributes positively to the  ) N+ u6 t9 B. w+ T, f" b/ S: |+ f& B

QUALIFICATIONS:
, M. ]7 C2 h7 j! r6 H1)             Minimum two years related post secondary education, or  
5 J5 [: C% k: e3 ~9 {/ Y+ j7 v) ban acceptable combination of education and experience.
2 A+ ~( c7 b& q) |1 X2)             Supervisory experience.
, N4 t% s& F8 J6 [7 I$ a" ~3)             Ability to create new initiatives with little or no  ; |, Y6 I4 a  @  ]* q
supervision.

5)             Knowledge of budgeting and staffing procedures.
