Duties1 I3 w9 ]* r9 @3 I$ K% @
• Assists with general office duties including managing incoming and outgoing correspondence, telephone calls and faxes, composing letters and memos; greeting, screening and directing visitors
* x) N. E! w. {; ^8 j• Supports the Director's calendar and makes travel arrangements; prepares travel and expense reimbursement claims
& b# U9 r" O; U3 p" G• Maintains electronic and paper calendars of the Institute ( @% t( a K8 K, {: B" Y2 Y
• Organizes meetings including setting dates, booking rooms, setting up conference phones, arranging parking, ordering catering, taking minutes and distributing agendas and minutes 6 ?, @5 Z7 s( h7 H2 y& h
• Processes the day to day financial transactions and monthly reconciliation of expenses
J6 {# ~" {- Y• Provides communications support for Institute programs and events through promotion, writing, editing, coordinating graphic design and printing 9 I2 e( f' @ I
• Translates, drafts, revises, edits and designs Institute reports and publications including monthly newsletter 5 j+ M, M& v8 I W: z
• Communication both written and oral with China educational institutions both in Chinese and English 5 [. R4 g% @( a t5 B
• Maintains the Institute website and identifies opportunities for ongoing improvements 8 X- D/ r6 Y5 z$ y. U# Y5 F
• Special projects as required

• High School diploma plus secretarial/business support training , H' x- I6 [9 @4 {$ V# J9 ^
• Fluency in written and spoken English and Mandarin is required

; w7 I" x: R& s4 Q• Computer proficiency using MS Office applications (Word, Excel, Access, Outlook) ( O& p5 A. Z4 ]5 l/ A3 ]
• Knowledge of website management and PeopleSoft is desirable % `' L3 S% E* I6 y' U
• Understanding of University policies an asset, but not essential
