The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

Job Responsibilities:

5 Q' M. T1 K- q/ S/ z0 ROPERATIONS
: Y6 U% }* C$ i• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.' w& g' V A5 F. w0 J" S" P' N% {
• Assist in development and implementation of policies and procedures for volunteer services.
' W! t& M9 B! x" a5 L• Maintain the volunteer files and update the database using Raisers Edge8 J* m; H4 u+ v5 j
• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
$ x% J2 e2 R' T P7 S• Develop and implement a comprehensive volunteer recognition program.
) K! v/ |& _. [* D, J6 o• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
) G% `% S* } ?• Identify and implement best practices in regards to volunteer development.
8 d Q, ~0 U0 h. i5 J6 Z• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities1 U9 ^6 T1 |, O2 J9 \
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required7 c# m6 d/ N; B- u) V% B

SPECIAL EVENT PLANNING
. X! s. o4 S/ D5 c3 B• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
" P' e0 i9 r+ r+ n- ]* y$ M3 B• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up5 n/ N/ K0 _0 w0 b' @6 J$ v8 X

ADMINISTRATION/ ]7 n1 y6 w+ M( ^3 w1 u: }
• Develop and maintain job descriptions for each volunteer position' O+ ~) a4 B, n( J4 f F8 g$ {
• Maintain secure volunteers files in accordance with privacy legislation
4 T0 q$ ?) F! E) T• Provide feedback on volunteers’ performance, as appropriate3 m; O3 R# [3 `! g5 a3 t5 ?4 J
• Ensure Human Resource policies and procedures are adhered to within the department& ]$ F* ]% z# |; I* G# _; y$ W
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
7 b. {: m7 w3 G( E• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency4 Q( h9 k. G5 {& j
• Develop resource and orientation materials for Volunteer Services

• Prepare a regular monthly program report6 O% ^7 u' M& `& U1 U% E

• Ensure the program operates within approved budget and be familiar with potential variances# C# y' y: ~& c. X5 K
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required. e+ ]% b% Y# v
& H& h; e9 _) d& B, |INTERNAL/EXTERNAL RELATIONS
# ~1 T8 b. \. T! P• Act as liaison to the Y-Knit group of volunteers
5 C: W, n' Y1 K6 M• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta), s7 ^$ d, X' }+ Q4 }
• Follow up with correspondence to outside agency volunteers as appropriate
2 E& K2 F4 z6 D# A( ]/ [8 T• Attend external functions such as volunteer fairs, trade shows, and special events as required- A1 j! v5 U0 y; T& j. M8 |

& L& N# I$ M: V& Z0 D7 i' S/ L( w, }+ [/ X
• Minimum 2 years experience in Volunteer Coordination; H- x k: b5 ~ j# a4 @
• Excellent organizational skills and multi-tasking ability
$ P( ^+ H' K: Z9 u• Demonstrated superior volunteer supervision skills
: T- H! ^& p& E• Collaborative working style and excellent interpersonal skills + N; b1 R5 O2 M9 M: @. _
• Ability to work to meet deadlines and to work under pressure9 g! f" a- D; a6 T3 v9 h) w" }) x
• Ability to work in a team-based environment, with cross-functional work teams on projects
5 @7 z& y3 P7 z• Sound judgment and ability to maintain confidentiality; R7 o0 g1 w/ `" X; H
• Knowledge of Raisers Edge software would be beneficial * m# {7 O- z# A$ I- v* o
