Position Title: Receptionist/Immigrant Services Worker

Position Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker. # p( s- b, y7 W9 o2 B# j

Key Responsibilities:
4 J- P6 H s# g4 U: m: O• Answer incoming calls and route calls to appropriate person6 E- P5 `* ]" ~6 e9 Z% H [( ]
• Take and deliver messages to the staff of ASSIST
! N M0 k2 w1 t9 n7 |! S• Welcome clients and direct them appropriately
. O* h$ |2 A( }- Y0 Q. I! D• Order and maintain office supplies for the front counter4 @. Y$ Y/ ^* J$ H. V' U4 \
• Oversee the front counter when other front counter staff are on holiday or in trainings4 G7 ]8 l: j; L1 X' w$ G' Y# i
• Perform general clerical functions such as photocopying and faxing documents
& ` K# |$ ~& ^/ I5 X0 o( ~. @! f. c• Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker, [. X( Z+ o4 W# w+ h
• Maintain and update the information boards with upcoming events
0 h1 W* r* `/ Z+ u• Assist the ISP team in reminding clients to appointments of workshops or other events- ?" ~5 H6 D* @; P5 Z1 L ^
• Keep the reception area tidy and clean
; I' K( G4 H) s8 F" U• Attend meeting and training to stay current on immigrant settlement matters6 ]/ p: V+ j' L5 ^# n9 U
• Maintain front counter service files3 x1 X0 U8 k4 S5 j& z
• Perform general office duties as assigned

* s3 I4 b1 S, L: x• Excellent communication (verbal and listening) on phone and in person" h1 l% @/ ^% A! F' T6 O. H6 ^
• Fluent in Mandarin and Cantonese as an asset R" s8 i( }* t2 A
• Good English writing and oral communication skills* ?- a: U9 Y4 x$ @* X6 G! d
• Ability to work with newcomers and general clients
7 j9 q" s- _3 A# L• Microsoft Office operation skills- Excel, Word, Outlook. V: A5 e) G" U( }( x$ `5 @; q# Z5 }) k
• Ability to address multi-task and set priority appropriately : t2 p; N3 U& m4 H2 y5 `
• Sensitive to the needs of immigrants with multicultural backgrounds. v$ D }' o$ P1 R. K
• Ability to work effectively in a fast paced office environment* n8 ]+ S* X+ L
• Knowledge of immigrant services3 e, g' {; s( J+ i f4 E2 C) A
Qualifications:
9 G" T- z8 Z+ j• 2-4 years of office and clerical experience
# w; y# u* K4 P• Receptionist or customer service experience in a fast paced environment
! s+ P! i1 O8 C2 Y' F• Demonstrate workplace maturity and professionalism G* K! o- }1 S+ N
• Ability to work well under minimal supervision$ _6 Y' R2 L5 _5 I2 w7 j
