The duties of the Operations Manager - SU Venues are diverse and  - n& P$ @8 `+ F/ o! S
extensive, and are targeted at the all round smooth operation and  
- ?1 Y4 G# S* h. ?% d) ofinancial and operational success of the Horowitz Theatre as well as  % z' k0 C$ b. Z: F; g
the logistical organization and smooth rental of the additional  - k- C$ E7 d8 N* J3 ]
venues within the realm of the Students´ Union.  In the light of that  
( @" T1 B  F0 Dbreadth and complexity, it is not possible to fully define or    ?, E0 e' l, n
describe all roles and responsibilities in a document of this kind.   
2 ~) f8 f* g% ^$ B1 iHowever, the main roles and responsibilities of the Operations  
1 p5 r. r% f* w# R( aManager are as follows:

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  
( h* b- X! G8 C# ]" Q! w" J, [appropriate standards, requirements and needs, and contributes in a  
& B# a. D0 v8 kpositive way to the smooth operation and success of the individual  0 p; [9 Q: S7 G/ G- ]% p5 t
renter.: V! T2 T6 k' u- ^+ y
·     Myer Horowitz Theatre7 T. \+ P( }; s
·     Dinwoodie Lounge

b.   This includes, but is not limited to, the following:" R  c/ B7 J8 N! E* U0 r
·     To plan the capital and supply expenditures to meet the  / ?7 F; e* k2 |1 T7 \0 V% h# Q4 k
production and facility requirements.7 l, R4 P9 L" O! S) a+ [' m7 {1 u( w
·     To ensure the day-to-day compliance of the venues with existing  , ]0 r- {2 n& g) I

To ensure that the maximum potential of renters is met.+ W; W! r5 A8 ~2 N6 d5 A

a.   To develop and implement a marketing plan for the venues that  
3 t4 A$ a4 C0 B( kfocuses upon advertising and promoting the venue to faculty,  0 L" M; N8 z7 i8 o: O+ e$ q" z
students, and internal and external clients on an on-going basis.  
. q' b0 C* P5 ^- j6 p. [! p6 U" {8 JThis strategy will include implementing and/or delegating the following:% A$ I$ d" k, J$ w) B3 v
·     To develop and maintain promotional materials, the Horowitz  
- P4 M4 E5 X  a8 s+ K0 M' b) aTheatre and SU Venues home page, newspaper and other advertising; to  - w1 A+ h' x3 \5 i0 f2 T( t4 [
take advantage of other internal and external advertising  
# T. q8 y  P: }. n, N) f' K% Popportunities; and to develop press releases and other promotional  
$ e. V$ D! l6 t5 F! Kliterature on an ongoing basis.
. Z9 i  Y- D4 i( |·     To coordinate tours of the venues for potential renters.
) Y) L' U6 e' P5 n·     To promote upcoming events in the Horowitz Theatre through the  
+ t6 B( r0 \3 W, G! @9 Quse of the Horowitz Theatre Home Page and the SU Events Calendar.7 ]: j; [2 ]1 |0 I. I
·     To develop new external clients for the venues.
5 N' _9 @, @( |+ r& ?6 z! |7 _8 @" `; O6 t* p6 r
9 q9 X0 j, G% y9 @1 ^5 l$ a
3.        Staff and Supervisory Roles and Responsibilities- \# k6 X& H7 a. Y( i5 z

! F8 Y& Z7 x% ?, `& Ma.   To ensure, at all times, that the venues are adequately and cost-
8 A9 [- u( o; `effectively staffed, and that the staff utilized by or within the  # |. j8 L8 ^3 e8 p- f4 j
venues meet the appropriate standards, requirements and needs, and  
1 ^- u$ Y' a* T* N3 hcontribute in a positive way to the smooth operation and success of  
1 P% {' T7 ?5 N) o6 r4 {1 O/ Nthe renter´s events. This includes, but is not necessarily limited  & E* r% k7 T1 w* ^
to, the following:9 Q9 g$ N# o7 \( M' J9 {4 s. ]
·     To be responsible, under the direction of the Manager of Venues  
8 m% I8 G, _8 W5 o, c1 v0 T) Rand Programming, for all staff issues including hiring, disciplining,  ( `7 X/ c, r- D) `2 ^/ y
evaluating and terminating, as necessary.
$ X/ U* F$ S2 V# z To ensure that the Horowitz Theatre is adequately supervised at  
9 b, A3 K$ k# ?% l) Z9 r- p1 Qall times, this includes the development and implementation of such  - A$ I/ Z! Z' m4 D- X% x: g# s( _
schedules and rosters as may be necessary to ensure the effective and  
3 x% ]4 X8 W/ q- x2 scost-effective supervision of the venues at all times during which it  ) ?5 \% r1 h. i- b  H( t) q
is in operation or needs to be in operation.
8 \8 I/ C* G8 e# R( J, V6 [4 T·     To work with the Technical Director, when necessary, to ensure  * x$ L( i6 i5 F& I8 }
that an adequate and appropriate level of part-time staff exists to  8 b& E3 W' ^* l3 u7 M
facilitate the smooth operation of the venues and to ensure all  
/ p. E- Q2 L( krenters needs are met.
! J' h# V1 P5 O4 n·     To work with the Technical Director to ensure that the skills  
# N$ Z; l+ B/ @. p- J& dand attitudes of all subordinate staff are appropriate in light of  
6 Q9 w# j0 O0 Y5 E7 e5 m- ~! y9 |the roles they must perform. This includes providing adequate and  
' Q' q  b3 M$ U; ^/ }; veffective training (and re-training) in all applicable and  
, `& a8 K) S' ]" u+ F" \appropriate areas, and ensuring that the Policy and Procedures manual  
. n$ A  X: r8 ^1 G1 Z9 D" v+ |( b& ais kep up-to-date at all times.( v8 O2 @% e  R8 ]5 l
·     To ensure all staff are trained in and committed to providing  ) x) g  `. c! g- O& U0 i5 r
excellent customer service to all renters.% P2 ~5 J5 B$ e8 y2 n
·     To work with the Technical Director to arrange staff  
* w& u2 _* N. x9 k) [scheduling.  To handle payroll related matters, under the guidance  
  ^! y. W7 x' R) L( d' k- Oand direction of the Manager of Venues and Programming, concerning  7 v1 z5 M6 v2 j0 I( {! s
the staff of the venues.5 n( m, j/ N5 p
·     Working with the Manager of Facilities and Operations to ensure  
/ P( K. x# l6 L/ ~1 ~the appropriate setup/tear down of each venue.: r. r1 o  a3 |% f' W  |
·     Working with the Manager of Programming and Venues to ensure  3 s$ u# v6 ], ]3 h+ P
that additional requests such as licensed receptions are arranged.

a. To ensure, at all times, that the Financial and Administrative  - f1 g! k' \, Q- t4 Z
systems and processes utilized by or within the venues meet the  $ e7 H9 J9 i6 D! Y: J/ N/ H
appropriate standards, requirements and needs, and contribute in a  5 w! }6 L0 R4 e' Q1 K
positive way to the smooth operation and success of the venues. This  : e5 h* o# r! H- w' g
includes, but is not necessarily limited to, the following:
" c6 q, w+ Z2 ^; L. ~ To provide input and expertise in the formulation of appropriate  
7 f# T& R- o4 w3 M4 v" G& Toperating budgets covering the venues to the SU´s Manager of  
4 ]4 {, S( t. B2 r5 j1 OProgramming and Venues and to discuss and refine those budgets  
+ x* Y' U& ]7 ]  `4 L+ @Manager of Programming and Venues, and Manager of Finance &  
; I) k, ]6 R! B/ R0 U+ gAdministration prior to their submission for final approval.+ X3 l) f) g) j% @" e' S  r
·  To manage the venues in a manner which adequately and effectively  2 V: a9 o8 t! h0 U6 q1 S
reflects the budgets approved for the venues and/or which reflects  
+ l/ P' a6 V. V. O) |. _, Lthe best interests of the venues and the Students´ Union.
$ @- z& a/ ?. a( p+ H·  To function as the key player in the submission of financial and  1 {; I7 v7 \; }7 T+ G; f
administrative documentation covering the venues to be used in the  
2 }  m5 w5 ^8 Z; t# R" X$ ~compilation of monthly and annual financial statements, and such  % c2 O1 ^: u  t5 v5 M
other reports as may be necessary.; o- x+ n: n7 Y4 {% B1 O2 Q
·  To discuss those financial statements and other reports, together  ) e$ R. [; ?% s+ o! Z
with all financial and administrative procedures, with the SU´s  ) e4 w% g' O. N
Manager of Programming and Venues and Manager of Finance &  6 O" ^  K/ w& q& A6 b$ E
Administration with a view to determining and implementing action  
' |7 i3 d3 H) a! u+ g2 D1 faimed at improving the financial and/or functional effectiveness of  
* K; X5 e: p. z; r* |" ^the Horowitz Theatre.
0 o% _0 a2 A1 k( Q2 o% h* ]# ^$ ]5 ~·  To ensure the existence of adequate, effective and accurate job    D; M) {( v- L! M9 q
costing systems to be used in connection with the determination and  
. Q. _. J6 Z3 Z6 y! asetting of appropriate prices for rental and staffing rates for  
8 g2 a! D, w; h2 N8 h& Oevents held in the Horowitz Theatre.: z5 M7 x- |2 d3 @+ ?
·  To develop accurate documentation to be used in connection with  
9 i8 W2 q4 u* w1 ?( \4 |the billing clients, and to forward such documentation in a timely  * b* f" i) R. `( X" x% c
manner to the Accounting Department.5 |! |. Y; g& n
·  To recognize, address and handle all matters relating to financial  
; C* w2 W" P! R5 P- ]3 F$ i0 h1 Qand administrative procedures and systems in a manner which reflects  9 @- P9 e* Z7 _) u8 W9 R
the requirements of the SU´s Manager of Programming and Venues and  1 }% c  R4 ?2 ?8 Y/ j) D
Manager of Finance and Administration, and in a manner which  
6 {0 C* P' |" X3 w6 W/ b9 econtributes positively to the smooth operation and success of the  
6 P* ~' G7 g, E" N1 h" R1 w9 ]$ w% Ivenues.
* y* Z( l* D& K6 |2 n4 R! U3 B- X, F0 p; [* d
5.          Overall Roles and Responsibilities
; X# [$ |" T* u+ Ya.   To ensure, at all times, that the systems and processes used in  2 z& y2 X: z# q. H$ }* c: C1 l$ M/ c
renting the venues meet the appropriate standards, requirements and  
" t: A0 I- T$ H% Uneeds, and contribute to the smooth operation and success of the  
9 d- O; B4 {' {5 _, n: ~7 Qvenues. This includes, but is not limited to, the following:- m/ C; \8 \) l; ^, d; R% u

; v% Y: Y9 w0 g/ A7 f8 e# G" |$ Z·  To recognize, develop and set in place such rental procedures as  % ]! C  ~' C9 v. w
may be necessary to ensure the smooth operation of the venues, this  ' s% Y9 G' I1 V# C- n8 g8 H$ P7 y
is to include but not necessarily be limited to systems and processes  + w+ D8 l* v3 H1 X1 P" N
in the areas of contracts, inventory management, contract evaluation,  ; ~$ j* Q3 J3 o6 c8 E( [
pricing, costing, equipment usage, rental/contract invoicing,  ! i6 x7 S  }7 i9 ~% P4 R
together with such other systems and procedures as may be necessary  " Z5 D+ b& A! s* y1 j) g0 r' q0 M
to ensure the smooth, secure, efficient, cost-effective and  
/ s% U$ }& k8 [# q4 efunctionally-effective operation of the Horowitz Theatre.! D, B! `6 Y/ c2 O* V8 H
·  To recognize, develop and set in place such operational procedures  & ]& ]6 N' A1 n, ~( ?' k
as may be necessary to ensure the smooth, efficient and cost- " n4 S% H. B" [$ m# c  `% f$ [
effective operation of the venues.
2 [% w9 I5 u; e  [·  To negotiate rental lease agreements (contracts) relating to  
2 r' J0 }- [, g8 L: Y' L: xdates, rates, staff and miscellaneous charges.
: Y$ K- e1 c$ @  U: [3 h" x·  To ensure that adequate inventory is available at all times and  
* m; P$ B/ W' n' j, z0 G& Athat such inventory is stored and issued in effective and secure ways.( K5 d+ D& ~7 s- X0 @" D' e' P3 B
·  To consult with renters as to facility issues in producing their  0 e% p- t: f6 s' w  Q
particular event in the venues.4 _) p1 ]; ~* V9 W. n
·  To provide the venues on-site staff with such documentation and  
# b0 T2 O6 _' qsupporting information as it may need to effectively fulfill the  ' P8 z  C$ ?: t  N5 b' c
roles they are to perform to ensure the success of the renter´s event.0 e* S% Z# ^* `2 [7 x
·  To produce quotes in respect to staffing costs for a particular    e$ \& m; i' o' u, s% [
rental with consultation with the Technical Director./ E4 m& E& k: i& Q6 d
·  To ensure that all queries raised with the venues whether from the  5 u! q, ]3 f' [+ D& w- r' s
SU or renters, are promptly and effectively handled and adequately  3 A1 D4 n) ^: H/ i
answered, and to ensure that such action as may be necessary in  
$ W( e5 X7 n; {& N, E" T' Wfollow-up to such queries is taken in a timely manner.+ X9 \. H# q3 V: a8 g7 `) r
To ensure that the venues and its capabilities are adequately,  
! ^: }/ d  n9 z) Q# ]# `9 x6 _effectively and cost-effectively advertised and promoted, and that  
7 c7 U0 {( b% tthe cost of such endeavors does not exceed the budgetary provision  
; r! v- |- v4 D. O. }. tmade for them unless prior approval is given by the Manager of  
  q& \( A; B# }Programming and Venues.* [" R$ G! Z# J% {
·  To act as an informed and knowledgeable resource in the case of  % e+ c9 e& _0 P  C# _
significant challenges and/or problems surrounding the tasks of  1 }: A7 \! _7 m/ h2 B$ {
marketing, administration, operations, and any such other matters as  
% p- q% x' N  M; ?4 y' v8 Zmay provide such challenges and/or problems.0 g5 h7 w) q$ q% c
·  To attend such meetings as may be required to support the smooth  
9 }) E5 u* _5 b5 _" U! ?" d8 koperation of the venues or the Students´ Union as a whole.  p: E: Y+ P4 E
·  To perform other job-related duties as may be required by the  
3 b( J+ s7 Y8 ~$ z: O# V# r% yManager of Programming and Venues in order to ensure the smooth and

1)             Minimum two years related post secondary education, or  
; r9 e# }& m0 M6 c+ P7 I7 {an acceptable combination of education and experience.) M  f$ [/ r, |0 p& w
2)             Supervisory experience.. X: @" `! ]# C  l, m- B/ _
3)             Ability to create new initiatives with little or no  5 T& J: P" G( z$ k; z, K

4)             High level of creativity
