The duties of the Operations Manager - SU Venues are diverse and  
5 [1 ]( k2 c; b4 S3 X: k/ ?& g, kextensive, and are targeted at the all round smooth operation and  ! [+ f5 @9 s) K: a% U
financial and operational success of the Horowitz Theatre as well as  
5 B2 |4 x: U$ I8 a* }- J9 l8 Rthe logistical organization and smooth rental of the additional  
7 {8 l& X# x6 r2 gvenues within the realm of the Students´ Union.  In the light of that  
) [, N1 d" d: }! Y' ?breadth and complexity, it is not possible to fully define or  7 r. ~8 m! H9 m6 p/ ^
describe all roles and responsibilities in a document of this kind.   
& L7 d/ c- Z3 p' l- ^4 F& [' j  M9 UHowever, the main roles and responsibilities of the Operations  / A& i* z. O$ P  A

a.   To ensure, at all times, that the venues listed below meet the  
7 A: R+ r! o$ H0 q8 I* `; ~( Happropriate standards, requirements and needs, and contributes in a  0 k& ]  H& t" B- L0 m
positive way to the smooth operation and success of the individual  
" a, L! S, z+ K% E7 c1 rrenter.

·     Dinwoodie Lounge

b.   This includes, but is not limited to, the following:- C5 C7 Q/ t& N" i) f4 _( V
·     To plan the capital and supply expenditures to meet the  
* {0 A9 O4 c* c4 O* m+ C) hproduction and facility requirements.! D$ @% V/ G( F
·     To ensure the day-to-day compliance of the venues with existing  
* ^7 Y8 v; _8 R# }' V1 Nsafety regulations and building policies.  P( D& I8 V+ ]! {
To ensure that the maximum potential of renters is met.$ S: ]1 I  I6 _+ O, ~% y

2.        Marketing and Promotion1 K3 c# c, L. O8 o% m1 W

a.   To develop and implement a marketing plan for the venues that  ! K& R& j1 `5 _7 l$ n5 \- S
focuses upon advertising and promoting the venue to faculty,  + k2 B7 L1 ]& Q$ I2 d  A
students, and internal and external clients on an on-going basis.  8 G( \) k6 |1 ]  w; r9 a6 I7 V- \
This strategy will include implementing and/or delegating the following:: G, p" t5 ^/ w' K) w4 X: ^$ z) f/ a
·     To develop and maintain promotional materials, the Horowitz  
( _5 G( W( V( F/ ETheatre and SU Venues home page, newspaper and other advertising; to  * Y  t7 p) v/ C$ k4 Q$ c
take advantage of other internal and external advertising  . C$ b0 Z# @# b+ \9 P2 p9 O2 j
opportunities; and to develop press releases and other promotional  $ t6 ]# `  W6 m" R2 j# b
literature on an ongoing basis.5 J3 @: l6 P3 r2 T) ~0 p
·     To coordinate tours of the venues for potential renters.
/ j6 A& W2 y) o5 |  p  L·     To promote upcoming events in the Horowitz Theatre through the  / v1 \( F  k/ o+ J/ k! i
use of the Horowitz Theatre Home Page and the SU Events Calendar.
) m- [7 N) a& j, G( A4 Q·     To develop new external clients for the venues., S+ R4 S  t, |  j
- x5 t+ {; a  y. D. d. g8 |

$ n# D1 b2 r; |* X7 _. _3.        Staff and Supervisory Roles and Responsibilities
/ ^1 b- }' o/ L* ~
8 U0 g) y5 r' L6 B, ]9 q8 `. Ga.   To ensure, at all times, that the venues are adequately and cost- 0 ?. r9 a# q. [* }/ C' W% |
effectively staffed, and that the staff utilized by or within the  
, J5 j: H; e& ^! Bvenues meet the appropriate standards, requirements and needs, and  & F" n6 U4 z$ d# R6 \2 x
contribute in a positive way to the smooth operation and success of  
+ D7 q/ X' d6 ]/ I/ uthe renter´s events. This includes, but is not necessarily limited  
- N, V6 G. L5 oto, the following:4 }6 h5 u* V, z$ D: l' J) T1 b
·     To be responsible, under the direction of the Manager of Venues  
  n' Y) c' n  X4 k. W& P; [and Programming, for all staff issues including hiring, disciplining,  
: A6 X, j, M: \' }# Q8 hevaluating and terminating, as necessary.( |( \# I( H% k
To ensure that the Horowitz Theatre is adequately supervised at  & O8 u5 _' O0 `) J  J
all times, this includes the development and implementation of such  
6 Q! U4 y7 ?& x) p/ [2 |- ?1 w4 Dschedules and rosters as may be necessary to ensure the effective and  
0 Q3 K$ i: y4 n6 p' A+ ycost-effective supervision of the venues at all times during which it  
! Z* e) B; B  M) r% dis in operation or needs to be in operation.& t: x& H5 b- k
·     To work with the Technical Director, when necessary, to ensure  
& O* e" n6 D, P3 I! H' ?that an adequate and appropriate level of part-time staff exists to  
6 B) e$ i6 P% Y; ]! }* ~# j6 hfacilitate the smooth operation of the venues and to ensure all  , j2 v; u1 ], W
renters needs are met.
% b9 P- d& D; w3 y·     To work with the Technical Director to ensure that the skills  9 W: w) N$ N" V) w. J
and attitudes of all subordinate staff are appropriate in light of  
5 K3 f- T7 b8 g. a7 i, tthe roles they must perform. This includes providing adequate and  
4 K, ~  d4 h, yeffective training (and re-training) in all applicable and  1 n2 f- ^$ }6 r. o; U- ?* O1 y
appropriate areas, and ensuring that the Policy and Procedures manual  
# A9 t* n  |  I) Xis kep up-to-date at all times.
' i6 T( P! ?" W1 g+ U·     To ensure all staff are trained in and committed to providing  
* g5 s+ B( E9 G8 L& z8 hexcellent customer service to all renters.
5 u1 L* `2 ~) ^2 Y4 e6 F- P, _& G·     To work with the Technical Director to arrange staff  / p% v9 [$ ~* G/ Y+ j$ Z( V3 u# Y3 |
scheduling.  To handle payroll related matters, under the guidance  
' M" _% n" d2 J  land direction of the Manager of Venues and Programming, concerning  3 {: Q5 h% C- J) {; ?& m, |% ~
the staff of the venues.
2 V  I* N( ^8 T& S8 e& y1 X·     Working with the Manager of Facilities and Operations to ensure  , X. {+ T2 y# y* T! o4 W
the appropriate setup/tear down of each venue.: N' Q" G0 O* M0 A1 b
·     Working with the Manager of Programming and Venues to ensure  0 E5 k  V0 \4 `* t- t
that additional requests such as licensed receptions are arranged.- D0 T. L2 R2 G) H* G) j

; m: Z0 U# c, ~7 U2 k/ u4.          Overall Financial Performance
' [1 ~  u1 o0 O" v# C
# R0 R) x5 w+ n- `$ }* Ua. To ensure, at all times, that the Financial and Administrative  4 m1 m# }/ ]5 r9 j  V) p2 @
systems and processes utilized by or within the venues meet the  : V  X% N3 Q6 _; J6 U
appropriate standards, requirements and needs, and contribute in a  ; t& D0 O  O( I
positive way to the smooth operation and success of the venues. This  
, z. j: E# O, d8 Vincludes, but is not necessarily limited to, the following:
9 y% M6 S* S( q' b To provide input and expertise in the formulation of appropriate  3 r& t! i  K) N- ?$ \9 r6 _
operating budgets covering the venues to the SU´s Manager of  
0 v2 [( ?: R! E  R" T% Z* Y$ }Programming and Venues and to discuss and refine those budgets  4 D" _7 }" M# F. G9 w) N
Manager of Programming and Venues, and Manager of Finance &  
2 M5 i9 U' V) H% z7 mAdministration prior to their submission for final approval.
& G( M  j% U6 J' s* ?" n+ R+ {; E·  To manage the venues in a manner which adequately and effectively  + b; l+ Q5 r: N8 ?! `6 Z  p$ ^
reflects the budgets approved for the venues and/or which reflects  
9 Z1 l- P' L: Y3 \, xthe best interests of the venues and the Students´ Union.
( \; R$ Z# Q0 u6 u7 w·  To function as the key player in the submission of financial and  
/ L4 Q" @9 U; t8 q, eadministrative documentation covering the venues to be used in the  8 U* J6 _* y% l2 M! K
compilation of monthly and annual financial statements, and such    b+ F2 J6 a, K
other reports as may be necessary.7 H+ A3 T, Q" j, d
·  To discuss those financial statements and other reports, together  # x% A1 V% ], ?  Q/ g
with all financial and administrative procedures, with the SU´s  4 H# w& W+ J/ R0 I: s8 h
Manager of Programming and Venues and Manager of Finance &  ' ]) L$ C8 i8 s* b$ p
Administration with a view to determining and implementing action  
' q  U. @# u' p$ r- g5 |aimed at improving the financial and/or functional effectiveness of  
3 C5 y) s- n* X) ~3 H/ rthe Horowitz Theatre.' b0 b8 [/ @. F2 A) a8 k
·  To ensure the existence of adequate, effective and accurate job  % L* Y4 d9 |9 I* g
costing systems to be used in connection with the determination and  
7 R+ ^% B  W4 O; k5 asetting of appropriate prices for rental and staffing rates for  4 a6 b! q% h2 X$ }+ K7 w& T
events held in the Horowitz Theatre.
% Y  L. `/ o+ i2 E3 M·  To develop accurate documentation to be used in connection with  
! q/ d) t% |9 n1 Q/ N5 r" z9 l, hthe billing clients, and to forward such documentation in a timely  1 h, o+ z% j+ i7 c; y- u. }; S
manner to the Accounting Department.
. \( M, y. p# U8 \( E·  To recognize, address and handle all matters relating to financial  
. k6 Y; L, B% z/ I& Dand administrative procedures and systems in a manner which reflects  6 t" X& o5 h# g5 N) {
the requirements of the SU´s Manager of Programming and Venues and  
3 I$ @4 p/ O$ S# \2 y: {Manager of Finance and Administration, and in a manner which  
. x% |' j4 Z: e  r1 F' gcontributes positively to the smooth operation and success of the  
( _# o9 ]7 j! Hvenues.

5 [+ C7 g# u/ Q0 y" s8 |! T2 `5.          Overall Roles and Responsibilities
( j* ~/ K# e( _& J/ c; w1 _a.   To ensure, at all times, that the systems and processes used in    G( ?  B. m- _$ P8 F. m1 K
renting the venues meet the appropriate standards, requirements and  
4 ]$ b9 l$ O+ i# Wneeds, and contribute to the smooth operation and success of the  
5 b3 A  a8 _0 N3 s6 s# \/ Uvenues. This includes, but is not limited to, the following:2 Y* m) \$ A( s, y
5 ?& T$ ~* H) m( j8 S3 Z
·  To recognize, develop and set in place such rental procedures as  9 d% e* h% U1 q4 T  i
may be necessary to ensure the smooth operation of the venues, this  7 G; B7 n; ]) b; I; b
is to include but not necessarily be limited to systems and processes  ! L. I: `0 x2 b/ w; D1 {- x- H' P$ A
in the areas of contracts, inventory management, contract evaluation,    S5 k0 S, ?% Z9 V2 M' }
pricing, costing, equipment usage, rental/contract invoicing,  & }8 O( l' Q, y3 M8 e/ C$ }0 l, y
together with such other systems and procedures as may be necessary    m- G2 J( c5 w' N! l8 Y& K9 @
to ensure the smooth, secure, efficient, cost-effective and  ' @6 {" T' m/ S0 C4 v
functionally-effective operation of the Horowitz Theatre.
% T( m: Y9 Q% ]/ c4 G3 C·  To recognize, develop and set in place such operational procedures  
( Z# Y: H( @3 \2 V5 Qas may be necessary to ensure the smooth, efficient and cost-
2 Y8 q1 Z0 y" Leffective operation of the venues.
, Q) h# g2 s% M4 M. R0 c·  To negotiate rental lease agreements (contracts) relating to  8 d5 ~1 A0 q: t  z6 u
dates, rates, staff and miscellaneous charges.# V+ I% [; {1 r2 t6 R
·  To ensure that adequate inventory is available at all times and  2 ~6 b3 ?4 u: h* S
that such inventory is stored and issued in effective and secure ways.
1 h2 t( q8 ^: }% @·  To consult with renters as to facility issues in producing their  , P" ^6 N2 H. m, }( D  q
particular event in the venues.
2 X5 B) R, c# H3 p8 _: P2 I; R, }·  To provide the venues on-site staff with such documentation and  . S) P( I& `; \4 J( E4 {
supporting information as it may need to effectively fulfill the  
+ ?# L" q0 e" \0 J- h) \( qroles they are to perform to ensure the success of the renter´s event.
: \8 O1 o( g' Y/ S  Q4 i  }·  To produce quotes in respect to staffing costs for a particular  2 v* I" U) E( i0 h
rental with consultation with the Technical Director.: d) e2 O5 r  Y0 _% x! {. I* g
·  To ensure that all queries raised with the venues whether from the  
/ g3 T/ o7 f6 I& Q) m4 E3 u0 jSU or renters, are promptly and effectively handled and adequately  0 N( }) [- c# P1 a. P" b3 g
answered, and to ensure that such action as may be necessary in  * V- \$ {9 k+ V
follow-up to such queries is taken in a timely manner.+ l5 w8 g# ^( p
To ensure that the venues and its capabilities are adequately,  # T/ V0 f8 c; ~1 F7 t; c
effectively and cost-effectively advertised and promoted, and that  
9 w5 r( @' L, v1 o: bthe cost of such endeavors does not exceed the budgetary provision  & t6 A# E# z7 V
made for them unless prior approval is given by the Manager of  
" X% ~7 P* c8 G/ LProgramming and Venues.4 T& O5 f* W' _& j( ^
·  To act as an informed and knowledgeable resource in the case of  5 R: B. b) T% w, c, m
significant challenges and/or problems surrounding the tasks of  
9 H2 t: ~2 M$ q" i  v) F! umarketing, administration, operations, and any such other matters as  ) W3 J2 i, K" n/ L& ]7 J" S, K
may provide such challenges and/or problems.
/ y4 T8 ^" X! }6 K$ k·  To attend such meetings as may be required to support the smooth  
! z0 b: l/ E! v0 l3 d: V5 Poperation of the venues or the Students´ Union as a whole.0 w+ ?4 g5 w$ C1 T
·  To perform other job-related duties as may be required by the  $ R+ p8 [$ T* W7 X6 w4 S; _
Manager of Programming and Venues in order to ensure the smooth and  0 B% M4 c$ W4 z, w6 Q% Z& ~# c  W* h0 [
secure operation of the venues.

QUALIFICATIONS:
0 u6 h# u$ l; ]1 Z1)             Minimum two years related post secondary education, or  
# Q: w8 u  N9 A2 i8 n9 Aan acceptable combination of education and experience.
7 Y  R7 [" h% x2 u+ ^" A2)             Supervisory experience.
3 P/ j" ]6 v5 e1 }2 q: l3)             Ability to create new initiatives with little or no  
4 K  |. j9 t, B* i* I$ k, _/ zsupervision.
