The duties of the Operations Manager - SU Venues are diverse and  / h+ u2 h5 l5 S5 C$ ^  z5 W* ~
extensive, and are targeted at the all round smooth operation and  
3 F/ i) m2 {; g1 j, ^& _financial and operational success of the Horowitz Theatre as well as  1 M: G- m& A$ N+ b! n3 k2 t+ T
the logistical organization and smooth rental of the additional  & N6 i9 h% j8 M+ U
venues within the realm of the Students´ Union.  In the light of that  
; Z4 X; Z( g* H7 u1 Hbreadth and complexity, it is not possible to fully define or  
" T  y: s1 I' t5 I6 S1 s) {describe all roles and responsibilities in a document of this kind.   
& ~* x9 H$ J( }7 @7 mHowever, the main roles and responsibilities of the Operations  0 R1 h# o5 i/ a7 Y4 d

a.   To ensure, at all times, that the venues listed below meet the  0 j1 f! \* Y. n  z( ]
appropriate standards, requirements and needs, and contributes in a  : Y. }+ D, C4 f. r2 m
positive way to the smooth operation and success of the individual  
0 w+ |( |8 G! ?  j4 B7 yrenter.+ B' |8 t+ t4 m; A
·     Myer Horowitz Theatre4 z! s$ m; {4 z) P  Q% l
·     Dinwoodie Lounge
% E5 a+ h7 a2 ~·     SUB Stage

b.   This includes, but is not limited to, the following:" S; J2 `) K& [, o+ m5 C7 p
·     To plan the capital and supply expenditures to meet the  & q4 z0 W: x5 X& I9 M
production and facility requirements.
- `+ t2 f% [8 U3 t+ j·     To ensure the day-to-day compliance of the venues with existing  
  G2 V7 I3 d0 g, }safety regulations and building policies.8 d, `3 M4 p, W, @( E. ?+ [$ s0 g
To ensure that the maximum potential of renters is met.1 Y4 M5 p9 p* [# D

) p% z0 E/ ~4 e0 n  k3 i' {2.        Marketing and Promotion! u# L+ m' {. O% t. F8 Y

7 j) d* V  J" j! j3 oa.   To develop and implement a marketing plan for the venues that  
; x- T# E5 F* x8 e. b% `focuses upon advertising and promoting the venue to faculty,  
& I; y1 p! e1 H: Z8 Q+ P  Fstudents, and internal and external clients on an on-going basis.  
$ |" L4 p0 I9 i1 P! tThis strategy will include implementing and/or delegating the following:2 _6 D% t9 `& ?6 v$ {1 }% s( F! m
·     To develop and maintain promotional materials, the Horowitz  3 B2 X; [8 r9 l
Theatre and SU Venues home page, newspaper and other advertising; to  / |* Y3 t8 B6 @' Q& e5 G
take advantage of other internal and external advertising  
" r5 p8 |0 b( oopportunities; and to develop press releases and other promotional  1 v4 N3 A0 `4 Y+ [
literature on an ongoing basis.. ]1 ]/ x5 M4 _
·     To coordinate tours of the venues for potential renters.* y& e2 A( u+ U( E! c) c& J
·     To promote upcoming events in the Horowitz Theatre through the  
0 X, ~& H! e! u8 |0 Z; a/ wuse of the Horowitz Theatre Home Page and the SU Events Calendar.+ A) a/ g) @3 R- g
·     To develop new external clients for the venues.* V2 {1 K/ Q6 ~" A

0 p5 G3 l  i% ~, D; ^" ^' N3 X8 n, e9 l/ b" e$ ^, z0 e! G! t- F
3.        Staff and Supervisory Roles and Responsibilities2 W6 H4 @0 y  O9 _

6 {$ g7 [) E" Oa.   To ensure, at all times, that the venues are adequately and cost-
" l& y9 q. g% Veffectively staffed, and that the staff utilized by or within the  & W4 C& l$ t! |. J- N( _8 J
venues meet the appropriate standards, requirements and needs, and  
; y- j% @  P8 U' a# X' }contribute in a positive way to the smooth operation and success of  
& V; P. U3 D$ w8 E, D9 A8 Lthe renter´s events. This includes, but is not necessarily limited  6 Y5 ~5 Q: Y9 T/ W( L
to, the following:; V1 d: y& _* K. v/ `
·     To be responsible, under the direction of the Manager of Venues  * n% }+ T4 j3 H
and Programming, for all staff issues including hiring, disciplining,  
. E& D. v; E/ Z! G5 b* N# m. levaluating and terminating, as necessary.' |5 I5 a# U, T* n0 S
To ensure that the Horowitz Theatre is adequately supervised at  3 [4 ]2 }0 S7 l& F( t
all times, this includes the development and implementation of such  
) c) Y/ l+ \4 U+ G( m7 Uschedules and rosters as may be necessary to ensure the effective and  , ~" n, I# q7 k( {
cost-effective supervision of the venues at all times during which it  & z" ?/ f! }3 P$ G
is in operation or needs to be in operation.
4 q' p' M% e% Y5 C·     To work with the Technical Director, when necessary, to ensure  
$ V) {/ }* @& L* athat an adequate and appropriate level of part-time staff exists to    w, ^; O# g: `( h7 u( D
facilitate the smooth operation of the venues and to ensure all  # s9 [4 ~2 ^( K+ N2 L- h
renters needs are met.; t+ e- c; t+ g- C. m* H2 R
·     To work with the Technical Director to ensure that the skills  $ l( T1 a# V- @2 ~" p8 M- r
and attitudes of all subordinate staff are appropriate in light of  
; A0 r# `5 n9 Z- p( _the roles they must perform. This includes providing adequate and  : \+ h% I. k7 ~% W2 ^4 g1 _  \$ `" W
effective training (and re-training) in all applicable and  
6 c# [/ x. `2 Q" eappropriate areas, and ensuring that the Policy and Procedures manual  
& A; B4 |7 ?: [  H# w& ?" O# lis kep up-to-date at all times.0 m/ o# I) x8 F3 _
·     To ensure all staff are trained in and committed to providing  5 e4 [+ i: R) j9 J% O; U
excellent customer service to all renters.0 {  E9 p/ x, O4 N
·     To work with the Technical Director to arrange staff  " j3 [$ ^' d- c0 }8 ?6 V" T+ ]8 Q8 N
scheduling.  To handle payroll related matters, under the guidance  
( M4 _( p6 N* K& yand direction of the Manager of Venues and Programming, concerning  * w9 L5 }% [/ x! D  B, k4 j
the staff of the venues./ X: w5 H$ ^( r7 p- [0 G: R. A$ E5 W, c, V
·     Working with the Manager of Facilities and Operations to ensure  3 h% \% R6 w3 P! K
the appropriate setup/tear down of each venue.* c5 a4 o3 y; W/ J. `  D
·     Working with the Manager of Programming and Venues to ensure  
, r2 S% f7 z/ ]% V% ethat additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance( r# a3 E9 W/ u4 _4 }! H7 n

a. To ensure, at all times, that the Financial and Administrative  / j8 D6 c- A% i$ L# O
systems and processes utilized by or within the venues meet the  + N' P& [" {: \- S) [+ C- S
appropriate standards, requirements and needs, and contribute in a  
$ g( }( }: Z: epositive way to the smooth operation and success of the venues. This  4 g4 P" T: m2 `0 q0 J
includes, but is not necessarily limited to, the following:* @9 {% w. O3 U1 O: o0 Z3 |; X
To provide input and expertise in the formulation of appropriate  " ~0 V# @6 X8 w* W! @2 I$ b
operating budgets covering the venues to the SU´s Manager of  
1 a+ X' @) D! t. l& D  cProgramming and Venues and to discuss and refine those budgets  
6 R5 H4 C3 _: q; h9 g0 K% SManager of Programming and Venues, and Manager of Finance &  
) J) ?2 N0 Q- b* |Administration prior to their submission for final approval.
9 H% O1 e  T7 ?8 b3 i7 ~·  To manage the venues in a manner which adequately and effectively  3 d% b# E) h- O: d
reflects the budgets approved for the venues and/or which reflects  3 S7 ^! C/ s1 q- F  B
the best interests of the venues and the Students´ Union.5 }- B/ @- l4 m4 G$ b8 g; Y
·  To function as the key player in the submission of financial and  ' Y/ ^0 R! A( I+ d5 i, J
administrative documentation covering the venues to be used in the  3 v. }7 h2 k; b- V: p3 P, T
compilation of monthly and annual financial statements, and such  " K8 j) r4 H/ _( {$ x
other reports as may be necessary.
2 z, R* c. V9 t+ V' z8 @( `·  To discuss those financial statements and other reports, together  
2 W9 q) N* _$ Awith all financial and administrative procedures, with the SU´s  
4 g$ V3 V& ]- d- u5 cManager of Programming and Venues and Manager of Finance &  ( U% e) U' O8 M0 W0 m
Administration with a view to determining and implementing action  
6 g; h/ k0 y' saimed at improving the financial and/or functional effectiveness of  0 R- o  T& X' ?+ H8 P9 L5 H% A
the Horowitz Theatre.0 x% |/ d% G6 t9 J1 j
·  To ensure the existence of adequate, effective and accurate job  / l. g4 R  [, P4 J5 G+ Q
costing systems to be used in connection with the determination and  ) k( F; n) K' u2 x" t6 h* X0 |& `( ?
setting of appropriate prices for rental and staffing rates for  3 [( V* t. r7 x4 B2 ~# \
events held in the Horowitz Theatre.
- n# V3 ]5 m- P* X, ]/ Z3 J! A·  To develop accurate documentation to be used in connection with  
2 I; N9 h# F! b5 |0 U6 D5 }3 x0 _the billing clients, and to forward such documentation in a timely  
. n. a1 Z8 W; z( ~/ X7 M' dmanner to the Accounting Department.( b0 P, \  X% H# i& |
·  To recognize, address and handle all matters relating to financial  7 f2 r& X1 j# s" Y9 r2 i
and administrative procedures and systems in a manner which reflects  
+ |9 G" Z+ L: G) J; ~9 lthe requirements of the SU´s Manager of Programming and Venues and  
* Y+ Y* v6 C# L3 n9 hManager of Finance and Administration, and in a manner which  , S' ~$ z# S+ H7 s3 l$ i( p$ z
contributes positively to the smooth operation and success of the  8 J: n" r1 n; ^6 d; T7 j8 R
venues.
0 R7 }$ Y6 d* K7 t' n* B1 b
* Y# I; ~) k# D5.          Overall Roles and Responsibilities, I! S, S; B8 g  M# `. q7 U9 a* f
a.   To ensure, at all times, that the systems and processes used in  
7 h7 u( d' T$ y3 C  Trenting the venues meet the appropriate standards, requirements and  # n0 Z6 }/ T6 W; s# x4 j) C
needs, and contribute to the smooth operation and success of the  
/ u8 ^# L3 Z  Evenues. This includes, but is not limited to, the following:
' |2 V$ h3 {- G
1 v9 p" m6 x) n9 w·  To recognize, develop and set in place such rental procedures as  
( Q' t) W3 g" P! s2 F8 N2 kmay be necessary to ensure the smooth operation of the venues, this  
% W: D9 o/ C/ p% ois to include but not necessarily be limited to systems and processes  
- e% d/ d1 z$ b, Iin the areas of contracts, inventory management, contract evaluation,  ) t$ J# ?; D- J% G5 o; l, U
pricing, costing, equipment usage, rental/contract invoicing,  
- [0 k/ ?0 m8 ftogether with such other systems and procedures as may be necessary  ' n. d6 N8 B( Z6 w4 g
to ensure the smooth, secure, efficient, cost-effective and  
9 v" G+ N4 ^6 ~" Hfunctionally-effective operation of the Horowitz Theatre.6 h( q/ V& t% D) G
·  To recognize, develop and set in place such operational procedures  - G! }. h$ G) y9 n' J
as may be necessary to ensure the smooth, efficient and cost-
) E9 s: |- o0 e6 keffective operation of the venues.
4 Z% A7 D6 I( Q9 l$ b: Z. d1 A4 g8 d·  To negotiate rental lease agreements (contracts) relating to  . f+ C; B; d  w3 l9 W" [
dates, rates, staff and miscellaneous charges.
3 E" V  u9 D, g5 D·  To ensure that adequate inventory is available at all times and  
" e5 G( V" q$ c* h/ y0 t$ |5 N" f6 }+ ?, Ythat such inventory is stored and issued in effective and secure ways.
( g+ ?( w& J) s2 T1 u5 J·  To consult with renters as to facility issues in producing their  
1 H# v" f* L* V9 C! xparticular event in the venues.& \) z, Q# `8 D7 Q3 S
·  To provide the venues on-site staff with such documentation and  0 P1 Q* ^4 k. ~& V  X$ L
supporting information as it may need to effectively fulfill the  
+ W' K& E6 X, M- c4 f7 xroles they are to perform to ensure the success of the renter´s event.4 G  y3 k: I& @' K; k& s
·  To produce quotes in respect to staffing costs for a particular  2 s4 d, l4 n) [- y& H; D& w
rental with consultation with the Technical Director.* X  g9 t( Y2 j0 ]5 H6 N
·  To ensure that all queries raised with the venues whether from the  
1 [+ N7 s6 m/ GSU or renters, are promptly and effectively handled and adequately  
% w  D. K" Y7 M' S8 Oanswered, and to ensure that such action as may be necessary in  
, K" o3 `' Z8 yfollow-up to such queries is taken in a timely manner.5 h  c4 {2 n- x. l2 c
To ensure that the venues and its capabilities are adequately,  
3 i) X! L4 d8 [- d6 geffectively and cost-effectively advertised and promoted, and that  . Y. c+ x" f5 }0 q2 H6 V+ f
the cost of such endeavors does not exceed the budgetary provision  7 x7 J8 {; @4 Y( _3 }
made for them unless prior approval is given by the Manager of  5 Q" D* f$ C' ~. G( V$ V8 x4 l% q4 `
Programming and Venues.3 T( h7 j: {( T& G& C' A! L
·  To act as an informed and knowledgeable resource in the case of  ; f) f- H  r$ {- N/ k" k1 k4 \
significant challenges and/or problems surrounding the tasks of  " j) _7 t) M) t' J: k
marketing, administration, operations, and any such other matters as  
+ J- C* E5 `1 O5 c: Zmay provide such challenges and/or problems.
; h7 F, F- ?3 _7 L5 p·  To attend such meetings as may be required to support the smooth  . ^6 t; p3 v6 W0 e
operation of the venues or the Students´ Union as a whole.
$ g7 s7 c: f* f5 S·  To perform other job-related duties as may be required by the  
7 U; M* D8 X( L( i- HManager of Programming and Venues in order to ensure the smooth and  
2 P) S' x8 w" D+ e+ }# e6 osecure operation of the venues.
5 i! J# {5 N9 ]8 s: F; c$ s2 ?1 W, h·  To recognize, address and handle all matters relating to overall  
; `/ ]6 f. R( |8 U% O  voperations in a manner which reflects the requirements of the SU´s  
. S4 R8 Y, X3 K, I* G% d+ gManager of Programming and Venues, and Manager of Finance and  
2 d& O5 m" q- x, c2 L% i" [3 r/ zAdministration, and in a manner which contributes positively to the  2 F+ h8 e& j. B2 {/ d5 i  d9 b( z; D
smooth operation and success of the Horowitz Theatre.

QUALIFICATIONS:8 m' o3 o3 ]1 x
1)             Minimum two years related post secondary education, or  
' O" P7 ?7 h: Jan acceptable combination of education and experience.2 N( ]. @+ q$ G
2)             Supervisory experience.9 x8 C6 @  ^! \2 `
3)             Ability to create new initiatives with little or no  
1 w/ x" S+ M+ j6 I6 U& G3 Ksupervision.
