the logistical organization and smooth rental of the additional

positive way to the smooth operation and success of the individual

· To plan the capital and supply expenditures to meet the

focuses upon advertising and promoting the venue to faculty,
& N/ d8 b2 h/ J4 O% `: ystudents, and internal and external clients on an on-going basis.
6 M% k4 G- W2 F3 [3 Y( D( xThis strategy will include implementing and/or delegating the following:
2 q }7 D0 \4 c& G$ q/ h" ^# Q8 B· To develop and maintain promotional materials, the Horowitz 6 P" e$ I8 B: I: J! l* N
Theatre and SU Venues home page, newspaper and other advertising; to
9 I4 R4 w. e- }, e& M1 T! s( h, \take advantage of other internal and external advertising
7 A1 m8 ]; S* ]+ u3 i+ hopportunities; and to develop press releases and other promotional
- l7 m5 G. R( {: j1 Lliterature on an ongoing basis.
* y" b9 C% ~ d6 t' x! J5 e· To coordinate tours of the venues for potential renters.
0 Y( L; I. X4 p) m· To promote upcoming events in the Horowitz Theatre through the " U% C( D) u: Z$ M* G( e, g. ]
use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities
* {7 J9 N9 M7 ^, L7 I' E# Z' I& P
0 u7 m- a( B' n' ma. To ensure, at all times, that the venues are adequately and cost- 3 L/ V4 q1 W9 D% _) Y6 U
effectively staffed, and that the staff utilized by or within the
$ y- y' S" ~: w8 E ^4 @venues meet the appropriate standards, requirements and needs, and
; O# H A% F1 `4 m9 q# k' jcontribute in a positive way to the smooth operation and success of , U2 n9 l: B5 R9 J8 O
the renter´s events. This includes, but is not necessarily limited
: T% q) s, \0 C' _- ~0 hto, the following:
! e: W- u8 W. F- {' b· To be responsible, under the direction of the Manager of Venues
& l/ ~3 p' s' R( @, Yand Programming, for all staff issues including hiring, disciplining, 2 ^: a5 U+ e2 _) h0 c+ f' h1 T
evaluating and terminating, as necessary.
7 X! s& I4 D& `& g" ] To ensure that the Horowitz Theatre is adequately supervised at $ Y! c- t: K/ ~! H: q
all times, this includes the development and implementation of such ; k% N7 I$ T+ c1 `/ C# \7 S
schedules and rosters as may be necessary to ensure the effective and
! d9 `& }3 ] Pcost-effective supervision of the venues at all times during which it
1 }* [; j# [, A' `; [# `* o# Sis in operation or needs to be in operation.9 G( b, j$ `! f( c- J+ X
· To work with the Technical Director, when necessary, to ensure % W# x& |* w' T
that an adequate and appropriate level of part-time staff exists to
: }( |: V" x9 p; z: n$ ifacilitate the smooth operation of the venues and to ensure all
. f2 @5 L& ]9 U% V) _renters needs are met.
" X, R$ Q7 {+ a/ V: h( Z4 l· To work with the Technical Director to ensure that the skills " F6 ]' V0 o" R+ f. K' o. u- E
and attitudes of all subordinate staff are appropriate in light of
8 \, H _) q* i9 J! athe roles they must perform. This includes providing adequate and : v( x4 c4 G/ s! s6 W3 ]! |" ~
effective training (and re-training) in all applicable and
% T7 A1 N* r1 v+ \4 g& p kappropriate areas, and ensuring that the Policy and Procedures manual
; k% }9 _0 K( S, P1 l- M4 y6 Q$ ris kep up-to-date at all times.
$ `2 ]* x1 t$ a: p% ]6 H, C· To ensure all staff are trained in and committed to providing \$ ^9 Y- e/ h: \3 D1 _
excellent customer service to all renters.
8 X/ k! x$ x9 b9 L t· To work with the Technical Director to arrange staff
. x. Z' F+ ?8 n. m7 j% yscheduling. To handle payroll related matters, under the guidance 0 ?0 D" L5 [1 D! v- Q
and direction of the Manager of Venues and Programming, concerning
* \/ @8 }% }& ?( Jthe staff of the venues.
: z6 C7 G1 }. C- T$ v7 ~, \· Working with the Manager of Facilities and Operations to ensure " p& ?) v+ K0 V- R; f$ j3 P
the appropriate setup/tear down of each venue.

4. Overall Financial Performance, [8 {# u" M( S1 E

a. To ensure, at all times, that the Financial and Administrative ' O2 C+ ~: v3 D+ P# ~8 v
systems and processes utilized by or within the venues meet the
% s5 r/ F8 E& l3 N5 eappropriate standards, requirements and needs, and contribute in a
' U. S- ~+ M6 @9 ~! H! q- ?4 o1 Tpositive way to the smooth operation and success of the venues. This
+ l$ J1 b6 i8 O/ g, @' Lincludes, but is not necessarily limited to, the following:$ S( ^( p+ l# L# V8 U' K
To provide input and expertise in the formulation of appropriate : R/ G1 ]0 l% o+ m( H$ D( |" u
operating budgets covering the venues to the SU´s Manager of 1 A# F' O7 m9 m/ ~
Programming and Venues and to discuss and refine those budgets
+ ?" c: X2 o9 E, o4 qManager of Programming and Venues, and Manager of Finance &
1 J U1 C" C9 u3 H8 w% x3 n1 TAdministration prior to their submission for final approval. x& O6 O# k6 ~( v5 U9 R
· To manage the venues in a manner which adequately and effectively & ^' ], G0 d, ]/ o- v& V
reflects the budgets approved for the venues and/or which reflects , f' Y+ x% M6 H' h
the best interests of the venues and the Students´ Union.$ I1 T) N& a; J1 x, Z
· To function as the key player in the submission of financial and
B% m, v. s! s. `administrative documentation covering the venues to be used in the ; e4 j4 N! t- r
compilation of monthly and annual financial statements, and such " B& [' z" N; C4 ?) |" b

· To discuss those financial statements and other reports, together # D3 Y7 y+ ~9 D' B9 T
with all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action
7 A5 T1 i( n; e( taimed at improving the financial and/or functional effectiveness of

· To ensure the existence of adequate, effective and accurate job # Y$ x8 n, f* y0 X" r& f
costing systems to be used in connection with the determination and
5 W; R: B) y1 Z1 M/ z6 psetting of appropriate prices for rental and staffing rates for
7 b6 x% n8 N% ]3 kevents held in the Horowitz Theatre.
5 G1 W9 Q4 Z0 [. [+ @) w( X2 o5 j· To develop accurate documentation to be used in connection with ) x5 l }& w4 d. {
the billing clients, and to forward such documentation in a timely n8 c$ e7 @* i( ?$ w
manner to the Accounting Department.
; b" M9 Y, Y6 m, ^. P# P6 m· To recognize, address and handle all matters relating to financial
; @& _7 u1 d2 a C6 R( W; tand administrative procedures and systems in a manner which reflects 8 t0 Y' ^& ]' B9 u# Z. `3 j$ g
the requirements of the SU´s Manager of Programming and Venues and
% O6 Q1 H) M/ n: d* U" X/ E9 lManager of Finance and Administration, and in a manner which # }0 P9 s% [' v4 d$ l0 f0 g- u
contributes positively to the smooth operation and success of the ( [4 p- I f q( `3 h

4 f0 N! M1 R. y' y4 ^5. Overall Roles and Responsibilities
3 S& q+ g5 n% n- D- J( qa. To ensure, at all times, that the systems and processes used in 5 n) f% r0 E' [2 r% M; p
renting the venues meet the appropriate standards, requirements and
( i) Y6 y. H/ u: B+ e5 C. P+ ineeds, and contribute to the smooth operation and success of the R$ l8 w1 I/ ]1 C3 x1 \
venues. This includes, but is not limited to, the following:7 p* O" a0 s, m- S6 ^& O
" b8 `4 y# E, S I* H; z4 ?- e
· To recognize, develop and set in place such rental procedures as * r- ^6 t6 A4 a1 g) O" f7 l' a
may be necessary to ensure the smooth operation of the venues, this 1 b9 D& W6 ~+ D
is to include but not necessarily be limited to systems and processes & n' L& ^ @$ Z7 k
in the areas of contracts, inventory management, contract evaluation,
9 S( s0 U$ X1 [( o; s+ [# W8 E5 opricing, costing, equipment usage, rental/contract invoicing,
5 i4 o$ w+ z* [together with such other systems and procedures as may be necessary
$ }+ j' T E/ b9 Yto ensure the smooth, secure, efficient, cost-effective and
- I' N; u; D `* r( H# O: Rfunctionally-effective operation of the Horowitz Theatre.) {$ ?. R+ a$ u* {
· To recognize, develop and set in place such operational procedures 6 N0 j6 H' V2 A( y* p# ^3 ^
as may be necessary to ensure the smooth, efficient and cost- . t- N1 U1 p2 h. S- X; [" a8 I& Q
effective operation of the venues.
1 w# Y5 g3 l( r6 D5 p· To negotiate rental lease agreements (contracts) relating to 5 ] v0 N: d% ^5 s
dates, rates, staff and miscellaneous charges.8 w) w) x' @* l
· To ensure that adequate inventory is available at all times and
" x6 O) {, G& V/ [3 j- }4 hthat such inventory is stored and issued in effective and secure ways.9 J) ]8 A- A5 `5 `* f5 ]3 \; D
· To consult with renters as to facility issues in producing their
5 _8 f& O$ S/ `, }- k X% jparticular event in the venues.
6 q! ]+ H ^2 C& i, O· To provide the venues on-site staff with such documentation and * I5 \7 H! I) {, ]
supporting information as it may need to effectively fulfill the 2 U* U5 }2 C* d! [5 j( I
roles they are to perform to ensure the success of the renter´s event.4 X8 n, _3 A4 S7 K* I5 G9 x* @
· To produce quotes in respect to staffing costs for a particular
* t L' I s% K+ L& N1 Vrental with consultation with the Technical Director.& {' ]$ o9 ?+ ]
· To ensure that all queries raised with the venues whether from the
& k/ R' u. N- f# M5 J* HSU or renters, are promptly and effectively handled and adequately
; m) ^; m( T8 G% @answered, and to ensure that such action as may be necessary in ! h3 c5 l7 ` Y& h- v- o
follow-up to such queries is taken in a timely manner.
* v/ A( y+ o8 W9 K' m; @9 V To ensure that the venues and its capabilities are adequately, ) V( N* x X' V. q
effectively and cost-effectively advertised and promoted, and that 8 `( Q; B* y2 Z% \: Z7 M0 l2 `
the cost of such endeavors does not exceed the budgetary provision # w6 d7 x( v2 m( x
made for them unless prior approval is given by the Manager of : [! H6 u1 }* P' h4 s$ L; a$ H- G7 h
Programming and Venues.
+ r3 x) y# }5 m4 f· To act as an informed and knowledgeable resource in the case of 9 {' p2 o. N* v! p8 h8 I6 b+ s" W! d# [2 z
significant challenges and/or problems surrounding the tasks of 5 Q5 s- H% a0 c+ j- i3 } X8 |
marketing, administration, operations, and any such other matters as
8 n& u, d1 I7 Z0 I6 M! }3 L! Xmay provide such challenges and/or problems.5 D6 F4 \, D+ v& D8 ^; y
· To attend such meetings as may be required to support the smooth 5 d' S7 G( D4 s; O8 B9 @
operation of the venues or the Students´ Union as a whole.
