The Operations Manager - Venues and Programming will operate with a  ! E" d0 X9 h, \1 ]7 d3 l' |" R
direct line reporting relationship to the SU´s Manager of Programming  , Y* S; U( A# x

The duties of the Operations Manager - SU Venues are diverse and  0 a$ J4 T; ~, E7 D& }8 h
extensive, and are targeted at the all round smooth operation and  
4 f  H% t3 K" f5 w7 Afinancial and operational success of the Horowitz Theatre as well as  
; j1 S6 p0 K6 `the logistical organization and smooth rental of the additional  
3 R( @% W: \) p* e' Mvenues within the realm of the Students´ Union.  In the light of that  $ S# d2 ]- R, v  b1 e( C
breadth and complexity, it is not possible to fully define or  + J, H$ d9 }/ Y/ k/ }
describe all roles and responsibilities in a document of this kind.   
0 u$ G4 u% q- j' d9 F9 Q' oHowever, the main roles and responsibilities of the Operations  ( @1 c$ e7 |5 L
Manager are as follows:

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  
  A9 k0 I6 I9 K$ I, [( C( {7 k* R+ Cappropriate standards, requirements and needs, and contributes in a  
7 }% k- R3 }  V* j4 O2 h  o2 Wpositive way to the smooth operation and success of the individual  
& J6 |) G6 }" P& t) J+ W, x* drenter.
1 n- q& ?, I" m& g/ F·     Myer Horowitz Theatre. F& [, a8 E5 R5 e
·     Dinwoodie Lounge8 l1 m" `. \6 z  X+ y3 x, g4 p4 d  e
·     SUB Stage! J4 l9 C- K6 h- p- L

  n) G  A* a0 C% Gb.   This includes, but is not limited to, the following:8 W4 D1 s+ u+ [5 \" b; ^
·     To plan the capital and supply expenditures to meet the  
( [6 ]) R2 Q0 s* z  L5 H8 E, iproduction and facility requirements.
5 ^4 h) X! }. H: z. m·     To ensure the day-to-day compliance of the venues with existing  ' X5 n3 v. D. P) l+ v5 v
safety regulations and building policies.5 _& a! ?4 Y7 u
To ensure that the maximum potential of renters is met.

. ^8 B4 Y( |% W* b+ j6 _( \2.        Marketing and Promotion7 }2 R5 }# M6 \% D. p

' c: `  ^+ U# ~, xa.   To develop and implement a marketing plan for the venues that  ' n5 o& x- z& R* J& h
focuses upon advertising and promoting the venue to faculty,  ! Z9 M+ |# _! ]- a% a; _: K
students, and internal and external clients on an on-going basis.  
! E- D. P% K9 S/ m( ]; j9 ~This strategy will include implementing and/or delegating the following:  ^; ]! g' t/ f8 p4 A- g" F5 L
·     To develop and maintain promotional materials, the Horowitz  / v1 X% W9 Z" m* D& q$ ^% a+ {( J) B
Theatre and SU Venues home page, newspaper and other advertising; to  
+ }: |1 {4 ^( P$ I  \) }take advantage of other internal and external advertising  
9 ^6 P' [. }" k: copportunities; and to develop press releases and other promotional  5 Z% I1 F$ ]; J  z7 P
literature on an ongoing basis.
" X  T6 |9 _$ s4 g* H( G& [. C·     To coordinate tours of the venues for potential renters.2 @5 L' @! D; h$ y) K2 c1 d# A7 f
·     To promote upcoming events in the Horowitz Theatre through the  * I/ s) p) m  Y
use of the Horowitz Theatre Home Page and the SU Events Calendar.1 s% C/ m" c9 C! M
·     To develop new external clients for the venues." i+ g1 t" F; \

3.        Staff and Supervisory Roles and Responsibilities& M0 l) }* g& U& ?

7 S; Q& C. u, c' Q' |+ u8 |) ga.   To ensure, at all times, that the venues are adequately and cost-
. G: U/ F7 r% K  n( [! @% o7 \/ xeffectively staffed, and that the staff utilized by or within the  7 ~6 ?4 l3 m, s4 ~0 e( C6 j
venues meet the appropriate standards, requirements and needs, and  
+ \/ }* _3 H. ]2 ^- ~; Kcontribute in a positive way to the smooth operation and success of  
* l# `1 C1 w% z! V& ethe renter´s events. This includes, but is not necessarily limited  5 t3 N- K' a- I2 T
to, the following:2 a) c' G; d: \$ }
·     To be responsible, under the direction of the Manager of Venues  
& Z  y& Y  j- _! A& t. Sand Programming, for all staff issues including hiring, disciplining,  5 _* Y, |* P1 _0 |: O4 E
evaluating and terminating, as necessary.
4 T/ X- {) X+ A, u: i  m8 `7 D To ensure that the Horowitz Theatre is adequately supervised at  
3 p' }/ |0 o' t" W) g  Ball times, this includes the development and implementation of such  
7 Y4 I5 n1 Y9 q" ]5 O' C8 ]schedules and rosters as may be necessary to ensure the effective and  
: u0 f0 K' [3 o; Ccost-effective supervision of the venues at all times during which it    C! [/ x; y  l2 r; `0 F
is in operation or needs to be in operation.# U' Y8 u2 e  _" l
·     To work with the Technical Director, when necessary, to ensure  5 a( Y5 J0 Q9 z6 [3 Z
that an adequate and appropriate level of part-time staff exists to  
# o) l# ]' O. pfacilitate the smooth operation of the venues and to ensure all  5 n& F6 O# Z- I) v4 v( J
renters needs are met.
% ]- w. @! l9 V. x" {2 D·     To work with the Technical Director to ensure that the skills  
" v( E9 T, y# _0 O3 J6 E- E+ oand attitudes of all subordinate staff are appropriate in light of  
7 m+ K4 Y, j3 J& E- l& mthe roles they must perform. This includes providing adequate and  - p  L. b: Q2 v
effective training (and re-training) in all applicable and  
( W$ t) m& d# F& d0 W  rappropriate areas, and ensuring that the Policy and Procedures manual  
# f4 t. {" j7 F6 O, g# o. xis kep up-to-date at all times.& S: n! R) b3 ?0 ~) m1 _% c
·     To ensure all staff are trained in and committed to providing  
" [' C. m  I/ D5 b+ Pexcellent customer service to all renters.
) _7 a- R: c" h' j+ h9 J0 @' Q·     To work with the Technical Director to arrange staff  , r' ]9 ~* r/ c8 D2 h* y2 C. u1 k
scheduling.  To handle payroll related matters, under the guidance  
, B$ r' Y, ?" D+ t! _, vand direction of the Manager of Venues and Programming, concerning    \) s8 W4 X# z% ]
the staff of the venues.  {* f& J2 j3 f1 D& H$ D6 A
·     Working with the Manager of Facilities and Operations to ensure  9 `. d' J1 m5 }( p8 ?
the appropriate setup/tear down of each venue.
0 v: F# r, y+ t7 o% I2 W·     Working with the Manager of Programming and Venues to ensure  
9 O# d7 H1 `% F$ ythat additional requests such as licensed receptions are arranged.' ]2 T$ S- F( a: _' e; t

4.          Overall Financial Performance
" ^3 O( C" G: F% K8 S
9 f$ S! g3 r- R. }( U- N1 k* @a. To ensure, at all times, that the Financial and Administrative  
  k7 w6 J* N! D, `$ esystems and processes utilized by or within the venues meet the  
" M& d. s1 N: d4 x! _& Lappropriate standards, requirements and needs, and contribute in a  : v( V  ?; u0 S0 ~5 e
positive way to the smooth operation and success of the venues. This  
7 [& c$ ?. z! |  k- ~/ M5 `includes, but is not necessarily limited to, the following:: G- f0 X* |7 f- T! A4 d$ W
To provide input and expertise in the formulation of appropriate  
% u( C8 X/ n( r0 _" \% C* C7 w; z2 zoperating budgets covering the venues to the SU´s Manager of  1 |8 M  T( }2 Z" M( _+ ~/ p2 V' N9 ]
Programming and Venues and to discuss and refine those budgets  
1 o6 H2 }' l2 N9 q8 W$ |2 ?Manager of Programming and Venues, and Manager of Finance &  
9 @3 p) H) ~/ Z! Q) J. qAdministration prior to their submission for final approval.0 p2 Z4 P8 d% P3 g7 k0 ]
·  To manage the venues in a manner which adequately and effectively  & _! n4 b, s% ^, l4 o8 V. D
reflects the budgets approved for the venues and/or which reflects  
8 ^6 y" B+ |5 q( othe best interests of the venues and the Students´ Union.+ {6 K, n* v9 z
·  To function as the key player in the submission of financial and  
' D% y+ W5 S/ W) ]/ v4 t3 aadministrative documentation covering the venues to be used in the  
& {, y1 Q1 ~) k$ {$ j: }; Ecompilation of monthly and annual financial statements, and such  
0 O  x) k% X7 C* J  uother reports as may be necessary.# j( }5 }% r; T3 s9 n
·  To discuss those financial statements and other reports, together  ) ~  S4 j. e1 a4 x; q; N, u8 W
with all financial and administrative procedures, with the SU´s  2 w: z& m4 @9 D! _  ~' t# T  x* r
Manager of Programming and Venues and Manager of Finance &  
7 t1 v" O' L/ L& C* B% b& f9 R8 dAdministration with a view to determining and implementing action  
* v9 @7 n8 s7 ^- s; |- Eaimed at improving the financial and/or functional effectiveness of  
  n1 |  x& V; f0 o0 Fthe Horowitz Theatre.' n3 R/ r; q' [# \0 d0 K
·  To ensure the existence of adequate, effective and accurate job  
5 O% [4 y) q/ p' u& tcosting systems to be used in connection with the determination and  
$ @& l% C! i! V3 ksetting of appropriate prices for rental and staffing rates for  
- K+ e) u0 t5 ~events held in the Horowitz Theatre.
3 l5 k2 H2 [+ `# U·  To develop accurate documentation to be used in connection with  
4 j+ P* w7 o0 j) fthe billing clients, and to forward such documentation in a timely  
9 b8 f3 y4 H" u6 G2 e5 `) umanner to the Accounting Department.6 j8 j; j, A- S9 ]
·  To recognize, address and handle all matters relating to financial  
* M  q4 K: l  C+ r! J: Hand administrative procedures and systems in a manner which reflects  / f! ?  w( C/ I; L
the requirements of the SU´s Manager of Programming and Venues and  
% S5 N- P3 a' I/ N- x& yManager of Finance and Administration, and in a manner which  / ~* G/ j  J2 r: E6 x( d% W/ a
contributes positively to the smooth operation and success of the  7 u( E$ o8 W3 U- E8 T/ j
venues.
1 n9 C. J7 S% W% N6 w7 ^* |9 _8 H( l& B( F  B
5.          Overall Roles and Responsibilities
8 B, x$ `! M3 ^a.   To ensure, at all times, that the systems and processes used in  % w  O' |, @' t6 S
renting the venues meet the appropriate standards, requirements and  
, [+ @$ T# |( A" E/ nneeds, and contribute to the smooth operation and success of the  
0 |$ K/ L5 O- H: ]venues. This includes, but is not limited to, the following:
4 J0 {6 q+ @0 Q
& @; R( J! x- r, P  ?0 ^5 A) a% u·  To recognize, develop and set in place such rental procedures as  
/ c2 x) M  P# [! w9 ymay be necessary to ensure the smooth operation of the venues, this  
* d4 f7 D4 L. Z" C$ [5 i& tis to include but not necessarily be limited to systems and processes  
1 g& J9 x5 V# o! q& _in the areas of contracts, inventory management, contract evaluation,  3 a# T$ ~% |/ `2 c7 }# V8 n5 H
pricing, costing, equipment usage, rental/contract invoicing,  
4 P, I" {) T7 s( p+ }$ y& |$ utogether with such other systems and procedures as may be necessary  
) h( |9 O) j2 T; r6 s, p& b$ sto ensure the smooth, secure, efficient, cost-effective and  5 x) t$ `8 h  T9 q
functionally-effective operation of the Horowitz Theatre.
3 b, s. `% }; f8 R( O; J6 a3 z·  To recognize, develop and set in place such operational procedures  
- `1 m  X3 x' [" Das may be necessary to ensure the smooth, efficient and cost- ! E: D8 v( i. n/ D
effective operation of the venues.
% K2 A6 r* H% f8 t·  To negotiate rental lease agreements (contracts) relating to  
/ r3 T6 n; f/ Mdates, rates, staff and miscellaneous charges.
3 \7 `+ l7 n- k1 t) M·  To ensure that adequate inventory is available at all times and  
- j; M$ v* l4 [! Dthat such inventory is stored and issued in effective and secure ways.
$ ~6 j) \% Y5 ~/ Z·  To consult with renters as to facility issues in producing their  + i# ?, S/ o1 o2 e' ~) [) i3 P0 L
particular event in the venues.
3 `3 j# l( I2 p# J·  To provide the venues on-site staff with such documentation and  0 e* y% ]# H# @5 N8 b; U
supporting information as it may need to effectively fulfill the  0 O* m( g- x" x6 R7 R8 G; U, |
roles they are to perform to ensure the success of the renter´s event.; v# }8 [( k* d( P  H
·  To produce quotes in respect to staffing costs for a particular  
3 \- n4 c4 u  X6 x4 c( ]( M, e4 \rental with consultation with the Technical Director.
4 z. F" ]. k) x9 |; E6 V5 ~( Y3 L·  To ensure that all queries raised with the venues whether from the  
- D, s8 L! y' @* @& b8 _' R8 ZSU or renters, are promptly and effectively handled and adequately  
6 o/ U  e" q& h9 \1 Y6 panswered, and to ensure that such action as may be necessary in  + T/ |$ m- s# o7 t1 T
follow-up to such queries is taken in a timely manner.
$ K7 j1 k  O1 \ To ensure that the venues and its capabilities are adequately,  
' t+ U4 j5 |6 @" }+ R9 C+ xeffectively and cost-effectively advertised and promoted, and that  ; K7 L* l, n; p) u
the cost of such endeavors does not exceed the budgetary provision  + w/ h( b& o) e& s  [) x  e+ K
made for them unless prior approval is given by the Manager of  
9 F6 l: W' M  |) uProgramming and Venues.
2 @4 V4 Q/ d; t0 I: g2 m  h3 b·  To act as an informed and knowledgeable resource in the case of  2 u$ g" I% C. a+ _( }
significant challenges and/or problems surrounding the tasks of  
8 E3 j4 B9 w+ _' Dmarketing, administration, operations, and any such other matters as  9 f7 A# Q" x5 [8 V
may provide such challenges and/or problems.& j: c# y& I8 e+ k: p  g
·  To attend such meetings as may be required to support the smooth  
1 ~; w8 q: R" m  Toperation of the venues or the Students´ Union as a whole.
/ ^8 }! @3 N  G- C·  To perform other job-related duties as may be required by the  
& A" V, R; F2 N# vManager of Programming and Venues in order to ensure the smooth and  + X/ N) V3 Q7 v; m% Q
secure operation of the venues.- |- A: ~" T0 a" g
·  To recognize, address and handle all matters relating to overall  ! k, J0 o! v" ]* X2 j1 n
operations in a manner which reflects the requirements of the SU´s  ! L6 e1 k7 v( S) h8 f( O% Z
Manager of Programming and Venues, and Manager of Finance and  
# C! W: P) {% X) Q9 A  ?Administration, and in a manner which contributes positively to the  
& w! ~1 k) ?6 Bsmooth operation and success of the Horowitz Theatre.7 }  @- Z$ G. {% I$ {7 G

QUALIFICATIONS:8 v  w+ J6 x2 n' U
1)             Minimum two years related post secondary education, or  1 n7 M5 Q' a" R- D8 d0 Y: N# [' d
an acceptable combination of education and experience.
) k; z8 h6 h* a$ N$ \) u7 x4 D2)             Supervisory experience.
1 E7 G8 Y' i' d: Y1 u2 C/ {+ [$ P3)             Ability to create new initiatives with little or no  5 n/ L6 E, W. D) I- Q0 Q- {
supervision.
