General administrative, clerical and operational support for the branch - broken down into the three categories below.
2 O! I6 w# l- R( i$ k. q& v/ w" Y/ a; Z) E& l9 U
Accounting and Admin:
6 A2 ~+ b9 r. Oo Assist with generating new S.O.s, W.O.s and P.O.s.' Z6 d9 J( a' V$ m
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
& y5 ?2 h, L; [o Receive P.O.s in Glovia.
; O+ @; l2 r7 t- A5 s" R0 Ko Timesheet data entry for Glovia and payroll, on a daily basis.
( V# ^+ P) i+ u; x, t6 a* k- Go Coordinate the processing of new employees with assistance from HR department.1 k( T+ w* Y8 Y/ u9 o
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
+ b/ Q7 n7 N x6 I I; Y/ d; Fo Forward supplier invoices and backup detail to A/P for processing.
4 I) t# U/ k: G" ko Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.
" L' s; F$ r3 w1 g+ @( oo Processing of Visa and/or MasterCard payments.
' U" q1 C; Y/ x+ A. u+ pOperational:: K' j3 w3 m- L% I
o Maintain a customer database for use by all branch staff.. e0 g/ x& E" @2 C
o Input customer data into Goldmine (when Goldmine is implemented).
8 i2 a* q9 `+ C+ X" co Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.
6 B4 w4 S3 U2 C1 r" go Maintain service records and maintenance schedule for all company-owned vehicles.4 V1 b3 w Z0 c# r' J3 ]+ u
Clerical:. I2 w% ?5 J( i
o Telephone and reception.
4 G6 y2 v, J5 Mo Back up tapes, weekly, for branch server.+ j0 g2 Q. V) T5 L; `/ c) R
o Hotel and travel bookings.
7 A" @ d6 z `7 o8 Q M+ I6 Eo Maintain inventory of office supplies and replenish as necessary., m4 q- i; l1 f0 m
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

" i7 B0 R# z( ho Filing and archiving of closed work order files.
3 H ?$ I2 J- _- {o Other administrative tasks as required and/or as assigned.

• Experienced in MS Office software, general office equipment.
' ~ h, s8 B2 B6 g• Excellent interpersonal and listening skills.
) N" f9 f+ E# v/ w, d• Must be able to communicate effectively and professionally both verbally and written.; W7 A; e# ], D, N* `8 X
• Organization and multi-tasking skills.

• Able to work independently as well as a team.
