M1 ]5 fChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

& o0 C( k* @" s" p  s$ A# P* hCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns./ Q! m/ O4 `- V- I2 }

Key administrative duties:

/ D! r+ j2 J2 w4 D- P  N6 N• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.' M' T5 K1 f0 o3 ?( ^. w( {

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.7 P' q; B0 _4 Z+ s

• Manage office technology software licensing and hardware maintenance.; @$ h  \2 q) O

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes., V6 c% o  s7 q

• Meet weekly with Program Managers to define priorities.: e1 c) [$ S2 N# k( x) f( G

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.4 e0 y1 S. ]% n- ~' J: g# X

9 P4 x# j2 h' x3 A) ^, z7 |( q• Manage mail outs for fund development or education purposes with support of Program Managers.

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.3 I- z3 x7 [. Y. V* h1 ~

: p# e9 i+ n9 T# }3 O% e/ C) ^• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

3 w  l! Q! @$ q# J& W" s• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.2 }: ~5 s& n/ \. d8 r# b" V; q

• Support the management of requests for CFCA information and resources at public events.3 k& J! \; z$ U8 `: @; K

' \; A3 _' u7 ?& m5 F8 C+ \• Manage database and support distribution of print publications.

9 F  p5 h6 a2 u+ L• Provide administrative support for public engagement events and mail outs.' i( H; Q/ f& C( c

- T5 {  h$ |0 b( Z. o% Y• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions& Z; M8 x! J) _; n

0 Q5 A' c: J3 K7 n' K• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

4 P" ]  x* w1 G3 A" XSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.2 r% D- S5 E8 ]- k: \

This position is Permanent part time (20 hours per week during regular office hours).
