9 r4 g0 z5 Y( W8 fChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

9 E  S- m7 ^/ p# N  b4 J. lCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

3 U# L: l. b& j5 `* A• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.8 l, g# u! d' B' Y. t; h  v/ E5 A/ S# S

5 j  x. ]8 z1 g: v: z+ U• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.. n1 A) ?  X- V

, U( U/ H& k& @1 u: j. b! W" c8 \• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.& m& {; h& ~6 |! R

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

7 g- |9 J+ _- h8 N  Q0 ?• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

5 R: Z- Z' B6 U+ |  l" {• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.  l% S0 ?2 M% c! l/ M1 j

• Perform financial administrative duties as required.9 `; |. X6 N6 O% G& m+ ?# j9 c

Key program support duties

International Projects and Public Engagement/Communications:  \+ Y+ \9 \- i2 x/ g9 t6 f. x

• Maintain inventory of communication materials.; m" R1 a, M6 n/ C/ I. x

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.3 k# s& z- h7 ^3 f* m

' w) W- i# d( V' |2 X• Support management of online publicity and communication tools.

3 V4 f/ a2 _- E. f5 T, Y• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

$ H- a! }$ U2 f( [+ c  V4 P• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs./ w7 o' R6 m$ y& m$ H

/ f! R& g8 ]: ]' H$ S( K" N• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.( N, M1 O( M: M( r

Fund Development
- M! _& ^3 t; }' i! ?1 F
7 P9 \* s- X: ^) w6 Z, A8 J• Provide logistical support for key fundraising events such as silent auctions
% j- h1 H/ m  T1 @) Y6 k6 |; C( E3 O5 B: E  \, ?
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.5 W0 e3 W! R, y+ P6 s" a

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
" J+ z. Q- b; R3 y1 `! o2 I3 j* }9 o0 |4 l9 n4 O
• Support logistical work required for CFCA’s Annual General Meeting" {0 r1 N/ ~/ T6 z+ Z- S5 s2 c

* k5 E% x8 r# x9 ^• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.# w  N; e& o3 P  g, Q

Term:

2 V7 I: O  R# y$ @, e* ZThis position is Permanent part time (20 hours per week during regular office hours).
