Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

% V8 r) K& Q) {& j• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Support effective internal communication by recording and distributing all meeting minutes.! u) }# X* I: o D. i

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.7 i6 w6 k: L9 k/ t) q& W
; b+ x9 K @$ P( J# M6 s• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Provide administrative support for public engagement events and mail outs.4 K1 @' g& z% y
) @+ m" b o8 z- S+ s• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.- T- G5 ~' W, h: H( v* ]& O0 x9 X+ \
" N N$ R) P( \! d• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting$ L$ L5 ?) ]6 Y! g' K0 F

• Assist in administrative tasks related to donor recognition and event reconciliation as required.9 b& G* x2 R- \
; N% A* X$ x- m2 H" sSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.- ]3 B$ q+ P5 w- \2 ]

Spanish language abilities are an asset.
