Position Title: Receptionist/Immigrant Services Worker

0 M2 z) n1 Z$ f" c- ]# S* sPosition Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker. , S G# ^7 b3 u4 c% C" j; C% v
. s, `, N" L" I, a5 U$ @, W WKey Responsibilities:
2 Z: _$ j- q7 W• Answer incoming calls and route calls to appropriate person. f& M9 t+ B# }( {) j. m
• Take and deliver messages to the staff of ASSIST
2 Z+ S- V+ x. O: u/ \ p• Welcome clients and direct them appropriately2 j7 i& p8 {% I/ Q
• Order and maintain office supplies for the front counter
+ S, f% b" Q+ \1 S x& W( K3 o& p• Oversee the front counter when other front counter staff are on holiday or in trainings
% ~ S9 l( }8 o2 o6 c7 S8 A" A• Perform general clerical functions such as photocopying and faxing documents
1 t$ |5 k0 t, q4 Z• Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker
# I8 O# A+ w4 L/ x0 ]6 M- U+ o5 Z) F• Maintain and update the information boards with upcoming events* i( Z. S) Z3 z; ~7 z
• Assist the ISP team in reminding clients to appointments of workshops or other events
. n/ H4 l& C1 v: Y• Keep the reception area tidy and clean' ^3 L, c: Q7 b& i8 L
• Attend meeting and training to stay current on immigrant settlement matters
# L* C% x5 P' N' \! w C* s+ S( Q• Maintain front counter service files! E$ l* x# S5 J) }$ t: b
• Perform general office duties as assigned

Knowledge, Skills and Abilities Required:- n2 y# l* L% F5 ]0 ~' ^* C
• Excellent communication (verbal and listening) on phone and in person
$ g& c+ y5 S* S N3 K• Fluent in Mandarin and Cantonese as an asset
; W2 Q+ F4 v* G( y1 C• Good English writing and oral communication skills
' C: `, P. l; n* Y$ J; n• Ability to work with newcomers and general clients' j7 j2 m) } v: i
• Microsoft Office operation skills- Excel, Word, Outlook# b% `2 w; `; e w% w9 ^
• Ability to address multi-task and set priority appropriately
: x3 H5 a6 P/ a4 T/ s• Sensitive to the needs of immigrants with multicultural backgrounds

• Knowledge of immigrant services4 O+ H# a2 p8 v: p4 a9 g
Qualifications:
8 A" |4 J* g, M$ e6 l• 2-4 years of office and clerical experience ! ^$ K: C \6 d" k, _& V
• Receptionist or customer service experience in a fast paced environment0 K/ p% { R R5 s/ n
• Demonstrate workplace maturity and professionalism: x U' a3 T/ r! G6 ]
• Ability to work well under minimal supervision, t) s+ y$ Z( W6 ~: V
