Job Description

( r: K, ^) G' h7 o/ ePosition Title:  Receptionist/Immigrant Services Worker

G. g6 I: f6 @* G2 j( t  y5 iPosition Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker.

Key Responsibilities:
3 ~! Z, u& N) g•        Answer incoming calls and route calls to appropriate person$ H" v/ A3 R5 h; z) i
•        Take and deliver messages to the staff of ASSIST( c& |" f5 q9 w* y* t' o9 X
•        Welcome clients and direct them appropriately
5 `0 f$ z" M7 d7 e: b•        Order and maintain office supplies for the front counter
$ H/ A3 c# x+ N0 N9 d•        Oversee the front counter when other front counter staff are on holiday or in trainings4 t1 W( d- `8 \) x/ h  F3 \
•        Perform general clerical functions such as photocopying and faxing documents) @: P! `/ N( f$ h
•        Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker
" Y% ^& w& _' K  k. K•        Maintain and update the information boards with upcoming events
) g7 N+ `5 p6 @1 N, q& ?! J) U% K•        Assist the ISP team in reminding clients to appointments of workshops or other events
) v$ L; K+ |$ B# `% t•        Keep the reception area tidy and clean
1 z5 B, A8 }$ W& T6 t! a2 T•        Attend meeting and training to stay current on immigrant settlement matters
9 F# A' G4 r% C: {$ y- X, \•        Maintain front counter service files; x4 A& P: _' R7 i  X
•        Perform general office duties as assigned7 ^3 O' L1 u( n) ?) v* r& o  r/ F
•        Report to ISP Program Manager. a# D  r% j* g' ]6 I

•        Excellent communication (verbal and listening) on phone and in person
4 f8 q9 D8 W; o- G! j4 x•        Fluent in Mandarin and Cantonese as an asset$ Q5 f9 u( l4 l- ^3 W1 ]1 x
•        Good English writing and oral communication skills
1 R, X2 V3 X- |+ r•        Ability to work with newcomers and general clients
0 N$ V& G; a- u) x+ K2 Q. e1 y•        Microsoft Office operation skills- Excel, Word, Outlook
8 l8 T# Z3 \5 g1 V# z•        Ability to address multi-task and set priority appropriately 1 c% s( }$ L1 r& T' [; E
•        Sensitive to the needs of immigrants with multicultural backgrounds: v' y7 T! y4 d; n/ C( @% Y, H
•        Ability to work effectively in a fast paced office environment
; B% x3 Q! i. i•        Knowledge of immigrant services
; Z, `4 E: ?$ ~0 zQualifications:9 L  w: H# A) a
•        2-4 years of office and clerical experience
0 `3 H( H" U9 a8 |  A" P: h: o: c•        Receptionist or customer service experience in a fast paced environment, Q) v7 C) F4 w' R7 D2 P9 `7 i& e
•        Demonstrate workplace maturity and professionalism/ L. B1 c. S( I9 C7 f
•        Ability to work well under minimal supervision, Y+ Z: B, h3 E$ V. R" s& k
