! H5 y9 c1 M5 Hextensive, and are targeted at the all round smooth operation and
) H5 A$ S6 g& Q# d( e8 b& v1 g. ?financial and operational success of the Horowitz Theatre as well as ' D2 b; f& V* \9 ~
the logistical organization and smooth rental of the additional ; w) P, d2 f8 |8 |# R
venues within the realm of the Students´ Union. In the light of that " D1 ^" X1 \9 w' q4 a
breadth and complexity, it is not possible to fully define or ; m! \( T E- z6 T$ H) d) M
describe all roles and responsibilities in a document of this kind.

a. To ensure, at all times, that the venues listed below meet the

· To plan the capital and supply expenditures to meet the

safety regulations and building policies.

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that
! ]: g& a6 C) mfocuses upon advertising and promoting the venue to faculty,
: I1 O! k+ `- G7 }/ lstudents, and internal and external clients on an on-going basis.
% r$ I3 b/ B' T% s- p# tThis strategy will include implementing and/or delegating the following:
1 O! R+ ?8 ~# X# L· To develop and maintain promotional materials, the Horowitz
0 T, _3 J" t E/ F7 x8 `3 PTheatre and SU Venues home page, newspaper and other advertising; to , f) ^: u$ @: H" t
take advantage of other internal and external advertising % i# H; F0 q/ W8 w7 X
opportunities; and to develop press releases and other promotional
. b+ G6 z. t2 v* f" s' u& ~- Nliterature on an ongoing basis.
+ x2 Y0 W# G' {3 ^1 o6 A L· To coordinate tours of the venues for potential renters.! a# g: l1 J) O* |6 A. [9 ~ @
· To promote upcoming events in the Horowitz Theatre through the
& H: r) K# ]- I$ Ouse of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities: Z& S4 J5 y5 @* o, N0 [
& c6 S5 P6 p$ A/ b; [/ B% u* B, qa. To ensure, at all times, that the venues are adequately and cost- 8 j: c& N8 I7 S! @# E
effectively staffed, and that the staff utilized by or within the
& e/ ~5 T" O, j: g' j" ivenues meet the appropriate standards, requirements and needs, and 8 M/ v V+ O: b" b# Y3 {
contribute in a positive way to the smooth operation and success of
. j u% m0 l- B0 q0 c$ C9 I% lthe renter´s events. This includes, but is not necessarily limited 7 u, c. a( L ^# R0 M# }; h) k
to, the following:, }8 b- h9 ?5 y+ K( h' ^5 L
· To be responsible, under the direction of the Manager of Venues - E9 ?2 O& s3 k/ c4 F/ q. B
and Programming, for all staff issues including hiring, disciplining,
$ N8 g2 x6 T! e1 i' _! Uevaluating and terminating, as necessary.
3 c- R4 H, r: e2 _ To ensure that the Horowitz Theatre is adequately supervised at ) A9 {, m3 ]: E E5 j
all times, this includes the development and implementation of such & c* v7 z' y7 [9 n
schedules and rosters as may be necessary to ensure the effective and
& `. @+ |) y% F6 ?' W1 _% }cost-effective supervision of the venues at all times during which it 4 z2 i- s- n5 \, g0 R7 l
is in operation or needs to be in operation.
; _8 x7 o5 ~9 v0 t8 D" q* \· To work with the Technical Director, when necessary, to ensure
( u# S/ U4 o6 h% C: [" q6 Y: cthat an adequate and appropriate level of part-time staff exists to , y1 v u! T1 O! _
facilitate the smooth operation of the venues and to ensure all
" T% V* R7 T. b+ ?renters needs are met.
B' m: h" A: V; u9 u+ D Z· To work with the Technical Director to ensure that the skills
, m7 x; y3 [# fand attitudes of all subordinate staff are appropriate in light of
9 L; i+ i X* T6 s( w9 B+ {the roles they must perform. This includes providing adequate and
6 R" Q/ T( I, h/ L# _effective training (and re-training) in all applicable and
& T- r% y& s+ K- mappropriate areas, and ensuring that the Policy and Procedures manual % Z- J* }( ]. N$ n9 }: h' ^9 R6 ~
is kep up-to-date at all times.( d S4 N# f" D0 ?
· To ensure all staff are trained in and committed to providing
9 O* B) m+ Y: t# Rexcellent customer service to all renters.$ j2 R, ] Z9 l( [
· To work with the Technical Director to arrange staff
9 ?9 D2 ]+ B+ rscheduling. To handle payroll related matters, under the guidance
+ k4 Z, o n& [5 hand direction of the Manager of Venues and Programming, concerning " L, j. C d1 S6 I( @) Q
the staff of the venues.5 s# t# H7 u) ?: R( {
· Working with the Manager of Facilities and Operations to ensure ' }$ ^0 ~* {& o% C$ _! m9 U
the appropriate setup/tear down of each venue.
" H: W5 G! }' ?# O) `* V· Working with the Manager of Programming and Venues to ensure
' [, ? H, A/ l& g: s* [ {that additional requests such as licensed receptions are arranged.

a. To ensure, at all times, that the Financial and Administrative
; S! l+ Y+ s9 T( n5 P4 ~9 Csystems and processes utilized by or within the venues meet the
4 A4 Y& E' @1 eappropriate standards, requirements and needs, and contribute in a
5 h& m5 r6 z$ {7 u: c" Cpositive way to the smooth operation and success of the venues. This ( S7 |4 f$ o2 X- S7 Z0 p
includes, but is not necessarily limited to, the following:
: i9 X4 p* c5 @2 P% [: j& U To provide input and expertise in the formulation of appropriate
- _8 w0 O6 q6 w! b; Qoperating budgets covering the venues to the SU´s Manager of ) }5 R$ t5 @' j9 N4 s3 m9 F1 @- m
Programming and Venues and to discuss and refine those budgets * W( p1 p2 w/ Z+ {! K* ?& Z
Manager of Programming and Venues, and Manager of Finance &

· To manage the venues in a manner which adequately and effectively 0 m% K# n. X% l$ L' u. P+ j
reflects the budgets approved for the venues and/or which reflects / O V/ u- J3 L2 G& p. ~+ W. {4 V2 [
the best interests of the venues and the Students´ Union.
+ d# x7 L7 L8 z( z: t" v5 Q- G N; J· To function as the key player in the submission of financial and
% q( L/ _# N; @; Q8 a2 T$ W3 Cadministrative documentation covering the venues to be used in the $ D8 N+ ^9 ?2 ~# J! j5 V& B9 d
compilation of monthly and annual financial statements, and such
- u" E3 \6 w! G3 m+ Z Wother reports as may be necessary.. |9 F+ f o2 ^7 m. S5 [6 _
· To discuss those financial statements and other reports, together ( N% _* _" a: d2 q+ B
with all financial and administrative procedures, with the SU´s
, u9 b# p' j& I1 OManager of Programming and Venues and Manager of Finance &
! }1 d- I7 n9 q: P7 jAdministration with a view to determining and implementing action
3 [+ L5 `8 X# t9 E2 `+ H: j& u& naimed at improving the financial and/or functional effectiveness of
& f& k6 F6 a. R4 ^the Horowitz Theatre.& L9 V5 h0 z1 d) @5 }! |% v
· To ensure the existence of adequate, effective and accurate job
- [# p( f2 N7 J& O* q/ Scosting systems to be used in connection with the determination and
8 k d- S* `+ n" |setting of appropriate prices for rental and staffing rates for
- h5 X5 k" T% M- R" {events held in the Horowitz Theatre.
& k" O' R# @) A6 @+ a- q( g0 y3 _- d3 I· To develop accurate documentation to be used in connection with
0 W8 {& p' ~; Q- ?; i" V$ I3 ~8 e4 Qthe billing clients, and to forward such documentation in a timely 4 [; Q W8 ]$ a0 f" T# I
manner to the Accounting Department.

6 Z, {# I! A0 z; O" P$ }and administrative procedures and systems in a manner which reflects : ~- r* F- W( _- i
the requirements of the SU´s Manager of Programming and Venues and
M: w- t; _# J, t C/ SManager of Finance and Administration, and in a manner which
! }0 r7 K* O& t+ ^contributes positively to the smooth operation and success of the k" l: `, _" O1 O7 x) L2 m

5. Overall Roles and Responsibilities8 h2 Z, s0 r" g: g; c% w3 ^) E8 g* B
a. To ensure, at all times, that the systems and processes used in : ~3 P- j/ P7 G! |& `, i1 g0 N
renting the venues meet the appropriate standards, requirements and
- G4 |, Z! f/ Mneeds, and contribute to the smooth operation and success of the
" j! X) n! G9 `3 R# yvenues. This includes, but is not limited to, the following:- F& I/ Q8 k/ `* S
- q U+ `6 ~4 Y* U· To recognize, develop and set in place such rental procedures as 3 R! L4 S4 h' l p( g( B
may be necessary to ensure the smooth operation of the venues, this
( \5 l3 F" J8 l. Kis to include but not necessarily be limited to systems and processes " Q7 N- v# L% @. l! ?! [! H2 |
in the areas of contracts, inventory management, contract evaluation, 8 F+ z' ?" W* h, Z
pricing, costing, equipment usage, rental/contract invoicing,
8 m# t" V" S6 Y( J- l, _7 I4 e( C, \together with such other systems and procedures as may be necessary
8 B& V# m" g& s2 }1 k4 rto ensure the smooth, secure, efficient, cost-effective and
) w w h$ O: P* D. Pfunctionally-effective operation of the Horowitz Theatre.
2 @9 |7 T6 e5 ?7 N· To recognize, develop and set in place such operational procedures ; x- k) {6 g+ D5 c, r4 T- O' \
as may be necessary to ensure the smooth, efficient and cost-
' {$ \0 x$ P) leffective operation of the venues.
, W2 q9 G8 ~+ z: w; V9 ~· To negotiate rental lease agreements (contracts) relating to
" _8 t0 V$ X( w; ?/ S y Gdates, rates, staff and miscellaneous charges.
9 Q `, `, h; K: C6 R· To ensure that adequate inventory is available at all times and
+ S R6 ]+ N- y; [1 bthat such inventory is stored and issued in effective and secure ways.
' r( \1 F; X& n2 K7 L' @8 Z· To consult with renters as to facility issues in producing their 8 k* F$ I/ g- _( s! R* ^. n; m! e
particular event in the venues.
: _& _9 x/ V/ C. W2 `· To provide the venues on-site staff with such documentation and
& j# `- D6 k: P+ s) W5 a @supporting information as it may need to effectively fulfill the
+ B! N' _- ]0 b5 }- froles they are to perform to ensure the success of the renter´s event.# `" u; d* v, q3 E
· To produce quotes in respect to staffing costs for a particular
3 g, J! K! \+ Crental with consultation with the Technical Director.- x Q4 t( `. u- W& G& s
· To ensure that all queries raised with the venues whether from the
4 F, w5 n: o# V/ ^1 W) }1 \" dSU or renters, are promptly and effectively handled and adequately $ r- H1 O+ {+ I& Z$ l
answered, and to ensure that such action as may be necessary in
2 N$ {! U6 F5 [* S; g: ~' v6 }' f, M; [follow-up to such queries is taken in a timely manner.; ^) @& n, {; P( k x% H5 \% I( n K
To ensure that the venues and its capabilities are adequately,
3 M- e: \ w ]% o, W. ^$ neffectively and cost-effectively advertised and promoted, and that
' L+ W" }6 a) f0 E" qthe cost of such endeavors does not exceed the budgetary provision
* q E5 }! L" bmade for them unless prior approval is given by the Manager of $ m, k1 m; w2 g% t) S2 D
Programming and Venues.
8 S: L1 k1 _+ Z- A, A# ~+ ?- O· To act as an informed and knowledgeable resource in the case of
A0 h6 B8 ?1 H) Q/ B9 g2 F, lsignificant challenges and/or problems surrounding the tasks of $ V* V. C: r) E2 {- A
marketing, administration, operations, and any such other matters as ! X/ f0 P5 y5 d4 U
may provide such challenges and/or problems.# n5 _6 W' c* W
· To attend such meetings as may be required to support the smooth . E( }" Q: \. ^: X3 r
operation of the venues or the Students´ Union as a whole.

QUALIFICATIONS:
