The Operations Manager - Venues and Programming will operate with a

The duties of the Operations Manager - SU Venues are diverse and  
, t# ^" C* B2 ^0 _7 S5 j+ k2 sextensive, and are targeted at the all round smooth operation and  ) [5 F' W' r4 T- C
financial and operational success of the Horowitz Theatre as well as  & _' w0 N: @5 U3 f$ O
the logistical organization and smooth rental of the additional  4 F- u: f' m" Z5 H
venues within the realm of the Students´ Union.  In the light of that  
! y( @+ [* U# ]0 U' B# ^& abreadth and complexity, it is not possible to fully define or  ; W1 U( L. f. }' b
describe all roles and responsibilities in a document of this kind.   / _! e/ z* l% w4 G* b" K
However, the main roles and responsibilities of the Operations  
* c7 W7 m$ j5 `6 p% \/ EManager are as follows:

1.        Space Roles and Responsibilities

/ r; K! {) b% T- V" ta.   To ensure, at all times, that the venues listed below meet the  : R  l) e. ~* E% g: l
appropriate standards, requirements and needs, and contributes in a  / g- u% {& x- L* d5 w8 d
positive way to the smooth operation and success of the individual

·     Myer Horowitz Theatre

b.   This includes, but is not limited to, the following:
$ r. [! k2 b0 @$ u2 I·     To plan the capital and supply expenditures to meet the  ; M, N& k  p( g& ]" z% l( D( M
production and facility requirements.

To ensure that the maximum potential of renters is met.. e4 L6 h# {- a" W" C! \, I8 C

5 J* Z! M# U7 \! [+ a2.        Marketing and Promotion" p9 R1 v& d6 N0 y7 Y

* q. p9 l0 x* p; c0 [* ~a.   To develop and implement a marketing plan for the venues that  7 V; y1 p/ D( u  x
focuses upon advertising and promoting the venue to faculty,  
3 ?5 o% L% o- _( p9 P4 t" fstudents, and internal and external clients on an on-going basis.  
% u* ?0 U; c8 Z: l- UThis strategy will include implementing and/or delegating the following:: J. w  a- c/ a  O! V1 `
·     To develop and maintain promotional materials, the Horowitz    j( E  O" e: w5 ^" m: q1 H2 Z- T3 c" z
Theatre and SU Venues home page, newspaper and other advertising; to  ( |; r/ Q) n4 Q! d. x
take advantage of other internal and external advertising  
9 d# Z, f8 ^0 {2 t2 M. V0 U6 Z) Eopportunities; and to develop press releases and other promotional  3 b( e2 @/ J' ~
literature on an ongoing basis.
% Q& ^4 G4 }# K·     To coordinate tours of the venues for potential renters.
! V0 {- _* r4 }$ L0 f1 b·     To promote upcoming events in the Horowitz Theatre through the  1 K9 o" s0 h' _' W/ w2 J3 G
use of the Horowitz Theatre Home Page and the SU Events Calendar.
  M3 E5 p* J+ n+ N, b# H·     To develop new external clients for the venues.' ~( X  U, q* }4 }# X/ n
+ W4 S' P+ M1 X" i+ J: ~

3.        Staff and Supervisory Roles and Responsibilities! h0 }9 z% V" h% ^+ g' m% U

1 @1 O' R4 P% f! p( }# J; F4 ha.   To ensure, at all times, that the venues are adequately and cost- / y4 b/ Q# S: y& t
effectively staffed, and that the staff utilized by or within the  
2 ]: C" Y5 B; s) R& tvenues meet the appropriate standards, requirements and needs, and  
0 V$ T& \& Y+ ^2 e/ \contribute in a positive way to the smooth operation and success of  
7 r) }4 o) v$ N/ x2 othe renter´s events. This includes, but is not necessarily limited  ( \/ R0 r( Y' i" n+ f4 l
to, the following:
9 p. L: x/ _" {$ V% W4 \4 P·     To be responsible, under the direction of the Manager of Venues  
# i, V  d# T* k5 P9 s/ |and Programming, for all staff issues including hiring, disciplining,  + n! W& y8 K3 N5 M
evaluating and terminating, as necessary.
4 L3 l& t" K& Z& z; h! D To ensure that the Horowitz Theatre is adequately supervised at  - K; \0 `* Z. Z: \# g
all times, this includes the development and implementation of such  
- d3 ?0 {* S0 j9 wschedules and rosters as may be necessary to ensure the effective and  
* s6 c4 k  D* S! _- Y/ d  R( G! I9 Jcost-effective supervision of the venues at all times during which it  / D! d% E0 q. r, Z( s. G1 f3 `
is in operation or needs to be in operation.; E- S5 V+ H2 ?' z
·     To work with the Technical Director, when necessary, to ensure  ' Q0 N4 e* x& f0 m) E# N! P
that an adequate and appropriate level of part-time staff exists to  " U! H' Y' E% O; {. e" [2 m
facilitate the smooth operation of the venues and to ensure all  ) f2 F) I: M  j- P6 v
renters needs are met.
! Z: E3 r+ g  W4 j- d  p·     To work with the Technical Director to ensure that the skills  
, t7 e9 {3 w+ o7 e5 C2 K6 K8 Fand attitudes of all subordinate staff are appropriate in light of  ( o: D$ I; m: |) I. J7 S% i
the roles they must perform. This includes providing adequate and  . _5 l2 O( J1 d7 A0 l) w9 X  O
effective training (and re-training) in all applicable and  
8 K7 n* |7 ]: G& Bappropriate areas, and ensuring that the Policy and Procedures manual  
$ _& D$ M' W* W* ?+ e% Nis kep up-to-date at all times.% ~6 c8 W; \: D
·     To ensure all staff are trained in and committed to providing  
/ I7 x% [  P7 h1 ^/ ?, ^excellent customer service to all renters.
! I: E- A+ {3 e0 B7 `·     To work with the Technical Director to arrange staff  
- q3 \" h4 e6 A( r% \$ Q$ nscheduling.  To handle payroll related matters, under the guidance  
' |7 V) {$ V: `/ H8 Gand direction of the Manager of Venues and Programming, concerning  
6 j) G+ m4 B' s# p; R- X  [% ~the staff of the venues.; g6 @& O/ c: h% J4 d1 m
·     Working with the Manager of Facilities and Operations to ensure  - S9 ^$ D4 D  n8 F5 c' z; @6 |3 t; V
the appropriate setup/tear down of each venue.
  Q: w! Q4 z5 F8 v- y) Q·     Working with the Manager of Programming and Venues to ensure  
1 y/ \+ q4 p* F/ ^7 dthat additional requests such as licensed receptions are arranged.8 p. n: ]+ H3 N4 w" O4 X

4.          Overall Financial Performance* g  x1 \. \$ `

3 t9 q9 E2 c( X! `* Y* u5 l5 |" s6 Z7 Oa. To ensure, at all times, that the Financial and Administrative  2 S" H8 U7 t: ]/ s9 o
systems and processes utilized by or within the venues meet the  6 ]2 w2 x8 `4 U  ~
appropriate standards, requirements and needs, and contribute in a  , n( y# R0 M2 T- _6 G" s" Q
positive way to the smooth operation and success of the venues. This  
. O! ]  N& I- E, k# |8 K# jincludes, but is not necessarily limited to, the following:
, m+ E5 z% t! d5 Q& V0 s1 } To provide input and expertise in the formulation of appropriate  - o: G7 a7 a4 _9 r
operating budgets covering the venues to the SU´s Manager of  
5 p0 I/ B9 x4 i  Z% x, S( o/ w8 o6 a  s% U/ \Programming and Venues and to discuss and refine those budgets  $ G' ~% g& g  o% J$ x* D6 U# @
Manager of Programming and Venues, and Manager of Finance &  2 B; c! h# O$ o2 g" c8 [4 C
Administration prior to their submission for final approval.
4 f8 J0 h/ J8 V( F: v·  To manage the venues in a manner which adequately and effectively  - e% z# b; Q0 L& k( ]
reflects the budgets approved for the venues and/or which reflects  
) ^: ~8 r! }7 f* Kthe best interests of the venues and the Students´ Union.
5 Y8 A8 D$ |) n5 S·  To function as the key player in the submission of financial and  5 L* ?' m7 N3 Q+ C5 r
administrative documentation covering the venues to be used in the  , o. i) Q9 y, B$ u) s; l
compilation of monthly and annual financial statements, and such  4 v# F  v: [6 G- I& @
other reports as may be necessary.
" h- }6 G! \( d* K·  To discuss those financial statements and other reports, together  8 J- J- j7 t8 n& l* R. p# q
with all financial and administrative procedures, with the SU´s  
( D1 L( Z9 f" O3 {* s* I. p; cManager of Programming and Venues and Manager of Finance &  . E; `/ _$ P: d2 H7 ^
Administration with a view to determining and implementing action  & p+ b% a* ]2 ]3 p1 C$ e( [
aimed at improving the financial and/or functional effectiveness of  
9 w. w9 i) K* }$ u8 E$ Zthe Horowitz Theatre.
# E' ^1 c) R( ~& d·  To ensure the existence of adequate, effective and accurate job  
6 D( Y  @/ o, ~3 C. O. Icosting systems to be used in connection with the determination and  + \! H# C% D- O/ R- U
setting of appropriate prices for rental and staffing rates for  & K$ F' k* w! \8 P# y7 J7 E: K
events held in the Horowitz Theatre.
! J! x+ z( u/ h·  To develop accurate documentation to be used in connection with  0 w0 L6 Y) o' o6 |0 T) R8 Y
the billing clients, and to forward such documentation in a timely    q* l5 Z/ f9 z7 C
manner to the Accounting Department.
8 b& P4 u: }" Z% p# i·  To recognize, address and handle all matters relating to financial  
* [4 x1 D, i# m8 V2 m& t$ ~0 fand administrative procedures and systems in a manner which reflects  , b( A! \/ H3 V% m# D
the requirements of the SU´s Manager of Programming and Venues and  
( h8 S4 _! f3 s0 {6 a9 p0 pManager of Finance and Administration, and in a manner which  3 j/ P: M. _! _, S1 X4 k. o
contributes positively to the smooth operation and success of the  
. N& P; c1 ~& h/ l8 @venues.8 R- j" L$ B4 j" n1 U6 |, v+ t

5 k" `1 R- @* \4 P5 o; _5.          Overall Roles and Responsibilities
* F" v$ r! n1 q. E2 Y% P/ X6 Ma.   To ensure, at all times, that the systems and processes used in  
' m# I8 `/ B% drenting the venues meet the appropriate standards, requirements and  
% d/ a: L& H/ O# @needs, and contribute to the smooth operation and success of the  
, c, W' t; c) C3 ]( @' V$ a, d2 Nvenues. This includes, but is not limited to, the following:0 D! v# u. N7 O9 b

) ^) T5 r; L/ i# G0 E5 n·  To recognize, develop and set in place such rental procedures as  * C# p3 p9 A. d" f+ D
may be necessary to ensure the smooth operation of the venues, this  3 [* L) ?  T7 k1 `
is to include but not necessarily be limited to systems and processes  
! X1 a. m" Q5 ~in the areas of contracts, inventory management, contract evaluation,  1 |3 `- E6 m4 [) V) q
pricing, costing, equipment usage, rental/contract invoicing,  
4 d/ r  J3 W4 @3 ^  g7 Ntogether with such other systems and procedures as may be necessary  
- T" @; O, N, _5 e5 d8 o0 ?to ensure the smooth, secure, efficient, cost-effective and  4 s3 \. j: A* b4 _9 Z1 n* S
functionally-effective operation of the Horowitz Theatre.  e8 ~3 L+ {, [: i# p3 q
·  To recognize, develop and set in place such operational procedures    Q/ U+ y6 ]0 q& B4 ^
as may be necessary to ensure the smooth, efficient and cost-
1 e) e  ?# p& F9 geffective operation of the venues.8 m; x* d/ b4 Y1 f1 q
·  To negotiate rental lease agreements (contracts) relating to  . H' x# W) ~0 L: v
dates, rates, staff and miscellaneous charges., U/ ~* W2 n- g* p' Y
·  To ensure that adequate inventory is available at all times and  # g: {, X3 m9 c4 Q  T* _2 p
that such inventory is stored and issued in effective and secure ways.
1 r# X8 ^" _7 o9 g5 W/ i5 [·  To consult with renters as to facility issues in producing their  
9 P' P8 ]4 P* F0 eparticular event in the venues.
& }. O! E. C# A  x% M0 q/ l·  To provide the venues on-site staff with such documentation and  
! a  T  n8 Z, K' @3 _: `! Zsupporting information as it may need to effectively fulfill the    E. E7 B9 u/ d3 o+ [. n4 ^
roles they are to perform to ensure the success of the renter´s event.
, ?. r# V6 Q0 [; K' B: ^·  To produce quotes in respect to staffing costs for a particular  
/ W- v. X+ W8 H2 P" P! hrental with consultation with the Technical Director.' j) o' @' Y5 l% H
·  To ensure that all queries raised with the venues whether from the  
9 n6 `: R. f0 D+ _4 Q  g5 R; V+ OSU or renters, are promptly and effectively handled and adequately  
  \* O' m, i& C9 \% K4 f3 u, Canswered, and to ensure that such action as may be necessary in  8 v5 l! I& @6 q7 j9 N
follow-up to such queries is taken in a timely manner.
: y/ N& X8 n; _0 A3 ]+ N  K To ensure that the venues and its capabilities are adequately,  & d& e$ h2 D, E  n2 D8 l
effectively and cost-effectively advertised and promoted, and that  
/ f3 U( I0 I- Kthe cost of such endeavors does not exceed the budgetary provision  6 k! q' Y# H- }9 M
made for them unless prior approval is given by the Manager of  4 i/ A. ?/ k' x! l: g
Programming and Venues." H9 E" m3 d) P' |$ n) w! v
·  To act as an informed and knowledgeable resource in the case of  " D4 \3 |  ?2 L6 M: P& K/ R
significant challenges and/or problems surrounding the tasks of  
4 E" n$ G* W' g1 g4 z7 N" Amarketing, administration, operations, and any such other matters as  + a* P# n$ S) {8 t: X9 P
may provide such challenges and/or problems.
9 r# h" k) I7 S" z  A8 G·  To attend such meetings as may be required to support the smooth  * E5 _  e0 F" n; R, N4 n2 K3 L" j
operation of the venues or the Students´ Union as a whole.
3 z$ M* W1 N4 \) z% H·  To perform other job-related duties as may be required by the  
7 J9 x' V4 R: F; _/ vManager of Programming and Venues in order to ensure the smooth and  ( r. k2 n( u5 ]) k9 k$ Z

·  To recognize, address and handle all matters relating to overall  ' h9 U, Q3 F7 A8 A% _6 H: m
operations in a manner which reflects the requirements of the SU´s  / s: E+ }8 E- y' P# F
Manager of Programming and Venues, and Manager of Finance and

QUALIFICATIONS:4 T. y% @; b4 E" f, ]; i
1)             Minimum two years related post secondary education, or  
1 W3 m- j* l9 y7 A: C' M6 gan acceptable combination of education and experience.
$ @& k; I$ u& h* O9 u( p; W! |2)             Supervisory experience.
( |; c: W& A& x/ V# Y3)             Ability to create new initiatives with little or no  
1 j# W7 a$ }$ ]4 r. Wsupervision.
6 _) I5 ~5 N* `! ]. {  N- C4)             High level of creativity
* d1 f! K  [! ^5)             Knowledge of budgeting and staffing procedures.
