The duties of the Operations Manager - SU Venues are diverse and

the logistical organization and smooth rental of the additional
% j6 v; f. g! ]; G% |' qvenues within the realm of the Students´ Union. In the light of that

However, the main roles and responsibilities of the Operations

a. To develop and implement a marketing plan for the venues that

This strategy will include implementing and/or delegating the following:
! F# a9 B+ O, m· To develop and maintain promotional materials, the Horowitz 1 R3 y5 j- Z, c) H5 N
Theatre and SU Venues home page, newspaper and other advertising; to ! w1 {) [- N9 `* j: ?5 A
take advantage of other internal and external advertising
; G; \/ f+ t1 ]opportunities; and to develop press releases and other promotional
0 b1 \9 m0 ^! ?' c1 ^. bliterature on an ongoing basis.& \2 S& M( C6 }
· To coordinate tours of the venues for potential renters.9 e; S! y8 h3 r/ ~3 C$ D, g
· To promote upcoming events in the Horowitz Theatre through the

3. Staff and Supervisory Roles and Responsibilities
" Q* ~- J3 Y; P6 R* u+ d5 h0 L/ D0 K. P# M' _5 s, l. q
a. To ensure, at all times, that the venues are adequately and cost-
6 P: H( _) j5 |effectively staffed, and that the staff utilized by or within the
6 ~1 X+ }- I" gvenues meet the appropriate standards, requirements and needs, and
! s! V! d# p& m9 N! A& Jcontribute in a positive way to the smooth operation and success of
( B9 L1 B ]+ Dthe renter´s events. This includes, but is not necessarily limited ' L: o1 {; U$ d, A7 [. P
to, the following:
3 D' `, \' C6 E' f- B· To be responsible, under the direction of the Manager of Venues
0 |; |0 Z$ w7 |5 |9 qand Programming, for all staff issues including hiring, disciplining,
( o% ^* z2 b3 u/ Fevaluating and terminating, as necessary.
" x5 _7 }/ a/ Z& i7 s n- g& T7 p To ensure that the Horowitz Theatre is adequately supervised at
# d7 i+ p" N+ ]. \* k, ^4 E7 g" a& Vall times, this includes the development and implementation of such
" @9 Q- d. y: qschedules and rosters as may be necessary to ensure the effective and * ~& v E5 F2 Z8 W: X
cost-effective supervision of the venues at all times during which it

· To work with the Technical Director, when necessary, to ensure ! ?( ] W; z9 `
that an adequate and appropriate level of part-time staff exists to q# Q7 `# R' L6 F; z) e
facilitate the smooth operation of the venues and to ensure all % H( ]' o" {$ w% o
renters needs are met.
, D8 o) V: u8 j" c2 `9 C( d· To work with the Technical Director to ensure that the skills 9 @; [+ ~# S( f
and attitudes of all subordinate staff are appropriate in light of
: b5 f* `* i& Q# i6 J0 i1 Tthe roles they must perform. This includes providing adequate and 0 I. T: j2 l! s
effective training (and re-training) in all applicable and
* X' y& X( u. F8 V- ]4 Zappropriate areas, and ensuring that the Policy and Procedures manual 9 E1 y4 w# ]9 ~: h
is kep up-to-date at all times.

excellent customer service to all renters.4 S' G N% s# V) W! B' L
· To work with the Technical Director to arrange staff / `% C1 q) ?$ W1 B+ H
scheduling. To handle payroll related matters, under the guidance 0 t T3 R i! C4 i4 U$ U* N
and direction of the Manager of Venues and Programming, concerning " e" N# B+ \8 M# ?2 U- ^1 v J

· Working with the Manager of Facilities and Operations to ensure

· Working with the Manager of Programming and Venues to ensure

systems and processes utilized by or within the venues meet the

includes, but is not necessarily limited to, the following:( U# ~8 d, [& _9 z$ _
To provide input and expertise in the formulation of appropriate . Z& M4 m; I+ a- t0 L6 O
operating budgets covering the venues to the SU´s Manager of
7 N+ Z8 Z* ^( v. p. x+ OProgramming and Venues and to discuss and refine those budgets 4 ^% F* m0 M Z2 L9 j5 U+ F
Manager of Programming and Venues, and Manager of Finance & 3 t I) p5 X- j4 E7 z, e( @+ z+ {# U
Administration prior to their submission for final approval.$ U: c3 f' \6 t4 p% {$ w) Z
· To manage the venues in a manner which adequately and effectively 8 w2 n) F2 c# ~
reflects the budgets approved for the venues and/or which reflects / j2 [7 C4 |( ~$ R5 M# m
the best interests of the venues and the Students´ Union.# ^' v% v8 M) u. H" {5 @0 r4 W i
· To function as the key player in the submission of financial and

compilation of monthly and annual financial statements, and such 2 j2 I2 ?4 |2 t5 [6 ~$ I

· To discuss those financial statements and other reports, together

setting of appropriate prices for rental and staffing rates for
( {7 l7 F; ` a; F) l% tevents held in the Horowitz Theatre.( p; x a) L3 R) W+ s8 [: L# W
· To develop accurate documentation to be used in connection with
2 q- P' `3 p" rthe billing clients, and to forward such documentation in a timely 9 F: t/ Z+ z2 ]/ t& u9 C( r: _
manner to the Accounting Department.

: a" o! d' q! g" ~and administrative procedures and systems in a manner which reflects

5. Overall Roles and Responsibilities
9 }: h1 M* U3 a7 I8 Z3 y' N$ H& y" Da. To ensure, at all times, that the systems and processes used in . D# H+ ~, V$ x7 }+ Y/ R
renting the venues meet the appropriate standards, requirements and
; V6 M. t) V9 ?, x1 O) B: pneeds, and contribute to the smooth operation and success of the / t) V2 ~( q M3 B& S. b
venues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as , x9 F/ ?/ @' \) Q; @1 F
may be necessary to ensure the smooth operation of the venues, this ) k6 e+ T7 B5 y2 a
is to include but not necessarily be limited to systems and processes
# \' _) L; R/ l+ m) `+ z# K! ?in the areas of contracts, inventory management, contract evaluation, # O) e* d( m: u O: o7 N
pricing, costing, equipment usage, rental/contract invoicing,
2 O5 V4 Z. K+ \: {1 t- w& {together with such other systems and procedures as may be necessary ! y2 p" a& Y7 N
to ensure the smooth, secure, efficient, cost-effective and + U# S2 M* ^- [; o3 x5 F
functionally-effective operation of the Horowitz Theatre.
7 @( o, m. u: F, V· To recognize, develop and set in place such operational procedures ' W( n4 E3 A1 y. g6 u$ c- R- v
as may be necessary to ensure the smooth, efficient and cost- . S' M: A1 |6 h( | Z; G
effective operation of the venues.
4 h* x- k: E9 s! Q' i$ L1 z4 H· To negotiate rental lease agreements (contracts) relating to
: A' h9 }. B+ r' @, ?" w8 Fdates, rates, staff and miscellaneous charges.
4 B" R$ m$ o5 x7 W: }% q4 v· To ensure that adequate inventory is available at all times and
5 s) `4 ]. w' ^6 _7 U4 Gthat such inventory is stored and issued in effective and secure ways.
. i4 z/ J& H3 X; L· To consult with renters as to facility issues in producing their
2 M6 {/ N5 n {4 }2 f! y: pparticular event in the venues.
( U! Q8 W, E. I· To provide the venues on-site staff with such documentation and 8 h/ O$ m6 [9 c& w1 w* E4 V: ~) q
supporting information as it may need to effectively fulfill the 3 O* D3 C" ]3 U: m' g
roles they are to perform to ensure the success of the renter´s event.8 Q6 [4 B( o2 u& D
· To produce quotes in respect to staffing costs for a particular
+ z6 J. k6 ]4 v& Y; Z7 rrental with consultation with the Technical Director.
b, B6 z! F; t2 v( f$ n$ v, H5 N· To ensure that all queries raised with the venues whether from the ( [+ v+ W, W' C, N
SU or renters, are promptly and effectively handled and adequately % m, l$ k6 f3 H: R
answered, and to ensure that such action as may be necessary in - U/ g ^2 y& _1 H( Z' q
follow-up to such queries is taken in a timely manner.
/ f: S& ~, S1 h2 T5 X To ensure that the venues and its capabilities are adequately,
E- ~! d# m% O t9 aeffectively and cost-effectively advertised and promoted, and that ( r" x! `, I F2 A9 ~+ @; w
the cost of such endeavors does not exceed the budgetary provision
5 J1 r1 Z) G: s4 Xmade for them unless prior approval is given by the Manager of ; s: A$ O: O! }( |, I2 ~/ O( f
Programming and Venues.* J" Z- V# E4 k: M+ }$ N" @3 f
· To act as an informed and knowledgeable resource in the case of
Z5 \, C0 y+ p4 K# c# K2 osignificant challenges and/or problems surrounding the tasks of 8 x+ A: e9 C0 y x
marketing, administration, operations, and any such other matters as $ W( U# @5 U! @+ b& c2 ]

· To attend such meetings as may be required to support the smooth / |) O. Q; h$ f! J% a
operation of the venues or the Students´ Union as a whole.
