The duties of the Operations Manager - SU Venues are diverse and

financial and operational success of the Horowitz Theatre as well as

venues within the realm of the Students´ Union. In the light of that

a. To develop and implement a marketing plan for the venues that ; u0 U1 n5 T( F) t& X5 P
focuses upon advertising and promoting the venue to faculty,
- ?4 ?9 Q& g9 t" L1 ustudents, and internal and external clients on an on-going basis. , W# K& ^8 k1 ~2 z( p' h P
This strategy will include implementing and/or delegating the following:0 |( N* f: p9 e: P. F! h
· To develop and maintain promotional materials, the Horowitz
* L F' P( ~& g& \/ eTheatre and SU Venues home page, newspaper and other advertising; to
; j; i" b2 E0 z$ f# ~take advantage of other internal and external advertising % ]' @2 J5 b2 C
opportunities; and to develop press releases and other promotional
( d: P/ ^1 }" U( f3 qliterature on an ongoing basis.
! R1 A; M& |% [% F$ R· To coordinate tours of the venues for potential renters.
% P& m" i6 K$ { a1 W& r· To promote upcoming events in the Horowitz Theatre through the 7 G7 s2 i$ E2 c- O3 T3 p4 v
use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities! P# F8 N& q6 F+ W. W( b) ?) l
0 _4 l$ S7 i& Pa. To ensure, at all times, that the venues are adequately and cost- 1 Y) {+ i: _% H) ^5 p: o4 q
effectively staffed, and that the staff utilized by or within the ) A$ V: ?" \: F! C0 C
venues meet the appropriate standards, requirements and needs, and
* o1 @6 c/ a+ y; p# j8 Scontribute in a positive way to the smooth operation and success of 0 n8 a& G; R: g$ r6 V$ _
the renter´s events. This includes, but is not necessarily limited 5 D3 {% U7 b! ^; h% l7 A& _
to, the following:! E0 [3 {7 \% x
· To be responsible, under the direction of the Manager of Venues
: e6 Z B2 V& D/ [' Sand Programming, for all staff issues including hiring, disciplining, 8 d" {/ c2 C( K' K0 K0 w. d
evaluating and terminating, as necessary.4 ^7 V1 z0 v+ d4 r1 n% O
To ensure that the Horowitz Theatre is adequately supervised at
0 Q ^1 Z4 \& u! u5 g- V+ F xall times, this includes the development and implementation of such 1 N- G: K* w/ m9 ^2 q5 l
schedules and rosters as may be necessary to ensure the effective and 6 q. O( o+ T& v4 w! n
cost-effective supervision of the venues at all times during which it
2 `3 A& s2 U9 gis in operation or needs to be in operation.1 p0 j3 j. P2 q
· To work with the Technical Director, when necessary, to ensure
7 X% k9 \6 M3 e' Rthat an adequate and appropriate level of part-time staff exists to ' X, K4 C+ M u% P/ {* f
facilitate the smooth operation of the venues and to ensure all # J1 u2 |5 D2 N9 F5 v& O9 z! n
renters needs are met.$ b* E: s( g7 }& c
· To work with the Technical Director to ensure that the skills 9 T$ {0 z" C: [. n8 U+ C' \/ f
and attitudes of all subordinate staff are appropriate in light of
3 s" G1 R9 I) G2 l9 W3 I8 X$ ]the roles they must perform. This includes providing adequate and
/ A' E" k5 ^- y0 j3 W" ]effective training (and re-training) in all applicable and
- h: z1 Y( x/ h3 X. Rappropriate areas, and ensuring that the Policy and Procedures manual
! p' i1 N; D/ f2 }is kep up-to-date at all times.
3 }2 R0 Q2 k" U" v$ f3 b· To ensure all staff are trained in and committed to providing
* q: T1 _, Y& L% v/ `$ ]excellent customer service to all renters.

, j8 \" {, f9 P# }! f( {. I5 qscheduling. To handle payroll related matters, under the guidance 2 Y; |8 s: e/ I! u
and direction of the Manager of Venues and Programming, concerning
9 Y5 N4 U+ [# y2 R+ h- Hthe staff of the venues.
6 {. K. |7 a0 d( p9 ] o· Working with the Manager of Facilities and Operations to ensure
' }7 H; H( K; A5 Gthe appropriate setup/tear down of each venue.

' f4 F7 U- h0 K6 @: m3 ]+ Gthat additional requests such as licensed receptions are arranged.1 G5 p; k- U& T+ r0 k4 k

4. Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative * a: c1 m1 V* [4 C9 v k' p, m
systems and processes utilized by or within the venues meet the
, u7 t; ~) A) V j/ W8 x) y k& wappropriate standards, requirements and needs, and contribute in a " X& s9 i% Q3 Y7 {/ q1 J
positive way to the smooth operation and success of the venues. This ! k: j+ V0 v0 y+ k
includes, but is not necessarily limited to, the following:. _# i8 _9 `* p- `& x
To provide input and expertise in the formulation of appropriate
3 V2 {) f/ S5 L! y b, Yoperating budgets covering the venues to the SU´s Manager of
" P' x& u$ u& J& j3 b% }) YProgramming and Venues and to discuss and refine those budgets % j! L2 P5 s0 l
Manager of Programming and Venues, and Manager of Finance & 4 S8 I( r* [1 W9 y3 y+ d2 H# p: i
Administration prior to their submission for final approval.
! C2 D) _5 B5 z6 a& ~7 {) U0 m· To manage the venues in a manner which adequately and effectively 4 C8 u' j( W) Y) L/ o
reflects the budgets approved for the venues and/or which reflects
! t; {7 t/ ?3 s6 h) b6 n/ kthe best interests of the venues and the Students´ Union.
: W) j% [2 K, `* e· To function as the key player in the submission of financial and ) M! M# J9 r* i- j+ E
administrative documentation covering the venues to be used in the
2 S) F% Q+ X @9 m( K) ycompilation of monthly and annual financial statements, and such ' B3 e. z5 `( Y9 v5 z* \) M
other reports as may be necessary.
5 m" @9 L; x. N1 y· To discuss those financial statements and other reports, together
) M+ u) J- o0 t# {# W" L; lwith all financial and administrative procedures, with the SU´s
- i$ X, h% w" EManager of Programming and Venues and Manager of Finance & 9 Z+ |2 Q- a4 I9 D- O
Administration with a view to determining and implementing action ( g6 U* o( I7 A% i; b
aimed at improving the financial and/or functional effectiveness of 8 V- f0 o" D2 p. u# u4 w
the Horowitz Theatre.9 w w4 q5 v( Z0 r
· To ensure the existence of adequate, effective and accurate job 7 Y" v+ A) a, L& F. F( x, P d
costing systems to be used in connection with the determination and 1 ^- n8 G8 B' U' |) v0 ~
setting of appropriate prices for rental and staffing rates for
8 E# G3 t" U* Qevents held in the Horowitz Theatre.
6 w- n2 L* C# K2 x1 Y9 S1 Q· To develop accurate documentation to be used in connection with
p# g( m1 @3 E. ]the billing clients, and to forward such documentation in a timely $ t, Q. _3 j5 ?8 S" t
manner to the Accounting Department.
+ s+ z) T9 H4 W- k· To recognize, address and handle all matters relating to financial 2 z) ?: S* C5 R' d2 s( ~3 j; C
and administrative procedures and systems in a manner which reflects # i# X8 c8 `/ Q' W
the requirements of the SU´s Manager of Programming and Venues and ' L3 K3 ~4 y8 } Y2 U0 C; y
Manager of Finance and Administration, and in a manner which
" q2 T* B" A6 f' A2 O' b8 ]/ Ucontributes positively to the smooth operation and success of the " r2 G7 z k8 V7 Z3 P
venues.

a. To ensure, at all times, that the systems and processes used in
0 g4 p3 p3 W$ ]( O$ P9 Rrenting the venues meet the appropriate standards, requirements and
, g* o1 {0 [+ V7 Q) Jneeds, and contribute to the smooth operation and success of the
% u$ f0 o' C! n# s* t! {venues. This includes, but is not limited to, the following:

3 E) k9 r4 W- z; [' z& {% `· To recognize, develop and set in place such rental procedures as + y9 i, w' `% v" r- H/ @- B
may be necessary to ensure the smooth operation of the venues, this
' e5 @/ i0 H- V" {5 Yis to include but not necessarily be limited to systems and processes 4 U: D4 w# e- r$ B+ V$ R( g
in the areas of contracts, inventory management, contract evaluation, 2 M' O0 i" }+ |
pricing, costing, equipment usage, rental/contract invoicing, 0 C: m! i3 v6 w/ j
together with such other systems and procedures as may be necessary 3 N, p8 Q* C: C9 o
to ensure the smooth, secure, efficient, cost-effective and $ d$ D) q/ g9 `! v( P9 r
functionally-effective operation of the Horowitz Theatre.
2 j. O4 Q: C4 U/ ]# U$ j& {· To recognize, develop and set in place such operational procedures 8 g: C0 L- H% V$ F% b
as may be necessary to ensure the smooth, efficient and cost-
$ Z t( P: Q( s" \3 \. Meffective operation of the venues.( R7 z' e3 ]. X* [! U c7 q. b
· To negotiate rental lease agreements (contracts) relating to : i* ]/ q5 T! l3 q
dates, rates, staff and miscellaneous charges.
: E. d+ `. r( b8 e· To ensure that adequate inventory is available at all times and
f y/ m5 s# c% A( ^( d( e6 Q- Lthat such inventory is stored and issued in effective and secure ways.
$ B( Y: J7 }. P( g! k· To consult with renters as to facility issues in producing their 0 _5 I7 y" b$ k& q* H
particular event in the venues.
) }4 s- Q! ?0 L) C8 J: w· To provide the venues on-site staff with such documentation and
" P0 ~) s- {, {' p9 G* S) _* Asupporting information as it may need to effectively fulfill the
2 _# U9 b9 J' }8 nroles they are to perform to ensure the success of the renter´s event.
1 w5 g K+ D% ]* ~/ {+ Z· To produce quotes in respect to staffing costs for a particular * _( y' V+ [/ x3 s: f5 d
rental with consultation with the Technical Director.
. A3 E9 V; |) ?! n# m; k# [: Y: Y% K· To ensure that all queries raised with the venues whether from the ( E6 m: D# A5 J0 S) h: [
SU or renters, are promptly and effectively handled and adequately
8 J4 p f1 \8 e' V7 h M3 ^answered, and to ensure that such action as may be necessary in
( K! f+ O2 l! ?3 g# r* J/ k" m1 Gfollow-up to such queries is taken in a timely manner.
! W( e" Z( q5 T/ l To ensure that the venues and its capabilities are adequately, / O# z# ?$ l! D4 k# ?
effectively and cost-effectively advertised and promoted, and that
0 i P( q6 c3 P" }the cost of such endeavors does not exceed the budgetary provision
: M" I! `5 W7 E# ~made for them unless prior approval is given by the Manager of 3 H" r& x' l% W5 u0 ^
Programming and Venues.
, f2 \* W R6 \: J) m3 \$ _6 Q: F· To act as an informed and knowledgeable resource in the case of 7 X5 d q+ x, C
significant challenges and/or problems surrounding the tasks of # L1 O: \, t4 e5 t4 M+ G* V
marketing, administration, operations, and any such other matters as - X. v T& B2 V- }6 N, w
may provide such challenges and/or problems.
7 P- b/ i5 \: z· To attend such meetings as may be required to support the smooth " p% p! D) x5 l$ L0 ~5 ^
operation of the venues or the Students´ Union as a whole.
