The duties of the Operations Manager - SU Venues are diverse and

financial and operational success of the Horowitz Theatre as well as 4 U. z# h0 |; g1 ]+ ^4 ~- F& H, \
the logistical organization and smooth rental of the additional , `# N2 N- b( P* n
venues within the realm of the Students´ Union. In the light of that

a. To ensure, at all times, that the venues listed below meet the

renter.

a. To develop and implement a marketing plan for the venues that : ]8 K N4 G4 C7 {4 c! T
focuses upon advertising and promoting the venue to faculty,

This strategy will include implementing and/or delegating the following:

Theatre and SU Venues home page, newspaper and other advertising; to
, a& ] l' L6 Ytake advantage of other internal and external advertising 2 b; \9 B V9 S% H3 M
opportunities; and to develop press releases and other promotional ; W) a) o# j, K, a/ {, L1 I2 T
literature on an ongoing basis.& z8 ?, j/ t% e) e$ G
· To coordinate tours of the venues for potential renters.

use of the Horowitz Theatre Home Page and the SU Events Calendar.

a. To ensure, at all times, that the venues are adequately and cost-
: a- K8 P$ P: S7 W* e1 qeffectively staffed, and that the staff utilized by or within the ( r2 d7 N, I0 q( {
venues meet the appropriate standards, requirements and needs, and
- n: U! [6 C( ycontribute in a positive way to the smooth operation and success of 8 Q( j1 m. I& y1 v2 t
the renter´s events. This includes, but is not necessarily limited ! e3 s3 ]7 X/ c8 ?7 _
to, the following:6 R+ _7 `; I( v6 w3 v( T
· To be responsible, under the direction of the Manager of Venues
9 N6 l; x- J7 E$ @/ i& Tand Programming, for all staff issues including hiring, disciplining,
- H% \( D0 y" o4 x3 Yevaluating and terminating, as necessary.: M4 Y7 Z, q! a+ H; b
To ensure that the Horowitz Theatre is adequately supervised at 3 C' a! @9 A4 g1 N3 Z( Y
all times, this includes the development and implementation of such . V5 n" m: I0 D# a9 S
schedules and rosters as may be necessary to ensure the effective and , m) u! s5 z7 c4 g9 b- c
cost-effective supervision of the venues at all times during which it
/ y; m9 Z4 T- ~! ]is in operation or needs to be in operation.- E3 P0 e& C# Y! w- P
· To work with the Technical Director, when necessary, to ensure
2 p, N) w+ I, n5 o4 r gthat an adequate and appropriate level of part-time staff exists to # o2 \; e0 z& j1 s h1 g
facilitate the smooth operation of the venues and to ensure all
5 T! D3 h# d; l9 k1 u% Jrenters needs are met.
) Q' u' u* b+ z7 _' W1 H; W2 b· To work with the Technical Director to ensure that the skills ; b' @5 A# m' S, I' n- ]
and attitudes of all subordinate staff are appropriate in light of
9 m* H8 I7 o' b6 ^# Othe roles they must perform. This includes providing adequate and " U9 H Y) C) G/ |( W/ M1 s3 X
effective training (and re-training) in all applicable and & K1 c( {$ U$ y6 E+ p
appropriate areas, and ensuring that the Policy and Procedures manual

· To ensure all staff are trained in and committed to providing

# ?) u2 a5 y( cscheduling. To handle payroll related matters, under the guidance
* A8 Q2 {3 Q! v/ [and direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Facilities and Operations to ensure % {- ?3 R1 B, I& x3 e
the appropriate setup/tear down of each venue.; \ e" D7 z8 G; Y3 p' S
· Working with the Manager of Programming and Venues to ensure % w. @+ w" f7 q% ^$ Q; u& G* L* Q
that additional requests such as licensed receptions are arranged.

systems and processes utilized by or within the venues meet the

positive way to the smooth operation and success of the venues. This ! U5 D8 E7 q ~4 N
includes, but is not necessarily limited to, the following:
( e2 F+ O8 e2 Y4 X To provide input and expertise in the formulation of appropriate
' P5 y( K, x& A( Y% b$ S1 }* koperating budgets covering the venues to the SU´s Manager of 0 G1 a) {7 a3 \, B4 P% n% t
Programming and Venues and to discuss and refine those budgets
0 K! I! R: F6 M$ GManager of Programming and Venues, and Manager of Finance &
3 r, t6 M% z$ s* FAdministration prior to their submission for final approval.
$ J: Z8 p8 M- c9 n V- `· To manage the venues in a manner which adequately and effectively & }) }0 V% C0 Y6 ^$ q
reflects the budgets approved for the venues and/or which reflects $ z; V8 Q( [6 {& S0 H
the best interests of the venues and the Students´ Union./ p. P, Q% n2 K* H9 i' D
· To function as the key player in the submission of financial and
' t7 q1 m+ O" Z' ?administrative documentation covering the venues to be used in the
% ]. Y. D8 L3 g9 `) r; Lcompilation of monthly and annual financial statements, and such
5 n i" U, a7 k6 H7 y2 {other reports as may be necessary.. X( P" Y8 t b
· To discuss those financial statements and other reports, together
' y3 x/ z4 {9 b) k7 ]8 awith all financial and administrative procedures, with the SU´s

0 N1 E1 D( V4 P$ l8 vAdministration with a view to determining and implementing action
) W% O8 N% Q& f0 V# t9 y! y Aaimed at improving the financial and/or functional effectiveness of

& s0 N" ~$ w+ K( _/ j% }· To ensure the existence of adequate, effective and accurate job
$ G% S, A# {$ d( [% `; D( X5 V/ rcosting systems to be used in connection with the determination and
7 ^" z) h' S! ?" x9 ysetting of appropriate prices for rental and staffing rates for
* d) |4 R- N" ~3 I! z+ eevents held in the Horowitz Theatre. W# v; B, z: ~$ d, I. u$ |
· To develop accurate documentation to be used in connection with

· To recognize, address and handle all matters relating to financial
( O) c7 v4 K- P8 c) dand administrative procedures and systems in a manner which reflects 9 h; {8 Y4 h3 z
the requirements of the SU´s Manager of Programming and Venues and

a. To ensure, at all times, that the systems and processes used in

venues. This includes, but is not limited to, the following:

3 W7 T+ x' D0 j& c; g" q/ M· To recognize, develop and set in place such rental procedures as
+ _, {$ Y( f. D+ [. G' n$ l4 t3 {may be necessary to ensure the smooth operation of the venues, this
' y' J$ C9 ?" I' e: W, Pis to include but not necessarily be limited to systems and processes
4 i4 z, R1 t) l" Kin the areas of contracts, inventory management, contract evaluation,
, G* z g+ T0 q! dpricing, costing, equipment usage, rental/contract invoicing, 7 w X7 B" {. q8 D
together with such other systems and procedures as may be necessary
- y- S9 n5 j& ~+ g7 W( W+ Sto ensure the smooth, secure, efficient, cost-effective and
0 @) U5 `' w$ v/ z* U+ Gfunctionally-effective operation of the Horowitz Theatre.# ~* J- J0 N4 X8 l
· To recognize, develop and set in place such operational procedures . q) R2 U; I+ x# i1 Q9 v4 W; F1 ?2 H9 @
as may be necessary to ensure the smooth, efficient and cost-
+ k7 [$ ]' Q: v0 }9 K. aeffective operation of the venues.
6 s: C5 g1 M% J/ A( {· To negotiate rental lease agreements (contracts) relating to * `' h& B8 p8 v* G# Q3 @0 c. N5 D6 I
dates, rates, staff and miscellaneous charges.
% I4 R. w; _: o& E8 L· To ensure that adequate inventory is available at all times and ; Y& j# w$ T% Z7 k6 B3 n4 v
that such inventory is stored and issued in effective and secure ways.
" @1 B% H) Z1 L: r: E, T1 a; M· To consult with renters as to facility issues in producing their * x; s5 `# O: x( D; a& a1 I( x
particular event in the venues.
2 a# | I. V4 w c9 N9 l& J& \· To provide the venues on-site staff with such documentation and - X$ P, E0 {4 S2 z5 b
supporting information as it may need to effectively fulfill the 2 j1 v2 `5 R1 d+ T
roles they are to perform to ensure the success of the renter´s event.) D! _1 k/ }# w- l
· To produce quotes in respect to staffing costs for a particular
5 I: z" T7 E2 \, ^- i* Z5 zrental with consultation with the Technical Director. f% X, o, i2 N$ G
· To ensure that all queries raised with the venues whether from the
* Y4 E, w( A7 \3 R! }# g2 uSU or renters, are promptly and effectively handled and adequately % F/ _, }# M+ E" e2 B1 z# }! H8 s z
answered, and to ensure that such action as may be necessary in
+ \9 c! d2 Y; ]! P$ dfollow-up to such queries is taken in a timely manner.
; h6 l- S' @ K" ]; a To ensure that the venues and its capabilities are adequately, 6 v. n7 c, A2 q8 S8 }
effectively and cost-effectively advertised and promoted, and that & U' A% }' v5 W
the cost of such endeavors does not exceed the budgetary provision
- a$ j f, i, S7 D; |% Omade for them unless prior approval is given by the Manager of ! R8 E6 }) U+ R; ? _
Programming and Venues.

significant challenges and/or problems surrounding the tasks of

· To attend such meetings as may be required to support the smooth
