extensive, and are targeted at the all round smooth operation and

the logistical organization and smooth rental of the additional
$ n, K* {+ m9 `; n% x5 \6 _5 Z( o2 U `venues within the realm of the Students´ Union. In the light of that

2. Marketing and Promotion

, y9 I! y1 k' z- _1 qa. To develop and implement a marketing plan for the venues that
* F5 u# S% L, E" R3 b" \1 ofocuses upon advertising and promoting the venue to faculty,
8 `' V! A" w( x, Zstudents, and internal and external clients on an on-going basis.
Z" f( `6 H* ], WThis strategy will include implementing and/or delegating the following:
" E8 e9 ~# n4 Y· To develop and maintain promotional materials, the Horowitz
+ s( m, ~, a& }$ ETheatre and SU Venues home page, newspaper and other advertising; to
3 K- j, R0 W# k; `take advantage of other internal and external advertising
* i u) Q; l/ I+ @opportunities; and to develop press releases and other promotional
- A7 ?( K3 E2 i" V y+ Dliterature on an ongoing basis.
/ t0 g! Y9 v6 ^1 V· To coordinate tours of the venues for potential renters.3 m* ?' {, ]' B) [, O
· To promote upcoming events in the Horowitz Theatre through the * S& K" `8 s! O* U2 Y# h' C# ]( x
use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities
3 F9 {1 B7 ?* p5 @2 n, h6 b" s/ ^$ W! z& G: u9 x
a. To ensure, at all times, that the venues are adequately and cost- 1 _. z, H, b5 A' A9 `1 k
effectively staffed, and that the staff utilized by or within the
% X6 d8 I8 H6 z1 t0 h) Evenues meet the appropriate standards, requirements and needs, and " j# H2 g! Q% k9 y& I% s: b9 d/ w
contribute in a positive way to the smooth operation and success of 0 V* T. e# B+ L6 `( V) p
the renter´s events. This includes, but is not necessarily limited ) z o6 b" [& ^, A3 u
to, the following:
* a- j. E- {: R# A0 y2 t$ A· To be responsible, under the direction of the Manager of Venues
: g+ d( j4 f, I o; S' Yand Programming, for all staff issues including hiring, disciplining, * W% ]9 _: l5 L* I6 E
evaluating and terminating, as necessary.
( q/ M* v! l; e To ensure that the Horowitz Theatre is adequately supervised at
1 i. D3 Q. q0 s9 G1 {5 i8 Zall times, this includes the development and implementation of such
7 `8 h! p' N6 T5 gschedules and rosters as may be necessary to ensure the effective and $ C3 {$ J' Q, Y: y" ~% T2 l
cost-effective supervision of the venues at all times during which it
8 N. P# f3 S( h x4 T3 gis in operation or needs to be in operation." {; b( U/ \- g7 Q6 d) j0 d) P
· To work with the Technical Director, when necessary, to ensure 6 X) h7 X9 ~+ O) k6 b9 H: C' S5 v
that an adequate and appropriate level of part-time staff exists to
; d( J' X# q3 H+ m d3 j$ Q* I& Cfacilitate the smooth operation of the venues and to ensure all
" Z, N4 N' B f: u8 N$ M* g+ [renters needs are met.5 G% U8 o1 w! |* I/ C. k
· To work with the Technical Director to ensure that the skills B8 y4 E$ X( ?; d: Z# }- n; M& @( s7 K
and attitudes of all subordinate staff are appropriate in light of % X) U' A8 h) p. U
the roles they must perform. This includes providing adequate and

' \3 Z$ M9 {% V# J& dappropriate areas, and ensuring that the Policy and Procedures manual

excellent customer service to all renters.
% k6 H* C' W* P+ e/ U· To work with the Technical Director to arrange staff
4 s5 \2 M- M; q/ O6 _, yscheduling. To handle payroll related matters, under the guidance
5 _7 d" o3 s |3 i) c# a- B/ q( Yand direction of the Manager of Venues and Programming, concerning ! U4 F" Q5 n- \% c# c7 V. o: J5 ^4 N
the staff of the venues.
+ r, A. ^3 y* t/ e+ y6 |, X· Working with the Manager of Facilities and Operations to ensure
8 q9 U2 h; l: ~0 h5 m9 R1 i' rthe appropriate setup/tear down of each venue.

4. Overall Financial Performance

appropriate standards, requirements and needs, and contribute in a 1 Q: U# ~3 p9 L) D5 Z/ G+ B- I
positive way to the smooth operation and success of the venues. This

Manager of Programming and Venues, and Manager of Finance &

reflects the budgets approved for the venues and/or which reflects & T9 y% C, y9 {% j5 _- a( s
the best interests of the venues and the Students´ Union.' h# {+ a, v+ u# E. z8 Z
· To function as the key player in the submission of financial and ) S. ?9 K- s4 \/ t1 K4 J" [
administrative documentation covering the venues to be used in the ! O& ^; ~6 c& I/ _$ m, N
compilation of monthly and annual financial statements, and such
7 G& B1 y# N1 Q$ o' nother reports as may be necessary.

; w& Z" }7 _ A9 w5 iaimed at improving the financial and/or functional effectiveness of 1 \1 F* ^8 Z1 {6 e2 v
the Horowitz Theatre.
3 ~% U% r2 S* f· To ensure the existence of adequate, effective and accurate job
7 f* j- p2 s# Z! s. Bcosting systems to be used in connection with the determination and
) @1 G, ?% a0 P7 j/ B( dsetting of appropriate prices for rental and staffing rates for , V1 j- o5 d" P
events held in the Horowitz Theatre.
3 `5 w9 j# ^* A1 l& p/ o) \· To develop accurate documentation to be used in connection with
; b) h$ \; G& L1 B, E9 ^7 cthe billing clients, and to forward such documentation in a timely ; l F+ T2 s7 J: x8 y+ c. M
manner to the Accounting Department.6 I# u" t; E% Z; M& p9 O# z
· To recognize, address and handle all matters relating to financial
# J, i! E- S) C9 c! Aand administrative procedures and systems in a manner which reflects / O l- o) A& V- f
the requirements of the SU´s Manager of Programming and Venues and . l+ r t$ y4 Q8 ~% S
Manager of Finance and Administration, and in a manner which 1 c; e1 t. U4 N
contributes positively to the smooth operation and success of the 6 _+ K8 P6 a3 N6 x- k4 p
venues.

5. Overall Roles and Responsibilities

renting the venues meet the appropriate standards, requirements and
/ n5 v# W* {# G' \. {( F7 n) p* [needs, and contribute to the smooth operation and success of the
" M% }! Z; ]1 `8 ivenues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as
+ k6 L/ S; n% w, umay be necessary to ensure the smooth operation of the venues, this 0 S, ~. } U4 f% M& ~& s& [* {. Y
is to include but not necessarily be limited to systems and processes
4 f: _! U* ]0 y. Zin the areas of contracts, inventory management, contract evaluation,
: y8 v3 v# p; Zpricing, costing, equipment usage, rental/contract invoicing,
0 y( j# O, T# u1 A2 Atogether with such other systems and procedures as may be necessary
0 N1 q3 c& _: Y+ cto ensure the smooth, secure, efficient, cost-effective and
* z" l; S; v" Y2 _& w# T# ]( }+ ^4 ~# ~functionally-effective operation of the Horowitz Theatre.
( b2 V6 x8 ~; T/ ]" r· To recognize, develop and set in place such operational procedures
* d! b! h7 c8 [% Zas may be necessary to ensure the smooth, efficient and cost- : ]1 N; q' p$ M) l
effective operation of the venues.
3 X' {/ m7 {5 j$ J2 s- m9 A· To negotiate rental lease agreements (contracts) relating to
" u0 R4 U4 r# K- ^6 W5 j1 }dates, rates, staff and miscellaneous charges.
3 R/ y7 y" e. |· To ensure that adequate inventory is available at all times and * M* f& r5 |; f/ X
that such inventory is stored and issued in effective and secure ways.
, P9 P6 ^7 `4 d) D Q· To consult with renters as to facility issues in producing their 2 k. K8 B! w0 w3 K
particular event in the venues.

· To produce quotes in respect to staffing costs for a particular
O; a! L) r8 v* h- Prental with consultation with the Technical Director.' D- P5 q- _& d' ?2 q8 z& I+ q
· To ensure that all queries raised with the venues whether from the
; @; i" `7 Q( I1 _$ HSU or renters, are promptly and effectively handled and adequately ; r$ Q/ j+ ]+ g Z. V9 [
answered, and to ensure that such action as may be necessary in
' m# L+ y1 u" F6 g) M5 Ofollow-up to such queries is taken in a timely manner.
" E2 X( }2 s0 s+ D To ensure that the venues and its capabilities are adequately,
% O$ r& ?* Q1 ~effectively and cost-effectively advertised and promoted, and that 3 L" }7 ]* K7 l: Z% W1 q1 L
the cost of such endeavors does not exceed the budgetary provision
5 ]/ F- B: s f1 g/ m, g* `made for them unless prior approval is given by the Manager of $ @2 N" M' _- ?% r* c

· To act as an informed and knowledgeable resource in the case of
6 i% c2 M, C2 i0 {% f& H+ m1 K! Msignificant challenges and/or problems surrounding the tasks of
% Q6 V8 Y5 f3 [" C' pmarketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth

an acceptable combination of education and experience.
