financial and operational success of the Horowitz Theatre as well as
. V% D- r6 p( C6 mthe logistical organization and smooth rental of the additional ( [8 Y/ V. L' b! }7 E
venues within the realm of the Students´ Union. In the light of that

a. To ensure, at all times, that the venues listed below meet the

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that ' o1 `3 \1 N2 e0 x: `! C
focuses upon advertising and promoting the venue to faculty,
" q+ f: \& U2 a9 H: ystudents, and internal and external clients on an on-going basis. 7 {- u& P7 ^ @9 F- b( s+ B! U
This strategy will include implementing and/or delegating the following:/ \" M( P7 J' ]# g' m) ]7 [1 @
· To develop and maintain promotional materials, the Horowitz
: _; I: K! z& X( YTheatre and SU Venues home page, newspaper and other advertising; to 1 o* w. d: e b% X/ P- p
take advantage of other internal and external advertising `9 t0 X& e6 O7 b4 s
opportunities; and to develop press releases and other promotional 2 q, k0 K, h9 w2 w2 _! ~
literature on an ongoing basis.
0 v2 r/ m W M* y# z+ F3 m9 a· To coordinate tours of the venues for potential renters.% A6 n" o. o- Z4 p
· To promote upcoming events in the Horowitz Theatre through the 3 ?7 T g& `: h8 P- H) u
use of the Horowitz Theatre Home Page and the SU Events Calendar.9 `; R' f8 ~. V8 r* i4 q! e

; n3 ^2 A4 S" i3 z" b3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost- + Y6 g5 q" z' }9 K3 u, a
effectively staffed, and that the staff utilized by or within the
# u! C7 e, U& z* U; U+ R; k% h# _; _venues meet the appropriate standards, requirements and needs, and
$ p$ n* j* n9 k$ h. v4 {* Jcontribute in a positive way to the smooth operation and success of ( R0 G! q5 S4 I' g+ W) \
the renter´s events. This includes, but is not necessarily limited
: i+ Y) T$ D; ~# r& J# hto, the following:
( J' Z- p4 m; J· To be responsible, under the direction of the Manager of Venues
' v7 U/ E! u( O' x. \8 wand Programming, for all staff issues including hiring, disciplining,
) Z% O1 k! x3 q6 B5 v! n' Fevaluating and terminating, as necessary.
- v+ K" @7 k6 k7 P1 H To ensure that the Horowitz Theatre is adequately supervised at
9 f6 X: } ?0 ~. k6 yall times, this includes the development and implementation of such
6 r& g! s% v8 xschedules and rosters as may be necessary to ensure the effective and - z5 L' n" D, R/ R
cost-effective supervision of the venues at all times during which it - b b/ a8 w/ Q0 T) e$ F
is in operation or needs to be in operation.- D: y1 K' I0 W3 b! ~+ C3 }
· To work with the Technical Director, when necessary, to ensure " U) s- M3 S0 B0 C8 n: @. K
that an adequate and appropriate level of part-time staff exists to 5 J1 c; x1 W8 V& H* O& A: ^1 G
facilitate the smooth operation of the venues and to ensure all
. ~; l E: ?0 x3 brenters needs are met.$ ~. _* r* E& s
· To work with the Technical Director to ensure that the skills
* L, t( q" g0 y! T6 mand attitudes of all subordinate staff are appropriate in light of 6 f2 }! W$ j, u$ |4 {
the roles they must perform. This includes providing adequate and ) ~% X3 z! g+ w1 W
effective training (and re-training) in all applicable and ! i9 V- ?& U! k, q
appropriate areas, and ensuring that the Policy and Procedures manual & p5 {) x) I) J* T3 c' Z+ q
is kep up-to-date at all times.
" T: e, F! a7 d$ l1 K' J· To ensure all staff are trained in and committed to providing ) e! w( }& l- D$ A
excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance + Z& L4 ?; R `7 L
and direction of the Manager of Venues and Programming, concerning 3 l. A) X, [) k2 P* r4 u
the staff of the venues.# c8 `. x! o1 x k0 G
· Working with the Manager of Facilities and Operations to ensure
# _* J ^1 m9 k& u$ J' f& Q% _the appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged." u$ w) y% z4 g

appropriate standards, requirements and needs, and contribute in a 6 z- H1 M& k4 t3 u
positive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate

Manager of Programming and Venues, and Manager of Finance &
/ ]& O5 k5 L5 xAdministration prior to their submission for final approval.

reflects the budgets approved for the venues and/or which reflects

· To function as the key player in the submission of financial and 4 o" J+ J4 D. X) Y3 @

compilation of monthly and annual financial statements, and such

Administration with a view to determining and implementing action

· To ensure the existence of adequate, effective and accurate job 2 t" u& ?- ]) B6 G+ H& O$ N
costing systems to be used in connection with the determination and
. Q: h; \6 b2 O# q' _7 usetting of appropriate prices for rental and staffing rates for
9 t* ^; X3 L Aevents held in the Horowitz Theatre.
' @- c8 ~5 M4 p2 q( k· To develop accurate documentation to be used in connection with
4 g2 [/ B, j" N, F* J6 tthe billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial
4 _! r6 x7 x: l2 } k5 v4 wand administrative procedures and systems in a manner which reflects ; g& S4 ?, P) o
the requirements of the SU´s Manager of Programming and Venues and 1 o0 e' D, {8 U% j# L$ O
Manager of Finance and Administration, and in a manner which " q+ y$ N( t( _6 @
contributes positively to the smooth operation and success of the

# f& `, L/ M$ _! T( xa. To ensure, at all times, that the systems and processes used in % w1 w, Y- Y9 a4 v
renting the venues meet the appropriate standards, requirements and
V/ M- S" K+ e/ `needs, and contribute to the smooth operation and success of the
3 j" y, }3 M. _/ U' M$ x5 mvenues. This includes, but is not limited to, the following:

, u% H8 v9 s1 H· To recognize, develop and set in place such rental procedures as
7 K) f( H* }5 L K8 Y* bmay be necessary to ensure the smooth operation of the venues, this " |; D K# J) |, M
is to include but not necessarily be limited to systems and processes 0 u# m$ J. t. B# k7 p* f
in the areas of contracts, inventory management, contract evaluation,
7 j6 p, T! i ]% L6 ppricing, costing, equipment usage, rental/contract invoicing,
/ M( V3 |: F7 P% c/ ptogether with such other systems and procedures as may be necessary ; J/ j/ S8 i. x, q. O5 `, ]
to ensure the smooth, secure, efficient, cost-effective and + l& {6 J6 R# r! U# e6 p
functionally-effective operation of the Horowitz Theatre.
+ L+ O2 u5 h% J8 d( x$ n· To recognize, develop and set in place such operational procedures
3 M5 l' H a( P- i' p" @as may be necessary to ensure the smooth, efficient and cost-
, U! c t% I' leffective operation of the venues.
& E( M4 ~5 }9 s$ Z* ]! `2 Z# W· To negotiate rental lease agreements (contracts) relating to / o# |& h' [+ k! O% ~9 W3 D
dates, rates, staff and miscellaneous charges.
# f9 m, e* z R- @· To ensure that adequate inventory is available at all times and , R) q# x' Y7 d+ x& z) S
that such inventory is stored and issued in effective and secure ways.
0 H: |2 {( P5 c" Z+ O8 m, _1 r· To consult with renters as to facility issues in producing their
. S; ]) L, M9 @7 U! fparticular event in the venues.
1 M! y2 j2 d8 K3 }& I5 b· To provide the venues on-site staff with such documentation and
3 @* `4 e6 R5 msupporting information as it may need to effectively fulfill the
- l6 ~$ [2 w/ E/ w, D, q, Eroles they are to perform to ensure the success of the renter´s event.2 |2 }" q& `0 N5 D) g) D
· To produce quotes in respect to staffing costs for a particular , G# H2 \. |% U% U: N
rental with consultation with the Technical Director.
4 v6 ~. [ m0 _· To ensure that all queries raised with the venues whether from the . B% Z# U4 N5 ]; }% Q
SU or renters, are promptly and effectively handled and adequately
' s5 ]. O* t: }! }$ Uanswered, and to ensure that such action as may be necessary in - n* L2 t* w- C) Z: b
follow-up to such queries is taken in a timely manner.' L) d, b6 u1 T; b
To ensure that the venues and its capabilities are adequately, 8 e" M) U8 e# ~
effectively and cost-effectively advertised and promoted, and that
! V5 ]# M' P) j4 ]( H0 N: `the cost of such endeavors does not exceed the budgetary provision ! i5 c* _3 z1 q
made for them unless prior approval is given by the Manager of
, k4 v, I o: v0 k# y1 f: BProgramming and Venues.
. G2 `! ]" b2 I" \. I7 J% C/ g· To act as an informed and knowledgeable resource in the case of
9 M; a( b6 I8 n% vsignificant challenges and/or problems surrounding the tasks of
; j- F" ?- L& l. j/ {1 m4 Fmarketing, administration, operations, and any such other matters as
8 J6 l7 r5 @; A( V1 emay provide such challenges and/or problems.
