Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

9 m! p. i7 i% D/ L, D# qCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.9 b$ P) u4 e3 c% `# s% C

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.( Q* M0 ^( D) }5 A' ?

4 ^; |1 I& j8 i3 V• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.9 m* N7 r, a  w3 s& I8 M* v2 R

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.( `0 x2 v# C3 {& B6 H  M2 i

• Manage mail outs for fund development or education purposes with support of Program Managers.

5 l  q* w- }+ v  f• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

/ X5 W& s0 i& p% HInternational Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.  N! @! }- K2 _+ ^$ C+ E

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.+ T. _$ `" x/ t/ V  P' i* J1 t8 R

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.2 L5 U5 C6 O: e/ l3 Q

* Z; j2 X3 f7 N" C# T• Support management of online publicity and communication tools.

/ y9 e7 D8 O* a) T- g( z* F• Support the promotion of CFCA events in Alberta through online and print publicity resources.

, j3 V0 h. Z( x! {• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.& R3 k3 Q' i* J' w* q" x. M

• Manage database and support distribution of print publications.
) }% ~' v4 C7 P2 y8 y; b4 Z4 i: y, a- }0 X& ^9 W
• Provide administrative support for public engagement events and mail outs.7 D! x! ]6 }. c2 x; t

# c# z( v4 c2 ~% W* z/ p. D• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions8 \  M" x. m( v
+ k3 L! r0 ~7 `0 H" Y3 P
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.8 m9 J2 k0 {3 b) J+ ]! l. Y, E

: z3 \0 z) L& S1 J% x2 }) P• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

! l# {2 x2 r/ ~& [$ y• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.) W7 X0 Y- c$ a/ X6 ^6 T

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
