Program and Administrative Assistant

4 o6 P; V) x, LChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.2 i; p+ |6 w; x; L- X5 ^  b

/ z* D; l2 s+ T& N, t8 B; P' FCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.2 M) \: t/ E; G( O' i' V

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.& F+ G# ^) j" L8 n( p

6 C' J3 G* \7 [- B• Complete data entry in various programs.
! D2 D- @" }6 `+ S& b1 g5 O0 w& A% p6 k4 G: s% f' m7 U. |
• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

- ]# T7 p4 M4 G, P4 R6 z$ n• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance." m! Y/ G; q, J' H

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.! s5 p8 @% E: H" g( f

/ u2 H: |4 X8 i* o+ O3 O• Support effective internal communication by recording and distributing all meeting minutes.

" P; |# {4 t4 M* n• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Support maintenance of Human Resources records and the development of employee handbook.

' Y; m" ~1 v# d# s  O• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.4 {- U2 `0 A! Q9 x: ]$ v0 ^

$ F* X/ f+ y7 Z. g. q, e- g• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.1 F  b5 t9 t* z: k; L1 l$ \3 n

• Support management of online publicity and communication tools.9 ^# ], J. W) J) ]

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

; r; z: X; `' {. q5 l• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

) s1 h3 _. b  i6 ]& u# r* G# J• Provide logistical support for key fundraising events such as silent auctions/ f# N9 U3 s$ j
% z) @( p% V1 r# w2 c
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts./ t$ N( \' [5 y) {% w5 t* r

3 W, ]& G9 L/ v6 d1 L- d( f• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

: b; R% M* Z/ p! }  P8 WSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.  [; b* ]" b! This position is Permanent part time (20 hours per week during regular office hours).
