Program and Administrative Assistant

: f2 v7 M1 l' ]$ V) `Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns., L; |2 l. H0 [; T+ m- R+ P

7 @# ~/ O: V% }; f9 z9 `• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.6 n3 N) d3 t& J1 T

& }' ?% q4 o  f/ {) y• Complete data entry in various programs.

: }+ z' q0 R) z* n% H) r• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.+ ~, T# e; j7 Z( ^: Z

* X4 N1 E& x" E• Manage office technology software licensing and hardware maintenance.

3 g# n4 m: a8 r& @# w5 D! N# B• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.8 t+ `" F' p: k8 Q- H. k

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.; |) g. o$ y6 D; y& w$ T' S- m

* s7 w  k7 B- v& `/ k# q# ]: R• Manage mail outs for fund development or education purposes with support of Program Managers.' r! ~/ X/ U- z0 |! V: L

Key program support duties

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.9 X3 v3 A, S& _

. @; T/ t- I% {4 j• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

1 P) d) C. J/ ]& G1 }$ @2 Y5 v• Support management of online publicity and communication tools.

) ]3 a! C4 c. P4 K& w# x6 W$ ]• Support the promotion of CFCA events in Alberta through online and print publicity resources.; A# }1 e$ [  j2 [- n$ a6 Y) F

• Support the management of requests for CFCA information and resources at public events.

8 q- z2 ]! r0 h! @* C( N• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.8 i& n+ o% e( y% M* ^

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.* T0 w; F9 y+ v: j$ H

Fund Development

' s- w& n: e3 f9 A. F: z• Provide logistical support for key fundraising events such as silent auctions/ F" Y8 N4 a* x6 W3 b$ I1 w
# q0 I6 S7 Y) d/ T9 g+ E5 F# Q
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
& D* E, H9 _# V0 Y/ J# w) [. s! t6 ~% {
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

4 O/ E# e$ R0 _5 w/ I3 _$ `• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.  z; f& V3 [  D4 A$ [3 Q9 q3 q

: Z9 ~1 w' u, p. e7 _% ESkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development./ p/ T# Q0 {, K1 `% m+ u" v9 R

This position is Permanent part time (20 hours per week during regular office hours).
