1 a0 B3 C& H5 F3 Z7 tChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.8 e2 P" i0 U2 |; Q- s1 b

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Manage office technology software licensing and hardware maintenance.

• Support effective internal communication by recording and distributing all meeting minutes.& z  d6 x* h; X, k+ Z* `+ X4 f

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

Key program support duties

• Maintain inventory of communication materials.* P5 N1 Y$ {0 j+ I. P/ E2 J

3 i, h( h/ w1 I, t  s6 g• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

; C' ^8 [: |4 c; {) N• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Manage database and support distribution of print publications.

4 h' a7 T& p& p0 y, P• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.9 ]2 \; Q3 n6 W3 S9 d8 U9 {

  T- g0 q5 s& N+ L- I• Provide logistical support for key fundraising events such as silent auctions& o7 I$ z" J5 ^" R  P9 d

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.% p; y2 i3 o4 u) W7 P

• Support logistical work required for CFCA’s Annual General Meeting

2 A2 }) s& ~5 \' _$ M• Assist in administrative tasks related to donor recognition and event reconciliation as required.

: |# L9 g- j3 R3 t2 w- xSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.. Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
