6 W; c$ l% u1 O3 q1 F2 _Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.0 v  {% x8 B5 a6 s" d$ p  |

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.% o8 Y; H8 D4 `( u' @! ~/ F

• Complete data entry in various programs.

: k$ G* ]6 x" ^5 B4 d; J: ^• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

  I5 @; W: Y* j) l2 y5 J• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.. B( _1 E/ ~. L  ^( I3 R

* d$ D0 W$ R& h• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Meet weekly with Program Managers to define priorities.

) b/ N! A- e$ H' `! \3 m• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.$ T9 h( q) S0 E# J5 V) N% m# B, r

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.3 b  a$ A+ V1 K0 l8 Q: R+ _

/ `: O5 S( K( }% R. ~• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.6 [3 I6 a; }  |6 L

$ E2 {/ T# w" i" @9 |: l/ _• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.) L+ `1 G: }7 v$ s# m& V, L+ s

• Support the promotion of CFCA events in Alberta through online and print publicity resources.9 Z5 L- L6 h0 O8 v

0 h6 g+ \" q. k: K6 t3 S( m/ c• Support the management of requests for CFCA information and resources at public events.

0 }1 C$ [+ w+ B. p" ^$ c& ?• Compile information packages for fundraising and promotional purposes.( k* y' U/ O7 o8 R; z; F( G) H

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.1 V# z0 e' t6 X, g: e

7 }: f& e" q3 C: V; D• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development' ]1 j, f" f/ T4 U1 [4 J6 H

• Provide logistical support for key fundraising events such as silent auctions
* d' F+ Z' Y1 A+ U
* `% W0 `) d0 D- _• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.& U1 a8 w; W% L& W0 `9 k5 R

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
