4 H/ N. c# ?4 ~+ R, w5 [0 kChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Complete data entry in various programs.

' d( ?$ @0 A2 {; j# p• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.3 g8 \" n- d7 b# v5 h. V

! S7 ^  M7 C# k$ X• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.8 `2 Z$ v9 p# Y) n* |3 y. G' ]

6 Q5 Q6 O2 v* G! E• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.8 g" s* |9 J( Y; M7 G+ U

• Support effective internal communication by recording and distributing all meeting minutes.5 I# }  m' ]7 }( _

• Meet weekly with Program Managers to define priorities.

# H& `* `/ g) J0 z• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.* K! Y4 D) x' p" b- O

• Support maintenance of Human Resources records and the development of employee handbook.8 n$ O' S: o9 Q5 f1 ]& E

International Projects and Public Engagement/Communications:

: P- I; _7 O+ E% N% y4 d• Maintain inventory of communication materials.7 Z" k. U% I7 b. A$ }

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

, w; M! i9 z7 I& U+ G! a( b! }• Support the promotion of CFCA events in Alberta through online and print publicity resources.

' X, C- B% ?4 ~6 s$ J• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

* h2 `( ~  T6 X! a4 t2 O9 K• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.6 Y- ^, l) g1 V8 J+ z% v5 ]% q

Fund Development

• Provide logistical support for key fundraising events such as silent auctions3 |7 A# x  `* C  M' r0 g

7 x( E" A6 u" K$ ?1 v( y• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

8 V- I. ?5 y% b6 D. B• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
) e9 |- ]* g. G  ?9 d& M+ n
- p7 V, U8 {' G) F9 ^1 l• Support logistical work required for CFCA’s Annual General Meeting7 U( w( P' \$ G$ N8 L

4 d/ g; h/ s3 A8 c/ |: I. G+ z• Assist in administrative tasks related to donor recognition and event reconciliation as required.

5 i. ~1 R6 F5 J" h' v  d/ @Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
