Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

& C( k, o. w* q2 |- X) [CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns./ I; X; z; Q0 Y+ t/ T' g, u

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.6 r( m) I+ k! i' {7 b

9 j- R5 o0 q% r3 \. D• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.- \: Q: m: n( L5 c/ r3 }1 }

2 I3 Q$ L$ [% S2 W. n$ o• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.' l9 [6 s! u+ P

0 U+ H1 W3 x' D( m. V0 L0 G• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.- E& C* R- @* b5 L9 d

• Perform financial administrative duties as required., W, J7 A$ z0 F9 l/ |3 d

International Projects and Public Engagement/Communications:5 B$ p! s, {3 @, ~! M7 b: {

- M! ~9 n) o+ M# [! C8 J7 `6 u• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

2 b+ z' E4 M9 f• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

+ h- ~* k) u$ b• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.7 m! [8 R1 ?, `3 g) E

1 _& _, H1 f; R• Compile information packages for fundraising and promotional purposes.

' V$ D% v5 E2 f, e  l& {• Manage database and support distribution of print publications.8 z! a' Y4 e& r: ?; t3 X) W

• Provide administrative support for public engagement events and mail outs.

" X, G/ ?4 g& {! [; c" T" t0 ]6 V• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

- n1 H; o. X, S9 }• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

* A5 u- ~7 _% t5 w• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.+ P# i. Spanish language abilities are an asset.
