) L2 e% X# {2 n; x" CChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.7 l# M, Q+ V+ x5 K8 ?, u# Z

1 L$ v* N. j: N" SCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

- Y2 I% d* K4 {( l3 l3 J6 M1 {• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms., D! Z3 _$ o/ C) f5 I* O5 n

) y1 e& B2 Z  G! Q• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.. }; ~* O' w" C% X, P: k! T

• Support effective internal communication by recording and distributing all meeting minutes.

& ~' X# t) D8 ?2 [9 _• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.0 s5 v5 \& J, r0 a# T7 ~* e

• Manage mail outs for fund development or education purposes with support of Program Managers.' ^" K& Q, X/ ~

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.

: i8 s2 C' @8 ]# I3 o• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.+ H$ P4 Q8 _/ a1 g. q' _$ {/ P( v

• Support management of online publicity and communication tools.8 Q& i( X, q8 F* h1 x- q' v  _

• Support the promotion of CFCA events in Alberta through online and print publicity resources.* I2 [; ^1 N4 V8 q  K, g% K

• Compile information packages for fundraising and promotional purposes.5 ?& h: j; }+ z9 i

• Manage database and support distribution of print publications.

0 y. L& }3 b; I5 y• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.7 Y+ Z! U- J4 Y3 d) u0 b- Y0 \7 t

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.% y# t+ d8 Z& D) L  u3 h# R

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting) q' @" L* ?5 A# c" j( x

• Assist in administrative tasks related to donor recognition and event reconciliation as required.7 I$ j+ a, S" U' U+ r- j0 h

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.) \  v# Q/ x+ V

This position is Permanent part time (20 hours per week during regular office hours).

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
