Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.$ d' r. B* x: R" R+ j

• Complete data entry in various programs.

- f; q8 v9 D, a( b* ]• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.' G6 a# j; `  L/ C5 S$ ~; P

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual., F1 G& d# Y6 M% _, W, v

8 z$ A: U! z8 H. t6 V2 J9 ^• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.) _: C0 k: M( ?& x

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.9 e0 z- }# s) D$ C5 Q

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.6 J* m. E5 X0 g

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.9 C, R, h5 J: M5 y

• Manage database and support distribution of print publications.! E# Q7 K. o. d% L6 @$ L7 j9 a

• Provide administrative support for public engagement events and mail outs.  f$ s" [0 ~& W) l+ C3 O: N
! o# r+ B, m1 n) U8 P0 C. Y
• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport., H1 `6 W# l# x' G% I

• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts., [( s4 H. }. p2 ~, |2 {5 f6 s

9 p, k- g8 {3 h% |( y" l• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

$ d' s. M; f/ ?" J4 l6 i% a• Support logistical work required for CFCA’s Annual General Meeting, z2 U& o/ p4 H2 `* u; }

• Assist in administrative tasks related to donor recognition and event reconciliation as required.; U- w1 n5 d) Z& ~

4 X$ d3 _9 N9 V5 l3 Y% |$ u: P" E+ SSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
