6 y1 p) O) q4 @* bChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.9 P; t* ?$ B5 c/ o8 w5 a0 `

/ L' ]+ L0 [' ~% ?% B" j3 x; h7 a• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.$ ~. T* m! S( C- @4 ]

5 }+ I6 ^8 u  o/ T3 F• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.* F# {1 T  e' Z& y2 A

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.3 j" Y4 ]! p2 Y: k

' L3 E' k% J" @# w4 v* S• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.# \5 l( y  E( }/ T5 u2 N

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Support maintenance of Human Resources records and the development of employee handbook.

International Projects and Public Engagement/Communications:% l% U0 P: Y0 Z/ v

0 R7 l( D( z  e7 K• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA./ }1 I( B& B! S8 u0 P4 U

• Support management of online publicity and communication tools.# l* y/ u- ], M5 r5 L- y3 ?

! m: I) _0 O) n- D1 ~: Y; l  O! Y• Support the promotion of CFCA events in Alberta through online and print publicity resources.6 s5 K& K9 s. Z: U' W! Z

• Manage database and support distribution of print publications.2 H6 G1 Y# ?6 B% K+ z

• Provide administrative support for public engagement events and mail outs.0 j5 l) W! W  M. j6 H: ?: f

8 J* ^3 P- ?, n' [• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.. N5 J. G% {2 a% {! h

• Provide logistical support for key fundraising events such as silent auctions7 A! Q% r# }" w# a; S- _' p8 K

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.- q# i) C5 Y- x( L5 ?! R$ J, Z! r

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting  F# W8 t: a# v0 n3 \- m

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.9 s9 w3 K, H.
