Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.1 i( A" r  [+ ^, d0 |

Key administrative duties:

• Complete data entry in various programs.6 q" D' A3 K7 F. X) V% |

% R  H  `3 E+ {# }- m. b! Z• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.2 @8 W; X6 @: Z

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual./ `; R, p, f  b4 H

/ m2 t1 M' r4 a3 H8 G• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Meet weekly with Program Managers to define priorities.4 z7 m8 v$ x! `$ Y

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.- N9 T( y- d. B9 V- _+ z' J: w0 [; i

• Support management of online publicity and communication tools., C/ L- b; z% D( f- e% S& X

• Support the promotion of CFCA events in Alberta through online and print publicity resources.; `! E$ L; q2 W

• Support the management of requests for CFCA information and resources at public events.2 H4 W1 f8 u3 u

• Compile information packages for fundraising and promotional purposes.) K$ I  N# Z* O; r5 N

# x4 _* j: c4 m& ~• Provide administrative support for public engagement events and mail outs., x8 K2 y* |1 Y8 d' n

/ f) o9 ^3 x5 d$ j0 }! ]* o• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.+ `3 h$ E1 x+ |- k

" c2 M6 i( @: L& `: k6 k9 T• Coordinate volunteers for some fundraising events such as Casino and annual sales events.; j7 X. a- X3 N1 L& f5 }; s

• Assist in administrative tasks related to donor recognition and event reconciliation as required.( s5 b; q% k5 x. u

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.% L' k& k: C: ~  e' [- O: V) i
