Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.  v! _& l  A3 F

; I( y2 g- {: Z4 p: k( `+ rCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

  k! e; S5 T2 P' P* [• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.& |6 {2 y6 ^% t& u; I' y# g

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.: x3 n. z9 e' Y& X+ Q- B

: h- H" Y7 l9 D/ {• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

! |- e6 O% ~& h: R• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.3 J, @+ d9 S$ Q6 o( O

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.$ F7 V/ p! S1 ], w

• Support the management of requests for CFCA information and resources at public events.2 z' N) \# |/ d3 t3 r" K( L; p/ m

: `' e  B+ C1 J& a• Provide administrative support for public engagement events and mail outs.

2 L9 v  k4 V0 j- Y1 F  G• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

0 a/ {9 \6 |+ o+ K/ {5 N) C• Coordinate volunteers for some fundraising events such as Casino and annual sales events.+ `6 u- Q! i0 n1 n

) |) A6 x( f! V( ?• Support logistical work required for CFCA’s Annual General Meeting

+ ?  ~9 Z$ [+ }- S" J• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.4 V  l' `! r3 }5 h

Term:

This position is Permanent part time (20 hours per week during regular office hours).

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
