Program and Administrative Assistant

R: LChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

4 n1 n& K2 k- dCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.7 d( z3 e) R- h0 A  O! }7 v

4 R9 p  I6 O& I• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.5 ^8 |. L6 w/ Q, z/ U

+ `) a6 P- z; W) q- h* G• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

  h( G$ G( e6 |' }: u• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.* e: j& g1 f1 a& k7 O3 A

• Support maintenance of Human Resources records and the development of employee handbook.

• Maintain inventory of communication materials.2 ~9 s4 J& W% ]6 {7 r% P

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.; X$ E" \) y0 a" c; |6 j- _$ t

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.* i- A# M2 u: ]+ k2 O" p1 `

• Support the promotion of CFCA events in Alberta through online and print publicity resources.1 r. J1 ^: J2 s

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

; R( W3 Q  W1 J! @/ ]• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.4 Z" {4 |8 x/ t: y

• Provide logistical support for key fundraising events such as silent auctions0 @" g5 |* j1 Y& N' N' q9 m; M% w

' ~( L2 A  F- X( ~$ y/ T• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

% a6 D5 N$ p0 ~8 R' ^  o7 X• Coordinate volunteers for some fundraising events such as Casino and annual sales events.( `* r9 B8 [9 F& i

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.! Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
