Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.' d1 v2 T) i% [# n

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

7 _5 d9 H2 e4 z2 M1 |• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.  X# p& u/ `$ O7 ^7 N" X

5 M2 W* S4 q" z1 M8 X& u• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.& B% G2 h+ k1 a  t, P6 `% S

2 M( l. n# t% T0 }/ U• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.' A4 \( [! m$ s

• Support effective internal communication by recording and distributing all meeting minutes.  M8 U" c$ }! K) m$ V! r

" c/ W7 T* X8 T* ?• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

International Projects and Public Engagement/Communications:

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.7 b6 i0 L7 H+ m5 {# _

• Manage database and support distribution of print publications.' O0 ]( ]% j+ A: x6 c! F

2 L  A" k0 F5 V7 h0 [• Provide administrative support for public engagement events and mail outs.

& _$ J8 v- X6 y+ @' E" V7 t• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

' n/ Q1 U6 O/ t3 {• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.5 K, Y6 L4 ]0 E! K5 r

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting+ s: Y) W0 V  p. X
, @! }0 ?5 n! K' @# V
• Assist in administrative tasks related to donor recognition and event reconciliation as required.6 K7 U- {6 k+ _# {

4 R0 Z3 K* z! s9 }0 V; S2 a4 M- rSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
