Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.9 J7 U3 u  Q' t* h7 A5 R3 S

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

+ ]9 m& P- k0 T: K$ |8 ^# _& l• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.% s! @/ X. I2 Y  J" g  R

• Complete data entry in various programs.3 f6 M/ m' u9 }: I

. o, e1 e! y  o, p* q, q6 A• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.) q0 X; i( Z+ m5 Z

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance." i9 x! a$ t9 `8 c
+ g& r& f2 O& a3 D
• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.# n$ y) D7 b: |

7 m! h( q8 n. A- n• Meet weekly with Program Managers to define priorities.

2 s  r' j  _: @4 D4 ?8 Y) n' ^8 i• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.& V5 k* E- f1 H

• Perform financial administrative duties as required.) u4 M* t4 n: A/ T

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

2 H  Z' q  @8 n3 j. V5 U• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.8 }  G" D! X4 T! x5 A

• Support the management of requests for CFCA information and resources at public events.

; N( O' d- N1 [2 e* F• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.1 ?4 h( }5 \* @9 x! B6 S6 k  i

• Provide logistical support for key fundraising events such as silent auctions, v: ?3 H5 _' e

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.9 l( f) ^( h& D/ I$ O" k0 t

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting6 _" K) J7 h+ t0 v  }" Q4 p

/ H6 q) @$ \$ O- q; ]( ~3 T- m4 w• Assist in administrative tasks related to donor recognition and event reconciliation as required.

9 ]* X: R$ F$ J8 G5 _, ^Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development., }" L) y' m$ y: l# M

Spanish language abilities are an asset.

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
