Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.& M1 W' n( B) W! CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.2 J5 h1 `, \' m+ F$ _* }! r

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

% ]( u6 T- u2 N! x0 b- S# o• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.; a" E$ Z5 ]! J. N, y2 z
! H1 f- F' Z( i6 F# u, j• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual./ `, n5 @# o7 t2 B

• Manage office technology software licensing and hardware maintenance.( ]4 k3 u& U# A
' f V! n& E8 [& n• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.) l% v. @3 y, s, o

• Support effective internal communication by recording and distributing all meeting minutes.4 q) e' e) V+ Q3 S8 D

• Meet weekly with Program Managers to define priorities.3 P# J$ o% V6 Y; m4 _

• Support maintenance of Human Resources records and the development of employee handbook.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.

6 F U# h/ F$ {• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.. W/ ?+ s2 o+ K2 s) H

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources./ j# G% E7 r! P+ J' `1 j L

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development9 k# C: y. r; ~
, K4 E& h$ V1 @, r% e• Provide logistical support for key fundraising events such as silent auctions

9 I+ t; t* }4 f. H2 ?% U& _3 F• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.3 v, y# ?1 ]+ E8 d4 \7 B8 X
- v* a% W6 C( [; W& E0 j' x# ]• Coordinate volunteers for some fundraising events such as Casino and annual sales events.! k( x9 |1 P. x

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
