Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

X& c" L# Y! oCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.) ~- R: G& w& f" u4 k

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.5 ]% I  K- [- }4 N* A' h" J# A) s

6 S% D3 k/ T! Z' b• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.) I2 \0 I, n* O/ F2 m) H: Y

) \. L. o* I, N" ^1 c• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Support maintenance of Human Resources records and the development of employee handbook.. @5 T2 Y# d! @6 T: j- W* K

Key program support duties

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.

; @9 q9 B, m6 Q8 ]• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.% V+ |  H5 o8 G& H! m: W
; B+ b. }& H  h6 j0 |! o" e" C
• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools." A/ S; w) n7 t( \% A

/ v/ O6 P$ n$ P/ r• Support the promotion of CFCA events in Alberta through online and print publicity resources.

) d5 T: M/ Y: w0 R• Support the management of requests for CFCA information and resources at public events.

/ _$ X* l& [- v. x+ [9 E% z• Manage database and support distribution of print publications.4 v; G4 \4 y* B' d2 K7 L

• Provide administrative support for public engagement events and mail outs.
! I: a4 S; t" Q) B" o" J. v3 V, n* u' d# {
• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.! m5 _# x- y$ x( X

5 F1 A' N, d9 Y/ q• Provide logistical support for key fundraising events such as silent auctions

) M' K4 e6 e. @% d5 w, d5 K• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.4 O  |7 G. ?9 |

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

: H) Q: y0 G# C! b6 O4 C% T& G, oSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.

This position is Permanent part time (20 hours per week during regular office hours).
