& f) R4 E, I6 ]) z5 B5 H0 nChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

* ^* R( ]' M8 {) y: TCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.! d$ q* K* b  \8 O# x* f

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.
+ e* f/ i, p3 J8 z& Y6 z7 e
1 X* H6 y4 ]. A' k• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.# O8 w  K$ n6 \  _( G! ^5 I

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.# N( [4 G; w7 ?2 I; g/ p( @5 D

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.9 v( c" F  F7 @! V$ T$ r

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.+ I! \3 m4 v' F( V1 w$ b

International Projects and Public Engagement/Communications:

1 }) W0 p. C* p1 s1 s+ r• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.3 P6 u; Y$ d1 e  I7 b

9 s1 W% b7 W4 U• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

6 x( H  V' y) w  Z  \• Support the management of requests for CFCA information and resources at public events.% V" F) Q# N% e: h9 J$ y

• Compile information packages for fundraising and promotional purposes.

* I6 |6 }5 c3 m5 D• Manage database and support distribution of print publications.' K  X5 R- \; E- z; ~$ O' \" w

6 r; d3 D! M& p6 \• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.+ k8 {, [% k. D

Fund Development' \$ i: j1 {0 `+ ^- P

• Provide logistical support for key fundraising events such as silent auctions
- r* d. G, b. u5 S, }! u! h1 }7 L$ w4 n& j/ c1 e& a
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
& ^8 {4 ?' D2 `9 T& L1 u! B- B2 Y, A+ ?3 ^1 |' T9 ]
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.% i, u0 v0 ~4 E: l

• Support logistical work required for CFCA’s Annual General Meeting

1 f2 P) M; D# x: c• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.7 p( u) O/ s/ s5 _* P; _( |, H7 E

Spanish language abilities are an asset.
