Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.1 }$ A, @" L: K8 E) b, V+ f

Y; q7 [2 F  R4 O0 U4 ?CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.) \; j( s! X) x) b7 {7 u

• Complete data entry in various programs.3 V' _/ ?# ?  G% E: E2 |: D* W6 U

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

/ {" D" w7 F; x" W+ [  W• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.3 U8 P1 U) [$ U

• Manage office technology software licensing and hardware maintenance.% M% k) @0 [7 A! H7 N

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.& P: I2 k% H2 A: a3 p

• Meet weekly with Program Managers to define priorities.& R  U8 q3 m* x& x3 P5 d

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

/ d- U' s8 Y9 B+ T; ?• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

Key program support duties

International Projects and Public Engagement/Communications:- |  s" u( U& w

• Maintain inventory of communication materials.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

  }$ |' d$ ^1 W( F( `( y9 T• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.0 P' S& n* ~1 P2 R9 a5 `

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.3 `' }7 t2 X+ k6 W( Q# f+ P! z) G

• Provide logistical support for key fundraising events such as silent auctions

, ^/ U# ?5 A2 a2 Q6 h( D• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.. s  i. c, |8 }5 t( G1 S1 `9 L) u% y8 q

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.' P3 Y/ }! o8 }  \# T8 b

• Support logistical work required for CFCA’s Annual General Meeting2 g, y1 Q: D& g1 I9 z/ Y- \

• Assist in administrative tasks related to donor recognition and event reconciliation as required.% E2 n. C# _; F' M# t

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development./ H* Y% y9 I$ U' A9 \

Spanish language abilities are an asset.
