Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.5 X  \/ q: }5 {. a: q  l

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns., ]+ }  Q  B8 u- \  P- y3 O

Key administrative duties:& ?% P7 N" n3 B* w5 R

# f# x* ?/ U% `# ]2 |9 k• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.4 \) x" Z7 }0 Z1 r* S; h/ z

• Complete data entry in various programs.

1 m2 W9 H4 {% C; R2 G+ b• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.7 N% q$ [4 X/ ^6 i) H. d3 V; e

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.. Y9 V1 ?. N) o8 t) @

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

International Projects and Public Engagement/Communications:

0 z0 D& ~8 ~' Y6 [' \6 c% S• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.) {+ l2 \1 \- e/ e

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.8 M0 P6 R2 \+ `; Q( U

• Support the management of requests for CFCA information and resources at public events.7 Y% B! C1 r0 V3 y7 b, ^

• Compile information packages for fundraising and promotional purposes.) @6 D  k% _2 I  w( N) l5 b

• Provide administrative support for public engagement events and mail outs.; `5 Q0 j- [  B- R

4 S; ?3 H& N+ @) o0 p, j  p• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

  n* {2 L5 A" H! o' [' r% P• Provide logistical support for key fundraising events such as silent auctions

2 d0 B) Z: ]1 }, _4 ?• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting$ G; q  V3 I* ~3 v; I

% g" A2 U9 T- d4 Z9 P" e. vSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.0 c/ {' d4 H$ K- U! @

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
