  ?# @3 _  @2 {% ?/ l% U: TChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

+ i4 E" J" w9 L* d% a7 DCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.: _1 T0 @  W3 ]' v, O. J* c

! ^: H) y+ x8 \  h. ?- b• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.3 J0 M5 {5 G# Q$ M# }. e3 V2 W

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.2 e- o$ T9 ~2 T

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.7 n) }" n& ~' S  K& |* B+ V

; X+ O" R% z* u• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management." E/ j0 h( h* K1 t

7 h9 p3 Y% I; ^0 K• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.! z+ ]$ a& \( I2 P+ w1 I

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.8 L1 j* c& d- c% {/ S
# ]! P3 Q  r2 P5 x; H* D
• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.. }' c% E4 N8 n3 n1 B6 @

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.
& u* A6 R# W. M( y+ W: F% h  U; c1 p: \
• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Compile information packages for fundraising and promotional purposes./ h6 U5 P+ s0 k0 j* U* C

; L% C( E. q1 P0 w3 m• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs./ l6 ?! T2 b5 E" t( B

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development6 S4 \9 a  ^7 [; E

• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.# ^6 b# o# R* A, B

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.- }2 D8 _- E: l# b* `2 I" C

: z1 t" d" S! `/ M• Support logistical work required for CFCA’s Annual General Meeting! `# r: ]* g% z2 r

6 f% D( J0 T# f' p• Assist in administrative tasks related to donor recognition and event reconciliation as required.* I  v) a! D: _1 ~8 \

) g, L- _9 O8 q+ XSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
