Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.1 {) K: x3 ]& D

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

2 v5 S g4 ]; ` S, M• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.$ I+ [: _5 x9 c% ~, }7 t

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.4 d6 n1 y; k8 o* g
1 r D% ]6 U7 U$ k# {. e• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Maintain inventory of communication materials.1 N2 c, D' c) H( @) N; U
. Q: O1 Z4 q7 }! s8 v6 Z/ a& A3 t0 ?• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Manage database and support distribution of print publications.. Z. @' | l0 r/ W9 g% @

, W3 k+ R) m6 @0 |, c9 A& k• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport./ I1 T. c) C+ j7 {" A: q) K

• Provide logistical support for key fundraising events such as silent auctions* K k. Y) o% w! m! l+ r0 T2 d$ i

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.6 [' a- G/ l9 w+ W

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.: c& [$ f8 [5 M" @5 n1 b

• Support logistical work required for CFCA’s Annual General Meeting

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
