% W7 r6 v: z/ R3 N) [' D2 AChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

/ c3 E# G" \  P+ l7 mCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns., }5 E6 r8 y! k1 Z$ P8 G/ k

Key administrative duties:

: K; }; B+ F/ |/ Y6 C. `• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

* E, s3 n7 N* F% C4 s9 x• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

7 M7 O8 a( P" v* i* |• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.  Z0 j+ Y- i) B: |

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.. b- l1 @1 T* I

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.; a; z% s' H! G% I

• Perform financial administrative duties as required.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.' F8 Q+ `* A) D) D& _9 p

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.2 a$ }. U0 f' {. Y1 l

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

* j' T- N7 y: O3 Z5 M• Support the management of requests for CFCA information and resources at public events.- b- c+ E6 v! T

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

2 P8 c1 y$ v7 Z1 q3 Q) i• Provide administrative support for public engagement events and mail outs.

; i/ b( X8 |# }$ m+ t6 a5 L• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

9 d/ g  w) @3 a6 H2 f6 j/ v! \• Provide logistical support for key fundraising events such as silent auctions

' w* ?: T0 e8 {* ^0 U( N- W• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

" @9 n2 U: Q3 M: }& W/ \• Coordinate volunteers for some fundraising events such as Casino and annual sales events.- f  A6 V+ q9 T7 A

• Assist in administrative tasks related to donor recognition and event reconciliation as required.9 @4 |3 v/ r6 P: Q' Q- `- @

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.! b4 c# c% u0 ~) F, e! Y3 N6 x8 D% k" f
