0 y1 a; a; B4 ^0 U2 F% ^Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.9 n: b8 H/ k5 o* P3 E5 K, G2 h

Key administrative duties:

7 F+ S8 c6 F% a/ N. k3 L• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.) I3 L4 r( H& C, \5 ~% g

6 _: M2 L. Q8 o4 d• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.. z4 S: O0 `2 n- d9 e  j! K% t# ^0 U

, R5 D5 P1 H4 i• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.' w/ ?# F/ a% d0 g

. {4 A* G, b; m  E* O• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities." r- ?! I( Q) {' r

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers., o" i0 {& v4 w
+ B9 h- d7 b9 R# X  {) O% L0 w
• Support maintenance of Human Resources records and the development of employee handbook.

' S8 h7 z- {; q" e# Z+ [• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:" y# P- G! i. K1 Q5 t% M

! B7 o+ e' c, Q+ j# U; [8 r+ l; V0 p• Maintain inventory of communication materials.8 ]+ ^9 C  i3 T  o9 K9 {, a& J" o% k% u

6 L, X! Z% E8 x5 J• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.8 `5 l" s# G8 h5 E

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources., e# W6 A! {) k: W

7 ~: v5 S6 {- a0 I! ~0 ]* d• Support the management of requests for CFCA information and resources at public events.+ B6 ]' P, G& c9 x3 y: ]! p

" B9 S" c4 q. w+ C& d• Compile information packages for fundraising and promotional purposes.6 d( _" P. f8 w# _; h

3 [# @9 @* O) i" ]2 l7 N• Manage database and support distribution of print publications.

4 E4 d( s6 c0 }: n. k" M• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

& j* w0 O  f. e( R5 J• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.+ c; D" E% A  q& i

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
