9 Y: k- u  W8 t) l2 Q+ cChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.2 ?# W2 |# U; K+ G; y6 q& T

I6 \CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.6 O' C! G8 l' b! ]) K) Q. w7 n

• Complete data entry in various programs.

' y+ o: }% R6 p* L( W4 y; _2 `( n• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

7 W6 B; j( v" {2 C• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.( h+ x. K2 X. w* n

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.4 a' q8 D9 S( p

• Support effective internal communication by recording and distributing all meeting minutes.1 R4 d# C! t2 |) a

! a  o& S3 q0 f2 Y  e0 H2 ^• Meet weekly with Program Managers to define priorities.

7 X2 i' j" i1 {( e# R  o& s: m8 g• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

6 r- D# @: a4 I: @( f  S• Manage mail outs for fund development or education purposes with support of Program Managers.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources./ E2 E, u/ V$ q+ ^4 W

• Support the management of requests for CFCA information and resources at public events.

• Manage database and support distribution of print publications.) g2 b, Z5 \$ H. H% m

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development0 m" a% C, y1 U: ~" n* ~# Z

• Provide logistical support for key fundraising events such as silent auctions; i7 D" g4 r/ H& q

9 K, W2 s  l$ L( R1 f( n5 L/ }& L• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.$ P- I( p' E' g4 I0 G2 p

• Assist in administrative tasks related to donor recognition and event reconciliation as required.2 f, k7 a5 t* Z8 _) T% {, {$ D

  s- p- Z: M$ j9 r+ cSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.* v4 ~7 ]9 g. R7 z
