CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns." C7 m, x8 C) b8 U; b$ u8 t! u  Q

Key administrative duties:

4 ?, a$ I& P* t4 u- F• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

3 h* ?3 D& n3 ]/ T3 ]  [/ o• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance., D4 c6 N/ i( E) A, L0 r

2 Y4 _* M1 ~- |; ]5 a• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.% k# e( n; B/ u

• Support effective internal communication by recording and distributing all meeting minutes.

: _- K3 Z$ K0 E1 W, C' o: G- N$ j• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Perform financial administrative duties as required.

Key program support duties

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA., M# m4 S9 O( d; v

7 }7 p) r; G( F* ^' s- S• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Compile information packages for fundraising and promotional purposes.

  y0 }) @/ Q) I9 U1 N; r• Manage database and support distribution of print publications.

5 D9 \- v% h* M, E• Provide administrative support for public engagement events and mail outs.& Y" G* z! ?) h* H

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.6 M; H# J5 h+ b

Fund Development
2 v: F, k8 W3 `9 v5 H6 t6 c
3 H1 }% I% C" @5 h; C) \• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.( N$ r5 u7 f- E; a* M

. ]( p% m' R$ R. L6 K# ~5 k- p- B! b• Coordinate volunteers for some fundraising events such as Casino and annual sales events.  y/ M. c  w/ ]4 v

• Support logistical work required for CFCA’s Annual General Meeting

  Y7 ], R% i' }4 p7 `• Assist in administrative tasks related to donor recognition and event reconciliation as required." E% h0 {7 u! v" P9 Y7 Y; Z5 j7 X, i4 Q

- c2 }. R6 `: _Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Term:

This position is Permanent part time (20 hours per week during regular office hours).
