U8 ~% F/ L- R- H" |Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

) B6 ]# ?$ G2 ^/ f5 [/ Q- X' nCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns., v' W9 N+ L( U" ]/ e+ V8 g

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.' I6 `" f- I: A5 d+ ]& P( e

7 Y* R* ^+ y7 W9 I1 k! p• Complete data entry in various programs.

0 ?4 v. D9 V4 ?9 p• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.% ~; j4 v  w5 N& X6 i7 j

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.  f; T1 E# G; Q7 K5 ~

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.# p" d9 v  W% A& p+ G: g( C* x4 z0 Z# y

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.9 n0 k1 h5 }% t: T

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Perform financial administrative duties as required.! {8 K, X2 l- a. P8 C4 C* m

International Projects and Public Engagement/Communications:

- \2 k# P" C% i• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.& O( c/ u/ `+ P2 I

8 E/ y( E; T8 l• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.5 b( z2 U( {7 V. L  D

• Support the promotion of CFCA events in Alberta through online and print publicity resources.) ?; o# v' W3 Y: R

2 d, r9 C/ m# S( O8 g, y• Support the management of requests for CFCA information and resources at public events.

• Manage database and support distribution of print publications.) H! m# d5 J9 ^( P" k

• Provide administrative support for public engagement events and mail outs.1 x( V* R& k2 |# Z( B

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.% _/ F: e9 @9 n. a* O3 W

Fund Development
! F% c2 r% d2 a, m0 j# N. x! m# F3 ~# [) }- A
• Provide logistical support for key fundraising events such as silent auctions
, p$ e. O1 I$ D/ O
4 s1 q1 S1 E- s• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.! a. Z4 f9 p# i* |

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.& k6 r( z" Q+ `% C( c" J) B

( x2 g# T, _. B* o  k5 j• Support logistical work required for CFCA’s Annual General Meeting
# [5 x! b3 w: l3 {2 q' p# k* L3 L: l3 ?- ]" B5 ?
• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
