Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

SCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

$ M' H% k8 _8 W" j! x' x• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.& _+ u, h% B/ S$ U3 T

! P0 l# Y2 b9 u, d• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

2 \* E0 c) @0 \• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.) S9 M1 Z! @$ n$ M

• Manage office technology software licensing and hardware maintenance.

) i# E2 n8 v2 B" U: `• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes., ^1 V! |$ c( u( N( ?, P+ p9 a6 P6 c

) ?. l  b  f" b; X+ Y( F" p; n• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.6 P0 |) `' o% I

• Support maintenance of Human Resources records and the development of employee handbook.

• Maintain inventory of communication materials., d0 t& P7 b1 r$ A7 i" F

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.% U0 a) M! \) k

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA./ q7 H+ T8 o) ?/ Z7 ~7 |

• Support management of online publicity and communication tools.

. X% \( l6 E4 g* T$ V! K/ \• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Compile information packages for fundraising and promotional purposes.

* N4 E- }, Z- X5 W" n• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.9 _0 F% P) c, A* L$ ?' z* \& _

Fund Development. s, D$ p' Q( u1 i

' X, E7 k1 S% F4 t2 Q9 Q• Provide logistical support for key fundraising events such as silent auctions+ s  U6 W8 Z9 k5 {0 F6 ~' {2 h

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

" D4 U* X8 H+ n9 B• Coordinate volunteers for some fundraising events such as Casino and annual sales events.: a' N$ A3 c. V

• Assist in administrative tasks related to donor recognition and event reconciliation as required.* d& q0 b! ~  i* v% T: U

+ ]' O5 {6 b( ^$ k: {2 XSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
