Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.- U! F; U" m) R! g4 v2 {. m

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

( P8 Q8 M6 ~# M2 o: C3 R6 S; R. k) G, F• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.. Y& k, X9 @1 D# B" D% e  b

* Z& ^( C7 \/ K0 \4 y• Support effective internal communication by recording and distributing all meeting minutes.

0 b4 c9 x6 N- y8 C8 G• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.3 N( x" k! H* d7 q' E7 _3 Z

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.- j# a; X. W/ h& t

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.9 X+ g) E: Q& v8 I- f

* a5 `, o# I( s0 J• Provide logistical support for key fundraising events such as silent auctions7 c7 m) I& p. \  {* Q

# T+ X1 N" Q% Y) S  Q, l• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.; _% ?/ p0 y1 y. F' t* z3 q9 [+ V1 o

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.) v8 `6 Y3 a9 }$ `

Spanish language abilities are an asset.

This position is Permanent part time (20 hours per week during regular office hours).
