5 X* V" }/ u+ C" W9 V3 @# ?Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

% f$ C- C+ D" U- s8 mCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.* o" G: X+ P2 }' M

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.' ]* i4 {  d! ^4 p

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.' _: D, E, r/ K' K" _

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

% E6 v5 I& L) v3 P, Z• Support effective internal communication by recording and distributing all meeting minutes.7 X4 K1 h7 }6 U& t2 G- B' }

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.2 g1 ]) Z2 z9 [

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

& X- O8 }6 X, G2 Q2 d6 n• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events." ]0 g3 a3 S6 c; f2 t0 b1 C' ~; I" @

; N2 C; Q/ K4 M9 {! U( ?1 f• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

8 z6 J4 q. J$ v: o; D0 E• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development3 N" k& Q8 I( J3 ~

$ o1 f! X0 t; O• Provide logistical support for key fundraising events such as silent auctions3 ?5 M3 a9 P5 s) w! Z5 X) r

, d& d: q: |8 [( q- k• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.& ]. X6 S0 W" p8 C# g% N  d  F7 I

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

1 E9 S! R3 k% P. cSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
