Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.9 J+ T1 k: }( w6 G$ q* s. ~4 }

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.# {2 W2 h' C) \1 A/ [8 I. A

) R$ J' Z& _! |# b8 S• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.+ a/ r  T# H: M; m% n

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.$ C# Y1 L6 Z9 D0 w

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.1 Y- q6 l# \7 [0 j

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

Key program support duties

International Projects and Public Engagement/Communications:( {$ X3 E, U2 r) m3 E

• Maintain inventory of communication materials.5 X% Q' [/ ?' J

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.* t3 n( a. S; m- H4 ~, ~+ _: s' t

9 o  g# c7 I) y  L4 m9 s• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Compile information packages for fundraising and promotional purposes.' r% x. V* e. Q0 Y$ i$ p

7 S" ]8 S  T# `! X' @$ f• Manage database and support distribution of print publications.

6 V. r2 v+ l2 f7 V* V' \- L• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.' e1 Q& O5 m1 L, h) }+ D/ P: N9 M2 O

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events." c; t9 f  X8 ^3 a) l3 Z0 B

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.3 \# s! {" g# r! b, g
