M, k3 f1 o" O- qChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.3 g' ~0 P0 V- Y( `) X

Key administrative duties:

' z9 o2 ~$ c7 w" S9 a/ G8 x; z• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.( w7 [) {. Q! C' z

) b! y+ Y7 k9 s3 `: A% y' o• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

$ o4 ~1 c+ T: L/ d! `" i• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.* s+ K0 s) S8 k3 Z0 ]

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

* d% s- H& f* R. ~• Meet weekly with Program Managers to define priorities.

4 |$ K% w% p- x0 \& u- M& m• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Support maintenance of Human Resources records and the development of employee handbook.# {$ Y1 s( \3 j: `8 r; y) ~% k/ J

• Perform financial administrative duties as required.4 P! A, j  H5 U' q; h4 i

• Maintain inventory of communication materials.
' `1 A% v' o) d4 X4 u  l* J! q* N$ p( o) w
• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.) r* ~$ f7 x. Y# c

" K' X6 j0 l! u! C" P• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.1 L2 g% ?; P8 ~8 z  @1 I1 Y

! @& G5 @" s" k9 Z$ V• Support management of online publicity and communication tools.; g% {- }' C8 j7 S

4 G; N  X6 X# t# ]9 V• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.0 O( g5 B5 v4 F

. J) c  L4 d! M. Q& J4 N8 ~: W• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications., ]8 [* o2 i; D

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

" z6 m0 G% J7 X3 _5 N• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

' p: f4 I: i. i  a" U• Assist in administrative tasks related to donor recognition and event reconciliation as required.

6 f7 D+ ^# W/ e" n  F  |Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development./ n$ E0 z# G# B2 U$ t; f2 O
