Program and Administrative Assistant

7 G& r- |) U; \Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.  A" j5 i) I& ]3 U$ T( z

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.. O6 [2 J0 ?& ?$ T

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

" y9 H6 R# w$ ?( Q$ h! [. g• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.% T# e! @- }4 ?  Z) l& v

• Meet weekly with Program Managers to define priorities.  W; |" J4 n; X& b0 I! \4 d, }

! K! r3 P9 y% I' ^' d4 y4 ~" l! d• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.7 h! P2 @' {- C2 a) E

! S" G# M1 {# D• Manage mail outs for fund development or education purposes with support of Program Managers.

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Support the promotion of CFCA events in Alberta through online and print publicity resources., \0 @: F  A9 U' _2 S1 U/ g

• Compile information packages for fundraising and promotional purposes.5 z8 X) P0 n) B% k4 ~$ v

% O/ s1 ^5 K- j• Manage database and support distribution of print publications.

1 n  u8 x8 S: n; M: ?7 U• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.% x$ Y) V, p. R8 b8 e/ L0 W, y

- z+ {* X! B  A• Provide logistical support for key fundraising events such as silent auctions

7 s' ^3 [: U3 r# s5 I% V! X+ S• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.& m0 P2 k6 K: y0 ]" X

1 q- t, [0 B3 f- v• Coordinate volunteers for some fundraising events such as Casino and annual sales events.$ t9 U, ^8 }2 ?; d

4 z0 S$ H0 \9 h. v# g, x• Support logistical work required for CFCA’s Annual General Meeting

; y/ Z3 U3 H# y( }& E; h1 J• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.8 i! r6 \% A" j1 ]" h, e, e
