- o/ }5 M* j8 G% o8 w: qChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

: ?% y" `0 n' I, P# @0 zCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.) i- P. {/ R8 }

& V' q7 w9 l; z4 g; M• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

. W6 a* p# A5 H% w3 e' `9 z• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.  I3 S! X, y' z# B# D8 G

9 g# U; x: a1 D+ g' d' t• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

  j; c0 x9 l+ R- [% u5 r9 a3 K% A• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Meet weekly with Program Managers to define priorities.4 L% v  P; |. Q( K% e+ e

) H" z4 L7 k) t$ L0 r5 s• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

& ^; C, A2 W/ s" c/ W( B' g& S• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.$ o- ]7 T2 a5 R$ `" m

Key program support duties

International Projects and Public Engagement/Communications:

. P  f) Q7 s8 I! R( Z( g6 D• Maintain inventory of communication materials.
% n( H+ B7 ?% D7 |: x5 f$ o2 |3 B5 r& [" ]
• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.
% {% ]$ r  I# B/ s
  s8 F% Q3 I5 Q( _7 i• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.
/ [, z9 Y$ }7 I+ k. f& X. |( W1 c! d' E0 J) D/ ]
• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources./ p5 T/ M1 g. d& s& ^

8 B4 I2 C% O( P4 K  w. K• Support the management of requests for CFCA information and resources at public events.0 j$ b* `( X& L

• Compile information packages for fundraising and promotional purposes.% \" A' z' I5 D8 j

! E) d( ]$ Q" i• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.6 M4 _/ H( b/ ?) x: A

( Q6 B& H  @. }0 a  w2 s• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

6 {' y" C  D. h4 x% l• Provide logistical support for key fundraising events such as silent auctions& G0 r& z7 J3 R' `

' \/ ~3 H7 k8 V) ^; E& o8 j• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.# q) n+ ]$ D( S. d" N

• Support logistical work required for CFCA’s Annual General Meeting4 ]* ~0 ~! S- q; F0 N

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

; q* s) X8 [! h' ?Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Term:
