Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.  [/ }7 p9 \% n4 I* \- q) y5 Z* W1 z

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.& I. c" d3 I/ m2 Y' L; |( V

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

& ^+ e. Y! O! t/ `6 U• Complete data entry in various programs.
& \* i: l3 ^% Q( }$ U% [) e$ n
# o' o5 Y. Q$ U, W• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

; Q- M+ r1 G$ v$ [- h• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.! J& I# H& y  b& Y6 i3 M

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.$ F# i! f0 j6 c: }2 q( `4 i1 w6 R

2 f8 {$ E% z: \$ o, w" F3 j• Support effective internal communication by recording and distributing all meeting minutes.& }* Q+ Z9 K3 H

1 H% d2 o* @% Z: j/ E& G" w• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

2 U: f* ^# `; o$ D% _% B; |2 U• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.4 ^) a' S) z+ K- T5 ~* c1 R: \

, M; H/ Z- _6 Q- Z• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

; r; `. o/ `& c1 k& _• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Compile information packages for fundraising and promotional purposes.

! r9 l( x9 b) }• Manage database and support distribution of print publications.8 z; H4 C* P" s; L; ~

# N7 i& e. f* m• Provide administrative support for public engagement events and mail outs.

. R  @2 ]) [6 X( T- L• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.. h' T$ Q, z  D

3 E* |# g& `6 ~1 @! o) p- C• Coordinate volunteers for some fundraising events such as Casino and annual sales events.- H: B! Q; {) L9 T( j8 b

( d$ r9 I2 ~% ?- s! C. w• Support logistical work required for CFCA’s Annual General Meeting

) L; J- f1 q/ G• Assist in administrative tasks related to donor recognition and event reconciliation as required.+ H$ @5 r3 Z0 [6 I6 g3 m

% v* b2 j6 g( R0 Q, |Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
