Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

, z4 V8 P4 q' s$ p5 ?% h, i! c• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.% f) S/ w  a1 G9 z
- C3 L( W6 X7 [5 g5 S5 O$ X0 s9 m
• Complete data entry in various programs.+ g! U; u' i' e2 s

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

4 W) H$ h% R/ I5 H; Q" V• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.* o3 {' @, M6 P

• Manage office technology software licensing and hardware maintenance.

• Meet weekly with Program Managers to define priorities.

( n8 V& n0 N% ]/ R' a- f( B! y• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management., ?, ?! J  f4 f: i, n

• Manage mail outs for fund development or education purposes with support of Program Managers.3 {; _" O" X+ L% Y5 s8 W* z

• Maintain inventory of communication materials.- S( G9 O& i9 u8 y; {- C! `

8 ?+ a0 j; Y: a$ O9 [• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.( t6 l8 b/ `- ~- L, r

• Support management of online publicity and communication tools.7 Q, ~. C2 S7 p1 ?

/ A, V1 W6 `6 @1 b) P4 I5 U• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.+ t+ h' Q# M4 f( l

" Y3 E5 w+ e# L% r# x• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions4 U. M2 p8 V; a( r

% \. u1 V7 e# k• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
$ I7 I; e* u1 \- ~3 s1 q: f/ l# X: t( W: h) R6 y
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

! P, P6 W4 W* |Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.& T& Y1 a4 x* s$ q( ?" Q

Spanish language abilities are an asset.; O* p* R# z' {7 S
