: Q1 _( _" G6 x  f+ J  IChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

8 e7 C* M$ }. nCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.7 {% `' ^* T7 v& I5 }$ `

( }6 ^7 N+ Y1 g$ C• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.% @$ u) ~* F8 S0 z( y: E# y) H: Q

• Complete data entry in various programs.

1 V9 @" h' f+ V3 b4 U6 B• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms., x1 Y7 H# {* C; i

6 u" u2 g9 K, ^- b7 r8 c# Y2 l4 i• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.& K# k4 |7 Y& G( Q7 l  V

• Manage office technology software licensing and hardware maintenance.( r& T" G! W3 x- Z, @2 n
& U; L7 C- \3 M1 o
• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups., Q7 A% O' J6 H4 f* Z

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

2 e  q- o6 t! d• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Support maintenance of Human Resources records and the development of employee handbook./ Z# x4 E& j, W4 C$ }8 C, m% f" G8 C

• Perform financial administrative duties as required.9 B; {2 l( p3 u

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

  G) n8 T( G. l% _7 ?• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.4 @9 O, n" M8 c+ }* L9 G

• Support management of online publicity and communication tools.

0 }' ^2 J# S; r$ h& H• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

7 g2 r. R& C/ r( Y• Manage database and support distribution of print publications.

/ b' S9 |# K! A8 k1 ~& T• Provide administrative support for public engagement events and mail outs.5 a2 }" c" f; g

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.5 m( {6 y2 }, y  l

Fund Development

' \1 j" U1 ]2 h+ Q( s7 x: x• Provide logistical support for key fundraising events such as silent auctions# i% ]4 i9 y; j  Q# d; u7 I

- w6 n+ U' p. I2 z  T• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

3 w3 y# e, p# D+ O, \& T3 ]• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting5 D$ b7 X5 J4 j: o2 i

5 D5 a+ T  j0 r' D; o• Assist in administrative tasks related to donor recognition and event reconciliation as required.

, ~% K+ A, h, n# i% c. vSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Term:

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
