Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

- l+ Q* ?6 l" a  o, nCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.: Z, F6 E& `6 \

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.; T, g! U! a& M: Y) e8 x8 i

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.2 _7 b3 g4 A) x7 v% h3 y1 _% S

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Meet weekly with Program Managers to define priorities.6 n4 P0 k/ j3 P+ o8 Z! n

9 [! I( F2 n- A3 s& O5 s• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.0 v6 r/ m' V4 B

• Support maintenance of Human Resources records and the development of employee handbook.# ?. o; F. ~, [5 N' c% N) l3 T5 W

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.

) S, O# m' w" ]* e• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.; p8 B; O% x0 d( C) `* i" ?  h

, i5 g; S9 ~) ~/ {+ p• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development2 k, G8 W0 W  K

/ W; I$ x/ Y: G( P) X, T• Provide logistical support for key fundraising events such as silent auctions

5 a* V6 n/ Q. o" l• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.5 a6 u# O0 s% C8 G; b( \0 ^

: b/ s$ `7 g9 Y  C  w; }• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

& j$ y; T: M# E' b• Support logistical work required for CFCA’s Annual General Meeting; Z6 Y7 ~- Z! m8 C! t# ~

• Assist in administrative tasks related to donor recognition and event reconciliation as required.0 U" G9 ~. D7 c

! L; L* I$ P3 W! MSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.$ F% {8 o% A. w3 }5 K" E

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
