Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

% q. s7 q+ |5 h  k1 g• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.. A: y* P3 N$ |4 G+ k) D

• Meet weekly with Program Managers to define priorities.+ B" r) z/ U1 B2 [. o

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.7 K8 ~5 ?) K2 \; K# x

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.% x$ X8 u5 ~, A! ~" `4 R4 H

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.! h5 Z# l! m/ }% d! k4 j

• Compile information packages for fundraising and promotional purposes.

• Provide administrative support for public engagement events and mail outs.9 h% O1 F: d* P: h

* ?* u5 C; I7 D- W7 h• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.+ M, e5 C+ Z: a0 i+ |( c

* u' ], q% Q+ G8 x- Q5 q, r  j, L# Z• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.; Q4 }7 B; K1 T# Q" S

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.$ {- }# m9 a7 H7 v' V- E7 Z3 z
