Program and Administrative Assistant

: h! x0 o! _+ N9 EChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

$ i5 r# C0 i7 ^# [# xCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

( W. y$ \; e+ q" s& x• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.5 P- J2 \( ~0 |

% F$ |0 Y0 n( R• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

International Projects and Public Engagement/Communications:" ]# O; Z- v9 u) j( |

) s6 o8 l' d4 r( m$ ^• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

. y# ], P0 K$ V" t1 K# ~7 ]• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.2 [3 H: ]* ~* C- o7 C2 ?

• Compile information packages for fundraising and promotional purposes.

% W$ j  x4 z/ a" V( N- m• Manage database and support distribution of print publications.

5 a! a% O( m8 t; K! e• Provide administrative support for public engagement events and mail outs.

( u5 i7 `9 f" t) H' m+ v( l• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

4 n- T- V' }1 Q9 }3 m• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

# I, m: d2 a: B7 O% T" c• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

% y" Q: m/ g; S; Z6 ]• Assist in administrative tasks related to donor recognition and event reconciliation as required.

- g1 A+ u) [  U, m+ q: QSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Term:

This position is Permanent part time (20 hours per week during regular office hours).

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
