/ @7 @1 f! {. ?$ i$ J' I/ EChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

$ i: c) S+ D  x% [/ w# X# d+ Z% d• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.* v4 e4 }: g' z. q  s0 _6 J, b

# b) Q: Z, `2 |# S( [' H" A• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.; s, x( I& A9 j5 _0 q

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.! d  H  F+ _3 |7 ?2 G

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.) c/ V4 s. k- [

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.7 S" N) S3 o; r" d$ r# `0 p

' \: _* Q: M6 v• Manage mail outs for fund development or education purposes with support of Program Managers.

Key program support duties

International Projects and Public Engagement/Communications:

) p9 i9 I8 D! r4 X• Maintain inventory of communication materials.6 B, O8 C) ]. }1 O

% I+ b; t9 Y) F. Q( ?) e9 ]) q• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

- M# T0 h5 s! ^7 j# ~% t$ P! j5 }• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.( f0 o$ K) j8 q6 T# L4 u; b5 b

• Compile information packages for fundraising and promotional purposes.& [# |' D- a# H; M

& y  X% a1 K) f; d  [) V2 i• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.- T# w+ R7 _6 s0 s
& w: p! X9 G$ U9 t/ ^! o
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.0 d6 ]' X1 {1 b0 R

• Support logistical work required for CFCA’s Annual General Meeting: ?( H! g9 K. m8 x4 h

• Assist in administrative tasks related to donor recognition and event reconciliation as required.3 Q5 n( _* u$ i) Z

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.  O# x" m) z1 d% w' d; ^

This position is Permanent part time (20 hours per week during regular office hours).
