Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.6 Q8 G5 v# @) B8 A& [7 p

• Complete data entry in various programs.9 ~$ g3 T8 k+ S

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.% f# X6 p% J3 z

: l% R7 R" r5 O3 \5 O• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.1 E; A' g' C4 u7 d( w% |9 q# [

• Manage office technology software licensing and hardware maintenance.: ]* D: S3 |: O6 d8 D% x

) ?5 [8 u* h# |8 A! E• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

0 i( `4 |# ~8 y% l• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

6 W, O7 L' Y2 T! e• Support the management of requests for CFCA information and resources at public events.- k; e% P  \5 c

• Compile information packages for fundraising and promotional purposes.

  S9 N2 i3 p& n) T- c3 X; S0 e# v• Provide administrative support for public engagement events and mail outs.. p8 L  E/ v8 h& E

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions5 ~7 L" Z# C6 n+ D# n, Z' c

5 v4 f' z( Z. E. V3 t% h• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

) ]* [# r9 g  v8 u9 r1 m2 S• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development./ L& w8 z- L) w" E6 s5 z3 t

Spanish language abilities are an asset.
