Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.9 s5 q6 I6 G1 v2 h% _3 W: g

WCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

2 F! Q6 W* L, I7 r  e" ~• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.8 M* s6 K& \4 B& n5 w  ?3 `

; z( t% G* `# W1 m! f• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups." b2 l- M/ o  m0 T

• Support effective internal communication by recording and distributing all meeting minutes.* \8 u8 k2 ?7 ?5 Q

' |) `/ ~% y. |, X• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

Key program support duties

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

& c( R  e3 f$ z; Q1 S. f• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.9 N7 W* {2 `% r& s: {

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Compile information packages for fundraising and promotional purposes.2 v( ]  ^" ^; w

• Manage database and support distribution of print publications.* ]' @# E# h3 {2 l# E

• Provide administrative support for public engagement events and mail outs.6 `: B* N, O' A6 S+ P

0 N. \4 T2 e3 m# B' X7 G• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts./ K- k) _1 g. Y4 q! u0 q- b5 C

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

) f9 h8 u+ A2 s8 E9 E• Support logistical work required for CFCA’s Annual General Meeting( Q2 }# q* c5 o4 J0 v- i

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

. Z% @0 m1 f- E3 e  M2 E" hSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
