Program and Administrative Assistant

& P' ?7 q, `2 w- S, qChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.6 ~9 X6 d! Q6 U2 {( G( \0 b! [: E( z

• Complete data entry in various programs.

' ]" ^* A! ^9 r! d+ O) n• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

8 [; O: ]' W/ x' l# c# v• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

3 B6 [$ a$ o2 }• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers." @4 y: D! {2 `5 Z4 |; |& T  B+ X

8 w% N6 y; g) Q" {• Support maintenance of Human Resources records and the development of employee handbook.

" l7 L- ]9 G' R+ c• Perform financial administrative duties as required.

4 s3 }" g6 z- Q5 B# h• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

' {/ b+ l- k8 R• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

/ z& k- C* V* s/ f! a2 k" v• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

6 q- S& h5 z( Z• Support the management of requests for CFCA information and resources at public events.' q& q( d: Y3 A6 M( W

9 ?( M4 e) \" Q+ I1 `, A7 y• Compile information packages for fundraising and promotional purposes.

. {; B! G. ?3 K: Z• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

2 q" ]( g' \; h7 t( q• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development
9 L& f- |' K# ?- ]6 e8 h$ H  J9 R  Q+ k8 J
• Provide logistical support for key fundraising events such as silent auctions
' X" ?$ e# ?% c# P' ~, u  \: s; P. ]
4 o* `3 \5 y. |0 q' c$ v. O• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.. n; t7 n" F) T" X8 x

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
; S( r7 g9 p0 i) N4 R3 n; p& [0 N0 \1 \6 H, W5 t# D4 M1 u1 M4 L
• Support logistical work required for CFCA’s Annual General Meeting

3 o6 U1 D: W0 s7 ~( F" N• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

This position is Permanent part time (20 hours per week during regular office hours).
