Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.( s' f5 R; c$ e: X* A+ f! e

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.% F7 L3 }# ?4 v, |

• Complete data entry in various programs.7 U1 o  I  [8 }/ y  A
! _# P* @2 ?8 k/ s5 q# W' {' g
• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

8 m8 g$ B2 t. R& ~5 g8 H) F! Z' \• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.8 m2 Q1 M, P. P4 L  V

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

: \5 ]5 `6 f+ G• Support effective internal communication by recording and distributing all meeting minutes.

  Z* _. X1 }5 x+ J0 f+ R( o• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

6 U0 E% Y( H  b7 g( G( E• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.. o  Q/ i" ^9 x& \

Key program support duties

International Projects and Public Engagement/Communications:# V" ~# |! N) Z( J4 V

. Z/ r2 [  M# G/ r" q: E• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.  v- w  i; }4 _3 p# g) s$ y5 a

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.0 O5 O& B. m: J4 h- o# b4 u

9 M, `! |8 [' `8 @• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.% M: S0 F, v7 F8 n" O5 A0 u8 _

• Compile information packages for fundraising and promotional purposes.7 e0 ~) h! \$ L, k# u0 z

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

# d5 z9 I; d+ z$ _7 x. A) Q• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.4 ]$ V( G  {; f

• Provide logistical support for key fundraising events such as silent auctions$ c7 Z/ s. T- N. u5 v9 a

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.- }6 d! j% D8 }% z' X  |
& v; e# u* q8 ]7 t9 @- t
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.: N, G7 c+ T5 v2 @2 ]5 M

• Support logistical work required for CFCA’s Annual General Meeting& d" W6 d  [8 w$ i2 q% c: `( T

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.  L$ j6 [, C6 ^0 C

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
