CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.0 ]/ |6 P# N0 a% U+ j

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

. B l3 `5 W4 E# h- N1 G. P• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.7 o" R0 m; I- L9 o+ W

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.5 b7 D) |0 _; I" f% m

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.# m. S5 T3 R Q. O4 d) p2 V

• Support maintenance of Human Resources records and the development of employee handbook.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

) e3 b/ i+ X7 i• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.9 ?7 W) Z* v. C
! s- m* X; _) o, K1 N5 {• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.! V- W* _& A3 Z5 ^
7 D, M* {3 a5 n' f8 z) `• Coordinate volunteers for some fundraising events such as Casino and annual sales events.' F$ n. M; A& v+ u2 a. y" ]1 R

• Support logistical work required for CFCA’s Annual General Meeting) ] a; K% e' G T5 Z
3 P" a. p5 q+ f" Q% a• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
