Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.* Q8 D( H' U3 K8 K6 g

, W- |& y* b* a- e1 `CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

! @/ w1 k6 k. j+ D• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.$ }& V$ j. f4 E+ A4 T" D( M* A

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.  h" C/ F$ L+ v( ~/ I

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.  v" ~: z) @: F

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers./ F8 J2 e( @! B- i

• Support maintenance of Human Resources records and the development of employee handbook.& j2 [, ]$ c# z% W6 w: W

Key program support duties

• Maintain inventory of communication materials.- S6 j! {& M' `! }, c. J3 n. ?* h

+ M$ x% c2 ?9 L: n- |• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

! t% ]! S/ e7 J9 a• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.' P  T2 o, Y: i$ ^7 I7 h4 _

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.0 {$ }! I+ d6 n0 d$ J

; b7 N/ f' `) a• Compile information packages for fundraising and promotional purposes.

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.* d' f# w, i5 ^& U0 P- d9 u

Fund Development: }# z: `  e' P

1 a( e; R$ c5 c0 P! J7 s8 S- f• Provide logistical support for key fundraising events such as silent auctions1 o* T6 C* r$ t" C2 b

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.* q4 k# M: v9 e# [$ G: o" W

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
& x: i; h6 ?( i& H# N. e+ k
7 ~/ H) Q# p6 W0 {( o• Support logistical work required for CFCA’s Annual General Meeting4 C; l& ?# i8 k! A/ H

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.3 P" X- M2 A5 g& B. ?9 H$ ~/ w
