Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

; I/ W8 ^$ j2 f2 Y- GCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.3 h8 } G# J9 p* [7 [3 @

* \1 s+ G+ h3 S+ z' z1 S* r• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual. q7 v& h& N6 z: q W

' T9 r+ {; H# G• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.6 l1 _& N5 P$ B+ b; ~8 q

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Maintain inventory of communication materials.2 D3 X9 Z& _+ \0 \( j! d( R

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.1 d% @; `# p, R6 ]6 H

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Manage database and support distribution of print publications.2 l N& T; p% F9 o, Z! s
# k3 _% K; o; c% E( T• Provide administrative support for public engagement events and mail outs.

, \$ h @/ E6 I/ H• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

9 S) _2 W$ g8 P" h+ H7 O+ \ C• Coordinate volunteers for some fundraising events such as Casino and annual sales events.4 d! Q! d4 i4 K$ h

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.5 H1 x; F( Y. q, j9 |) Z; W; N' ]
