9 ~$ ~# x" v* f  {Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.- L4 @( H2 d$ V, F& Q( b

4 K; ]# V# `# E, @4 h5 |" TCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.+ a% F/ M# }0 b9 A# v

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.# A: o3 b7 k# ]

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

& _# `% K% ~6 d+ K• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.8 F! E7 g) F9 \5 l* Y: e

, @! o! A9 Z: C• Support effective internal communication by recording and distributing all meeting minutes.2 c  [4 P, N' ]- }7 e2 r0 J$ X

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

  \; T* d. E* u" Y7 H  P• Maintain inventory of communication materials.8 E2 \# E# x/ f

/ c% N2 V% u+ x# H" z# T0 c• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.) A3 N" z+ y# h  B' x8 Z8 q

• Support management of online publicity and communication tools.

: @! \* C0 ^" I! I" x+ V( v. e• Support the promotion of CFCA events in Alberta through online and print publicity resources.) m: m) N4 S7 X8 v. {1 [/ S

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.. N% |' [" U+ s

• Manage database and support distribution of print publications.& i6 f( M' e' a6 s& J) P" \

3 J- Y, ?  T7 }9 L! T• Provide administrative support for public engagement events and mail outs.' O/ B: S! c/ V& ?- L

. p% T% C0 p, l% N& a  l• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

0 B0 B* l, }3 o/ N• Provide logistical support for key fundraising events such as silent auctions

9 [% a" R& |8 _  R" r% ~+ C• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.% ~) @& i) I* u  i) {/ C4 g

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.: N. H& {7 n" d7 R' o0 Z

• Assist in administrative tasks related to donor recognition and event reconciliation as required.  C9 g) ]2 U' Y+ F( E

/ `" e# d1 ]+ p/ Y% R3 N! eSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.' w" i: {# r8 g6 b* I

Spanish language abilities are an asset.
