Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.. l% P5 b5 {- `# g9 i$ }" v

5 X7 L: x; D% m: ]CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.- V0 n8 r0 A" y+ D9 ~3 ^4 M; j

. w' m* P9 {, d7 {9 I• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

7 D9 x3 }, s/ C/ X7 O/ V7 `% e: W) u0 a• Complete data entry in various programs.4 ^0 w& I3 `7 t( d0 p

, c; ^7 b) P4 z& d* b• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.5 N! A: ~0 J& |) v* M8 P

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.7 d: Z- U  p2 Y0 Q7 P3 g# v3 g

1 ~. U/ @' J* P* {* l( S, D• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

0 ?  Z. S& V% Z4 @• Maintain inventory of communication materials.

5 Q1 x, t, X  }$ G• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

. j: p& A! J; |# ?( L! F• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.  C3 t1 W+ D4 I& `4 _+ l8 g

( t5 P2 W. [5 m( p• Support the promotion of CFCA events in Alberta through online and print publicity resources.- x! s1 T( }8 S

• Support the management of requests for CFCA information and resources at public events.. u- F# a7 E$ t7 Z. [; C1 u  w

4 Q6 L- k: Y* S8 c# p2 x; D( `. T+ U• Compile information packages for fundraising and promotional purposes.% D$ @2 G6 _6 r' H

% V  r- o! N6 z7 Z6 O% f6 I  G• Manage database and support distribution of print publications.! J/ a% a' N% Y* @; t8 O

• Provide administrative support for public engagement events and mail outs.
+ L- u( p+ G$ F' f8 ~. ?8 V' p4 H5 R" J" s6 X) D* e2 B$ G
• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.) A0 _0 \. N  ^6 d$ J

Fund Development
7 h2 t5 t3 O$ b6 W1 G- A1 F: t( Z% e* D5 H
• Provide logistical support for key fundraising events such as silent auctions, w$ t. \9 q  j6 y

( _" `1 x. Z1 i/ K• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
* C* V( s  u$ n" B
( \' E- q) M, k$ i9 y! B• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
, r" Z1 ^; h: N: G3 M7 D) `7 |4 j- ^& n  Q$ M. Q& F
• Support logistical work required for CFCA’s Annual General Meeting: N1 ]4 K7 H! {

1 t+ _/ Q' u% J9 E0 G3 f• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
