Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

0 }- Q* b4 ~7 D4 U$ {" G" f' R" p; FCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:' y  g5 r- e( t

, z2 B; w) I# O  m. T• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.0 P4 W# g( Y2 `% Z

• Complete data entry in various programs.' r4 Q  u, s; X% s5 _

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

( N3 S, r# k4 V2 W& B• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.( A& r# e) Q* o5 k( M: v9 Y4 l$ `

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.4 A" w. u8 }5 `4 X9 ]3 B1 x

+ P2 h' N) A) r• Support effective internal communication by recording and distributing all meeting minutes.- x/ H8 k9 ^  F& ?8 }* O

• Meet weekly with Program Managers to define priorities.: }1 Y" n; C  p7 Z

* l3 p8 m0 A/ `+ ]1 ^• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.# u9 {1 {  ]4 T. y, e6 U

• Support maintenance of Human Resources records and the development of employee handbook.

Key program support duties

International Projects and Public Engagement/Communications:1 ~" b9 R6 J+ D: \( R% @

6 K/ B( F8 C& d1 J6 ]• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

/ A+ F& F% H) P' C$ [( s• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.# x" r, P8 m0 s5 @/ n2 G

• Support the promotion of CFCA events in Alberta through online and print publicity resources.- O+ b6 Z) @: C( b: F

9 q; m% G  P$ ]4 s& p4 r* n2 Q• Support the management of requests for CFCA information and resources at public events.

6 ?, n$ ~) M  U5 S  X• Compile information packages for fundraising and promotional purposes.

& X2 V1 r, o2 O" ?• Manage database and support distribution of print publications., I8 Y/ g7 D( ]

9 H8 Y) i. M$ y( y! @- v• Provide administrative support for public engagement events and mail outs.

& V, M) y! L1 I8 k• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development$ e" E. d; ^9 C

• Provide logistical support for key fundraising events such as silent auctions
) l* [" t! m- y$ z, c5 I4 E$ c# ^" ~1 }
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.$ O% @% I8 j# Z

3 |( J; t& K* f; {3 R• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

$ e; k+ p: j) f5 n• Support logistical work required for CFCA’s Annual General Meeting

4 b2 G6 \+ k1 A9 z; tSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

This position is Permanent part time (20 hours per week during regular office hours).
