Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.3 K9 f+ ]" O/ \4 }# J) l" h

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

9 p; o6 a* v6 M• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

, F: ~% M' Z1 Z6 m& n* h• Complete data entry in various programs.

1 x* f, k) y& b  O* W  ?, ?• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.7 O7 Q! L& R( J# G( S: c$ b

• Manage office technology software licensing and hardware maintenance." @* i3 F0 j5 k$ [

& |4 J8 y1 A. d1 e$ ~• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Manage mail outs for fund development or education purposes with support of Program Managers.; X- X( p/ }& u: F! Z9 o

• Support maintenance of Human Resources records and the development of employee handbook.

International Projects and Public Engagement/Communications:# f) V/ s" m% _  x8 b

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

; N  w4 }% w+ C1 }. t• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.( Y# h1 R/ ?- g3 n

• Support management of online publicity and communication tools.

0 v0 B( C; J4 V" {0 E5 k' ^• Support the management of requests for CFCA information and resources at public events.

+ a! `$ V; a! l8 }9 h+ N) }. s• Compile information packages for fundraising and promotional purposes.0 y3 b. W, B& n' o% `

• Manage database and support distribution of print publications.

( D' a4 @# E. u$ W" w, M• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.% i) J$ l2 L7 `

Fund Development$ ^4 f% [6 x  f5 G

• Provide logistical support for key fundraising events such as silent auctions

' {1 g9 y. i" W: l• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.1 U; K2 c" k; r+ q6 g

5 ]) d6 ~; {$ W2 c/ F, b1 S• Coordinate volunteers for some fundraising events such as Casino and annual sales events.$ U! O; I1 K# |8 V3 y, Z! Z6 n

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
