  n6 A1 Y7 f2 SChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.
! O' `# ~: T% S
- y1 d3 A+ L4 Y) V0 R; \• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.2 K/ c* k( h" N1 Z* o+ D( L. R( U* [

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.' M7 ^4 U  G! R5 `

• Support effective internal communication by recording and distributing all meeting minutes.5 e; Z" Z4 M* u, x9 Z  b: V

• Meet weekly with Program Managers to define priorities.. S% h5 [9 [: T$ p

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.  u' F% H' I3 x! K1 i

• Support maintenance of Human Resources records and the development of employee handbook.

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

1 G9 q- u  L& r: m! n. }• Support the promotion of CFCA events in Alberta through online and print publicity resources.

/ C+ [0 W, _: C; Y- B, M3 C• Support the management of requests for CFCA information and resources at public events.

• Provide administrative support for public engagement events and mail outs.5 Q8 I* T5 [8 s4 Q

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.0 R$ S( l% o* @% o, y  a

Fund Development

• Provide logistical support for key fundraising events such as silent auctions1 |1 i% }5 b0 {% ?; @

8 x* s4 @; \6 }. K5 J7 d2 Y% {• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.9 z" c: [; c/ {# P% d( e

2 C! B9 L. V% C7 U6 m! ?( E• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting; A* S( X% L) O3 X  t- ]. t, e( |2 }

• Assist in administrative tasks related to donor recognition and event reconciliation as required.& F7 h5 a4 F$ \/ ~2 E

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.4 |* c; z- d  E7 h

Spanish language abilities are an asset.
