Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.+ f* x- F- k1 X- N; P

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs./ W5 N4 ]3 } ~1 _, ~
' f5 V" l; p2 M' O! S) b* a• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.: F) h u8 m% \
% U5 r% f+ O o6 Z4 U9 n% g2 M0 u• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

7 c9 h1 L& |6 _• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

5 M6 w" C6 u: t' X' e• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.. x! b8 L0 Q7 x. q O& g& c- ]

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• Provide logistical support for key fundraising events such as silent auctions E# o, b8 Q! V: ~7 B* i

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.& U, |1 n/ p: T. J& D
% b& ?" y2 F, Y, ~2 G+ J% h
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
