Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

D: G6 [9 i# G, Q- Y2 p$ B6 VCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.$ I( O5 V# l- [

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

, Y: W+ G( p9 R2 P+ i. m" G& \• Complete data entry in various programs.

) a3 k8 p1 S/ n6 C) D• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.# |2 N. d I; z) C2 T: P

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Meet weekly with Program Managers to define priorities.5 o' Z& h6 d* \1 F h$ M0 S
1 \/ I8 y( ?% S, e1 C$ @• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Provide administrative support for public engagement events and mail outs.

Fund Development

- b( j8 O! Q; `/ f! T• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.! a7 {# n! Y. H4 t

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

: o& q6 s2 F' G+ vSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.9 k' s. q/ @/ @2 T" k.
