4 c% N# C; ?4 Z/ f/ j+ IChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.* k5 n# h% A3 Z' z. p

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.
% p; |5 P" @3 C$ O5 d; |0 n' Q/ p
• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

+ A! i6 n( C, c9 g3 Y( k  ^• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.# b% ?! g/ m) s$ q" a1 l* M

9 L2 R, r* X$ g: K: j2 r• Manage office technology software licensing and hardware maintenance.# V# ?! c, K8 n6 t5 Q

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.4 ]. ~5 {# c+ W9 l  A( w3 ~

• Meet weekly with Program Managers to define priorities.

) Z! x' S+ U" D• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.7 ?9 u1 z1 p$ v  B$ @5 u7 H* G: L0 }

International Projects and Public Engagement/Communications:

; z* u; O- }8 e; X' D6 @• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.7 U7 W; B2 `6 B& E7 N. f

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

; ?; G6 q9 o9 E" j  U; B• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

3 W) m* v1 o; L) p/ N0 J+ L( i% p• Manage database and support distribution of print publications.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

* l! I; e: i9 ^7 p7 R• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.1 O3 [5 ?: X! }9 H- c7 q, j: a

6 U+ s6 }4 j/ q3 \% l5 ?% N• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.5 n, u2 r% c, T) F5 V

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
