Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.1 r* W8 t/ w4 F% `, ^' _

, o) }5 n2 i+ S) e5 CCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.9 T9 u6 g9 D6 c6 G  y0 T6 h6 m* S

' S8 @8 a* r) ]. l6 R5 {  t• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.( ^' L  Z" ]: C; y

4 v* \* w* ~4 p• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.% ~- m0 p1 a# p2 a& J, M! {  V7 M

9 p2 n) S. U, I• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

; Y- q  ]  ?; s  ]9 g• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.# K  v5 Y4 W; X& u; Q- `. p" c

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Support maintenance of Human Resources records and the development of employee handbook.+ k* t0 R( a+ L0 e6 I

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

+ w0 _, E' ]' `+ I8 j• Maintain inventory of communication materials.8 g+ q  P  X0 F7 V# J& H: ?

$ g: k$ I9 B5 O2 i& m• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.$ Y  V$ ?! U7 z3 V6 I

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.3 {- l3 ^7 t; n# U# ^+ B) f6 G! |

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.4 Q) k+ U9 W2 Z: n7 W4 Q: y* a

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.$ K3 A' _/ G: ^9 g9 x+ e, |

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.. x1 C: g$ N( V9 s: Q+ N6 D

• Provide logistical support for key fundraising events such as silent auctions

8 ^6 |4 C6 e8 {$ g• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

/ G! D# ?* n3 K8 P( _• Support logistical work required for CFCA’s Annual General Meeting

, Q  }! P3 }5 @$ ^, `• Assist in administrative tasks related to donor recognition and event reconciliation as required.5 i  l  I  D* l. u9 ]7 a8 S

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.

This position is Permanent part time (20 hours per week during regular office hours).
