Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

" ]) t) U' ]1 J5 J4 wCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:% q- J2 _0 ~$ L" j$ j( h0 O

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

& ~+ S/ j: O5 p# ^• Complete data entry in various programs.6 I6 k! A$ K; z

7 D3 W6 }6 j* x/ x• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

$ L+ t' E) C$ V. }4 X• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.0 g2 n2 ^, s1 r/ X' T

• Manage mail outs for fund development or education purposes with support of Program Managers.

% C5 Y( N9 N/ T• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.: S. \: F9 {2 v% E

Key program support duties

• Maintain inventory of communication materials.' ?8 C3 Z8 Z7 |8 ?/ k6 `8 [

3 K& G3 J+ N' e$ Q. o; s• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling./ y( y2 N8 r+ {/ z' R  B

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.9 v$ m9 `9 G5 [0 Q' h. X

• Support management of online publicity and communication tools.2 v3 e5 T; e3 b! L7 n& K

4 m, W9 [" ?, i- M2 e& f# d• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.! k0 _! V" W) S  U1 q

! r5 M  L/ |1 @8 F! k  u: Z+ Q5 b• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.) b0 @5 {! J# b' `

' D5 {( m+ z) d; r2 S. U6 E/ v' D) x/ m2 a
• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

( v4 ?- J; k4 K7 O5 t) d& e• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.) h. |! U- v' X9 O

4 c7 ?) @. Y: d! K) K  v& r  _Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.$ ]; D9 |+ `$ \+ L

Spanish language abilities are an asset.

Term:
