Program and Administrative Assistant

9 B( u% X) D4 XChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.2 P4 |! CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

5 N2 c0 V. `5 f7 h• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

* X# J, g1 U* O$ S3 x$ \6 N: z• Complete data entry in various programs.4 l6 M( N+ V% l. d/ [- x

% X" u$ L: _5 `( d* w7 c8 c• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual." l2 c: ]) H8 R# U2 A, ^

% v" o8 |, l$ U9 d' P' u• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.& i6 Y# u  `' h

6 {$ k& h  c4 f+ \9 ?• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities., `0 V5 O3 c) t, X# n6 ^

6 S6 T! U$ p6 p: q" f• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

) P0 L$ W) l9 u" p& |• Manage mail outs for fund development or education purposes with support of Program Managers.& z4 V, T) Z( ?2 u+ a. e

• Perform financial administrative duties as required.

• Maintain inventory of communication materials." h, t& t) X* @

) l& T: W( k( y) ?6 I$ ~• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.  h) i( i* P) D$ |& L  G# H0 Y

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

0 c! E$ F9 I" g! _* ^: E• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions

- Q( ~; L% ?! q/ \3 O• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.: F7 z9 t: L: c5 _* ^

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
