Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.( W" y, ?5 N% V5 t% d. D9 R: O

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.- @. L( V* ?9 h+ V: S

2 a) A6 t$ o; E9 {• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Meet weekly with Program Managers to define priorities.. ~6 b2 o8 Z) a. H

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.9 H4 \4 i' j, y3 `

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.

9 g# T2 N, o! |• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

# z# i2 R1 u% J5 O" S: b/ `• Compile information packages for fundraising and promotional purposes.

( V7 a9 N4 o) U  {% y, ~• Manage database and support distribution of print publications.

  e. m% t4 N( u7 ^• Provide administrative support for public engagement events and mail outs.

- ]: R! v3 G- d  z+ k1 R• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

( s7 N' ^; q3 B6 @• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Assist in administrative tasks related to donor recognition and event reconciliation as required.. J! Y9 O1 y3 K- o0 |  T

+ o4 \, @% G( hSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development., q) c3 i! P8 Q
