Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization., [8 y' V2 n+ q

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.& [2 o" g1 Z- S- c

3 I+ d2 D2 d7 I9 u" b. ?• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

% ]* X! ~; m. h9 ^2 }& L• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.8 V( M$ Y- W" p

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.( E8 [- N5 a7 ^+ a; r4 e4 O" J' f

• Manage office technology software licensing and hardware maintenance.1 f  H4 R5 {+ i8 U* u4 |

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.: M. w5 O6 A2 `& F9 [* d

% e9 C: ?# u, d$ B0 y• Support effective internal communication by recording and distributing all meeting minutes.

0 C5 O$ ~; n* d, m, Z• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Support maintenance of Human Resources records and the development of employee handbook.& a3 V5 D+ k7 ?' T5 V8 C

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.& O7 O0 q% Q' c% n7 G- I

& O$ a8 F7 O3 i# D  K! Z3 v, v• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.$ o  j  m/ p- @% D! j3 a4 }- m

• Support the promotion of CFCA events in Alberta through online and print publicity resources.! e' M/ D$ [- B

• Support the management of requests for CFCA information and resources at public events., C) K9 o6 A8 b6 ?

7 x7 p, R# v4 K0 M• Manage database and support distribution of print publications.2 l& k( V) z" `" M3 u! P

• Provide administrative support for public engagement events and mail outs.% J4 e: `1 x/ `: {( w0 ~) t

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions. ]+ W/ O8 x& V5 Q' b- N; y

' ]& l) v/ N8 n/ N5 b• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
$ I4 k4 f* q: M7 p5 |8 {9 ]) R& v* a4 i, Z9 B: \, \9 H  e
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.. X" f* Q. E& B3 ?2 p0 |# }  N. ]8 }

4 C7 c. p6 ?( G$ F7 t9 |( X8 J; o0 T• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required., d2 K- Q: k6 u: K6 ^

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.% j  A: X) P# o9 C  P/ h, E$ r

Spanish language abilities are an asset.

Term:
