Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.; ]9 @5 @6 c4 G4 v& u& s* o, w3 `) S

7 ~4 _" B+ N6 r% w( G( oCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.
+ x4 [9 w% ?2 i
) m/ K+ ]# Q* {; f  z& m$ I8 F3 d• Complete data entry in various programs.8 X' C8 p& o) H* ^3 u1 `8 w

& s3 {$ K3 S, p! z" R• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.7 E1 d: ^! ]2 m! B2 t+ u

0 f* b/ e% a! L/ V• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual./ T- _8 P8 h# U$ M" J

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.* s4 E7 W, G3 n$ y, t

• Support effective internal communication by recording and distributing all meeting minutes.% q8 O6 W" O6 }; C2 _8 u" J

• Meet weekly with Program Managers to define priorities.

& [* v' m% J8 J* t% W1 E• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.8 \2 |7 F. l& X/ c7 n8 X

3 e  r* u/ _' e% c+ g( {" o/ f• Manage mail outs for fund development or education purposes with support of Program Managers.

+ N+ {9 n3 T7 E" J8 f• Support maintenance of Human Resources records and the development of employee handbook.. c1 f  h0 k% @% M2 R; m

4 U. s. {1 g1 |) u0 |• Perform financial administrative duties as required.

Key program support duties

& L( u. F; p8 l' c2 ]0 ^- WInternational Projects and Public Engagement/Communications:

; J2 }; R0 n4 L. P0 C. [• Maintain inventory of communication materials.

5 B( t" T$ j$ {6 Y! i• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.1 w; U' G6 i+ ^8 ]

1 ]6 h- I) m/ \# A• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.1 _, @: l9 }4 B# v) R5 }7 ^3 V

• Support management of online publicity and communication tools.! z( s' K( H, t3 l5 S: \" o

$ q+ y; T9 Q: r3 k• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.( t: o9 Z; w  t- e9 T

% T+ U7 \" l& m5 A! Q& I% ]. L• Provide administrative support for public engagement events and mail outs.! P5 k2 Y: u* W# H1 I

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development
) N+ u% k: e) ]/ E) i$ l' s
$ t7 Q: Q3 S; [2 U0 E: J1 d• Provide logistical support for key fundraising events such as silent auctions2 k& p* I( ?3 _# }. o

* {/ a( y" a( D# t0 P2 D• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
+ r  h; t5 y2 z5 b9 Z* z4 I. T8 n$ J" U3 @
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting
& c; U/ G7 i. p' `( S, L2 v2 b# Y; ~
1 J; E# C; D# D1 }6 z, _• Assist in administrative tasks related to donor recognition and event reconciliation as required.

" x/ G  h) k+ n$ kSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.& L0 m( X& @/ l- s  Z: ]
