Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.7 f1 j: E& |0 W

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.# D! ]0 k  Q! @% ]! K

7 `0 E( D; _3 C• Complete data entry in various programs.9 C! f! M, c  ~7 N' E  V

* _; [: C. J4 B! A• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual." m( C' E$ |4 P7 f7 _

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.% t% M) u1 {( H7 D" n7 m  c- g0 Z

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.; _0 Q+ g4 M; d8 p- s( c. D

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.( p7 s5 a+ ]: Q8 K# k% s

& H5 J& j( e+ ^8 O: v0 D• Manage mail outs for fund development or education purposes with support of Program Managers.

• Perform financial administrative duties as required.

Key program support duties

" M& ~; @& E7 S: t0 |, v* k: O• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

" n  [! F. w: Z- @• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.6 w, \: r7 N( h- I& ?2 S  z

• Support the management of requests for CFCA information and resources at public events.

4 L- L, p4 B9 G! D! z. j4 }• Compile information packages for fundraising and promotional purposes.

3 M. G! p! \  t5 l! C* A• Manage database and support distribution of print publications.

3 I2 R2 U( h/ |3 @! h% L• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

% E( O8 l1 W: W+ E3 F8 b• Provide logistical support for key fundraising events such as silent auctions
& g2 Q; Q7 C% n/ e& F& H" k/ B4 V/ B8 R; s; z8 v
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

. y$ F3 w. X. y• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.7 t/ V& c1 W$ p/ F" d

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Term:
