Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns." ?0 Y7 K; L6 ~# Z

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.4 i+ h" z1 {1 B/ k

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual." O5 X  C0 S# Z1 ~

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.' E. @: m7 Z' z  x& p

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Support management of online publicity and communication tools.

• Support the management of requests for CFCA information and resources at public events.

  X9 C0 c. K% e# S• Compile information packages for fundraising and promotional purposes.. L/ K% y- v5 ?; V, e# R  i+ o

• Manage database and support distribution of print publications.; l: G7 r6 o/ V  w1 a

8 u+ p0 F& m1 \8 K+ s. v3 M' V• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.; D+ u4 C* t: O& N) s

• Provide logistical support for key fundraising events such as silent auctions

7 @7 ?9 N8 J/ G" {1 H# x6 h0 ]• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts., B1 W, ?  ?" \& W

• Support logistical work required for CFCA’s Annual General Meeting) d  N9 s1 x6 O: g" \' s7 \9 I8 M) T

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
