4 K( @0 Q/ X4 i' F' E( j: F( [Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

) g2 W9 }$ a9 t, YCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

: B+ g% U# B- Y" V4 E% @• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.- ?9 H& U9 O# {0 {( z& Q

• Complete data entry in various programs.

+ @  F4 R8 d8 V0 R• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

' ]  \5 H  s; t• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.9 v1 f1 Q" U# P6 w+ S6 u

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.8 N6 W" p$ E' L  \$ Y8 M: S; G

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

$ U6 b2 `4 c- C• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.$ ^# @: G6 e+ A! o

) |2 R" }  R7 t• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

) m9 e: x5 _- z9 R• Support management of online publicity and communication tools.( m; `7 u) E- {$ B$ m: ^# A: u8 r5 p

• Support the promotion of CFCA events in Alberta through online and print publicity resources.' `5 {- S6 p5 T2 Z: ^4 F

• Compile information packages for fundraising and promotional purposes.

• Provide administrative support for public engagement events and mail outs.  P3 [. l7 E2 k+ `& _: m$ U3 l, }

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.# ], [7 r( Y6 N" Y/ z* k. ?% a

Fund Development

, h, w: Q) Y% d: B9 ?1 ^* V" t6 a• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

4 l. S% N5 j0 I& v, s• Coordinate volunteers for some fundraising events such as Casino and annual sales events.* p9 a* P3 a! g0 }

• Support logistical work required for CFCA’s Annual General Meeting, W& j! t0 N7 d" y

• Assist in administrative tasks related to donor recognition and event reconciliation as required.+ l6 h2 B. {* t  ?( l9 C

6 d+ w$ S. L" Q6 m! zSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.+ ^( \) |" L, f5 M; R& [

+ Q* Z8 Y+ Q7 u8 [This position is Permanent part time (20 hours per week during regular office hours).

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
