CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.: H/ h8 m3 Y8 k2 Y% ]

* u# Y6 Y- k9 e  A• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.) E9 s: ~+ F+ G3 Y/ u

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.0 U- Y, V/ h( l( g% d# T

. |9 C( V0 e0 I, O7 g' H, B• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

% e# n; f$ o" T5 f8 r• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.+ ~& M( ]: g* T1 y3 t

• Support effective internal communication by recording and distributing all meeting minutes.

" T5 h  e( s4 Q; A• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.! \$ C- S3 X6 u! P. `

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

Key program support duties

• Maintain inventory of communication materials.# b, S! ~: G7 M1 B

4 N3 @! x0 y* d$ {% v• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA." q& X" `! S, t, C

• Support management of online publicity and communication tools." K( t3 J6 h' [1 j9 V' m1 O4 v

• Compile information packages for fundraising and promotional purposes.

) A7 ^& T, c: f" @" Z+ C* t• Manage database and support distribution of print publications.# {7 m: w) Q) m! m! A. T0 n- S

- R) u" p! R5 R6 z! X6 I• Provide administrative support for public engagement events and mail outs.) W. {3 v, M( ]% j7 }% v# }

2 M4 {( q, q7 ^% }• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions2 U- ]6 _$ e; k/ y- @& ?3 u: g) X" t

+ n/ b2 o7 l* ]& N+ G. q0 Y! Q• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

$ W5 z% V+ G; Y* e# b• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
% F( ~. ]" c# T; F: D
  [* Y: f  M- V% ~2 ]& u% j• Support logistical work required for CFCA’s Annual General Meeting

0 Z4 j  }: v7 k+ n" u# d6 z! e, `; x, E• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
