Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.' CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.- V* B2 K4 j' b9 a6 b

- ]+ p) N& D) O1 j• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

, z; k. U) o$ J" y! g) ]) f* |$ \• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.* r/ Y/ J" S) Z% \; l' Q* `

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.2 J! ^! }! G( j' c' ~' ]6 l1 {( b

• Support effective internal communication by recording and distributing all meeting minutes.5 C% z& p; _% Q) R  h; Q: F1 s

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.) Q" Q" K3 I+ _

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA./ f1 c; H# v4 D( O$ {" i

• Support the management of requests for CFCA information and resources at public events.

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
& y$ |' M" u- R6 W! g4 r1 X- X& h# ?+ L# r& \
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.7 v) m. r# v; I: d9 M( G. J2 ?

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.6 W' J1 [/ M- T# o- R' ~- \+ X

Spanish language abilities are an asset.
