Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.; \7 X$ Y/ h* Y' S6 V% F

X) WCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.: o* [) x5 r, m1 G

, C& g' i$ o; r" {$ W% \• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.  |4 T* \! M4 X. q5 O: x

$ N+ |# O* |/ \3 E# @• Complete data entry in various programs.3 D( C" h3 X  s

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.. D* f3 ^* T# q6 E

) G; i5 b: Z6 y• Meet weekly with Program Managers to define priorities.

6 f8 f) w1 Q- j/ I- \( v% _• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.$ g" g. h, R; M' {: @3 d) E

• Maintain inventory of communication materials.

4 I* i6 y$ |- o: y: h3 }• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

' T  B/ m* a6 f! R• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.) @# h, c* a  A

' R4 ~6 g, W, Q; H• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

) P  z! D( `2 D4 F9 v' d, M• Compile information packages for fundraising and promotional purposes.

# j: Z" y% ?$ r* w  d• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

. m- w8 k8 A% b+ h• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.; Z8 T5 h7 j1 y% g* j

2 s3 E- b" B8 Q- Q# F7 ~3 T• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.9 T; M( q9 v# k- ~

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.9 U* D9 Z( y/ M! @- d  f. I

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
