3 h7 I$ Q& |5 |7 ], D3 CChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

6 K2 ?& }3 W, n$ y• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

7 U9 v$ E% i7 q5 X; R• Complete data entry in various programs.

1 L8 e  \! O. a* Q6 k6 h• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

  U- M; F" h9 O$ l0 m• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.' W1 a: T( ]  P) ^# z

5 R$ h& c: K& {* k" }0 s% g/ L• Manage office technology software licensing and hardware maintenance.

6 a/ y$ }& ?2 M/ B• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.2 H% `# d- D# }) B

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

3 I! O) O. {- \1 G# o! `• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.$ P. T! V; {& f1 G

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.) R4 s; I) z& A& h

/ `7 ?1 c+ x0 U• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

This position is Permanent part time (20 hours per week during regular office hours).
