  r" N3 {+ w* Q& |1 d; tChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.' R% r3 i- R; z* S- |2 ]

- E& }  Q  ~: ?  x& L  ^: @& l• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.7 N1 f- E- ^+ g" l4 x

$ s/ Z3 u! g# i' `6 f1 u8 K• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.. r. [0 ]) u7 I+ E6 K, F

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.; ]: D+ D/ L0 @9 \3 D6 ]

• Manage office technology software licensing and hardware maintenance.% L  u3 q$ ]/ n4 t" j; \4 b* X9 v

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

4 n5 }2 T- m% {' H9 Y" f, N+ V) ~• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

+ b8 v  X; E, z7 k8 E& ]- w• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.5 Z1 Q! ?! u& r9 B% K' N0 w! g

$ v% J4 H4 p9 |• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.# \) }- G7 k& g6 ]

• Perform financial administrative duties as required.! g4 ?- `# x9 B! ~5 d+ |! j- ]- }

• Maintain inventory of communication materials.
" h+ H9 c' }' T& o/ V: e5 t) m
/ z6 H) c1 C9 y! O$ O0 J" c; Y• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.
" W: B& m- d  Q3 k& ^( T
% u% v5 B6 e: J% l& j• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.# O8 U( o7 s8 P7 O) p4 {' j0 X' y7 \

; H& w: Z8 o! R# y  z: L; O• Support the promotion of CFCA events in Alberta through online and print publicity resources.

6 Z/ l" r2 V. E7 T6 Q* x• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.+ a! A6 a$ D+ Q  A7 D" t

• Manage database and support distribution of print publications.
! z8 n0 U8 d& u+ z/ b# |. o; @# H7 x! p& n) F9 F; {/ u
• Provide administrative support for public engagement events and mail outs.& U8 }% r3 S7 b  ?* `  ?

5 ]' ?! \$ J* s  \+ u7 X6 w• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.: Y8 ]% F- m0 Y$ p. g3 q

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

% w4 d7 ~5 _: f" K& y" g6 J- j0 Y• Support logistical work required for CFCA’s Annual General Meeting

+ H* U: f1 Q4 A/ K% ~0 U5 G( u7 @* b• Assist in administrative tasks related to donor recognition and event reconciliation as required.+ B) k$ Z5 B- \0 [1 [' i' B

. I  u9 C- c- b: j3 B  X6 CSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

This position is Permanent part time (20 hours per week during regular office hours).
