7 b! k3 b  Z5 R0 z8 rChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization., H* ~0 p3 [; y  g# t

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.7 ]! h- u1 V5 O7 E

Key administrative duties:

; S9 v7 g# s' Z/ H! Z; a• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.7 _) X5 {# g' d! c" d& ^7 M

• Complete data entry in various programs.
) K2 W$ A! {' M& W! S  J! d% e" ~0 V% b* \
• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.  f* h0 b2 I! p9 d

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.3 t8 R5 T/ n( Z

: [2 g& v$ U! M& K$ i% @  H• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

2 f/ Q" {0 w! e• Support effective internal communication by recording and distributing all meeting minutes.* W& B5 i6 W& ?, e7 P$ `

• Meet weekly with Program Managers to define priorities.* Y) @& S! }* g: A8 @  y* t

/ h9 y0 y6 \/ c$ p, V• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.2 p. ]- Z0 U2 w# l; w3 u; d

• Manage mail outs for fund development or education purposes with support of Program Managers.1 ~4 C% C5 W+ o6 ~( d4 z9 P

• Maintain inventory of communication materials.8 w/ O' K' w0 B- l* p7 I

+ E4 I1 p  L+ `" w" C' _# H# M) f• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

+ {9 V. R) p: q+ O• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.  ~9 x& _# N% p+ p1 [) w

• Support management of online publicity and communication tools.

• Support the management of requests for CFCA information and resources at public events.

! g/ r" q/ t" {) B3 n# |& d• Provide administrative support for public engagement events and mail outs.

( [, M! d4 d3 f# l% C  z4 a1 Z• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.7 m1 O, L, G: n2 T. M% Y0 C/ b

Fund Development3 l* l! n: s5 M' P, \. R0 n5 V  w

• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.+ A3 u) Y% z: w3 x; {2 v* ?4 e
' s  S4 c% e% Q; j; Y) O9 ^) x7 P
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

) k& ^5 l- f. C3 t3 c• Support logistical work required for CFCA’s Annual General Meeting/ q3 t8 C; z: Q% D

; S' _; d# Y$ O- _1 `$ h/ w• Assist in administrative tasks related to donor recognition and event reconciliation as required.! e9 G' y+ \# U% l1 }1 D

  n. D7 Y4 Z9 h" _, b! N* ~Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Term:

This position is Permanent part time (20 hours per week during regular office hours).
