Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.2 p8 P/ I! W* f8 m2 ~$ g9 j$ I" k* n

% i( X; N  T$ a+ j* s0 R0 o( d• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.+ D% n# c8 n5 `8 t/ n5 y1 G# d& m

• Complete data entry in various programs.# c! |/ \: }: D! z9 Y

% }0 @+ e9 V- ?8 {4 y# ^• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.5 m* n; ^1 d8 C1 ^' f

• Manage office technology software licensing and hardware maintenance.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.# T9 ]4 R7 c* H* y. ~

• Manage mail outs for fund development or education purposes with support of Program Managers.0 `- o/ L: I& ^- t# l

• Maintain inventory of communication materials.( J  h* g7 M& w# V0 h. @$ G9 U

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.+ B$ g% ~, U% g* j6 G( |  Q

0 k( Z6 W1 f7 e7 T0 |  b• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA., U$ H' F$ ~0 h! _5 L

. i- D1 X6 o1 ]# K- x  p• Support the promotion of CFCA events in Alberta through online and print publicity resources.

0 t6 l9 q* h, g- |1 ^  p$ D$ B• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

' ]- p- A9 T, J1 K7 Q• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.; }" w4 U) H- V& `

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• Provide logistical support for key fundraising events such as silent auctions
, `$ P6 I1 `2 x  r2 S) r; C& U; t: a! g% j; z: i
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.& _' L) \; ]1 q; E2 H
$ r, f! Z$ K: w: a; A
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
9 U. W2 x# Q, f: A, m" V0 r* N6 i! q6 T6 Y
• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.+ Q9 S3 _2 M5 x; w7 |8 F

7 h5 N% F5 u! L! PSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
