Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

0 D  E4 M3 [5 e# mCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.5 @2 F5 B6 E9 L8 i0 O0 p7 [

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.0 @$ u- M( |3 j: ^

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.' d  s2 s  b- C5 q1 D4 D5 m$ N

5 N( h! k8 b* \: @/ F: T: I. O; e• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

2 [0 q" l4 i  u/ k3 O• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook., U8 |! M# \: u. Z, N

• Maintain inventory of communication materials.3 q/ L$ ~0 n  M) E1 F4 r

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.% s. I9 q! h' C8 t" X

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.# Y! C$ f4 K8 O% U+ B

- D/ P  ^" p- R• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development- I6 T" j6 z' k9 @1 d6 p

• Provide logistical support for key fundraising events such as silent auctions

! ?3 o* Q1 e1 @0 C• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.- ]0 k" u, t/ [( b3 J+ P/ R$ I; j5 m

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.( C! M, O4 B# `; ?) A1 ]1 w

• Support logistical work required for CFCA’s Annual General Meeting( R9 e8 y8 E" N: E5 p

• Assist in administrative tasks related to donor recognition and event reconciliation as required.0 A* y/ n6 f# L; M) t6 x1 t% f

1 r! J- x0 Z3 ]9 p0 L7 B; I/ e2 v5 cSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.5 F" |, [' j' V! `/ x

This position is Permanent part time (20 hours per week during regular office hours).
