Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

3 }3 f" R3 r- |$ _- q; kCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns./ h9 a9 C1 J% f$ M% C2 }# N: r/ J

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.  o; p' c  c- M& M1 ^, U- z
+ a* K; f6 }0 y6 B! {6 e
• Complete data entry in various programs.

3 K7 w- V5 l* K- }5 m5 a• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

9 A% z! z& f' w; J# E5 w! l4 s. h• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

, m0 K! F( n- f7 B. J• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.& d" A7 Z3 g6 p4 _

• Manage mail outs for fund development or education purposes with support of Program Managers.& Z' X5 R3 x) f; D, u3 M' \( b

Key program support duties

International Projects and Public Engagement/Communications:' l+ A+ n- y) G% d, b

• Maintain inventory of communication materials.

% K5 z9 p! B$ b9 H• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.9 n2 v0 j, {! W) G& i

/ _* t& w" h* p, e• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.5 |0 T! K1 f+ T: ]% N! [0 h

- R) Z$ v  J" L# Y% y$ Z• Support the management of requests for CFCA information and resources at public events.6 C; J7 }2 {9 R9 o

% t" v. ?9 O/ Q8 I. r8 _! X• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

. ?6 x2 N- F! Q7 z0 s" x$ S• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development."
