Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization., [( k! CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.' r$ k( }& V- M' n- I

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.6 H/ S$ z! w' G" r9 ^9 ^

) A* S' p* D  b1 N  w  Y• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

$ @0 W, Y3 L0 M0 }- j; d• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.0 c1 O7 ~6 T- ~2 h) d* P6 t, [$ w5 U

8 v9 e9 i$ D/ @7 \- j• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

% A$ t' `( o" |; @1 I5 E3 H' `+ Z• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.' {# H, G% W$ t$ ]

• Perform financial administrative duties as required.' ~' w7 m) ?7 `' j# m* @

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.3 o2 X0 h5 H& p  E& n# m

, B$ P* C6 T( ?) ]3 l, R9 A2 W2 c• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

; s, d0 }, V5 U# r• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events." D0 x+ Q6 _2 h5 [; n

• Compile information packages for fundraising and promotional purposes.5 ^8 e& H$ S2 h2 E* i

• Manage database and support distribution of print publications.4 _5 m, d, k' k9 C) {

& [  `7 j3 A. A• Provide administrative support for public engagement events and mail outs.

+ v2 \8 g9 i+ Z0 q• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development# @& i5 J( ^/ ]3 s* q

! w1 ^4 f1 w2 U• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.8 P: K: H# F, v0 |

+ o7 N! d+ e$ g• Coordinate volunteers for some fundraising events such as Casino and annual sales events.6 N5 E* Y, D; D6 F. R% K

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

9 x+ ]4 m' w& W7 _% }6 T" B. u! SSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development." ?- n.
