Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.8 ]) p& a4 p2 w0 q$ h( g

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.% E0 L1 u9 q$ W- L

) Z7 o: f: M% t4 x9 K• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.! G" R( D9 P) c

1 F5 e2 \  B, H6 r: J# s2 ]• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.7 j5 d0 k* N- B

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.# r4 g' j; q) h8 T

• Manage office technology software licensing and hardware maintenance.# b( B: q# O0 p9 A4 c

) h' W: W, f" _9 _# V5 a• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.1 r  L0 X4 L! R. Y9 l! ]( W/ A' b

• Support effective internal communication by recording and distributing all meeting minutes.3 @% P3 k4 j9 Y# K: B* N1 n

• Manage mail outs for fund development or education purposes with support of Program Managers.

$ R$ [/ z4 F$ c" T8 D• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

# u3 K7 w8 O, E• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.9 c! W: {- c/ v' i% x2 ?6 E) H

• Support management of online publicity and communication tools.

0 v" H* }/ n% b1 l/ ^) q• Support the promotion of CFCA events in Alberta through online and print publicity resources.5 ]& F: ?" x( J- B$ C& t8 F8 {  [

• Support the management of requests for CFCA information and resources at public events.% Y. Q% J- j* I. }, C4 A( Y

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

. y. K2 Q! |: n• Provide administrative support for public engagement events and mail outs.

) K! W0 Q  V8 `- b; I8 s. X+ j• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport./ _9 n3 }/ q  N9 {

• Provide logistical support for key fundraising events such as silent auctions

' ]4 D' Q) M2 ]# G• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.: w3 Y) A/ h  P5 ]' f% y! {

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.

Term:
