MChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.( w% e8 Y; n8 W/ W

' e* v* ?& k/ m. \9 d  u6 JCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns., H, e0 o- j. O9 F5 U" d+ B

. E+ j" q+ t+ BKey administrative duties:

( K" r% k* T8 q. u# F: t• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.8 k; `: k! E. Z

• Complete data entry in various programs.

9 H, K$ j/ U" E. E; l• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.9 l$ H5 p4 u' G* I9 `7 g

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.  B" j7 D: f( b: n' i  ~

• Support effective internal communication by recording and distributing all meeting minutes.% m" I$ O& a, ]7 U

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.7 c" w: ~" M* a7 c

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Maintain inventory of communication materials., W: G3 c. w, N- G. X

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.+ v7 r, n* o& y/ X) P& o2 n

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.5 x* f2 c7 L% y6 a* V5 y$ Q' U8 Y1 w

• Support the promotion of CFCA events in Alberta through online and print publicity resources.' d( N3 y* K6 [3 i

• Support the management of requests for CFCA information and resources at public events." {' {$ X) D" g1 X& ?

• Compile information packages for fundraising and promotional purposes.) M. N( g8 J1 ~6 I1 v7 r% H% A

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

% \- e' |# u% @. r5 c- V2 ]0 `7 H3 x• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development7 ^* D* }# \3 @, y

• Provide logistical support for key fundraising events such as silent auctions" g- r9 N) k; G0 F9 h

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

1 y7 r+ V/ G& w, v" y• Coordinate volunteers for some fundraising events such as Casino and annual sales events.. v, B4 m) _+ v" J) P1 k

+ U$ I& z3 \8 L3 \5 k0 y  ~/ S) g• Support logistical work required for CFCA’s Annual General Meeting/ t  O, Q' c  Q0 x5 x8 J7 b

• Assist in administrative tasks related to donor recognition and event reconciliation as required.% Y4 E% Z( J3 Y

4 ]' |$ O$ L8 C4 m( DSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.2 K# D4 k* @/ \
