Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.2 K/ n4 ~8 C! u1 }+ j# b( I

; H1 {; J% B. d2 }CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

' D) {- z. Z9 x/ j• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.
) A/ F( U' M( D0 Q& y( d
* C% g- S( s- K3 o! g• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.& i3 i! {5 Q& s2 |! _/ z2 i0 _1 k

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.8 _' H9 e& M5 j; W; i! A+ q

4 v; |3 S4 o' _, \1 D  y• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

' `' G- Q) f& S# l1 Y! d9 c! n• Support effective internal communication by recording and distributing all meeting minutes.1 `# l; d( @; V, v$ Y

• Meet weekly with Program Managers to define priorities.

  m' O5 k2 O$ f3 {• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.: X5 J5 P2 K, @

• Manage mail outs for fund development or education purposes with support of Program Managers.8 O; G, K+ a3 t! x; h

5 S5 H$ e' c0 w8 N0 H• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

" a! N1 a6 e; q7 C2 P• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

' B) `# e: u$ k3 E• Support management of online publicity and communication tools.% N7 n+ O6 q0 k+ k

• Compile information packages for fundraising and promotional purposes.

2 ^5 ^9 j# A  T4 w• Provide administrative support for public engagement events and mail outs.& ^  i8 l3 F5 m: \; h

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

' _/ f) S' I! v2 n. C; L- N9 G• Provide logistical support for key fundraising events such as silent auctions

8 Y. U; ^9 H- `/ M7 j" W8 _4 k3 h• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.. h5 j0 ^3 s, k& @& r

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting1 T. o2 e! D* p8 x  B6 D& x

• Assist in administrative tasks related to donor recognition and event reconciliation as required.( b5 N0 Z9 w; J2 D* P1 l

+ u/ k# b7 O8 _4 _0 U: R, RSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

This position is Permanent part time (20 hours per week during regular office hours).
