Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.9 I: o  t! \1 u3 z

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.& e' c$ v# D; L; X3 C

1 g  R9 P+ G% C+ k5 Q0 J* |• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

/ z* u) M3 x* ~# Z6 K• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.* {% h: J9 }- D+ b  d

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

3 O$ n/ f1 `( y& w6 j• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.' p: g; G6 r  t3 O/ \) U: F' }/ f

6 A: y- R4 p% d• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.! r! y7 @1 {1 b/ V4 z' R! Q

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.4 `( p1 M% @+ v) R

• Maintain inventory of communication materials.2 T' Y1 s. F, T$ o/ Q

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.3 G2 r/ c% T  b5 m7 o& W

2 o) B% o8 [/ y# n• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.; `+ a9 k9 n3 O5 l; F* z! M

• Support management of online publicity and communication tools.6 P* U# e: \8 e+ k  j: J

• Support the management of requests for CFCA information and resources at public events.8 H. P9 b# G- _9 Q$ b

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.. T4 K  U3 y. F% y0 L

" |6 f. ^* l, E• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.+ c% Z" U9 M$ f9 r5 C7 P  N" c

• Provide logistical support for key fundraising events such as silent auctions
) G6 y( Y" E: `, L2 f; n( S0 C' N. L. B& R4 L5 g" y
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

4 |+ J! z. Q5 W3 v• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

0 O  d$ i* N! w" g0 L• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.

Term:
