Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.9 z- P* N- Y& d, ?, y$ Y

+ d5 G+ D1 b# D0 DCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.: F+ |% c8 |+ V

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

& n5 j0 Y$ e2 y" }4 F; ?, q+ f1 ]. S• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.' ~+ o3 l' G# u2 J) V1 ?4 r

• Support effective internal communication by recording and distributing all meeting minutes.: ?7 G, d3 `/ \" j' ^- K

• Meet weekly with Program Managers to define priorities.

, M, t- o& r- U' h• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.2 F, }' N% q1 C4 G$ `

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Compile information packages for fundraising and promotional purposes.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.* h" l4 ?1 b: J2 C4 J) W& c
9 ~$ c) s; y1 S- N" b4 g, I1 J4 T
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

# ^" F1 Y5 H; i+ o• Assist in administrative tasks related to donor recognition and event reconciliation as required.6 R- o0 ?: {' r, G! d: f

' j3 F  P. a* s/ k# MSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.: j% i  h, c  o7 ~' V8 L+ m* J6 `
