% P$ ^) P* b/ a( _) eChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.5 C& z' n/ w" v$ ~" x

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public./ P8 y5 J5 u9 v$ D; B

' T; a, S7 j6 p+ b• Complete data entry in various programs.8 H) [1 R8 ~; a  X7 L

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

) ]+ N0 H" k" B• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.* ~  ]) O" ^4 B4 M3 K

• Manage office technology software licensing and hardware maintenance.

  S% C+ w/ v: s+ c1 j• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.2 b" K- U# M1 T7 Z0 v+ G: P/ k  e

• Support effective internal communication by recording and distributing all meeting minutes.7 i4 H& P8 Y9 `$ O2 s

% n$ u; o/ c+ {. l- _- }/ X• Meet weekly with Program Managers to define priorities.

7 X- c" Y2 c8 ]" e- O• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

% D5 c3 m' P, E3 N0 U• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes." n/ j5 D5 {! h: J

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.5 s( B+ U- E3 A* u" l( J

• Provide logistical support for key fundraising events such as silent auctions

2 P& O2 C2 T4 P& m1 ^) Y2 R• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

! P+ ]7 C" p4 u• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

5 e. y+ }6 d% t- A5 o• Assist in administrative tasks related to donor recognition and event reconciliation as required.

7 a! h2 Q, L2 ~Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.( j# K6 P/ H' c7 \7 V
