Program and Administrative Assistant

/ B8 Q0 W0 @* J; J2 OChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

( Q* L" A: f, C# ]9 G• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

" u$ E! d8 r! v• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.( n* R3 z# B# D; m  F

! b: r% Y/ B, G6 W. G% M2 |5 F& H• Manage office technology software licensing and hardware maintenance.

2 D7 x1 n, D3 x; f• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

" y, G' R% L1 s/ ?• Support effective internal communication by recording and distributing all meeting minutes.; r2 i( ?( X/ }* ?) ?/ I4 M6 ~% M

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.3 z) s; X0 m3 b. R7 j6 o" _. W

Key program support duties

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.8 _0 X% z, D" H  B$ c* R

• Compile information packages for fundraising and promotional purposes.

7 t  t$ ^5 `- \/ `& d6 n• Manage database and support distribution of print publications.. S8 n' i. H' z

• Provide administrative support for public engagement events and mail outs.3 \/ e3 u1 l- K: y* |1 _" w

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.& p6 f; K  n0 U$ Q

• Provide logistical support for key fundraising events such as silent auctions
& v8 I1 A) R  v6 G  G) r+ i& a. T# u  i! ]  [$ h9 G
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.+ }0 c- j# p( j* d. N3 ]9 s

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
& ]- ~9 f  C! \$ n9 c3 K* w
7 G; E- {4 {7 H6 V3 f! ?0 I• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

3 i* `, {  o6 _8 Q  R' @! lSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.4 i4 r; X6 S; f# A, S
