Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

" j+ M- A* D" }+ M4 _CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

- ]. |: j8 d! J6 J! X2 k* H: a• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.  r8 P, k* |9 e% N! e+ U) h

& O  b4 N7 i8 }% r" k1 b& j• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.# b9 P' @! b% J3 o7 D$ S

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.: v0 x9 }& ]. {; y- N/ P1 @

• Support effective internal communication by recording and distributing all meeting minutes.

+ B: [9 p8 ?  T5 w' J+ K8 ^• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.( m2 ~% e9 K+ I: B% Z

  U& g$ C$ p, @) a9 U• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.: C% K) I0 R- M

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.- n; c2 Z4 p& I. r% {

2 K+ E2 X1 `6 c3 M  L1 d# e• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.% i5 G/ [9 f9 s

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development7 h- i5 T, O1 E) Q" `0 L( a

• Provide logistical support for key fundraising events such as silent auctions
' `. z% f; l) n. N4 T$ `7 X3 e' e/ D$ i5 H& X# D: H6 u
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.; i9 a! O( [  \2 {; a4 P* h" m

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.# y! L. N- f4 ?7 q3 t  ?6 c

• Support logistical work required for CFCA’s Annual General Meeting; b3 Q" f0 k& z6 F) b7 [

, J3 v- o7 R% k* i3 ^. DSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
