0 v* D& |7 G8 ?$ \" i. c/ W& pChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

. ^3 S/ }+ ?2 g$ M- w• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

* ~, Y, y, ]& n% `! F• Complete data entry in various programs.3 J! Q: R. s  y

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.9 k! W4 d: z: q1 F3 E* z) i$ ~

7 v( w; Y4 i+ z• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

6 K+ }8 |3 `" c( [9 R/ k• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.9 Z: K5 v3 y7 N; B  P$ j2 g

• Support effective internal communication by recording and distributing all meeting minutes.

& w, {: n6 q3 c• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.0 t* I2 I& ^  T8 W0 Q# |

• Perform financial administrative duties as required.

Key program support duties

) \5 ~! C5 m$ Q" lInternational Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.
0 B7 Z% g" g. y' Q# E" b+ E" o
8 R# Q- S; c9 g1 L: h, w, O• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.$ j6 A, R9 O9 |0 d+ T) W' }, z
+ e  N4 }/ f6 q0 Q; U
• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.( m! T# j: j" f: }4 @3 B

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

7 _+ W" ?' p0 u! ^: |5 q• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.( U" ~: A3 I+ e  b6 W$ V- F

$ \! V) b* v0 ~• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

  e% c  Y" O+ h: R) b• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development7 s3 H0 m  H  w2 V) _5 u4 P

* \- N4 e7 G' V; @+ F• Provide logistical support for key fundraising events such as silent auctions8 z: k- V$ v5 H& v8 ~( }2 w5 q* |
, s) p- u* ?- I% h" ^
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.5 T9 N, @2 H7 x% Y; i$ x" P
& w4 D- _5 ?! [6 s* K5 \
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

, D- C; W  Q! e3 F+ w; h- O• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.+ B. 2 s4 C8 h* B4 s8 f4 R) gSpanish language abilities are an asset.

8 \  w; u7 N) Q1 uThis position is Permanent part time (20 hours per week during regular office hours).

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
