Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

7 q& d) D& C* n$ SCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

3 `& m% ]. w  \, O• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.: |+ t/ y& s' f

3 Q' A5 Y: s& x0 E  ?• Complete data entry in various programs.% w, `' B: j- I; Q2 j) ?

  W% C8 J2 V$ D• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.$ \% q% L9 p" n: [) N) ]7 k

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance., {, o* r; J" [

' o# ^3 g. a7 o3 ]; P• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.1 Z" g& K7 u! {" c" x* F' O3 G

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.4 I3 x: `8 u$ t7 d" I

& q& f- z" m( ]" S/ C1 q• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

4 L' q3 F5 A. Z. k• Support the management of requests for CFCA information and resources at public events.! _+ ~7 O3 r& V5 H2 P; u% ~

) A6 E7 }' x) v• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

7 z5 K; x# K3 ]8 \) f  o• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.4 C. z, G9 z# i2 ~" X+ _8 C3 \) k

, k8 O! {7 c* Z5 j0 R2 e! |• Provide logistical support for key fundraising events such as silent auctions! R: _0 q  a6 V! }) n

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts." _8 O  [% T8 G3 L; ^9 d8 F: D' i1 h

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.8 n) q2 L7 G: c# v6 X% [" I

! q: C7 U  q- G- p$ G9 R/ kSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.+ A% g  _9 K1 f, C% O) M+ d+ `& C

Spanish language abilities are an asset.; u: X/ ?# \/ B

This position is Permanent part time (20 hours per week during regular office hours).
