% ?3 g; i$ ~( ?  d+ {6 ^9 \' L/ KChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

P* _6 s# L$ `" I2 \CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.; Y3 X  `% p9 i2 J5 Z/ y

# ?+ C3 c1 w+ a9 r• Complete data entry in various programs.

5 Y. W. c9 \6 p% E8 e1 s• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.; _7 f, k, Z; t

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.8 X" [4 L+ _! l" y3 `

• Meet weekly with Program Managers to define priorities.$ X3 q, @+ W8 z, \

. e# @6 o, ?( _( Y: Z$ v5 s+ r• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

- [! k5 i3 C2 S, z, y/ P9 |• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook." m9 G# [. `7 C/ r$ m4 T4 L

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

4 q' v2 i% d- f7 s( b9 y0 n8 J: }• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.9 _" F  [% ?3 |( X* N$ q

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.4 {) q8 k% s5 j# @. s

• Support the management of requests for CFCA information and resources at public events.; ~* \: O+ Q; v( y/ m

8 y. M5 n" f7 }• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

9 G9 x% \: ?" \# i' [2 P9 i• Provide administrative support for public engagement events and mail outs.% k+ {. S  `8 |  `0 o

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• Provide logistical support for key fundraising events such as silent auctions
7 v6 ?3 W  p6 \* u6 w" H0 F) k5 Q
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
& Z& b/ n' }: c6 t  j9 A& l8 J( ~1 ?* j' L* I
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.- S" S% ]- s/ H
' H! M- B  B. E( X$ R% @: K' X
• Support logistical work required for CFCA’s Annual General Meeting* i8 H. \* D+ m9 e# N

* ?" H5 G- k% S/ o' C. \3 y2 l• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.4 ?3 r7 J) K0 W2 S9 j+ f/ d

Spanish language abilities are an asset.
