Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.  k, A  S. e2 }7 \  p& V; ]* t

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.) S' N, D$ g/ g; u, l0 S1 y

Key administrative duties:

2 O$ l( `5 l9 R1 q" v0 }3 _• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.% q2 j" V1 H) b4 ~5 C

. p: v3 \- t" P& `' r5 j$ ^" Z• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

  d. Z  E. v& P3 y' R; L) k1 Z* Z+ V• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.6 f+ f  B% ^; w

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

, S4 X1 x9 H& T  F, ^3 O1 a' Q• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.! F* ]6 [* d8 y# Q* K( i

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.. y" |: N0 F0 }% D% ~; q

8 O0 |/ V) ]3 u& K• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.2 b% I! t: W2 m: p( v# H

• Provide logistical support for key fundraising events such as silent auctions' v" T( L& k4 t6 {9 j

7 b1 I9 Q# u+ Q! D! P: B• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

$ j! a" u! b( t& P# B& s  o. P" s• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
