  H: r2 S7 L$ g4 c. j$ ]3 c+ @Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

+ r; W  P: {- ?5 j9 E* v* D% \" eCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Complete data entry in various programs.

2 _! c  X: c# O" d" m! }" F" {• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.  \. k9 Z( O- U% M0 N) L

% _/ g, C8 M1 b• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

  }# S% i, D$ Y, L• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.& @8 k, E/ J5 ~3 L) C! a

7 m! S4 O6 S) A/ D• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management./ Q, m+ f% L. r% P  C* h

• Manage mail outs for fund development or education purposes with support of Program Managers.5 G$ e9 m- b; f# p

6 J0 j0 E! i$ j( n0 K• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

4 O& O9 a2 B9 J9 ]International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.2 J5 _% a8 A: R, {: p( K1 ^5 a) I

, c) J- k5 b% {. J8 P• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

' R: x5 A0 B/ b7 X• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

5 O7 u4 G: L: F- J  @• Support the management of requests for CFCA information and resources at public events.) F& B' x; m$ L% F( m* a

• Manage database and support distribution of print publications.! f, U% R8 ^0 h' g/ |8 }4 y( d

# b$ F+ _5 F5 o9 o) Q0 i4 d• Provide administrative support for public engagement events and mail outs.2 f) N0 T8 [: K; \7 s( q& m  h# [

" D$ k2 A0 U8 m2 l5 u. c• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions

' t. j# n# i2 C6 N! E$ w8 r3 O6 j• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

2 Z& ^/ o& Q1 q5 N• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

- `6 |. Y) c5 U6 ?1 C• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.$ E; C9 H4 L* E3 _* }

Spanish language abilities are an asset.
