Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

* G$ H% L% J0 C, c( [CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.! t+ t8 i  m% l

/ N( }" {# s- P' j2 T2 q• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

0 w( b# O( Q; P- \- R% Z8 H3 m• Complete data entry in various programs.

  J1 k; f6 @" v) a• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.  j; a  x$ H. J, S% v: Q" L8 h2 H

! ?0 @" T3 K1 m/ n& _7 i• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

9 \( W6 u+ W' _/ H• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Meet weekly with Program Managers to define priorities.

- _( z# v% a: ]( B' S• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.& @. Z, \: v; G

• Perform financial administrative duties as required.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.2 f* `+ m( R' ?" e

• Support management of online publicity and communication tools.. L. s  ?9 D# b6 w& \9 u3 ^6 i

. A% g2 ]* S4 A" C• Support the promotion of CFCA events in Alberta through online and print publicity resources.) g+ f. I8 k+ T4 U

- h& _6 Q2 j, ~& b8 H* Y$ z8 v, f& ?' P• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.+ B; Y8 X& _( m2 e: a9 y: p

/ t3 Y) D: {( A• Manage database and support distribution of print publications.) _0 V* ^+ d$ \8 W4 X6 Z) S

• Provide administrative support for public engagement events and mail outs.
) C& G6 c7 r1 Z# y/ Z3 W; W9 P# D) g
3 V+ Y' k! I+ o; L• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions3 k& P" n% B1 h5 ?+ _; s

6 t$ f5 }2 i/ I9 I* `  K• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.9 e, T+ F& M/ O* K+ X; z% }/ f) i2 h7 O

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
) e, I$ O* s3 ^" K
! ]* S& a: D% S9 ?• Support logistical work required for CFCA’s Annual General Meeting2 N9 n; b* L& c  \

2 X. E, g1 p. H1 K) c• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.  i* [' y4 j" }0 j

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.+ J) M/ t0 {+ H* E
