Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.7 i) \) ?) {; H. i8 X3 r! y

3 R' E2 l- ]7 K" v$ R4 B/ j; _CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Complete data entry in various programs./ c0 }" E: J& W

2 N/ x. B+ `9 C$ b6 R• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.: x$ ~0 Q; {1 i! S1 `

; F9 C8 X3 K8 k• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.; A% {5 |3 P, t8 |- A) R; N

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

& y: ^5 B$ y" q• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA." G" G+ N2 V6 z3 P- q( m& O5 y  O6 v

" k! L2 R& Z9 I8 A! D! g• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Provide administrative support for public engagement events and mail outs.. c  g$ c/ {2 z! O  A

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.( r. F6 K" [! M

Fund Development

- Y  U% E' r9 b5 S" F$ T2 Y) E+ i• Provide logistical support for key fundraising events such as silent auctions
% q. S+ I3 b8 y; o' W( ]# X$ \6 U9 ]6 p2 e* S1 I
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.( R9 X2 b% B- C. u/ ~5 f5 Q

! p1 M( G) d+ w; E; d• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
; S) k2 h+ U) ?% t# c) u# g5 @$ O* H/ s; b
• Support logistical work required for CFCA’s Annual General Meeting

) t+ t1 P) G6 g; M: `) x# VSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
