Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns./ U: n+ g7 d' O% h+ ~

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

2 |/ M' C, }& E; o• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.- o: d) E# H; S

8 K  r/ ]. A  o7 G0 i0 |• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

0 J, y) y! Z& m3 [! A• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

9 n) |% l. i+ J1 s6 t' k  E• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

International Projects and Public Engagement/Communications:

9 e; g! I6 ~) v2 f, {• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

9 V, u% J) o" P0 I6 D2 {' h• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.$ i7 R/ w- j4 [' B

4 g+ j; H# K7 W• Support management of online publicity and communication tools.

1 u+ V8 v& r+ A' ]/ |9 D  u' l• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.& ^' j6 u% ~, G  }4 g

, y( s8 B; A0 o& P- k• Manage database and support distribution of print publications.

; ~8 f. n) [) P5 E• Provide administrative support for public engagement events and mail outs.

! W5 g9 T) o3 i• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.7 n0 T/ _8 W6 V5 _

* j, N& D1 N# M% w) q, m4 d4 l• Provide logistical support for key fundraising events such as silent auctions8 I3 c6 ~4 D/ ]

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

' V) W: q0 G" \' c9 e• Coordinate volunteers for some fundraising events such as Casino and annual sales events.2 r2 N4 s" Y" O$ u

5 g$ F' K8 u1 }' q9 z+ D• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.  I$ `+ _# {' J/ J" d* Y

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
