: p4 j  g/ m# U) m; |7 TChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

6 s2 _0 u6 @6 p4 M; jCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.. k3 ~- t; c* c7 Q1 c

' h& T( m) Z6 k+ b5 F- L6 Z: r- P• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

9 ^1 [  u- t" y/ j" ~• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

$ y" n6 e; H4 I7 D. D• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers., R3 v: z/ |4 u/ x5 u* y5 u

• Support maintenance of Human Resources records and the development of employee handbook.

Key program support duties

International Projects and Public Engagement/Communications:9 t4 d& J7 X' L5 c8 x7 l" M, k

• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.# N& \* V3 @- g2 |+ `9 Z  f

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

9 E1 X* i5 b( q, {6 @5 {9 M• Support management of online publicity and communication tools.

( O, \; @0 t( z; Z$ ?& @2 D: N• Support the management of requests for CFCA information and resources at public events.

. A7 I, d% W: u$ h1 p1 G• Compile information packages for fundraising and promotional purposes.( q0 M* m7 K: Z' h7 t

2 f& h( Z. X0 L, N% S/ @• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.; i, b8 N6 X% r8 C3 s! Q* U  e

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.+ t! g, L+ c. C4 N% S  o. C

Fund Development
9 X! p& H6 S0 P5 r& d+ s: j5 v; o3 h! q5 R, H. I$ g8 T
• Provide logistical support for key fundraising events such as silent auctions- R$ x/ q' k7 L% k+ p

# C( L$ b% F6 _5 y• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.  Z* w) g, T! p+ m3 ]9 g

+ C; G& Q/ ]: U+ l+ D, N• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

' `6 X6 P$ |( y% O• Support logistical work required for CFCA’s Annual General Meeting& u( e% q" Y# ?" P

2 A* _; x; M1 s) }. E1 Q• Assist in administrative tasks related to donor recognition and event reconciliation as required.

0 R$ a  _; |5 `& x/ n5 b( BSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.) ?( S4 V* U+ U
