CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.( O9 |2 I5 O$ a

Key administrative duties:

$ ~# ]; i  |0 X4 A+ y2 _, Y• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.  ~0 L+ H$ j7 \. t2 y

( e# C9 n! d6 Q/ W/ E: U; N• Complete data entry in various programs.1 ^$ D+ ?0 t) a) E3 z( {( F

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.$ ^7 V; z% z0 U: i  M. ^% I

. t  ^& l9 Q0 D8 }+ `3 d• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.

- w# C7 a2 e9 T! P/ l• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.+ _% B4 k" J# g  l$ y* e& u5 F

• Manage mail outs for fund development or education purposes with support of Program Managers.) @- \& `& a1 I9 Z( ^1 [4 o

• Perform financial administrative duties as required.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.  R& P. q+ W+ ~2 V

& E# M9 P4 ]( q1 g0 T• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.; V+ W2 l7 b1 s" E/ T7 C' ~. o

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Compile information packages for fundraising and promotional purposes.

4 O- |1 o: \: ]6 n• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.6 e! i8 T/ W% y! b3 y) i

  G1 V7 x( b/ M" h• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions2 M6 E- p0 w$ x$ W$ O# `) Z

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.4 j! o' }- g4 }/ E7 }  P

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

; B9 G3 U. T7 m: A9 G0 x0 V5 y. K" iSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.5 l2 x!
