Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization./ C3 e2 p) K9 G' u' ?4 k

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

* c) j0 E0 c  X9 \, l" N• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.1 t& p0 g# o7 z( w4 n0 Q; H" o! k+ k

1 O, [6 b3 D9 T3 p• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.5 h$ z% ~- U" {$ P8 I& |8 l

• Manage office technology software licensing and hardware maintenance.% e# }5 i! P& \' ?. |2 G' k

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.: v8 X. _' b+ Y2 d

( x, B' R! [) j+ K: g• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.- B& L% V& U" H

• Support management of online publicity and communication tools.

7 x9 O6 _* Z  A• Support the promotion of CFCA events in Alberta through online and print publicity resources.. v1 j1 n& d7 B2 z

• Support the management of requests for CFCA information and resources at public events.

• Provide administrative support for public engagement events and mail outs., d/ m0 @3 v$ H

- U5 d+ x2 u! D; Z9 J4 H+ v& d• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.+ k2 e- J% I. @# h9 }% @

Fund Development
' X" @4 H# J+ f+ }. P
0 @: y0 @2 y& O8 Q! P• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

# _. v/ m* y* T& v5 ]3 D* c9 W• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting9 i# c2 e* e! g  f% T. D- ^+ Y

* m: i; w9 H" }6 l& f8 i. K• Assist in administrative tasks related to donor recognition and event reconciliation as required./ m; B% [% t0 V; x

& Y! I2 f7 p" E# y! p+ D3 a+ U* iSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
