Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.+ p, a% s( L6 m( z

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.) z# e% X& P* G; S9 h1 v

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.4 b% A3 O" P6 E1 Y h+ ~* Y, ^

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.* J4 n8 I2 {' _1 e8 S, g) g5 M" P

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.5 [4 j, X* {6 e% A, H4 c( ^

• Perform financial administrative duties as required.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.8 Y# f' h+ v/ V& ?

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

3 H+ h) r% }5 f& s$ D• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

0 Y+ Y2 s, }! E' F; n+ H; q• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

R+ [( F* ~4 d& x# _; |• Provide logistical support for key fundraising events such as silent auctions

( P) Y' A# s; Y. s; _- Y• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.- ^) |: @) J# ] i% d% v
/ O7 X) r7 Y* h. t9 O' V& E) U9 p8 y6 M• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

1 [- Y4 V( @+ R) k8 oSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
