CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.+ x2 Q/ x% B) s) X

  ?( }/ |9 _+ Y9 l• Complete data entry in various programs.' ?/ `' Y/ J& e* O& q

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Manage office technology software licensing and hardware maintenance.: B$ V" S& q  f* q

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.$ ]5 h5 Y* \- r7 p6 P2 D! L/ U

' @7 j" ?6 k- _; i0 v• Support effective internal communication by recording and distributing all meeting minutes.

3 J* P. ^) p" p' _9 V; ^/ l• Manage mail outs for fund development or education purposes with support of Program Managers.

# X) X' G% c3 R• Support maintenance of Human Resources records and the development of employee handbook.

Key program support duties

0 F- q- `. t9 s) N• Maintain inventory of communication materials.

/ U7 K/ S2 b( e• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

1 h7 ~. }; w2 B  z' w• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.6 `8 g& U  Z7 v& ^

• Support management of online publicity and communication tools./ F+ V3 {% `$ w' k! b# x. o

• Support the promotion of CFCA events in Alberta through online and print publicity resources.( p- Y( S$ G3 M/ |1 r+ a6 e

9 s3 L( U; Z4 ^• Support the management of requests for CFCA information and resources at public events.( L  ~- F3 u$ \! w- i

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.

' a# ~7 Z! C  _0 K3 K6 X; y& O3 ^) Y• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts./ q6 d$ ]; u7 S+ {( P, Y
7 x& O- u3 U! q1 K( j3 M* k2 i
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.4 r$ h: t2 V6 m9 M% j* ~# b2 _

• Assist in administrative tasks related to donor recognition and event reconciliation as required.& ^$ W& F+ C% t7 P+ C

2 s5 w, I# B4 CSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
