Program and Administrative Assistant

Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.9 ?1 W3 d, K) s% [

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.6 g+ W; g9 p3 l* D

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage mail outs for fund development or education purposes with support of Program Managers.8 K; b) g. N2 b; ?$ \

• Support maintenance of Human Resources records and the development of employee handbook.

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials., t8 O5 A. q- a5 x' X
: L* S( N! @( @• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling. }1 Y' y0 q7 R' E' ?
9 r4 W* ^: {" U1 V/ _; Z• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.

• Support the management of requests for CFCA information and resources at public events.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions

7 o5 g; [5 j6 e• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.+ d+ w! H0 a9 x& }9 h

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

# D' M0 y) I' g• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.9 _: `, h- b" q6 P- i0 ~

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
