Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

+ a- w) A$ L* @• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.1 E# P  h$ q) q/ l6 v: U# [$ z

• Complete data entry in various programs.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.* I0 V9 p1 y  Y0 j! z3 N: C

• Manage office technology software licensing and hardware maintenance.

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

* X2 l/ |% c7 Z) q/ D- b• Support maintenance of Human Resources records and the development of employee handbook.

' @) @) F7 Y0 b& E' m• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Support management of online publicity and communication tools.5 j( ]* _% o. s8 ^

• Compile information packages for fundraising and promotional purposes.% M/ g, L/ P0 r8 K$ |

• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.1 k- d3 r3 _% Z$ ~# F, }

• Provide logistical support for key fundraising events such as silent auctions

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

2 P$ Z; @/ f+ J$ @0 N' c• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.7 X  C* Z- @9 @+ y2 P

* ?4 ^( v! O/ V9 t* P8 OSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.! This position is Permanent part time (20 hours per week during regular office hours).
