Program and Administrative Assistant

8 n, j3 [# I; `0 Q% WChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

6 F/ P; z$ E4 w8 ^: M3 J2 m( x( {CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

3 [% Z8 ]7 i# u* |• Complete data entry in various programs.

/ P3 M2 B2 \* g2 P) r• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

7 T9 C' `0 {( j  f2 q! v( d) a" N$ `• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Perform financial administrative duties as required.: ^5 r" c+ S9 ~+ i' `# H/ G3 O* A

• Maintain inventory of communication materials.# m, a6 z* S& p9 [1 r; c

3 R# h+ k5 S* \• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.6 }7 s, {9 W2 G. ?! ~

; m: W* q" F; O7 }• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

- Q: i" p* h" n, S• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.0 @% D1 y$ p3 a" R! q

• Support the management of requests for CFCA information and resources at public events.

' X7 T# e8 B5 m4 I• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.
! F$ o0 C3 h, ~: T6 m+ i& U1 V9 l" w, u( W7 D! t8 {
• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.. b( k# z$ E7 V- w, E

• Provide logistical support for key fundraising events such as silent auctions1 S2 o8 ~3 Z( W( e

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.- ?5 ?: X$ U8 Z; f  D1 X& t  w

' P2 M8 a2 D" z  A& @( S• Coordinate volunteers for some fundraising events such as Casino and annual sales events.( V1 a: Z# Y( j' P. m/ l1 o

3 F. m: Q  B5 i9 SSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.3 p7 u( R* t8 D# l6 a

Term:
