Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

G) R" v' O2 W+ H, eCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

7 i8 g: q, |' v2 A7 f+ A• Complete data entry in various programs.5 ~( L( ?  R( I- W7 F

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

6 _* n  t0 {' D/ b- G) v# i• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

/ N) d) O4 s1 P: K: }$ h8 |• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.6 b+ }' F0 E# V1 \5 _1 L" V4 a2 M

• Meet weekly with Program Managers to define priorities.% Y, I4 c* z. K- k: @

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

Key program support duties

International Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.

/ J+ j. ^! w0 M1 G9 v$ F( z• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.+ v( p5 [( h( ~8 M% B

2 y5 X0 ?0 u  w5 a• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

  X% c6 [/ f! \3 }# F0 `8 C( F( w• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.. L! l+ |5 Y7 y9 e: O

" {2 o% l! d$ c' S• Compile information packages for fundraising and promotional purposes.

/ z8 D1 g" p  w8 l; v% X• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions
- o( f& V8 L7 h, y* ?9 O8 J) I$ R  g& N1 q/ y0 y* k) p7 F
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

* G; t) k7 c( y• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

$ P$ ?6 G, T  d( x: `2 ~• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

  v! {1 ~% Q) dSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
