Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.( D. p( F* l* i0 Z

+ I& f1 L- k- q' t1 ]- cCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns./ F, \2 ?3 e& ]

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.1 s2 a* @! E1 l+ ]+ r4 m

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

) E7 [# t/ T+ {% ~' D1 e• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.$ t4 C% A# s+ R1 X

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.' ^8 P; c6 x6 a* ]6 Q" S4 b, u" L

9 K% ^/ g0 y, Z3 Y$ x• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

  Q9 E! ~3 Q- S! u• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.8 [& ^6 x6 a/ d- r1 x$ q) T

• Support the promotion of CFCA events in Alberta through online and print publicity resources.# E. ^. p( q9 C; G' o# T

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.4 h3 j" A! W9 ~; P' c5 |/ z4 w

• Provide logistical support for key fundraising events such as silent auctions9 f3 K4 p# [: I. F& [- p

3 Z. {5 o0 g! G$ ~+ D• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

, L; l6 ?4 j+ D% ]  y9 v• Coordinate volunteers for some fundraising events such as Casino and annual sales events.) b! s3 o% H% `

• Support logistical work required for CFCA’s Annual General Meeting; g  z3 @& h5 ?9 Z' R  e; x, M

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

8 r) r- `5 r$ v! USkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.! m  [+ ?4 M" y$ |5 [; I

This position is Permanent part time (20 hours per week during regular office hours).
