Program and Administrative Assistant

. f6 q0 j% h6 \' s: jChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

J+ e$ @8 t5 q; @3 ~6 e& BCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:/ h, [- f' W# P" I

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.$ I% d2 Q7 w9 o

' K% |5 _) h! z' j; R• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.; q/ q: d( K/ j/ G5 G0 T- z- k& j* ]

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.9 g# l( R* G& g7 W

3 ]: H; k. u: t6 R/ Z• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups., L0 J' F3 M3 Y

• Support effective internal communication by recording and distributing all meeting minutes.

1 I7 B5 B: P+ g& {2 Y( B• Meet weekly with Program Managers to define priorities.

, ?! v6 Y+ q7 M• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers., u" F1 F& b  @

• Perform financial administrative duties as required., c: b/ G; T2 V& @6 ]

International Projects and Public Engagement/Communications:

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.+ n, P4 Q6 j) J. n  ?0 s- p

, F% O8 G( O( l, F) H• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.: x- Z7 d' W! X2 o9 b% \

• Support management of online publicity and communication tools.6 {8 X, q; E0 y' g! ^: ~

• Support the promotion of CFCA events in Alberta through online and print publicity resources.0 u+ G0 U+ Y+ Y. p

( J# T$ T6 N1 d( o6 ?• Support the management of requests for CFCA information and resources at public events.2 L# J2 q, Q% d" p' m

• Compile information packages for fundraising and promotional purposes.

• Manage database and support distribution of print publications.4 q2 H& a4 Y% W# @" Q- J6 ]

* K* F: V. U1 r. W( Z. ~# Y& j• Provide administrative support for public engagement events and mail outs.

8 ?1 F0 C/ @6 p2 L9 K6 o• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• Provide logistical support for key fundraising events such as silent auctions! s/ P: L& K! G4 x
) }4 A0 c. |( F9 J1 L
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts./ `1 M- _/ j" T( u- |; S

- L1 L% H# J3 d• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting
' V; R5 V+ b5 V. n# a6 ?0 l# x1 e7 ^3 b% k, Y. a( W5 S
• Assist in administrative tasks related to donor recognition and event reconciliation as required.% k$ I* K$ s7 v# K. r

3 `& W$ q2 A/ y( M, b  e+ ISkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.6 b0 Y0 m+ h8 o4 C
