  H# B3 F- n) j% Y2 AChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

3 h. W7 Z" ]8 J/ Q( Y7 n• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.: D7 F$ q# j9 i

• Manage office technology software licensing and hardware maintenance.- k  k9 u8 C: N; J7 _

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.! @" |3 F  W9 C5 J7 g' X

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

+ X6 G! G( G# L1 W. z$ {: g) T9 J6 I• Manage mail outs for fund development or education purposes with support of Program Managers.

• Support maintenance of Human Resources records and the development of employee handbook.1 H) U1 M! y8 t

Key program support duties

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.6 `8 [* o+ ~0 [( Q9 u

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

7 Z7 E6 K6 ?7 y3 B3 }• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

• Provide administrative support for public engagement events and mail outs.

2 _- V' }) Y1 A7 `5 J• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

) G% n& N3 p) `1 b% a• Provide logistical support for key fundraising events such as silent auctions2 O* E" }1 c7 F

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.! E( R7 n8 K; s. V0 H

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

9 R; T+ f  u" o& vSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.: b  W8 G0 b1 a- k$ h3 V( P
