K9 ]0 `( ?Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.  ^& b0 \$ J  A3 {. e

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.2 P' {! ?7 f! Q7 D- e9 O' s

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

! M; _# ]/ F3 V5 _! z• Complete data entry in various programs.& h; y7 o2 Q; [) d% k

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.' {( r" K( d# R; ~) O1 K) d

• Manage mail outs for fund development or education purposes with support of Program Managers.. M* }6 A' E! n1 f* c

• Support maintenance of Human Resources records and the development of employee handbook.* a5 u1 }# ^& |+ L5 |1 d

Key program support duties

International Projects and Public Engagement/Communications:

& G6 X; m$ }% j5 N$ H8 j" G* E• Maintain inventory of communication materials.' I+ Q7 u) r" _8 S; T

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.# R+ ^; ^. z# D; I! g+ R

  [% r- b! I/ j2 j6 O• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.% L3 f& }+ R  ~, c9 N8 l

• Support the promotion of CFCA events in Alberta through online and print publicity resources.* y5 B+ e$ o7 V: w5 r; M8 F% V

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

• Provide logistical support for key fundraising events such as silent auctions

& Y+ f( C# o$ f0 q• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.% U( I' X6 i) ]( Q

6 }( v/ e( G9 d4 d- \/ d• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

1 e3 z* t8 P' P. s+ x- zSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.% R# o.
