The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:

OPERATIONS
! Z/ J: u. i w% E" c7 A a• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.% i* f4 T$ U: L8 }- c
• Assist in development and implementation of policies and procedures for volunteer services.% M% C" h6 u) E: O0 w; ^' W0 N" v
• Maintain the volunteer files and update the database using Raisers Edge
: {0 y% J* T b1 K [7 p4 u+ v" R• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
& ], p2 y( u7 g" I5 P' V• Develop and implement a comprehensive volunteer recognition program.
1 o) V7 e4 f* `! P7 v( S) r• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
9 Q/ k/ m4 g, `% e4 Q• Identify and implement best practices in regards to volunteer development.
8 X8 c; Y6 B0 N• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
% I% h" O7 m; z5 U- z• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO0 t, n; O# {7 k. g
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

ADMINISTRATION
' _/ k: k M3 Q* ^0 x5 g* {! I• Develop and maintain job descriptions for each volunteer position: k* v3 j4 h: i8 H5 I1 M$ E1 J
• Maintain secure volunteers files in accordance with privacy legislation
, I" h+ F9 [) @/ d G. F7 T1 V• Provide feedback on volunteers’ performance, as appropriate
" o2 w `* h, v) A& C( F• Ensure Human Resource policies and procedures are adhered to within the department
1 Q7 U2 Q/ X0 S6 M: }- Z* T8 i• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required / B( Y$ T5 d9 o' D
• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
& t! C0 x3 v, Q2 ] u! @1 y• Develop resource and orientation materials for Volunteer Services! l5 F( R, I6 A
• Maintain monthly and yearly volunteer statistics for reporting purposes$ G/ J0 u- l, K8 w5 c
• Prepare a regular monthly program report; @" o5 w& f5 ~1 c+ X

FINANCE
- M' K# N+ W8 d m2 z, l• Ensure the program operates within approved budget and be familiar with potential variances) y$ W2 p9 P" v# G9 Y. R: E
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

INTERNAL/EXTERNAL RELATIONS" b, v. ~0 Z: _, Y4 A2 `
• Act as liaison to the Y-Knit group of volunteers+ ^0 w/ a( }' A% X8 n
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
7 O2 _9 i2 f0 n. d+ v• Follow up with correspondence to outside agency volunteers as appropriate 8 e4 Z; P2 c3 F* C: N }
• Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:

• Minimum 2 years experience in Volunteer Coordination
9 K% B8 ^+ k; [2 w: n% O" d• Excellent organizational skills and multi-tasking ability
8 b" N0 O4 F0 p! x; _$ ]3 {• Demonstrated superior volunteer supervision skills( t- Y# B0 U5 u2 B' P. s- v8 H- E
• Collaborative working style and excellent interpersonal skills 2 P) B/ K9 S* q$ @
• Ability to work to meet deadlines and to work under pressure/ D- v, {6 ~9 Y+ i, ~
• Ability to work in a team-based environment, with cross-functional work teams on projects $ N/ o' k# q. ^: B& L
• Sound judgment and ability to maintain confidentiality
