The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

6 K1 U) \' w) J& SOPERATIONS$ t& i, k4 K" W; L0 t, C& ]
• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.! \6 K: M& Y4 o. v5 c' R
• Assist in development and implementation of policies and procedures for volunteer services.
9 z8 A7 r9 ]% m3 C8 r• Maintain the volunteer files and update the database using Raisers Edge
K+ x& V3 J- o: h• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
`, E4 @9 Y+ D- m( M1 k8 V$ ]" p• Develop and implement a comprehensive volunteer recognition program.3 [' K' I- i) ^6 j! M
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.2 ]+ t4 q. N/ v% r) w! V0 c
• Identify and implement best practices in regards to volunteer development.0 V* x0 p; |4 J
• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities2 z" G0 M: i6 W# g: M, z9 K
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

SPECIAL EVENT PLANNING
; \( P, W* `8 m: K• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO& ~! u9 O/ ~/ ?! Q
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up2 r* q- n- k/ @8 h
& {1 s8 ?' W9 N; j+ E" Q8 T+ f! pADMINISTRATION7 B3 z" e& k# X6 B+ n
• Develop and maintain job descriptions for each volunteer position7 F6 l% h0 {6 x) f
• Maintain secure volunteers files in accordance with privacy legislation8 x: ?1 C/ t$ u9 G; |
• Provide feedback on volunteers’ performance, as appropriate
; ?, X0 H8 m$ y3 v# Y6 h3 s' n• Ensure Human Resource policies and procedures are adhered to within the department
) d, t/ I" M! Y, c: A3 Z+ @( ?% C! w• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
' N X# X o u" V1 J2 l1 y• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
( ^/ u, l0 w1 B$ n7 u( Y• Develop resource and orientation materials for Volunteer Services7 k8 x4 X& b' k8 K+ T
• Maintain monthly and yearly volunteer statistics for reporting purposes$ l% @* \' s5 F! l) t1 u# y% r
• Prepare a regular monthly program report

• Ensure the program operates within approved budget and be familiar with potential variances) A, P3 J$ D7 M5 [, a
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

INTERNAL/EXTERNAL RELATIONS
: d5 G2 f9 d8 w( M" q s• Act as liaison to the Y-Knit group of volunteers% i/ H1 U' g! J: z" p
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
8 j& [0 g+ p# J/ }• Follow up with correspondence to outside agency volunteers as appropriate
+ E* x* e' l a+ z• Attend external functions such as volunteer fairs, trade shows, and special events as required+ v# \: q* T; z) k! {6 a9 x# t/ \

Qualifications:
, q9 }+ d+ f9 O& ~, F
/ J9 _' u4 N3 J# Q. v$ d" G• Minimum 2 years experience in Volunteer Coordination, e8 S% m3 E# ]: w: h3 I. h+ T
• Excellent organizational skills and multi-tasking ability
9 [9 Y3 { v$ J& Q• Demonstrated superior volunteer supervision skills' `5 f) z# O: D: A* r, d
• Collaborative working style and excellent interpersonal skills ( ?0 {+ u6 f8 A; o
• Ability to work to meet deadlines and to work under pressure( R/ h* x6 Z3 N0 ?/ ?' }1 Q' f
• Ability to work in a team-based environment, with cross-functional work teams on projects
3 {0 X5 h/ L! F+ A% E( V• Sound judgment and ability to maintain confidentiality
