The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA./ a+ P4 q( u4 c0 p. r

$ i5 y9 y) v7 q, d+ DThis is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:  Q* M2 _5 t- e1 j& X

OPERATIONS. n, M. [: B3 C$ {
•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
$ O* F, m; z5 N( Z0 H3 a1 t$ N9 {0 B•        Assist in development and implementation of policies and procedures for volunteer services.
0 h$ R; i7 \3 q/ R•        Maintain the volunteer files and update the database using Raisers Edge8 ?1 N! w: u: ]" P! d0 D# V
•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.
; ?) D/ P, o6 N•        Develop and implement a comprehensive volunteer recognition program.( ~7 h0 t! s+ ?
•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
, O2 z8 t0 G! y' g5 E•        Identify and implement best practices in regards to volunteer development.
1 R5 P8 I1 i8 `7 c8 E/ F8 Z4 }•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities  j# A) O! {) O$ F8 w, v, j9 X7 w
•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

1 R+ ?* M& j  n1 [5 `•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
' f' [) j: G! q+ {•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

* V6 D, P, F& m0 Q2 y4 o* r& G% PADMINISTRATION
0 A. a' D* Q* N: P  }0 s  _•        Develop and maintain job descriptions for each volunteer position# }# A' r2 }$ Q) H
•        Maintain secure volunteers files in accordance with privacy legislation
; O  T0 U) s/ A•        Provide feedback on volunteers’ performance, as appropriate2 {- d8 a2 K' X1 c" L) }1 p- C: J
•        Ensure Human Resource policies and procedures are adhered to within the department
4 w+ f, v' I7 A- J; Z•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
. {4 U( }* G% V2 d+ p•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency$ c: v0 r1 L+ j. Z
•        Develop resource and orientation materials for Volunteer Services. B8 p8 c: O" @8 N+ m6 V4 u; Q
•        Maintain monthly and yearly volunteer statistics for reporting purposes
9 o2 N' {, K& M  S1 J•        Prepare a regular monthly program report

FINANCE
% Y1 m% C9 G' m( y5 q; Q•        Ensure the program operates within approved budget and be familiar with potential variances
6 E+ C: ]$ I( @1 z, x) p•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required
/ ^" I& L4 m, S( w  A" p. C1 D# I) f' [
INTERNAL/EXTERNAL RELATIONS
0 h3 i$ W  b; o( R% N; m" Y•        Act as liaison to the Y-Knit group of volunteers9 H9 s0 t6 z' c  p* Z6 q: u& H
•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)  v& V3 C! g1 y+ v1 s
•        Follow up with correspondence to outside agency volunteers as appropriate / F  N" n  z- ?' n+ L: x
•        Attend external functions such as volunteer fairs, trade shows, and special events as required1 M1 r' t$ C& ~0 ^' }
1 T7 q- y7 X; z( F% V3 c" [3 o
Qualifications:
" Y0 U3 t: m1 ], X
5 n. a0 n  J4 V. t0 p- s•        Minimum 2 years experience in Volunteer Coordination
9 M9 y, c- a8 K6 B•        Excellent organizational skills and multi-tasking ability
  |  l; X- e' d$ K# i7 L•        Demonstrated superior volunteer supervision skills
& {: m' p$ k3 Y" F( V•        Collaborative working style and excellent interpersonal skills
, K0 d3 ^# v$ S! C•        Ability to work to meet deadlines and to work under pressure
: y; T+ `& }+ i7 m; M& C: q1 F•        Ability to work in a team-based environment, with cross-functional work teams on projects
3 N2 j; z1 D  V1 z" U8 [; X! D•        Sound judgment and ability to maintain confidentiality
) g3 V; y, a, \5 g•        Knowledge of Raisers Edge software would be beneficial " b6 k/ g  a* |2 U
