The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

& r# o% g; Z" EThis is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.5 f( T5 [) y  V9 a0 G/ g7 [

Job Responsibilities:

2 o' z; t" i8 H3 [9 w1 b% LOPERATIONS
+ @/ c. Z4 L6 [# E" K•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.* \. H9 n- Z5 x2 W9 t! z% Y' {
•        Assist in development and implementation of policies and procedures for volunteer services.! n& A: D8 G4 \3 U! j% y1 p
•        Maintain the volunteer files and update the database using Raisers Edge
' i5 Z2 v1 w9 i5 v- ~•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.  s& j2 Y7 j: `8 V" F; I
•        Develop and implement a comprehensive volunteer recognition program.9 Q6 m; a, |! B( w9 u% y% E
•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.1 N& d" r4 k7 D6 ~+ w5 p
•        Identify and implement best practices in regards to volunteer development.
, ]  R: X1 {- t4 P- x8 u4 `•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities7 e' j1 o% o& b+ j5 A
•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required. |9 h2 n- L! t

•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO' a  S: g- n+ v! o
•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up4 H3 Q; }4 A& t

ADMINISTRATION
. k( w4 P+ Q0 t) d, }( w# C•        Develop and maintain job descriptions for each volunteer position1 @" u! a1 G# N! M0 q" t+ [
•        Maintain secure volunteers files in accordance with privacy legislation
1 b+ q! Y' ]: Y, T- D. r•        Provide feedback on volunteers’ performance, as appropriate: f; ~" B3 J! x1 o, F; A  K
•        Ensure Human Resource policies and procedures are adhered to within the department7 \/ `- t. e% ]% \5 \
•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
8 c; Z4 p0 ]2 h/ g8 E•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency  Y. N! B) E# z, |$ G
•        Develop resource and orientation materials for Volunteer Services+ _% X5 h# F# A
•        Maintain monthly and yearly volunteer statistics for reporting purposes% C( t: A9 r0 R
•        Prepare a regular monthly program report& E0 E9 H& k4 y7 K2 `5 P

FINANCE
) `3 `% }# _4 ?6 C! h# G% y•        Ensure the program operates within approved budget and be familiar with potential variances
6 S. N$ ]5 s5 M  N8 g9 Z•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

# X& C1 g0 L" n1 T  m; c$ tINTERNAL/EXTERNAL RELATIONS6 n9 B0 k! ~# K, V2 L' t8 ~3 V
•        Act as liaison to the Y-Knit group of volunteers! ?1 E& \4 B/ C& C% w, @
•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
/ T" u. r9 c0 ~8 e5 D9 f•        Follow up with correspondence to outside agency volunteers as appropriate
0 X2 Z8 R' O4 ], Z* p. e•        Attend external functions such as volunteer fairs, trade shows, and special events as required+ [* f6 [1 y) A& {' v) `. i0 |3 X+ N

: I. @+ g  t7 o•        Minimum 2 years experience in Volunteer Coordination1 e, p2 f3 T- [! m% ~; P7 F/ c, l' \
•        Excellent organizational skills and multi-tasking ability% v- P4 s$ T: T% }7 T  Y/ b
•        Demonstrated superior volunteer supervision skills
2 K( K9 W. A' f! W•        Collaborative working style and excellent interpersonal skills
+ m8 \5 u' U. d" D" H( I& q1 M/ n2 x' q•        Ability to work to meet deadlines and to work under pressure
# N) I- L, o- D. l5 _•        Ability to work in a team-based environment, with cross-functional work teams on projects ; ]+ K. ^* _) u) u
•        Sound judgment and ability to maintain confidentiality
  B$ q  w! F6 u8 _  p& P•        Knowledge of Raisers Edge software would be beneficial
