Job Duties / Responsibilities9 h, ?% c- X% M
• Preparation of meeting agendas and taking minutes as required.
# H- d! a8 J. W2 b! t- Q• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.
1 i* I1 v& F2 w' ?' Y* g• SAP match reporting and monthly management! D8 }; T4 z% w9 p* _. A% r
• Responsible for coordination and organization of office needs and supplies.
1 H" M0 |/ T0 e- Z• Organization of company functions/luncheons as required.
8 N8 J% Q% Z& E• Coordinate network ID / requests for new hires, internal orientations.$ B# \0 j! r' x' S8 r% W5 U# e
• Train new Visa card holders ¿ Visa Administrator.
' f( K1 Q) i5 [& i• Preparation of Monthly Visa Statements.
# r+ ?7 n% ~% s  H9 t* j. S• Order business cards as required.* j: Y0 P) j( l7 W4 `
• Maintain contact list, employee files (including expenses)
8 |9 [/ U+ p7 k5 X• Prepare travel approvals, books accommodations / meeting rooms / luncheons.% c- G4 f. r8 m9 C, I1 g7 i; W
• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking.
$ \9 q* S6 M$ @• Vacation relief for other administrative staff.. A, i! G; p! x8 Q! r# o  w; u$ K
• Preparation, organization and record keeper for Maintenance Department training
; Q- c& t( D  X: W1 i! N1 Y) t" U% T- l

Education / Experience0 y( R# L1 `. @+ I1 L/ E
• Grade 12 or equivalent
- U* i" o1 F+ U0 G• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)' f3 ]" @( Y& y7 s
• 3-5 years of related administrative experience2 G$ M# \8 x7 [. z" e" b; W- g6 Z. |. V
• Keyboarding Skills ¿ 50 w.p.m or greater' {# W' T' @) `! M/ N  s! `
• A high level of discretion, confidentiality, and reliability is essential. ( P; d" l( k8 U' D* g; x6 G% l
• Attention to detail is required.
9 d. S$ f. |' P) |$ O8 K• High level of customer service skills is a must.
$ ^2 L7 _) P7 q- `0 j" x• Good planning and co-ordination skills.2 B* G5 {) o5 L6 Q+ h& v
• Shorthand/Word processing skills.; ^9 \; e* w, q; T! B
• Business Administration Diploma or relevant certificate would be considered an asset.4 ]6 |; d) m: [3 r
• Prior work experience with SAP is an asset.
